Who we are.

A Sussex based business who has been specialising in sourcing gym memberships for employers since 2001. We buy more gym memberships in the UK than any other company.

Our clients include high street banks, investment banks, global retailers, vehicle manufacturers, global telecoms companies, utilities companies and many more. (There are well over 600 of them at present so we must be doing something right).

What we can do for you.

We have two brilliantly simple gym schemes to choose from. The first, Incorpore is a traditional voluntary benefit where memberships are purchased by the employee, whilst GymFlex our second scheme, allows employees to take advantage of additional savings offered by a salary sacrifice arrangement.

We contract with over 2,500 quality, local gyms and national brands on your behalf.

This provides employees with a variety of gyms to choose from in their local area. Each gym extends the best available current deal to that employee on the day. end result:

In most cases, even if an employee is already a memberat the gym, they can still transfer to the corporate deal offered through Incorpore.

By offering choice across a range of different types of gyms, from group outdoor exercise classes such as British Military Fitness, to the big names like David Lloyd, Virgin Active, Nuffield Health, LA Fitness and Fitness First, there really is something for everyone.

We even allow partners to benefit from our club arrangements; we find that often it’s the employee’s partner who provides the motivation to take the first step.

So let’s cut to the chase, which gyms are involved? what are the savings, are they genuine and how do you know your staff are getting the best deal?

We work with the majority of the UK’s major gym brands, the logos displayed before you will give you a good idea of just a selection of our gym partners.

An employee may refer a gym to us for inclusion if we don’t currently work with them.

Our agreement with our gyms is that they must extend their current lowest available corporate rate to your employees.

Recent research by us indicated that the average saving, when compared to the standard advertised retail rate across all clubs, was 17%.

Of course, some savings will be greater and others a little less. either way, you can be assured that no one can join that club for less on any given day.

Clubs can choose whether to display their current deals via our website. If the rates are not displayed, the employee is prompted to call the club directly to obtain up to date membership information.

To get their discount all the employee needs to dois download one of our vouchers for their chosen club. The physical act of doing this sends a little note to the gym in question advising them of the potential enquiry. A representative from the club will then get in touch with the employee and invite them down.

We have a 24 hour helpline for any queries.

so how do you know if all this is actually works?

Our management reporting is quite clever. When you launch, you provide us with a list of all your locations. When an employee downloads their voucher, we ask them to let us know their age, location and sex. This provides you with a breakdown of who is using the benefit, which locations are doing well and which need more help. It also gives an overview of the employee demographic who are using the benefit.

Your account manager will run through these reports with you on a regular basis and help to identify where opportunities for improvement lie, and possibly even give you a pat on the back if engagement is good!

You have realtime access to your MI via the secret access we create for you. It’s not really that secret but it is a unique login just for you that allows you to access the reporting and other important information whenever you like.

Will you help me promote the scheme?

One thing we have learned in all our years doing this is that each client is different. In response to this, we can provide a suite of tools and media to help you promotethe scheme. you simply pick and choose what you want. posters / Flyers / payslip Inserts / table toppers / road-shows / video / Gym promo materials / Wellness days / Email are all available.

We are also able to provide prizes for competitions and prize draws and generally try to be as creative as possible to help spread the good word.

Can we see which gyms are involved in our area?

No problem, we will provide you with a demo link so that you can view participating gyms and share this with your colleagues. Typically we also send over a formal proposal including costs based on your employee numbers.

What will it cost?

access to Incorpore is based on a company funded annual management fee. This is calculated on your total eligible employee population.

What happens next?

Once you give us the green light we can have you up and running in the blink of an eye. We will issue you with a new client implementation form and our standard services agreement. As soon as you send them back we will set you up and your employees can access the gyms.

What is GymFlex?

GymFlex is the UK’s largest multi-health club corporate scheme.

In a nutshell, GymFlex allows you to offer annual gym memberships via either a salary sacrifice arrangement or a simple net pay deduction.

When we launched GymFlex in 2009 we had no idea how successful it would become. With over 300 live schemes and £5m worth of gym memberships purchased by us on behalf of clients in 2012, its popularity amongst employers and employees just keeps on growing.

so how does it work?

The employee benefits from the lower “paid up front annual corporate rate” plus any additional national insurance savings.

With a huge choice of the major well known gym brands alongside local authority gyms and independent clubs, we really do have everyone covered. A selection of just a few of our gym partners are displayed on opposite page.

Memberships are available for both the employee and their partner or family. Even existing gym members can transfer over straight away and enjoy increased savings.

You choose the frequency of the enrolment windows, during which employees may view participating rates and membership options via our website. Once a selection is made, depending on whether your system has Single Sign On functionality with our platform, the value of the membership is then either automatically posted back to your benefits website and appears as a selected benefit, or alternatively the employee is instructed to enter a value into the gym membership field.

Once all selections and reports have been approved, we notify all the clubs on your behalf and issue a single invoice for the total value of all the memberships.It really couldn’t be easier.

As far as promotions go, we will do our very best to support your employee communication. In the past this has included everything from benefit fairs, videos, webinars, presentations, posters, flyers and other printed comms. Whatever it is you think will help, we will do our very best to provide.

What are the discounts?

We did a little survey recently of our rates and found that 80% of all rates available through GymFlex offered savings of between 20-40% compared to standard retail rates for the same membership. of course there are some that are more generous and a few not so much, but we are working on those!

We don’t have a formal traditional Flex scheme, can we still run GymFlex?

Don’t worry, several of our clients run GymFlex as a stand alone benefit. We are pretty flexible and can offer a variety of reporting and fulfilment options including paper based or online applications, whichever works for you.

What if we want to run GymFlex as a net pay deduction?

Perfect, it really makes no difference to us. Our reporting provides the annual value of each membership, how you treat each deduction is entirely down to you.

Can we run GymFlex as an Anytime Benefit? yes of course, many clients allow employees to select the benefit at any time of the year.

You must bear in mind though that all memberships are for a period of 12 months and therefore employees will not necessarily be in sync with each other.

We offer our employees a subsidy?

Well that’s very generous of you, and in response to the increasing number of clients who go the extra mile, our system can display any subsidy so the employees get to see what their true contributions will be.

What if an employee leaves?

Simply deduct the remaining outstanding balance from their final net pay. The membership will remain theirs until the end of its annual term.

Can we view the gyms in our area and see the membership costs before we sign up?

No problem, we will provide you with a demo link so that you can view participating gyms and share this with your colleagues.

What will it cost?

Other than the total value of the gym selections made by your employees, the only cost to you the employer is a small annual administration charge based on the number of enrollment windows.

What happens next?

Onsite services

Health screening days are customised to your needs using 10, 15 and 20 minute appointment formats. Individuals receive their lifestyle checks, a personal consultation and a results report on the day. As an organisation you receive a corporate report detailing engagement levels and profiling the health of your employees

Workshop & seminar days provide a range of formats from 15 minute talks to 3 hour workshops on a wide range of health and lifestyle topics. Based on behaviour change, all formats are structured around establishing personal action plans to guide individuals in taking action to enhance their health and vitality.

Health fairs & awareness days are designed to cover the health topics that are most relevant to you. Suitable as one off events or to support a wider wellbeing programme, they typically include banner stands and fact sheets, short talks, a personal trainer ‘drop-in-clinic’, simple lifestyle checks and demonstration sessions.

Lifestyle consultation days deliver a highly personalised service with a Lifestyle Consultant on site delivering one-to-one personal consultations for each individual’s chosen health and lifestyle interest. Employees respond very positively to this ‘personal coaching’ service and are highly motivated to take action after their consultation.

Remote services

Health challenges are delivered remotely and are very simple to administer. A challenge is set and individuals or teams register online with Incorpore during registration week. Each individual is sent a welcome letter and their challenge pack. Individuals receive free support though our online coaching service during the challenge together with weekly motivational emails. Each challenge concludes with participants completing an online survey.

dial up seminars are simple to run and cost effective, designed to deliver to a large number of individuals with the minimum of disruption to the business day. 30-minute seminars are delivered using telephone conferencing technology with attendees viewing a power point presentation at their desk or on their lap top.

Telephone health coaching offers a remotely delivered yet highly personalised service with a Lifestyle Consultant delivering one-to-one personal consultations via the telephone. Individuals chose their health and lifestyle consultation topic and are also provided with email supportfrom the Consultant following their initial telephone consultation.

Email health coaching offers another remote solution capable of meeting the demands of a large and/or dispersed workforce over an extended period of time. This service can be customised to meet your specific needs, be that a service in its own right or to directly support the deployment of another wellbeing initiative.

Wellbeing website provides an employee wellbeing resource centre. The site provides a podcast, video, series of fact sheets and a personal training plan booklet for each of its 16 popular wellbeing topics. Available to employees and families through one organisational access code, the website can be used as a support resource for your wellbeing programme.

health calendar information campaigns provide you with an information campaign for a calendar of monthly health topics. each month’s topic includes two fact sheets, an information poster, a signposting poster, a feature article and weekly top tip messages. We will design the materials to suit your preferred communication mediums.
