Welcome to the Northwest Lab Building.

Building Access Using Your Harvard ID Card Your Harvard ID card is your key to access spaces that are protected by a card reader – including the exterior doors. You may request card access by submitting an access request form through your department administrator to Jesselynn Opie in Building Operations. Access will be granted within 24 hours of the request. If your Harvard ID is lost or stolen, contact Building Operations, room 102 at 496-6505 as soon as possible to deactivate the card and then go to Harvard ID Services the next business day for a replacement card. Harvard ID Services is located at Harvard Campus Services, Holyoke Center, room 807, 496-7827. Their website is http://www.campusservicecenter.harvard.edu/services/id-cards. Once your receive your replacement card, please contact Jesselynn Opie to verify that previous Northwest clearances remain intact. Building Hours Building exterior doors are programmed to unlock 7AM – 10PM Monday through Friday. Exterior doors are locked on weekends and holidays but can be programmed to unlock for weekend classes or events by making special arrangements with the Building Operations Office at 496-6505, or [email protected]. Corridor doors are locked according to departmental hours. Bicycle Racks Bicycle racks are conveniently located on the north side of the Northwest Building at Hammond Street (40-bike capacity), at the center underpass (16-bike capacity), at the southeast end of the building (14-bike and 12-bike capacity), and at the west side of the building (32-bike capacity). Please refrain from locking bikes to trees or temporary barriers. Note that the bike racks are intended for short term use. Bikes left at the racks for extended periods of time will be considered abandoned and removed. Café Operations & Catering Services The Northwest Café is located on Level 1 in the south wing of the building. Hours of operation are 7:30AM to 2:30PM. The café is operated and managed by Harvard University Dining Services (HUDS). If you have questions about the café please call the café manager, John Rohanna at 495-4540 or [email protected]. The café offerings are at the HUDS website: http://www.dining.harvard.edu/retail_dining/restaurants_northwest.html The Northwest Building café is pleased to handle your basic catering needs, including continental breakfasts, basic breaks, and bag lunches. These needs can be coordinated with the café manager. For more extensive catering needs, the Northwest Building Operations Team recommends Crimson Catering. In addition to providing exquisite food, Crimson Catering can coordinate rentals such as tables, chairs, and décor, and coordinate certified bar services. Crimson Catering can be reached at 496-6000. During the academic year, the Office of the Registrar ([email protected]) has scheduling authority over all public teaching space 9AM – 10PM, Monday through Thursday and Friday 9am- 3:00PM. The Division of Continuing Education ([email protected]) has scheduling authority over B101, B108 and B109, 5:00PM – 10:00PM Monday through Thursday. DCE also schedules Northwest teaching space during Harvard Summer School, June-August. Northwest Building Operations has scheduling authority over classrooms and lecture halls from Friday 3:00 PM through Sunday, on holidays and during academic intersessions. Crimson Cash Crimson Cash is accepted at the Northwest Café. Custodial Service Harvard’s Facilities Maintenance Operations provides custodial service to Northwest. Cleaning occurs Monday through Friday from 6pm to 12:30am and on weekends, 6am-1:30pm unless otherwise requested. Daily Custodial Operations Occupant Areas: Empty and clean all waste receptacles. Vacuum rugs and carpeted areas. Restrooms: Empty and clean all waste receptacles.

Sweep and disinfect floors. Disinfect all plumbing fixtures. Spot clean partitions. Restock supplies as needed. Public Areas: Wipe down doors and walls as needed. Empty and clean all waste receptacles. Vacuum rugs and carpeted area. Dust furniture as needed. Custodians can also set up and remove tables and chairs. Day Porter Services The day porter is tasked with keeping the building clean throughout the day as well as assisting in event set-ups and minor maintenance tasks. Special requests of the day porter may be submitted through the online work order system (see custodial information in previous paragraph) or through the Building Operations Office at 496-6505 or 496-5336. Disability Access All of the Northwest Building’s space is wheelchair accessible. Drinking fountains are located in most main hallways throughout the Northwest Building. However, if you seek an additional source of drinking water, please consider choosing a filtered tap water system instead of using bottled water. Filtered tap water costs less and is environmentally friendlier than bottled water. Occupants are welcome to contact Northwest Building Operations for a list of recommended filtered-water system vendors or visit our suite, room 102, to sample the filtered water system installed in our kitchen.

Equipment Please do not place lab or other equipment in the main hallways. Emergency Procedures Please familiarize yourself with the emergency evacuation plans located at each elevator and secondary stairway throughout the building. There will be an annual emergency evacuation drill. Questions about emergency procedures should be directed to the Northwest Building Health & Safety Officer, Bradford Parsons, at 617-496-8414 or 617-418-0507. Please review the emergency procedures pages 4-7.

Northwest Labs Evacuation Plan Summary

I. The evacuation plan for the Northwest Building is summarized as follows: a. Know the following before a fire Alarm occurs:

i. What level of the building you are on. ii. What building quadrant you are in. iii. Your room and lab numbers. iv. Your primary and secondary exits via fire stairwells. v. Where your outside meeting location is. vi. Who your safety monitors are for your area.

b. Know what to do during a fire alarm: i. Leave the area by means of your primary evacuation route. If this exit is blocked, use the

secondary route. ii. Once outside the building, report to your designated meeting area. Wait for instructions

from your safety monitor or from the Northwest Building Operations Emergency Team. iii. Do not re-enter building until Fire Department indicates that it is safe to do so.

Flammable Liquid Limitations Per Control Area Per Floor The Northwest Building has a license to store certain amounts of flammable liquids, gas and solids. Each level has a certain amount of fire control areas. Within each control area limitations of storing and using flammables have been set and must be enforced. Each principal investigator is responsible for not only knowing what the limits are per area but must ensure the limits are complied with. Below is a table detailing the limits per area for flammable liquids only. There are flammable gas and flammable solid limitations as well but prior approval from the EH&S office must be given before researchers bring flammable solids and flammable gases into Northwest Labs. Heating and Cooling Between 8AM and 5PM each office temperature is set to be between 68 and 74 degrees. If you are in the building during off-hours and want heat or cooling, you need only press the sun/moon button on your thermostat and your office heat/cool unit will come on for two hours. Lab areas will be heated and cooled to research needs. Please note, if you have a weekend, evening, holiday or intersession event, you may contact Northwest Building Operations at 617-496-5336 and arrange for heating/cooling to be programmed to run during the event. IT Support The Faculty of Arts and Science Computer Service Center provides IT support to NWL occupants. For troubleshooting issues with your computer, contact FAS IT at 496-2727 or found at: http://www.fas.harvard.edu/computing/ Keys - Ordering Requests for keys can be made through your department/center administrator or to Jesselynn Opie, 496-6505 ([email protected]) or Jim Sheehan at 495-5336. An email will be sent to the requester when keys are ready; keys should be picked up at Northwest Building Operations, room 102 unless other arrangements are made. Visitors may gain temporary access and must return keys upon departure. Laboratory Benches The laboratory benches are movable. However, please do not move the benches without assistance from Northwest Building Operations. Please call Northwest Building Operations at 496-5336 or Jesselynn Opie at [email protected] to request relocation of bench jacks. Lights Interior lighting in public spaces throughout the building automatically turn on at 6am and turns off at midnight. Each office space is controlled individually with occupancy sensors. The sensors are equipped with an “on” and “off” button plus a motion sensor. If no motion is detected in the office after 15 minutes, the light automatically turns off. The light reactivates when it detects motion within the room. Lock Out Policy If you are locked out of the building during regular business hours, contact the Northwest Building Operations Office at 496-6505. After hours, contact the security guard at 495-4964 (or call the Harvard Operations Control Center at 495-5560). Lost and Found Please bring found objects to Jesselynn Opie in the Building Administration Suite, Room 102. Mail, Shipping & Receiving Inbound mail is delivered to the Northwest Building Mailroom in B226.10 twice per day at approximately 11:00am and 2:00pm, and is distributed to the following locations for pickup. Lab mail for Levels 2-4: Mail Centers in bulk and sorted by lab staff (Located @ the main restroom lobby

on floors 2-4) Teaching Labs: Deliveries will be made to a central location inside each lab. Faculty Mail: All faculty mail will be delivered to their administrative suite. Mailroom personnel can be contacted at 496-3352. Outgoing university mail is picked up from each department mail center at regular delivery time and can also be dropped off at the mailroom in B226.10 or on the table outside room 124.10 in the “Outgoing Mail” bin. Outgoing U.S. mail to be metered should be secured together with the appropriate 33-digit billing code and given to Mailroom personnel to be sent out for metering. Harvard Mail Services meters mail in bulk and bills the origin departments directly. Your Harvard Mailing Address Your receiving address for all shipments is shown below. By including your Lab/Office Name and Room number in your address, delivery personnel will be able to easily determine your location and make expeditious deliveries.

Shipping/Receiving/Loading Dock All incoming packages to the Northwest Building are delivered to Northwest Building Shipping/Receiving personnel in Room B226 (496-3775) on Level B2 for processing and delivery to the designated center drop-off points. Shipping/Receiving operations and deliveries take place between 7:00am-5:00pm Monday through Friday. The Northwest shipping/receiving manager is Jesse Machado and he can be contacted at 496-5432 or [email protected]. Time sensitive and expedited shipments are delivered upon receipt. NW occupants are expected to prepare ordinary outgoing UPS, FedEx, DHL and USPS packages for shipping, with labels generated via carrier websites. All outgoing packages from NW should be given to S/R personnel in 124.10 by 3:30pm to ensure same day pickup by carriers.

Activity in the loading dock is coordinated by Jesse Machado who can coordinate any special shipping/receiving needs such as palletizing, strapping, etc. Harvard takes no responsibility for deliveries made outside the University purchasing system. Personal orders shipped to your office will be accepted for delivery when they arrive. The package will be scanned when it is received and scanned again when it is delivered – usually to the mail drop point. If between receipt and the addressee’s office the package becomes ‘lost’, the University is not responsible. For this reason, we discourage personal deliveries, but we do not prohibit them. It’s unusual for things to go missing, but it has happened. Shipping Procedures for the Northwest Building

This document describes procedures for building occupants to ship materials from Harvard University. A comprehensive Request for Shipping Form is available (see page 14) that contains all required shipping information, if assistance is required by building S/R personnel.

Each Lab group must set up and use their own shipping account with their preferred small package delivery carriers. Building occupants should prepare ordinary outgoing UPS, FedEx, DHL, and USPS packages for shipping and use carrier website-generated labels to ensure proper documentation.

Ordinary packaging materials are available on request from your building S/R personnel, or by visiting S/R on the ground level Loading Dock, room 124.10

Pre-labeled outbound packages can either be given to S/R personnel on their rounds or brought to the building receiving dock, room 124.10 and left with S/R personnel for pickup by carriers.

FYI: Outbound UPS, FedEx, DHL, and USPS packages are picked up each workday from the building receiving dock (pickup times vary by building – contact your S/R personnel for further information).

For your convenience, building S/R personnel can assist with packaging of outbound shipments, and can help generate the appropriate paperwork with the shipping company you choose. You must provide your carrier account number (or a 33 digit billing code) to bill the cost of the shipment with the Harvard FAS/SEAS Finance Dept.

A completed Request For Shipping form must accompany any items to be packaged by S/R personnel. You must give final packaging approval using this form before the box is sealed for shipment.

Please be aware that it is IMPORTANT that you declare the appropriate value of the item you are shipping in the insurance section of the shipping paperwork. If you do not declare the actual value of the item, neither building management nor GCA Services Group will be responsible for the cost of replacement or the difference between the cost of replacement and the value declared.

“Request for Shipping” Form Instructions Please use the Request For Shipping form to communicate shipping instructions to your building Materials Handling personnel. Line 1. Requester Enter the name of the person requesting shipment of a package. This person should possess

the information to thoroughly complete “Request for Shipping” form and be available should any follow up issues need to be attended to.

Line 2. Phone# Enter the Requester’s phone number or numbers (office and cell if deemed appropriate). Line 3. Email Enter the Requester’s email contact information. Line 4. Lab Group Enter the lab group from which the person or persons listed in line 1 are affiliated. Line 5. Lab Room# Enter the building and lab room number for the Requester’s lab group. Line 6. Carrier Enter the carrier name who will be transporting the package (ie: UPS, Yellow Freight et al). Line 7. Carrier Account # Enter the appropriate carrier account number (if available) for the carrier who will

be transporting this shipment. Line 8. Internal Billing Reference/PO# List any Harvard issued account numbers or Purchase Order

information related to this shipment. Line 9. Shipment Speed Note the desired speed with which the shipment will be travelling. Please note that

this will have an impact on the price of the shipment (ie: UPS ground service is less expensive that UPS Overnight).

Line 10. Value of Item Note here the value of the item being shipped, and if insurance will be purchased for

this shipment, the insured amount. Please note: insurance will affect the cost of the shipment. Line 11. Shipment Address List the full and complete address to which your package will travel. Line 12. Signature The Requester’s signature is required to confirm final inspection and shipment authorization

of the package. Line 13. Date Enter the date of this request.

Maintenance Requests In Case of Emergency If something requires IMMEDIATE attention, such as “water pouring from the ceiling;” please pick up the nearest phone and call the Harvard Operations Control Center at 495-5560. Please identify yourself, and specify that you are in the Northwest Building, room # and/or the location of the problem, as well as the nature of the problem requiring immediate attention. Non-Emergency Situations (Work Order Request) If it is not an emergency, please submit an online Work Order Request at: https://www.pin1.harvard.edu/pin/authenticate?__authen_application=FAS_PHYS_RES_DMS You will need your Harvard ID and PIN to access the site. This website can be used to enter all of your ordinary requests. Requests are forwarded to the Northwest Building Operations Team are reviewed daily and assigned to the proper person(s) for completion. If for any reason either of these systems is not working, call Jim Sheehan at 496-5336. If you are unable to reach Jim call Jesselynn at 496-6505. Media & Technology Services The Media & Technology Services office for the Northwest Building is located on the basement level, room B111. The office is open Mon.-Thurs. 8a-10p and Fri. 8a-5p during the fall and spring semesters, and M-F 8a-5p during the summer semester. Weekend and summer evening AV requests are serviced by the main MTS office located in the Science Center. MTS provides the following services: computer and video projection, laptop rental (for FAS classes only; limited supply), audio and video recording, tele and videoconferencing, and live sound system reinforcement. The MTS technicians are also available to provide training on any of the installed audio visual equipment in the building. Per policy directed by the FAS Administration, equipment and labor is provided free of charge exclusively to FAS courses or course related activities that are restricted to the members of the course. AV services for other events will incur equipment and labor charges. To request AV support for a class or event, or to schedule an equipment training session, please contact the office supervisor, Andrew Gallagher, at 495-5775 or send an email to [email protected].

Meeting Rooms and Collegial Space: Scheduling Meeting rooms and collegial areas are considered community space and are available for use by all Northwest Building occupants. Collegial spaces are public areas that are open to the interior corridors of the building. To schedule a meeting room or collegial space, contact Jesselynn Opie (496-6505 or [email protected]) or use “RoomBook,” the online room-reservation system, at https://roombook.fas.harvard.edu/VirtualEms/Default.aspx. Meeting Rooms and Collegial Space: Use Each meeting room is equipped with a telephone and local calling service. A calling code is required to place a long-distance or international call from meeting room phones. To obtain a calling code, please contact Jesselynn Opie at 496-6505 and provide a 33-digit departmental billing code at least 48 hours prior to placing the call. Most meeting room phones are wall phones with speaker capability. However, for conference calls, you may wish to rent a “polycom” unit from University Information Services at 495-8590. After your event, please be sure to leave the room in good condition for the next group. If you bring anything into the room (food, beverages, catering supplies, papers, extra tables, folding chairs, etc.), you must remove them from the room at the end of your meeting. If you serve food at your event, please wipe down the tables after use. While you are welcome to move the tables and chairs around to suit your group, please return them to their original positions at the end of your event. If you need custodial assistance for cleaning or furniture rearrangement, please contact Building Operations at 496-6505 or submit a request online at: https://www.pin1.harvard.edu/pin/authenticate?__authen_application=FAS_PHYS_RES_DMS You may also request additional furniture and rearrangement when you book a room through RoomBook or by calling Building Operations (495-6505). PLEASE DO NOT BORROW TABLES OR CHAIRS FROM OTHER MEETING ROOMS. Mothers’ Lounge The Northwest Mothers’ Lounge (located near the 3rd floor women’s restroom) is available for nursing mothers. The Mothers’ lounge is a furnished, private, secure room for nursing. Card access is required to enter the Lounge. Temporary access cards may be issued to visitors. Contact Jesselynn Opie at 496-6505 or [email protected] to request access or if you have questions or concerns about the Lounge. Notices and Posters Notices are to be posted onto the whiteboard surfaces throughout the building with MAGNETS ONLY (NO tape or pushpins, please.). Parking If you have a guest who needs parking, the building has 3 temporary day parking permits for the 52 Oxford Street Garage. Contact Jesselynn Opie in room 102 to check availability of a pass. Passes are signed out on a first come, first served basis. If you have advanced notice of a guest, it may be possible to arrange to have a pass available for that day. The passes are signed out to guests and department/personnel are responsible for return of the passes. The guest’s driver’s license is held at Building Operations as collateral for the pass. A $50 replacement fee will be charged to the host department for each lost parking pass. For information about permanent parking, contact Harvard Transportation Services at 496-7827 or http://www.transportation.harvard.edu/parking. Recycling Harvard uses single-stream recycling, which means that all cans, bottles, paper, cardboard and plastics can go in the same bin. All offices, reception areas, classrooms, and meeting rooms should have a recycling bin as well as a trashcan. The bins will be emptied as needed. There are also compost bins for food waste in the café, as well as throughout the building. Items such as batteries and old keys should be dropped off in electronics recycling bucket in the trash room at the shipping area on L1. If you have large electronics to be recycled,

please contact the Building Operations Office and we will arrange for pick-up. Please erase hard drives before recycling computers. We recommend taking the FAS Recycling Quiz. A roving guard covers the entire complex 12:30AM to 6:00AM Monday through Friday. Event sponsors may hire a Harvard University Police detail if there are cash transactions. Smoking Smoking is prohibited in all Harvard Buildings. Utilities Please turn off all lights, fans, radios, desk lights, and task lights when leaving private offices and conference rooms. We need and appreciate your assistance in keeping utility costs down. Vending Machines Vending machines are located on the B1 Level South in the vending corner of the Prefunction area. Videoconferencing Videoconferencing technology is currently available in three rooms: B101 (small lecture hall), B103 (large lecture hall) and B108. Media & Technology Services is responsible for videoconference equipment operation. Point-to-point connection to remote locations is made with an IP (internet) connection. Dual stream video and computer image transmit and receive capabilities exists in all rooms. There is no charge to FAS classes requiring videoconference support. All other groups and events requesting videoconference services will incur equipment and labor charges. All room requests must be made through building scheduling.
