IntroductionThis HP Easy Printer Care System Administrator's Guide provides information about, andtroubleshooting tips for, the HP Easy Printer Care software.

This guide is prepared in an electronic format to serve as a quick-reference tool for Customer CareCenter (CCC) agents, support engineers, system administrators, management information systems(MIS) personnel, and HP LaserJet product users, as appropriate.

Software requirementsHP Easy Printer Care software is designed for end users and for those who keep printers up and runningin small and large business groups. Use HP Easy Printer Care to view the status of up to 15 supportedHP LaserJet printers, set up printer and supply alerts, generate printer-usage reports, and reordersupplies from HP or a choice of resellers.

System requirements● Windows 2000, Windows XP, or Windows Server 2003 operating system

● Computer with 500 MHz or greater processor

● 128 MB of RAM

● 50 MB of available disk space

Operating systems supportHP Easy Printer Care software is supported only in the following operating systems:

Other printer supportCurrently, HP Easy Printer Care is supported only by HP LaserJet printers.

NOTE If you install HP Easy Printer Care software in an environment that uses otherHP products (for instance, HP DeskJets, HP InkJets, and so on), the software does not detectthem. Future versions of the software might expand to include them.

HP Easy Printer Care supports most connection types, but some configurations are not supported. Forinstance, HP Easy Printer Care currently does not read the status of a device that is locally connected(USB or LPT) on another computer and shared on the network.

Browser supportHP Easy Printer Care software requires that a Web browser be installed, such as one of the following:

● Microsoft Internet Explorer 4.x or later

● Netscape Navigator 4.x or later

Protocol supportHP Easy Printer Care software uses printer machine language (PML) and simple network managementprotocol (SNMP) to manage printers.

Certain HP Jetdirect cards do not support SNMP. HP Easy Printer Care is unavailable for HP LaserJetprinters that use these cards.

ConnectivityHP Easy Printer Care software works mainly in network environments.

The software can detect supported printers over a direct USB or parallel connection only if the printeris installed by using the HP installer that is found on the product's printing-system software CD or thedownloadable printing-system software, available on the following Web site:

www.hp.com/go/bsc

The following HP LaserJet devices support HP Easy Printer Care over network and direct connections:

● HP Color LaserJet 3000

● HP Color LaserJet 3600

● HP Color LaserJet 3800

● HP Color LaserJet 4700

● HP Color LaserJet 4730MFP

For proper communication between the printer and HP Easy Printer Care software in non-networkedenvironments, HP Easy Printer Care requires a DOT4 port, which is shown in the Printers or Printersand Faxes folder as:

DOT4_001 (001 or greater)

Follow these steps to gain access to the Printers or Printers and Faxes folder:

1. Click Start, click Settings, and then click Printers and Faxes (in Windows XP andWindows Server 2003) or Printers (in Windows 2000). The Printers or Printers and Faxes windowopens.

2. Select the printer, click File, and then click Properties. The Properties window for the productopens.

3. Click the Ports tab.

In addition, HP Easy Printer Care software provides diagnostic tools and reportsto help resolve printing problems and prevent problems before they happen. Use HP Easy Printer Careto:

● Monitor the status of supported HP LaserJet printers

HP Web JetadminHP Web Jetadmin is a browser-based management tool designed for advanced control over networksettings and configuration. The tool is designed for organizations that employ dedicated IT staff whomanage more than 15 network printers. HP Web Jetadmin users require detailed information andproactive control of their printer networks.

On the other hand, small businesses with 15 or fewer printers typically depend on device maintainersto manage printers, rather than on a dedicated IT staff. Such businesses usually require less-advancedtools that allow them to track their installed printers with ease. For these businesses, HP Easy PrinterCare provides basic printer status, ordering supplies, and troubleshooting, delivered in a easy-to-understand user interface.

HP Embedded Web ServerThe HP Embedded Web Server (HP EWS) is a standard feature on many HP LaserJet products whenthey are connected through a network. For some models, optional enhanced input/output (EIO) Jetdirectcards can be installed to make HP EWS available.

The HP EWS provides a simple, easy-to-use solution for one-to-one product management. It does notrequire installation of management software, such as HP Web Jetadmin, and can be used for remotemanagement in offices that have a limited number of products. The only requirement is that themanagement console must have a supported Web browser.

Unlike HP Easy Printer Care, however, HP EWS is not available with devices that do not have webservers or for directly connected printers.

HP Easy Printer Care features overlap some HP EWS features. HP Easy Printer Care includes a linkto the HP EWS and maintains password consistency with it.

NOTE Not all of the HP Easy Printer Care features are available for all HP products. Thefeatures available using HP Printer Easy Care depend on the device model.

Software setupWhen HP Easy Printer Care software opens, it first establishes contact with the devices on the network,using the Find Printer feature. After connection with network devices is established, tabs becomeavailable for each device, showing its status and presenting tools for maintenance, troubleshooting, andsupport.

Tip Double-click the HP Easy Printer Care icon in the Windows system tray to quickly start theHP Easy Printer Care program.

Click Advanced Search Properties to open a screen that you can use to select the number of“hops” that the system makes. The Advanced Search Settings screen appears.

Select the number of network hops and click OK to proceed with finding other devices.

NOTE A network “hop” occurs when information is forwarded from one router to another.A hop is an intermediate connection in a string of connections that link network devices.With three hops selected, more devices might be detected than if one hop is selected, butthe search takes more time.

Set alert notificationsFollow these steps to set notifications:

1. Click Alert Settings to open the Alert Settings screen, as shown in the following figure.

2. Turn alert notification on and off by selecting an option in the Settings for: field.

3. Below Printer Alerts, select the kind of alert notifications that you want to receive:

● Printer cannot print. The device needs immediate attention before it can print.

● Printer has a problem, but can continue. The device might be low in supplies or needmaintenance, but it can print.

4. If you want to be notified of problems only when printing to the product, select Only if I am printingto this printer (user mode).

Settings tabThe Settings tab provides access to many features that are normally available through the devicecontrol panel, the print drivers, or the configuration applications. Click on the HP Printer Care featureyou want to view to display.

Select Change to display the fields that can be user-specified. After making changes, select Apply tosave the changes, or select Cancel to exit the field change screen.

Some read-only fields automatically update when the device configuration changes. For example,the Firmware Version field changes if the firmware is updated, or the Installed DIMM Memory fieldchanges if the memory DIMM is changed.

An error message appears if you select Apply and have not made any changes to a field or have madea change that is not within the field's acceptable range. The following illustration is an example of aSettings tab error message (actual error messages will depend on the type of error).

If no HP EWS password has been set by an administrator, no password is required, and the Settingsscreen changes to show which fields can be modified.

If an HP EWS password has been set, the Authorization screen appears, as shown in the followingfigure.

If necessary, consult your IT administrator for the user name and password. Type the user name andpassword and click OK to proceed. The password is saved for the HP Easy Printer Care session aslong as the user remains active. After about 30 minutes without user interaction, the password isdiscarded, and it is necessary to log in again in order to make further modifications to the configuration.

NOTE The settings that are available vary from device to device, according to the product'sfeatures. For example, the RAM Disk feature might be supported for one device, while anotherdevice might not have this setting. Similarly, the media sizes are specific to the device, so theoptions for media sizes are not the same across devices.

GeneralThe General pane shows general device information about the printer, including system clock settings.

Printer Usage ReportThe Printer Usage Report tool helps you keep track of how your networked printers are being used.Usage information for your printers is collected and stored on your computer hard drive when you arelogged on to your computer.

Click Printer Usage Report to open a screen that provides information about print jobs that have beensent to the product. The Printer Usage Report screen has three tabs:

● By Date/Time

● By Application

To export the printer-usage report into a file that can be opened in Microsoft Excel or other databasesoftware program, follow these steps:

● Notify me before checking the web for updates. This option is selected by default.

● Automatically check the web for updates. Only notify me when an update is available.

● The number of simplex and duplex page equivalents printed in color and in black and white foreach media type.

● PRINT MODE. The number of page equivalents printed in color and in black and white for variousprint modes.

● PAPER PATH USAGE. The number of page equivalents printed from each media source (tray)and to each output device.

● HISTORICAL DEVICE COVERAGE. The percentage of use for each print cartridge.

NOTE The information provided by the Usage Page screen can vary from device to device,depending on the product features.

For print job information, use the Printer Usage Report.

Run online diagnosticsYou can use HP's online diagnostics tool to communicate with an HP Web site that analyzes the productand looks for problems. When you click the Run online diagnostics option, the HP Instant Supportadvice disclaimer screen appears, as shown in the following figure.

UninstallThis section contains information about the following topic(s):

● Uninstall HP Software Update

Follow these instructions to remove the HP Easy Printer Care and HP Device Communications Servicesin a Windows XP operating environment.

NOTE To uninstall the HP Easy Printer Care software only, use the Windows Add/RemovePrograms feature.

1. Click Start.

2. Select Hewlett-Packard.

3. Select HP Easy Printer Care.

4. Click Uninstall and follow the onscreen instructions.

Whether you uninstall HP Easy Printer Care from the Program menu or by using the Windows Add/Remove feature, the installer informs you if HP Easy Printer Care is still managing any products. At thispoint, the following options are available:

● Cancel

● Uninstall

● Continue

If you select Continue, then HP Easy Printer Care is uninstalled. The installer checks to see if the printer-usage report plug-in is present and removes it.

Next, the uninstall process removes HP Device Communications Services, if HP DeviceCommunications Services is not supporting programs or products other than HP Easy Printer Care. IfHP Device Communications Services is supporting other applications, then its components appear inthe Add/Remove Program list. HP Software Update is not uninstalled.

Uninstall HP Software UpdateHP Software Update, a utility which can check the HP Web site for updates to your HP software, isinstalled together with HP Easy Printer Care if the system has an older version or does not carry it.

To uninstall HP Software Update, use the Windows Add/Remove Programs feature.

Known issuesThis section contains information about issues that are known to affect HP Easy Printer Care software.

For updated information about known issues, go to the following Web site:

● Issue: HP Easy Printer Care does not recognize the device.

Description: If the TCP/IP address of a device changes, HP Easy Printer Care ceases to recognizethe device.

Solution: Turn the computer off and then on again to update the printers in HP Easy Printer Care.

● Issue: Some alerts do not appear.

Solution: None. HP Easy Printer Care is designed to work with the most common alerts. In addition,the latest alerts to be added to a product might not yet be available in HP Easy Printer Care.

● Issue: The HP Easy Printer Care is one day behind the Embedded Web Server date.

Solution: None

● Issue: The Settings tab does not display the information about FAX/SCANNED/ADF counters.

Solution: None.

● Issue: If the device name is too long, it might be truncated on the HP Easy Printer Care window.

Solution: Shorten the name of the device.

● Issue: When you click the Alert Settings link, the HP Easy Printer Care window is sent behindevery other opened window.

Solution: Minimize the windows to view the HP Easy Printer Care window.

● Issue: When you install HP Easy Printer Care software, the first dialog states, The wizard willhelp you set up your HP Easy Care – printer, rather than … HP Easy Printer Care software.

Solution: None. This does not affect the functionality of the HP Easy Printer Care software.

Verify printer supportAlthough HP Easy Printer Care supports a wide range of HP LaserJet printers, not all printers aresupported yet. For a list of printers that currently support HP Easy Printer Care, see Table 1-2HP LaserJet printers that support HP Easy Printer Care.

In addition, HP periodically adds to the list of devices that HP Easy Printer Care supports, so check theHP Easy Printer Care Web site every few weeks to see if the model has been added:

www.hp.com/go/easyprintercare

You can also use the HP Software Update utility installed with HP Easy Printer Care to check for updatesautomatically.

Files or information that HP Easy Printer Care needs to get data from your particular printer might notyet be installed. Consult the HP Easy Printer Care Web site to determine whether the model is supported.

Verify printer availabilityIf the status message for a printer is Status unavailable, make sure the printer is not off-line ordisconnected. Make sure it is turned on, correctly connected, and can print a test page.

Update driver softwareIf a product is on the list of supported products, is connected through an LPT or USB port, and stillreturns a message of Status unavailable, you might need to add additional software to the print-systemdriver. This typically happens if the driver was installed using the Windows Add Printer Wizard ratherthan by selecting Install Printer from the printing-system software CD. To see if this is the case, lookat the port name of your printer. It should read something like DOT4 1 (Local). If the port name is different(for instance, LPT1 or USB001), perform the following steps:

1. Insert the printing-system software CD that came with your printer into the CD-ROM drive.

2. If the CD browser does not automatically start, click Start, click Run..., browse to the printer CDto find the SETUP.EXE, and double-click.

3. Follow the instructions for a typical installation. This automatically installs the additional software.

Remove a product from HP Easy Printer CareIf you try to remove a printer from HP Easy Printer Care by selecting it, clicking File, and thenclicking Remove Printer, the Remove Printer selection might be unavailable (grayed out). Thishappens whenever HP Easy Printer Care has automatically detected printers in the Printers (or Printersand Faxes) folder.

Remove the printer from the Printers folder (for example, by performing a driver uninstall). The RemovePrinter option then becomes active and the printer can be removed from HP Easy Printer Care.
