ABSTRACT:The aim of this assignment is to review the Management information Systems approach,

primary, in general and then with the either Olympics or service entity. Subsequently,

critically assesses the factors influencing the accepted criteria for practising Management

information Systems. The assignment is divided into three parts.

The first part refers to the Introduction of the London Olympics, facts and figures.

In the second part, the quality in general, concept and principles of Information systems,

Tools, role of MIS, review of MIS and the implementation of the concepts and methods is

clearly exhibited during the Olympics 2012..

And last part is consisted of critically analyzing of potential benefits of MIS during Olympics with action plan of improving Transportation, Ticketing and Security areas.

INTRODUCTION.

Olympic Games bring particular attention to cities. Not only must they host athletes, but also visitors and spectators. This means that civic administrators want the host location to appear in its best light. Olympic Games are also a time where cities undertake large scale urban renewal, which provides an opportunity for improvement in the area of information systems.

When London officially becomes the Olympic city on 24th August 2005, it will mark the start of the Cultural Olympiad, a four-year country-wide programme of cultural activities. It will also be the third time the city is hosting the great Games. The games were previously held in London in 1908 and 1948.

The Olympic and Paralympics Games are the world's largest peacetime event. The modern Olympic Games were first held in Greece in 1896 and since 1960, the Paralympics games have provided athletes with disabilities with the opportunity to compete at the highest level. All athletes are encouraged to live by a set of shared principles. The Olympic and Paralympics values of friendship, equality, respect, courage, determination, excellence and inspiration.

The games are held every four years in different countries and in 2012 London will be hosting the games. London started the bidding process to be a host city in 2003. Over two years the bid teem put together a plan to show how the London games would be staged. The team presented the plans to the International Olympic Committee (IOC) in Singapore in 2005, along with four other competing cities. After evaluation, the IOC voted for the city that they felt was the most suitable to host the games in 2012. London received 54 votes in the final round compared to the 50 votes awarded to Paris and so became the host city.

The London Organising Committee for the Olympic games and Paralympics games (LOCOG) has been set up to take responsibility for planning, organising and delivering memorable games in 2012. This is a huge task.

The London 2012 games will bring together more than 14,000 athletes from 205 countries. Spectators and sports enthusiasts will buy nine million tickets and billions of people around the world will watch the event on TV. Ensuring everything runs

smoothly is a tough challenge and LOCOG cannot do it on its own. It has to work closely with many partners and stakeholder to make it happen

FACTS AND FIGURES LONDON 2012 OLYMPICS

Londoners will contribute £625m to the Olympic and Paralympics Games. (London Councils 2012 Team)

The five host boroughs are Newham, Hackney, Waltham Forest, Tower Hamlets and Greenwich. 

An estimated global audience of 4bn people are expected to watch the opening ceremony on July 27, 2012. (London Councils 2012 Team) 

Pundits predict a peak in labour demand in 2011. There will be a need for 2.8m people who work in the construction industry across the UK. (Construction Skills Network)

 The London Olympics will generate £10bn in revenue for the British economy as a whole. (Lloyds TSB)

 Revenue from tourists attracted by the 2012 Olympic and Paralympic Games are forecast to add up to an additional £2.1bn. (London Councils 2012 Team)

 Costs for the 80,000-seat Olympic stadium have been revised from £280m to £496 because of inflation and VAT. (Olympic Delivery Authority (ODA)

The 22,500-seater aquatics centre’s cost has been revised from £74m to £215m. (Minister for the Olympics Tessa Jowell)

 East London will see a massive upgrade in facilities. As many as 5,000 new homes could be available there after the Olympics. (London2012)

 This year marks the 60th anniversary of the Paralympics. The wheelchair games, involving injured World War II soldiers, were staged on the opening day of the London 1948 Olympics. (London Councils 2012 Team) 

London Olympic Venues

Most of London's proposed Olympic venues already exist, reducing the cost and complexity of staging the London Games, which are expected to return a £100 million surplus to the IOC and British sport.

Among the existing world-class venues to be used are The World Heritage Site of Greenwich, Regent's Park, Wimbledon, Lord's Cricket Ground, etc.

"As well as using world famous venues and landmarks, the London 2012 Olympic Games would create a compact environment based around a new Olympic Park in east London, just 7 minutes by rail from the centre of London, using the new Channel Tunnel Rail Link said by London 2012 Chairman Sebastian Coe”.

"We already have planning permission to build our Olympic Park which will include a new stadium and Olympic Village that would put an unprecedented 80 percent of Olympic athletes and 95 per cent of Paralympic athletes less than 20 minutes of their competition and training venues".

The Park, just six miles from Trafalgar Square, will house key venues for the Games including the main stadium and aquatics centre. The Park is also one of the biggest chances to transform London that has arisen in the capital for decades. It will kick-start the regeneration of the Lower Lea Valley in east London, which is a national regeneration priority and one of the biggest regeneration opportunities in Europe. The Park will be transformed for local use after the Games. Key sporting venues will be retained and 9,000 new homes built, along with office, commercial and retail space, and community facilities.

It is an undeniable fact that the importance of management information systems cannot be neglected in the modern world.

“MIS may be viewed as a mean for transformation of data, which are used as information in decision-making processes”. This understanding about information as data processed for a definite purpose. (Lucey, 1997)

There are so many definitions of Management information systems. For the purpose of this research, MIS can be defined as a system providing management with accurate and timely information necessary to facilitate the decision-making process and enable the project’s planning, control, and operational functions to be carried out effectively. So in this way MIS increases competitiveness of the firm by reducing cost and improving processing speed.

MIS is by its very nature a diverse discipline. It is the study of providing information to people who must make choices about the disposition of valuable resources in a timely, accurate, and complete manner at a minimum of cognitive and economic cost for acquisition, processing, storage, and retrieval.

By Lauden and Lauden “an information systems can be defined technically as set of interrelated components that collect, process, store and distribute information to support decision making and control in an organization”(Lauden 2007).

The beauty of MIS is that it ties together a whole set of operations that general managers already thought were important (such as reporting, financial controls, and production scheduling) and bound them to the exciting but disruptive technology of the computer, thus blurring distinctions between the technical and the managerial.

As a result of London Olympics there is a large requirement for the information systems to cope with the volume of visitors come in London in the following areas.

The London Organising Committee for the Olympic Games and Paralympics games (LOCOG) has been set up to take responsibility for planning, organising and delivering memorable games in 2012.

Transportation Systems.

The Olympic Transport team for London has been working for two years to give London a strong plan that will deliver excellent Olympic transport. Transport is one of the real strengths of London's bid for the 2012 Olympic Games and Paralympics Games. The Olympic Park will be the most accessible in the history of the Games with the jewel in the crown of transport plans undoubtedly being the Olympic Javelin.

The site of the Olympic Park at Stratford is one of the best connected public transport centres in the world. It currently has nine separate railways lines that serve the Olympic Park and the tenth the Channel Tunnel Rail Link (CTRL) has already been constructed.. At Games time it will deliver 240,000 passengers an hour with a train arriving every 15 seconds.

The Olympic Javelin

The 12-carriage Olympic Javelin, which can travel at up to 225km/hr, will link the Olympic Park with King's Cross/St.Pancras in the heart of London in just seven minutes. The shuttle will also connect the Olympic Park with Kent in 10 minutes.

A train will arrive every three minutes from either Kent or the centre of London. However, the Javelin is just a small part of what's happening in transport across London.

Buses and Underground Tube Lines

London's transport infrastructure is undergoing major improvements. A total of £17 billion is committed to be spent on transport in the capital between now and the Games.

Investment has already provided new buses, new or refurbished tube trains and the extensive Docklands Light Railway. Almost all the transport infrastructure related to the Games is underway and will be completed by mid 2010. This includes:

Upgrading the DLR with trains being lengthened by 50% and the service extended to City Airport

The Jubilee Line, London's most modern Underground will have its capacity increased by 45%

Extension of the East London Line

Eurostar

The second phase of the Channel Tunnel Rail Link (CTRL) is on track to open , providing a boost for London’s Olympic Games bid. The high-speed line will play a key role in transporting passengers quickly and efficiently to the Olympic site near Stratford.

Eurostar will operate daily services between London and Paris/Brussels during the Games – carrying passengers from the Continent to Stratford or St Pancras International in the heart of London. The completion of the CTRL will enable Eurostar to increase its frequency and run more services each hour.

"From 2007 fastest the London-Paris journeys will be 2 hours 15 minutes and London-Brussels just 1 hour 53 minutes", according to Paul Charles, Director of Communications for Eurostar. In 2007, St Pancras station will become the new international terminal for Eurostar.

London's public transport

Nearly 11 million passenger journeys are made every day using London's public transport network · 6 million bus journeys · 3 million tube journeys · 1.8 million rail journeys

London hosts the Olympic Games in 2012, 50% of athletes will be just 5 minutes from their venues and 75% less than 15 minutes.

London's Traffic Control Centre manages the road network 24 hours a day 7 days a week · 4800 traffic signals · 580km or red routes · 250km of bus lanes · congestion charge zone

One train every 15 seconds will serve the Olympic Park.

The Olympic Javelin shuttle will take spectators from Kings Cross St Pancras to Stratford in just 7 minutes.

100% of London's 9000 buses will be fully accessible; currently all London's 21000 Taxis are accessible.

10 lines feed the Olympic Park with a total capacity of 240,000 passengers per hour.

Stratford International station could fit 3 Queen Mary II liners along it (1.05km long).

By 2012 all London Underground stations will have been modernised or refurbished

Recommendations.

Major improvements will be carried out to the Stratford Regional Railway Station which, given it’s proximately to the Olympic Park, will be the hub of most travellers to the Games;

A completely new station will be built at Woolwich Arsenal which will be at the end of the extension to the DLR

High Speed 1 began operating between St Pancras and mainland Europe in November 2007. The Olympic Javelin , a 12 carriage air conditioned train will run between St Pancras, Stratford and Ebbs fleet stations using part of the

CTRL;

Over £900 million will be spent on the East London Line to open up connections to the Olympic Park. With extensions at both ends of the line, connections will be made with the DLR, the Jubilee and District Line

North London Line as well as the National Rail Network

London is currently implementing its ‘ibus’ initiative, which is a state of the art-automatic vehicle location system and a comprehensive communication system will be introduced.

TICKETING SYSTEMS.

The sales of London 2012 Olympic tickets will be available from 2011. The London

organising Committee for the Olympic Games and Paralympics games (LOCOG) gave

contract to Ticket master on 23/07/09 who is world largest online ticket selling company.

In 2007 Ticket master sold about 141 million tickets valued about £4 billion for Beijing

Olympics .Therefore Ticker master will be the official ticket provider for the London 2012

Olympic and Paralympics games. Issuing and organising tickets for Olympic games will be

big challenge for ticket master.

Some of the common problems with ticketing system most often occur due to lack of

effective information system

Make sure all tickets should be sold on fair prices.

The unauthorised reselling of ticket for big event has become a very big issue for

business. Tout and other well-organised groups’ purchased tickets in highly organised

methods and resell them at very high prices. The value of unauthorised ticket sales in

UK is currently estimated as £ 200 million per annum.

Ticket master is the official ticketing sponsor but they are criticises by customers that

they charge extra money in shape of service charges, order processing fee and

delivery charge when selling online ticket.

Ticket master is a big company and some time it not meeting the customer’s

expectation especially online customers

Not selling all the tickets for a big event due to lack of communication and marketing

campaign. Ineffective advertising campaign through TV, Internet, Newspapers,

Magazines, Sms etc.

Due to lack of effective information system, it does not bringing all the bona fide

ticket holders to the stadium. During the champion league final it happened at

Olympic stadium in Athens when the bona fide tickets holders of Liverpool fans were

not able to enter the stadium.

It seems to be happened, people buy tickets from unauthorised official agencies,

For London, I think that people will want even more access to results, pictures and information about the sites in real-time,

The problem with the Beijing Olympics was the ticket were expensive due to this

most of the stadium were look empty. The organising committee of the London 2012

Olympic game should keep this in mind that, the selling prices of tickets should be

reasonable, because Sydney Olympic sold 87.90% of the total tickets which is the

largest ever tickets sold so for. The London 2012 Olympic organising committee need

to reduce the impact of middleman (third party) because these are the people who

increase the price of the ticket. For example Ticket master charge extra $ 7.00 on

each ticket in the shape of service charges, order processing fee and delivery charges.

If organising committee for London 2012 Olympic games issuing more e-tickets as

compare to paper tickets, it should be much cheaper than the paper tickets, in this way

they can reduce the price of the tickets and it should be a reasonable one. Also e-

tickets will save delivery charges for the customer and they can buy the tickets at any

time of the day. E-ticket is the quickest to buy tickets, and the customer will know the

availability and the location of the seat.

Bio cryptic identity management ticketing system will improve the security inside the

venue because they will information about every single tickets holders because there

will be only bona fide ticket holders are inside the venue. Also the management of the

venue will exactly know where they are sitting (ticket holders).

To improve the selling of ticketing system, because selling all 9 million tickets and to

bring all the bona fide ticket holders to the stadium for an event will contribute a

significant amount of money. Otherwise problems like empty stadium at Beijing

Olympic or problem in final of champion league at Olympic stadium in Athens in

2007 will be occur. Therefore a well organise marketing campaign will be needed.

The organising committee will need to do advertisement using the latest technologies.

For example advertisement through e-mail, website (online), through TV, through

theatre and cinemas, through news papers and magazines, through distribution

brochures at various points like at the front of tube station etc, through mobile using

text messaging services, etc

.SECURITY SYSTEM

There has been a highly competitive procurement process for a host of ODA security packages which were set out initially in two packed industry days in early 2008.

During the enrolment process all workers have their hand scanned to enable access to the Olympic Park. This works by taking a 3-D digital photograph of the hand, rather than finger or palm print, which is linked to the individual’s photographic site pass. The unique size and shape of a hand is matched to the site pass to enable access.The data is encrypted, stored securely and only used for access to the site during the construction work, in accordance with the Data Protection Act. Iris scanning is used on the same basis where required.G4S Security Services has been appointed to provide security guarding for the Olympic Park construction site.

Reliance High-Tech was appointed to provide access control systems to the Olympic Park construction site and is working with Human Recognition Systems to deliver biometric systems which they have installed on construction sites across the UK.Rapiscan Systems has been appointed to provide a range of screening equipment for pedestrian and vehicle entry and exit points on the Olympic Park construction site. Honeywell Control Systems has been appointed to design and install CCTV and other perimeter security systems for the Olympic Park construction site.Due to increasing number of terrorist activities all over the world, Installation of fingerprint verification machine will reduce the terrorist activities significantly.

The Bio cryptic identity ticketing system will be working like the same in

school/college using fingerprinting for the students attendance, which save lots

of time of the teacher who normally do the attendance and nobody can do

attendance for other students. Therefore it should be more accurate and a user-

friendly system which will reduces the problems normally occurs at venue.

Such as long queue in front of the venue, invalid ticket holder entering to the

venue etc.

CONCLUSIONThere are lot of Management information system are available in the market like OS ticketing

system (Open source ticketing system), but if we compare Bio cryptic identity ticket management system who have more benefits than the others. London 2012 Olympic is not a small event, it is very big event and a small mistake can disrupt the games. Well organise games will bring money and reputation to the country. Why Sydney Olympic is consider more successful than the Beijing Olympic and Athens because of well organised and selling almost 89.7% of the tickets. Therefore the organising committee for London 2012 Olympic games will discuss every small issue regarding ticketing with Ticket master because some customers have complaints about their online services.As we know technology is going to be advanced and the economic outlook becomes more challenging, LOCOG will continue to focus on providing customers with products that make their products smarter, simpler, reliable more synchronized and safer. The best way to accomplish this is through the successful implementation of Olympics. Today, MIS key initiatives are to improve profits, refocus on design of information systems and customers, enhance the implementation of information procedures and, most important, continue to focus on improving quality throughout the event.
