The ChallengeFamily Health Centers (FHC) Louisville is a federally qualified communityhealth center with eight locations in Louisville, Kentucky, and thesurrounding parts of Jefferson County. With a staff of nearly 480, FHCLouisville offers primary care, as well as dental, behavioral health,women’s health and pediatric services. While it sees patients from alleconomic levels, its primary patients are those from low-incomehouseholds, the homeless and people with refugee status.

Previously, FHC Louisville’s staff would be consumed by extensive—yetessential—clerical work, which detracted their time and efforts away frompatient care. Namely, tracking important documents related toemployees—such as training, certifications and vaccinations—forcompliance involved managing several siloed databases. This resultedin redundant data entry, as well as miscommunication and complicationswhen onboarding new hires. FHC Louisville also needed an optimal wayto manage its safety data sheets (SDS) for proper hazardcommunication.

SolutionMedTrainer’s comprehensive compliance management suite was introduced to FHC Louisville. After seeing a demo, the community health center decided to select MedTrainer for a number of reasons. In addition to affordability, MedTrainer could help create an online SDS binder for FHC Louisville, enabling employees to quickly search and access any necessary sheet. Moreover, FHC Louisville had been using ADP to manage its human resources (HR) services for years. Notably, MedTrainer offers a direct integration with ADP Workforce Now®, so employee records can flow seamlessly between the two systems, eliminating duplicate data entry and helping to ensure data consistency.

ResultsToday, the digital SDS binder makes it easy for FHC Louisville to trackits current sheets and add new ones for new products. The MedTrainercompliance management suite centralizes all tracking of training,certifications, vaccinations, and other employee records in one place.This has been especially beneficial to the nursing and HR departments, as they can now run reports and share information without data silos.

Through the integration between MedTrainer and ADP WorkforceNow, FHC Louisville has streamlined its onboarding processconsiderably. As soon as employees are entered into ADP, theirinformation is immediately accessible in the MedTrainer system. Newhires are thereby added into their appropriate training rotation fromthe beginning of employment. The integration helped to free up HRstaff for other critical tasks. For example, they can concentrate ongetting their own training done, instead of keeping tabs on what othersneed to complete. And with department and location information fromADP flowing directly into MedTrainer, training can be easily assigned toeach individual based on their designation or job title.

Currently, FHC Louisville also uses MedTrainer to track contracts andcertificates of insurance. Looking ahead, it plans to digitize its policiesand procedures and make them available to staff online. This willenable the community health center to track which employees haveread and acknowledged the required policies. Together withMedTrainer, FHC Louisville continues to look for opportunities toincrease efficiency and free up staff to better serve patients.
