Non-refundable Empanelment fee of Rs. 250/- will be charged for each vendor in the form of account payee demand draft/ Banker’s Cheque/ Fixed Deposit Receipt, drawn on a scheduled commercial bank in India, in favour of Security Paper Mill, Hoshangabad (A unit of SPMCIL), payable at Hoshangabad. 3. Registration fee is exempted for vendor; those were participated and deposited the registration amount vide tender document no. M3 (vendor)/01/EOI/11-12, dated 05.12.2011 in our earlier vendor registration process. For exemption valid documentary proof shall be attached with the registration form.

4. Invitation to E.O.I. document may also be downloaded from the web site

http://spmhoshangabad.spmcil.com and submit it along with the required non-refundable fee as mentioned in Para 2 above.

5. Vendors will ensure that their tenders, duly sealed and signed, complete in all respects as per instructions

contained in the Invitation to E.O.I. Documents, are dropped in the tender box located at the address given above on or before the closing date and time indicated above, failing which the documents will be treated as late and rejected.

6. In the event of any of the above mentioned dates being declared as a holiday/ closed day for the

purchase organization, the tenders will be sold/ received/ opened on the next working day at the appointed time.

7. The Security Paper Mill, Hoshangabad is not responsible for transit (postal/courier) delays of tender

documents/tenders.

8. All empanelled vendors will be allocated unique registration number.

9. The tender documents are not transferable.

10. The validity period of empanelment will be 3 years from the date of empanelment and their performance will be reviewed annually or as per requirement.

11. Potential new vendors may be added to the empanelment list every year based on the satisfaction of

the eligibility criteria.

12. Firms found not satisfactory will be eliminated and Registration fee will be forfeited.

13. The existing suppliers to SPM, Hoshangabad are also required to apply for their registration.

14. The Empanelment Fee should be furnished in any one of the following forms : -

(a) Account Payee Demand Draft or

(b) Bankers Cheque.

15. The firm should furnish the firm’s name, full postal address (Office), Phone Number and Fax Number; Name of the authorized contact person and e-mail address.

16. The firm should not have been blacklisted /debarred for dealing by Government of India or any State Govt. in any manner and an undertaking should be submitted along with the Bid, to this effect.

17. If required the same empanelment may be extended for another year after completion of this tenure.

18. The vendor can submit only one application against one type of material/work/services or items. Vendors can apply for multiple items, for that they have to submit separate application, but empanelment fee shall be Rs. 250/- Only. Multiple items under one application will be rejected.

19. Participants are required to stamp and provide their authorized signature on every page of the E.O.I.

document and all the supporting documents submitted as a token of acceptance to the mentioned terms and conditions.

20. Interested firms have to submit attested copies of various license certificates like Trade License, Vat Registration Certificate, Central Sales Tax Registration Certificate, Service Tax Registration Certificate and other registration certificates as required as per the prevalent Prices & Registrations of the Govt. with their application.

2. Incomplete forms or forms received without the required enclosures shall be rejected. 3. Enlistment of any firm is done entirely at the discretion of SECURITY PAPER MILL, HOSHANGABAD and

SECURITY PAPER MILL, HOSHANGABAD reserves the reject any application without assigning any reason.

4. Registration form should be sent to us along with the Demand Draft of Rs. 250/- (Rupees Two Hundred Fifty Only) in favor of “ Security Paper Mill” payable at Hoshangabad to enable us to process this application.

GENERAL INFORMATION A. The application form duly filled in all respects, together with all required enclosures must be submitted

within prescribed due date, late applications shall not be entertained. B. The registered vendor will be communicated directly by SECURITY PAPER MILL, HOSHANGABAD after

scrutiny of their application. All such vendors will be allotted a Unique Vendor Registration Number which should be invariably quoted in all their future correspondence.

C. The Vendor registration will be valid for THREE Years from the date of registration by SECURITY PAPER MILL,

HOSHANGABAD. Whereas performance of vendors will be evaluated every year. Registered Vendor interested to renew the registration on expiry of validity should apply for Re- Registration in the same format given below before the date of expiry of the registration.

D. Benefit of becoming Registered Vendor: Based on requirements, SECURITY PAPER MILL, HOSHANGABAD

shall send Enquiries/ Limited Tender related to item registered by Registered Vendors through courier/ Post. In case of Open Tender intimation of the same will be communicated to Registered Vendors. Interested Registered Vendors may respond to such enquiries for participation in the Tenders.
