Hello!Thank you very much for taking the time to look at this document demonstrating how through a close working relationships we provide design services for our clients.

We appreciate that design and all things visual is a vital aspect of your communications and in a new era for the health sector you need a reliable, flexible and high standard of service; I hope that this portfolio shows you that eskimosoup are capable and enthusiastic about working with you on an ongoing basis.

We provide marketing and communications services for key sectors where we excel and have gained valuable experience. Over the past five years “health” and “social campaigns” have represented half of our turnover and in this time we’ve developed a wealth of experience and insight into how to achieve a meaningful cut through with design whilst maintaining a tone that reaches people in a way to which they are most receptive.

We have included examples of our working in health, though have also thrown in a few examples of commercial work to show some extra strings to our bow!

• Client calls in / emails / adds to Basecamp a brief for a piece of work.

• eskimosoup account manager takes a full brief of requirements*

• eskimosoup account manager confirms internally the requirement with the studio team.

• eskimosoup confirms with client and that the project is achievable within the timeframe and sets out key milestones within a timeframe. At this stage any clarification points will be raised.

• eskimosoup create artwork as required and provide the client with the proof.

• Client feeds back any amends required, which are then carried out quickly for re-proofing until finalised.**

• Client signs off the final artwork.

• eskimosoup handover final artwork as required and project marked as completed.

*Brief of requirements to include: defining the end product(s), any creative input from eskimosoup required (e.g. recommendations on products, solutions and styles) end product deadline (from which to work back including consideration of print times if required), current status of content (an any further copy, photography or images required), proofing process (i.e. who is involved and whether hard copies are required) and any other stakeholders to be consulted with.

** Although we endeavour to hit the nail on the head first time we are realistic that sometimes changes are required to design or indeed amends to content which become evidence once a design has been presented. When submitting a design we allow for amends within the schedule of the lead designer delivering the work.

Responding to urgent requests:We understand that with all of the planning in the world, sometimes an urgent requirement with a less than ideal timescale will occur. To accommodate this when scheduling work eskimosoup’s design and production team allocate 40% of each day for what we call “fuzzy time” to accommodate urgent requirements and amends to any work required.

It should also be worth noting that where deadlines are tight and a high level of design is required we are very fortunate to have a motivated design team willing and able to work extended hours where required. As you will imagine we do try to minimise this where possible but are able to create additional capacity when required.

Even when a request is urgent the process still follows that outlined in the typical process.

Account management process:When it comes to account management for services of this nature we work with clients to find a way so that they can have their cake and eat it. By this we mean we agree an approach that provides several benefits with flexibility built in to deal with exceptional circumstances.

Typically we work with:Account Director > A director of eskimosoup who can work with the client to understand their culture and how they operate, how to best serve their clients, and constantly striving to inject new ideas and improvements to our working approach.

Account manager > A manager at eskimosoup who will work with you to deliver everything within the account director’s remit and to be your day-to-day contact and conduit to the rest of the eskimosoup team so that you have the peace of mind and deliverables you require.

Support contacts >In case your primary contact is not available for an urgent request, for example they are in a meeting or recuperating with annual leave, we have a team approach to work meaning that if you need to speak directly with us there are other people in the team available to discuss your requirements and offer solutions where required.

The design team > Whilst briefs, scheduling and the signing off process is handled by your account management and support team, there are times when you might wish to speak directly with our lead designer on our project. We are a friendly bunch and are happy to do so when this is the most effective solution. We will tell you which designer or designers are working to deliver your work to the highest standard and how you can get in touch.

Please note that it is not common for our designers to travel to meet with clients, however for complex briefs or projects this is sometimes an appropriate solution.

eskimosoup has for 10 years provided design services for a range of clients in the public, private and voluntary sector. Specifically, we have a strong specialism of working with the NHS on a range of communications projects. Specifically, recent clients include (names at the time we provided work): NHS Leeds, Nottingham North and East CCG, Humber NHS, City Health Care Partnership, NHS Hull, Central Notts Clinical Services, Humber NHS, Care Plus Group, Hull and East Yorkshire Hospitals Trust, NHS Stoke on Trent, Leeds Community Healthcare Partnership, North East Yorkshire and Humber Clinical Alliance (Cancer), Wakefield CCG, NHS Huddersfield, NHS Nottinghamshire County and several local authorities work with a public health and wellbeing remit.

This experience gives us the benefit of understanding NHS guidelines, colour pallets, language style and an insight into when it is appropriate to follow the NHS “style guide” and when a more creative approach is needed to create “cut through” amongst many other messages.

We also understand that working with a range of different types of NHS organisations, including CCGs, that now more than ever it is important to create and maintain strong brand identities for each organisation.

To evidence both similar work and to give a further example of where we have worked in a similar arrangement we have demonstrated with a few case examples of multiple design services provided for the same client organisation.

We would never impose a system of working on a client. Together we would agree a system that provides you with the transparency, efficiency and quality you need in a way that suits your systems and preferred style of working.

Whilst we do not see technology as a replacement for face-to-face meeting, we do work with clients to ensure that reporting and recording of work/time is accurate.

We propose that with the right information at the briefing stage we are able to quote in advance a time allocation for each individual piece of work. We would flag up with the appropriate contact at the client side if a change of specification or significant factor might mean an increase in the time allocation. This rarely happens and where it does, we absolutely expect that this needs to be justified and accepted by the client.

Our Project Management SystemIn order to successfully manage and deliver this project, and all other projects of this size and nature, we use a project management system.

The system is accessible for both eskimosoup and client to allow seamless communication throughout all involved in the project with the following functionality:

Discussions, Milestones and To Do ListsThis is a great way to manage tasks and discuss areas of the project between projects leads and beyond.

Upload, Share and Review Files Here we have one central repository for files such as text documents, videos, images and PDFs. We find this a great way to show our work and get feedback.

CalendarThe calendar system allows us to keep track of our day to day tasks and to do’s. This allows us to manage our time best. Clients are able to follow our calendars and if required can use calendars to manage any task associated to them.

Tracking ProgressThe system has a simple visual timeline of the progress of the project. You can very quickly see where your project is at.

ReportingAgain, we would agree with you the best way to deliver this, though we propose that a monthly report of time allocation be produced at an agreement date to show progress against the budget you set and a record of the specific projects we have worked on.

Our internal systemFor 10 years we have developed and work to our internal management we affectionately refer to as “eric”. The primary purpose of eric is to track the stages of project and allocate tasks to the time a traceable and measureable way whilst adhering to project milestones set and monitored by the account manager. Because eskimosoup employ a team of developers we have built this in-house and continue to add functionality as it required and influence by the specific requirements of client communications. If any need emerges in the process of working with you, we would incorporate this into our system.

Our rate for creative development, messaging strategy and design is £65 per hour, however for high volumes of work we are happy to negotiate a different arrangement.

Within this is an overhead built in for account management and administration so we would not charge for times when taking a brief, updates by phone/email and developing a system for better ways of working.

The postage of any print, including hard copies of proofs (if required) would be charged against the project at cost where necessary.

Usually, we do not charge for travel of face-to-face meetings, however if regular travel (exceeding once per week) or long distance is required we would like to discuss a fair arrangement, which is likely to include smarter ways of working rather than increased cost.
