A fun filled school fundraiser for everyone, students, parents, relatives, friends and faculty. WHEN: Saturday, November 15th, 2014 (10:30AM – 2:00PM) WHERE: Ruth Asawa San Francisco High School of the Arts (SOTA)* 555 Portola Avenue, San Francisco, CA 94131 ** No food or drink allowed on the track ** WHY: During November 2013, SFB’s 4th Walk-a-thon raised over $20,000 that was used to further strengthen SFB’s music and choir programs. This year, proceeds from the 5th Walk-a-thon will be used to expand Physical Education and other student program at SFB. All families within the SFB community will directly benefit from the proceeds of this fundraiser. We are very excited about this fundraising event and are asking everyone to “Shamrock Shuffle” and come out and have fun achieving this goal together in SFB spirit! Go Shamrocks! HOW CAN YOU HELP:

To: All SFB Families and Walk-a-thon Participants Event: 5th Annual Walk-a-thon “Shamrock Shuffle” Date: Saturday, November 15th, 2014 Time: 10:30AM to 2:00PM Place: Ruth Asawa San Francisco High School of the Arts (SOTA)
555 Portola Avenue, San Francisco, CA 94131 Our Goal The walk-a-thon is SFB’s first mandatory fundraiser of this school year. The goal of this fundraiser is to bring everyone together for a fun family and community event to raise necessary funds to strengthen SFB’s physical education and other student programs. All of SFB will directly benefit from the proceeds of this fundraiser. As a mandatory fundraiser, we are targeting for 100% participation to meet our goal. We ask that every “fully participating” family raise at least $100 in pledges (funds from people supporting the walker). Families that are unable to attend have the option to “participate” in the walk-a-thon by paying a $150 buyout fee per family.
Walk-a-thon and Sports Spaghetti Social Our School and Sports Program are working to put together one fun family day that you can spend supporting two great causes – the Annual Walk-a-thon (10:30AM to 2:00PM) for physical education and other student programs and the Sports Spaghetti Social (1:00PM to 6:00PM) for raising additional funds for gym fees and uniforms. All participating walkers will be provided a light snack and water upon completing the walk-a-thon.
** Please note that no food or drink is allowed on the SOTA track. SFB will be heavily fined and restricted from future use of the track if we violate their policies. We appreciate your help in abiding by
SOTA’s requirement. Thank you in advance! ** After the walk-a-thon, head over to the SFB’s Parish Hall to enjoy an Italian feast at the Sports Spaghetti Social. Enjoy your spaghetti dinner at the social or get it “to go”. Earn a free dress pass for participating in both the walk-a-thon and pre-ordering a spaghetti meal by Tuesday, November 11th ($10 pre-order deal)! Free dress date to be determined at a later time.
Student Permission Slip Included in this packet is a student permission slip that all participating students must complete before they can participate in the walk-a-thon. All SFB students and staff will be given a complimentary event t-shirt. Please complete and return one permission slip for each student by Tuesday, November 4th.
Registration Form
We welcome everyone and anyone, including parents, other relatives, friends, coworkers, etc., to participate in the walk-a-thon. All SFB students and staff may participate for free. We request a $10 entry fee for all other participating individuals (non-students and non-staff). There is a separate form included in this packet for general walkers, who may order an event t-shirt for just $7. Please complete and return the general walker registration form to the school office by Tuesday, November 4th. SFB parents are invited to walk with their children for free but are welcome to make donations.
St. Finn Barr Walk-A-Thon
General Information Packet Event Bibs Here’s something new this year…we are getting customized event bibs to make our walk-a-thon feel more official! You can personalize the event bib by having your name or nickname printed on your keepsake bib. Be sure to include this information on your student and general walker registration forms (by default, first and last names will be printed on event bibs).f
Pledges We hope that every participating family will raise at least $100 in pledges. We encourage each walker to get as many people as possible to support you in the walk-a-thon. A sample solicitation letter is provided to help you get pledges for the walk-a-thon. All pledge money must be turned in to the office by Monday, November 24th in order to be eligible for prizes. Money turned in after this deadline will not be eligible to participate in any of the prizes. In addition, any outstanding pledges will be automatically billed to the family FACTS account in January 2015.
Matching Donations If your company has a donation match program for charitable giving, you may consider asking the company to match your walk-a-thon pledges. SFB’s tax ID number is 94-1156789. Please mark the sponsor sheet in the Matching Donor column so that the proper paperwork can be completed and your family receives credit for the matching donation. Note: Credit Maximum = 10 hours per event.
Buyout Families with that are unable to attend the walk-a-thon can be considered “participating” by paying a $150 family buyout fee. Use the Student Permission Slip to indicate that you need to buyout. Complete and return the form with the full buyout payment by Saturday, November 15th. Unpaid and late buyouts will be automatically billed to the family FACTS account by the next billing cycle (December 2014).
Payments You can pay by cash or check. All checks should be made payable to “St. Finn Barr”. In order for your walk-a-thon funds to be properly accounted for, please include the following information on your check:
1. Walk-a-thon”, and if the funds are for pledges, buyout, t-shirt, or a donation. 2. Oldest SFB student name and grade.
Winners Prize winners will be determined after all pledge money is turned in and announced on Monday, December 1st.

Prizes will be given in the following categories:
Grand Prize:
The top seller raising the highest pledges wins a surprise Grand Prize! The “top seller” is determined by the total amount of pledges raised by a family, averaged (divided) by the number of participating walkers in the family. For example, if a family with three students raises $600, the amount considered for “top seller” is $200 per each of the three students. Top Pledge Earners: The next three top pledge earners (2nd, 3rd, and 4th place earners) will be awarded cash prizes.
Raffle Drawings: For every $50 turned in your name will be entered in a drawing for various prizes. Class Prize: Every class that has 100% participation will be eligible for the “Class Prize”, which will be awarded on a date to be determined at a later time. Students are considered “participating” either by walking and raising at least $100 in pledges per family OR by paying the $150 family buyout fee. “Class Prize” includes:
1) Free dress 2) No homework pass 3) Class lunch party
Class Champions:
The grade with the highest for both percentage of participation and the amount of pledges earned will be considered the “Top Class” and get their class added to the plaque of “Class Champions.”

Volunteers are needed for the following job tasks:
_____Donation Crew: Need volunteers to solicit donations for money, prizes, and non-monetary items as listed on the Donation Request Form. (4 people suggested but more are welcome)
_____Transportation Crew: Need drivers to meet at St. Finn Barr Parish Hall at around 8:00AM Saturday
morning to load vehicles with food, beverages and other supplies, including tables and chairs, and deliver items to SOTA Saturday morning. (8 volunteers required, big vehicles with large cargo space recommended, estimated start time 8:00AM, also need to return items to the Hall after the walk-a-thon)
_____Set-Up Crew: Crew will need to meet at SOTA track at around 9:00AM to setup tables, chairs, and check-in stations. (10 volunteers required, estimated time from 9:00AM to 10:30AM)
_____Check-in/Check-out Crew: Volunteers (two per grade) will give walkers event bibs t-shirts, as well as
collect any funds, at check-in. When walkers are finished, volunteers will check the number of laps and give
participants their certificate of completion. (40 volunteers required, estimated time from 9:30AM to 2:00PM)
_____Lap Counters: Volunteers will mark every walker’s bib after completing a lap and direct them to the check-out station when they are finished. Adults only requested. (6 volunteers required, 3 per each work shift, estimated time from 10:30AM to 2:00PM)
_____Track Patrol: Volunteers will patrol opposite ends of the track and ensure that no participants bring any food or drink onto the track. SFB will be heavily fined and restricted from future use of the track if we violate their policies. They also will ensure laps are being properly recorded and trash is being thrown into proper receptacles, etc. (6 volunteers required, 3 per each shift, estimated time from 10:30AM to 2:00PM)

and spotless. Drivers will be needed to return any tables/chairs to the Parish Hall and to make sure they are properly stored away. (6 volunteers required, clean up can occur throughout the day and not expected to go past 2:00PM)
_____Volunteer Record Keeper: Need 1-2 people to make sure other volunteers sign-in/sign-out for their job tasks on the day of the walk-a-thon. This is necessary to make sure that everyone earns their volunteer hours. (1 to 2 volunteers required, estimated 9:00AM to 2:00PM)
