Connecting the disconnected enterpriseConnecting to the right people at the right time can have a significant impact on productivity, customer relationships, and even your organization’s bottom line. As business communications grow more complex—with employees using diverse communication devices, applications, and modalities—making the right connections can become increasingly challenging. The failure to establish right connections leads to communication latency, increasing the amount of time required to make and execute critical business decisions.

Communication latency is often heightened by the geographically dispersed nature of today’s workforce. Face-to-face meetings can be prohibitively expensive. Yet, collaboration is essential to complete work projects.

Traditional standalone data, telephony, and video solutions may not be effective in enabling the fast response and coordination necessary to reduce communication latency. Most of these solutions lack interoperability and add to system administration burdens.

To address these issues, organizations are turning to unified communications (UC), which brings together today’s disparate methods of communications into a set of multimodal capabilities that are highly aware of one another. By adopting UC, it will be easier for you to reach people and to let others know how to reach you. UC uses voice, email, instant messaging (IM), audio conferencing, and video conferencing, in combination with presence awareness to immediately locate and contact individuals. UC can also be integrated with social media to broaden the context of and enrich enterprise communications.

Growing adoption of UCDue to the cost and complexity of operating multiple infrastructures and disparate applications, an increasing number of IT organizations are recognizing the advantages of UC. Gartner predicts that “by year-end 2015, 60% of organizations will offer employees at least four parallel, overlapping, voice/telephony options.” 1

Migrating to an integrated IP network—typically a first step in adopting a UC solution—can yield significant savings by lowering communication costs. However, UC goes well beyond merging data and voice networks to actually unify business communications technologies and enhance business processes. Unlike unified messaging, which is restricted to recorded messages made available through a common interface on a computer or telephone, UC provides real-time communications and connections.

With its multiple potential rewards, UC has found several takers. According to Forrester, “Sixty percent of surveyed UC buyers tell us their employee base is using UC tools/capabilities regularly.” 2

Real-world UC implementation• An alternative to face-to-face meetings

UC applications on smartphones/tablets allow mobile workers to have seamless access to colleagues, partners, and enterprise resources, enabling efficiency and timely information flow.

• A global virtual workplace Associates separated by geography can connect over audio and video by using a notebook, a webcam, and a headset. Individuals who were required to travel in the past to facilitate face-to-face collaboration can now accomplish the same without bearing exorbitant travel costs.

• Communication-enabled resource management in hospitals Nurses can use Web conferencing to bring in experts to help with diagnostics or use video conferencing to help treat patients remotely.

• Real-time integration of central offices with on-field associates In the event of an accident, on-site engineers can relay real-time information about the accident to the company management, emergency workers, and government officials, and in the process enable faster and more meaningful response and rescue effort.

• Banks can improve customer loyalty by using unified communications A banking branch can secure better customer loyalty and increased revenues by providing local customers with access to geographically distant experts, in real time, through remote collaboration.

Case study: Black & Veatch extends the enterprise with unified communicationsEmployee-owned, $2.7 billion USD Black & Veatch Corporation, a prominent global engineering, consulting, and construction company, was faced with an outdated telephony system and an increasingly mobile workforce. The company decided to reconsider the way it was delivering communication and collaboration solutions for professionals. By working with HP to implement a UC solution, Black & Veatch found that it could modernize and globalize communications; mobilize its workforce to enable employees to work from anywhere, anytime; and economize and save costs for the company while enhancing productivity and mobility for its professionals. “One advantage of our contract with HP is knowing definitive costs. That helped us create a very succinct ROI model,” says Brad Vaughan, Senior VP and CIO, Black & Veatch. The company can also reduce or avoid other costs, such as PBX maintenance, which could help it pay for the project.
