Included with each wedding booking is a complimentary suite for the bride and groom and a day use changing room for the bridal party, based on availability. Hilton Americas-Houston is pleased to help you set up a guest room block at a discounted rate for your guest. Please contact your catering manager for pricing.

Linens, Decorations and Equipment

Hilton Americas-Houston provides white, black and gold table linens, white, black, gold, maroon, evergreen and navy napkins and black skirting. Other colors or specialty linens and chair covers may be obtained from an outside source. Votive candles (up to four) per table and round mirrors are complimentary.

All incoming linens, decorations and equipment are required to be removed from the building at the conclusion of the event. Exceptions can only be approved

by your catering contact in writing prior to the event date. There is a $300.00 fee for items left behind that require handling and/or storage by the hotel.

Hilton Americas-Houston will provide a dance floor, and staging needs at no charge. There are charges for electrical access and distribution that may be needed for entertainment and special lighting. Please provide these requirements to your catering contact 4-6 weeks prior to your function. There are also charges for any rigging required for setup of the event and this must be contracted through Freeman Audio Visual. Please contact your catering contact for further details.

Parking

Self-parking for events is available in the covered garage at $12 per car. Valet parking is available at $18 per car for events.

Wedding Ceremonies

Any wedding ceremony held is subject to a $1,500.00 ceremony charge. Hilton Americas-Houston prefers a professional wedding coordinator be retained when conducting ceremonies at the hotel. We offer several recommendations on our Vendor List.

Due to environmental concerns, no rice, potpourri, or paper products may be thrown at departure outdoors. We allow and recommend rose petals and bubbles for outdoor use. Paper products may be used for an “indoor departure”. There is a $250.00 clean up fee for throwing these items, bubbles are an exception.

Absolutely no sparklers or pyrotechnics can be used indoors or outside.

Food and Beverage Minimums

We do allow outside cakes to be brought into the hotel and please see our preferred vendor list. We will cut and serve the cake (or the bride and groom’s cake) at a fee of $2.50 per person. We can also garnish the plates with fresh berry coulis and cream at a fee of $4.50 per slice which includes the cutting of the cake.

Sheet cakes are expected for cutting and service especially for weddings of over 200 guests or for requested garnishing.

Hilton Americas-Houston requires the couple and/or their families to secure event insurance. Hilton Americas-Houston can secure this on your behalf at a fee of $100 per day for events up to 1000. Please contact your catering manager for coverage of parties for more than 1000 guests.

All outside vendors are also required to provide the Hilton Americas-Houston a copy of their insurance and are required to have the minimal coverage.

It is our policy that attendance and final payment of estimated total be due 3 business days prior to commencement. This number is considered a final guarantee. Food preparation and charges are based upon the guaranteed number of guests. If more than the guarantee is served, you will be charged

accordingly. If no guarantee is received 3 business days prior, charges will be based on original estimated number of guests. 105% of the estimated total is due 10 business days prior paid by credit card, cash or check. Any remaining credit will be returned in the form of a check.

All contractual agreements state a minimum revenue guarantee in food and beverage, based upon the space being held for your event. This number may be below your anticipated expenditure, and is not the final cost of the event.

Minimum revenues guarantees do not include service charge, labor charges and sales tax.

Service Charge and Tax: The combined gratuity and service charge of 24% is applicable to all services and products on the banquet event order, plus 8.25% state and local taxes, unless otherwise stated as excluded. A portion of the combined charge, 0%, is a gratuity and will be fully distributed to employees assigned to the Event.

The remainder of the combined charge, 24%, is a service charge that is not a gratuity and is the property of Hotel to cover discretionary and administrative costs of the Event. A tax of 6% will be added to all room rental charges.
