Navigating the Training System

Greenway's Training system offers a fully-blended learning environment consisting of online courses, instructor-led training, and other learning opportunities. At the top of the page, the Quick Links bar displays three items:

How Do I Use this Training System? – Watch a video to learn how to use the system.

Quick Search – Perform a quick search for course materials.

Notes – Create and store notes for yourself.

Questions about Learning Materials – Submit any questions or issues that you encounter.

Below the Quick Links is the Menu bar . . .

The Welcome tab displays:

My Training Emails – Select your email delivery method.

Links to updated training courses

The Content tab displays links to the following pages:

Catalog – Search for and enroll in elective online courses and instructor-led courses.

My Scheduled Classes – View a calendar that shows the instructor-led courses for which you're enrolled.

My Required Learning – Take the courses and complete the learning plans that have been assigned to you.

My Elective Learning – Take the courses you've chosen for yourself.

My Transcript – View and print your transcript of learning activities.

My Requests – Submit requests to add to your transcript the courses you've taken outside Greenway's Training system.

Three Types of Courses

The Training system serves up three types of courses for the solutions your organization has purchased:

User Defined Task (UDT) – The course contains links to documents, videos, a test, and/or a survey.

Online Course – The course contains an interactive Flash video and may contain links to videos, documents, a test, and/or a survey.

Instructor Led – The course allows you to enroll in a class taught by an instructor via webinar. The course may also contain links to videos, documents, a test, and/or a survey.

Note - You will see only those instructor-led courses that your organization has purchased. If you'd like to purchase instructor-led training, call (877) 446-3841, describe the training you'd like to purchase, and request the attention of your Greenway representative.

Finding Elective Courses

Search Alphabetically or with Keywords To search for courses alphabetically or with keywords:

1. Click the Content tab, access the Catalog page, and click the Alphabetically tab.

2. To narrow the search, you may use the Select Letter Range drop-down menu and click the Show button.

3. You may also enter one or more keywords into the Search for field and click Go. (If you'd like, click Advanced Search to choose the fields you want to search.)

4. For each course, you will see its title, description (i.e., summary), and training type.

Browse by Category To browse courses by category:

1. Click the Content tab, access the Catalog page, and click the By Category tab.

2. Use the plus (+) and minus (-) buttons and the Expand/Collapse All link to expand or collapse the categories.

3. Select the desired category or categories and click the Go button.

4. The courses assigned to the categories and their sub-categories will appear on the right.

5. For each course, you will see its title, description (i.e., summary), and training type.

View a Calendar of Upcoming Classes On the Catalog page, the ILT Calendar tab shows the instructor-led courses/classes that your organization has purchased:

1. Use the Select View drop-down and click Show.

2. To navigate through the calendar, click the Next and Previous buttons at the bottom of the tab.

3. When you see a course/class on the calendar, place your cursor on the name. You will see the name of the class and the name of its corresponding course.

Notes:

If you'd like to purchase instructor-led training, call (877) 446-3841, describe the training you'd like to purchase, and request the attention of your Greenway representative.

The ILT Calendar does not show classes that are full.

If a course has multiple classes and you're currently enrolled in one of those classes and you have not completed it, the other classes will not appear on the ILT Calendar. To check your class enrollments, look at your My Transcript page. To drop a class in order to choose another date and time, use the section in this document below called "Dropping an Instructor-Led Class."

Class times are displayed according to the time zone on the My Profile page in the Community. If you change that time zone, the change may take up to 10 minutes to go into effect on the Training page.

For the Eastern time zone, choose "America/New York."

For the Central time zone, choose "America/Chicago."

For the Mountain time zone, choose "America/Denver."

For the Pacific time zone, choose "America/Los_Angeles."

Find a Bundle of Courses The Bundles tab on the Catalog page allows you to search through sets of courses that have been grouped together. This helps you see courses in groups rather than having to hunt for the individual titles.

1. On the Bundles tab, the bundles will appear in alphabetical order by default.

2. To narrow the search, you may enter one or more keywords into the Search for field and click Go.

3. If you'd like, click Advanced Search to choose the fields you want to search.

4. To see the courses that are included in a bundle, locate the bundle and click Details.

Enrolling in Elective Courses

Enroll in Bundles, UDT Courses, or Online Courses To enroll in a UDT course, an online course, or a bundle:

1. On the Catalog page, locate the course or bundle.

2. Click the Details button or the course title.

Note - Some courses may have a due date. You can see this information in the Course Terms field. The due date will apply to your enrollment too.

3. Click the Enroll button. The system will generate an email notification.

Note - If you enrolled previously and didn't drop the course, the Enroll button won't display.

4. For bundles, the individual courses are separated after you complete your enrollment.

Think of a bundle as shrink wrap around a group of courses. Once you get the package home, the shrink wrap comes off and you have individual items. When you enroll in the bundle, the courses are listed on your My Elective Learning page as individual courses.

If you select a bundle that contains a course you enrolled in previously, that course retains the previous status.

Note - If you are enrolled in an elective course and you are assigned the same course by an administrator or as part of a learning plan, any settings or due dates that are part of the assignment override your elective course.

Enroll in an Instructor-Led Course and Class A class is an individual instance of a course. A class contains the logistics such as date, time, and instructor.

Note - You may only enroll in the instructor-led classes that your organization has purchased. If you'd like to purchase instructor-led training, call (877) 446-3841, describe the training you'd like to purchase, and request the attention of your Greenway representative.

To enroll in an instructor-led course and class:

1. On the Catalog page, find the course.

2. If you found the course outside of the ILT Calendar tab:

Click the Details button and examine the information.

Then, click the Scheduled Classes tab, and you'll see the classes that have been scheduled for the course.

Choose a class that you think may fit into your schedule and click the View Details button.

3. You will see the details of the selected class. (When you access the course from the ILT Calendar tab,

you will see this screen directly.) Check to see if the class has any open seats.

4. If you want to see if the class clashes with your schedule, click the View My Class Schedule button to see an at-a-glance view of your training calendar. Use the Day, Week, Month and Year views to narrow or expand the level of detail shown.

5. Once you are sure about the class, click the Enroll in this Class button. The system will generate an email notification.

Notes:

If a course has multiple classes and you're currently enrolled in one of those classes and you have not completed it, the other classes will appear on the class list, but you will not be able to click the Enroll in this Class button. To drop a class in order to choose another date and time, click Drop Class.

Dropping and Taking Elective Courses

Click the Content tab and select My Elective Learning. This page shows you all of the courses you've chosen for yourself and those that were chosen for you where your Portal Administrator marked the course as an "Elective."

Dropping or Completing a UDT or Online Course To drop a UDT or Online Course via My Elective Learning:

1. On the All Electives tab, you may enter one or more keywords into the Search for field and click Go. (If you'd like, click Advanced Search to choose the course and class fields that you want to search through the Search for field.)

2. Select the course you want to access and click the Drop Course button. The course will appear on the History tab and on the My Transcript page with a status of "Dropped."

To complete a UDT or Online Course via My Elective Learning:

1. On the All Electives tab, you may enter one or more keywords into the Search for field and click Go. (If you'd like, click Advanced Search to choose the course and class fields that you want to search through the Search for field.)

2. Select the course you want to access and click the Open button.

3. In the Activities section, click an activity name or click the Launch or Open button.

4. Complete the selected activity and all of the other activities listed for the course.

5. Course Completion:

If the course is a UDT course and it does not contain a test, you will need to click the Mark as Complete button. Otherwise, the course will be marked complete once you pass the test.

If the course is an online course, it will be completed automatically if you pass all of the requirements successfully. If not, please click the Questions about Learning Materials link and report the issue.

Dropping an Instructor-Led Class To drop an instructor-led class via My Elective Learning:

1. On the All Electives tab, you may enter one or more keywords into the Search for field and click Go. (If you'd like, click Advanced Search to choose the course and class fields that you want to search through the Search for field.)

2. Select the course you want to access and click the Open button.

3. Click the Drop Class button. (If you'd like, you may then select a class and click Enroll in this Class.)

To drop an instructor-led class via My Scheduled Classes:

1. Click the Content tab and select My Scheduled Classes.

2. The calendar displays the instructor-led classes in which you are enrolled. Within the calendar, you can:

Filter the view by day, week, month, or year.

Change the time zone by which the classes are displayed.

Print a view showing the day, week, month, or year.

3. Click the name of the class that you want to drop.

4. Click the Drop Class button. (If you'd like, you may then select a class and click Enroll in this Class.)

Attending an Instructor-Led Class To join an instructor-led class via My Elective Learning:

1. On the All Electives tab, you may enter one or more keywords into the Search for field and click Go. (If you'd like, click Advanced Search to choose the course and class fields that you want to search through the Search for field.)

2. Select the course you want to access and click the Open button.

3. In the Activities section:

Join the class by clicking the Class Name or clicking the Launch button.

For other course activities, click the activity name or click the Launch or Open button.

5. After the class, the instructor will mark your progress as "Completed."

To join an instructor-led class via My Scheduled Classes:

1. Click the Content tab and select My Scheduled Classes.

2. The calendar displays the instructor-led classes in which you are enrolled. Within the calendar, you can:

Filter the view by day, week, month, or year.

Change the time zone by which the classes are displayed.

Print a view showing the day, week, month, or year.

3. Click the name of the class that you want to join. 4. In the Activities section:

Taking Required Courses

Click the Content tab and select the My Required Learning page. This page shows you all of the individual courses and learning plans for which someone has registered you.

Note - A learning plan is a group of courses collected into a curriculum. Unlike a bundle, the sequence of the courses within a learning plan will remain after you have been enrolled in the plan.

Work Through a Learning Plan To work through a learning plan:

1. Click the By Plan tab.

2. From the Learning Plans section, select the learning plan and click Go. The courses within the selected learning plan will display on the right.

3. Select the course you want to access and click the Open button.

4. Refer to the section below called "Complete a Required Course."

5. After you complete a course, go to the next course in the plan until you complete all of the courses.

Complete a Required Course To complete a required course:

1. On the My Required Learning page, select the required course you want to access and click the Open button.

2. If the course is an instructor-led course and you are not enrolled in a class, you will see the Scheduled Classes section.

To enroll, use the instructions in the section called "Enroll in an Instructor-Led Course and Class" in this document.

If you are already enrolled, go to Step 3.

3. You'll see the Activities section when you open the course:

Join the class by clicking the Class Name or clicking the Launch button.

For other course activities, click the activity name or click the Launch or Open button.

4. Complete the selected activity and all of the other activities listed for the course.

5. Course Completion:

If the course is an instructor-led course, the instructor will mark your progress as "Completed" after the class.

For Required Instructor-Led Courses: Dropping a Class to Choose a Different Class You may not drop a required course; however, if the course is an instructor-led course, you may drop the class you've chosen and choose a different class. To drop an instructor-led class via My Required Learning:

1. On the All Required tab, you may enter one or more keywords into the Search for field and click Go. (If you'd like, click Advanced Search to choose the course and class fields that you want to search through the Search for field.)

2. Select the course you want to access and click the Open button.

3. Click the Drop Class button. (If you'd like, you may then select a class and click Enroll in this Class.)

To drop an instructor-led class via My Scheduled Classes:

1. Click the Content tab and select My Scheduled Classes.

2. The calendar displays the instructor-led classes in which you are enrolled. Within the calendar, you can:

Taking Notes

The Notes feature allows you to create and store notes for yourself. Think of it as a virtual notebook that only you can access. To create a note:

1. Click the Notes link in upper right-hand corner of the Training system.

2. Click Add Note.

3. Enter a Note Name, enter the note in the Description field, and click Save.

Reviewing Your Learning History/Transcript

You can review your learning history on several pages in the system:

My Elective Learning

My Required Learning

My Transcript

On the My Elective Learning page, click the History tab to see all of the courses that you have completed. You can see details about each course and re-launch the course activities (excluding instructor-led classes). If the course offers a completion certificate, it will appear when you select the course and click the Print Certificate button. On the My Required Learning page, click the History tab to access a completed course at any time or click the Plan History tab to access a completed learning plan and the courses within it. If a course on the History tab offers a completion certificate, it will appear when you select the course and click the Print Certificate button. Click the Content tab and select My Transcript to see data about all of your courses, not just those you've completed:

1. In the Search for field, you may enter one or more keywords and click Go.

2. If you'd like, click Advanced Search to choose the fields you want to search and to choose filters:

Registration Status – You may choose from the following:

Registered – The course has been requested; additional action is required to receive an "Enrolled" status.

Enrolled – You are enrolled in the course.

Waitlisted – This status will not be used.

Dropped – You have been dropped from the course either by your own action or by someone such as your Portal Administrator.

Past Due – The due date has passed for the course, but it has been automatically re-assigned so you can complete it.

Expired – The course, either chosen as an elective or assigned, has been superseded by a later assignment of the course.

Waived – This status will not be used.

Completion Status – You may choose from the following:

Not Attempted – You have not joined the instructor-led class or started the course.

In Progress – You joined the class, but the instructor has not yet changed your status to "Completed." You have started the UDT course, but you've either not passed the associated test or you've not manually marked the course complete.

Incomplete – You started the online course, but you've not finished all of the interactive video or you've not successfully completed all of the activities. For an instructor-led class, you did not show and the instructor changed your status to "Incomplete."

Completed – For an instructor-led class, the instructor has changed your status to "Completed." For a UDT course, you've either passed the associated test or you've manually marked the

course complete. For an online course, you've finished all of the interactive video and successfully completed all of the activities.

Waived – This status will not be used.

Course Type – You may choose from the following:

Instructor Led

Online Course

User Defined Task

External Training Course

Mobile Course – This type will not be used.

Recorded Virtual Online Course – This type will not be used.

3. Click the Print button to print your transcript and/or click the Export button to create an export file

containing your transcript.

4. To open a course, either click the course name or select the course and click the Activities button. If you've completed the course and it offers a certificate of completion, click the Print Certificate button. From the Activities section, you may also choose to launch or open each course activity.

Submitting a Request to Add External Learning to Your Transcript

You may take a work-related course that is not offered through the Greenway Training system – for example, a course at a local college or at a conference or through some other educational event. If you'd like that course to appear on your Greenway transcript, you should submit a learning request. When you submit the request, the information will go to your Portal Administrator for approval. To submit a learning request:

1. Click the Content tab and select My Requests.

2. Click the Submit a New Learning Request button and then click Begin.

3. Select the form called "Submit a Request to Add External Learning to Your Transcript" and click Next.

4. Fill in the form and click Next.

Note - Course codes within a learning request are auto-populated with a random code. This information can be overwritten, if necessary.

5. The Confirm Your Decisions screen allows you to double-check your selections before you proceed. Click

Save to continue.

The My Requests page gives you the ability to review, edit, and/or cancel your learning requests: All Requests – This tab shows all of your requests except for those that have been canceled. Open – This tab shows the requests that are still in the approval process. Approved – This tab shows the requests that have been approved. Denied – This tab shows the requests that at least one approver has denied. Cancellation Requests – This tab shows the requests that you have asked to be canceled. Canceled – This tab shows the requests that you asked to be canceled and the approver has canceled.

To review/edit or cancel a request:

1. Select the learning request and click Edit.

2. On the Details tab, review the information submitted in the request.

3. Click the Approval tab to review the person(s) set up to approve your request and the status of their action on the request. Click an email address to send the person an email message from your external email program.

4. If you want to cancel the request, click the Cancel button. The approvers will be notified, and the request will appear on the Cancellation Requests tab.

If your Portal Administrator approves the request:

1. You will receive an email, and the course will appear on your My Transcript page with a Completion Status of "In Progress."

2. To change the Completion Status to "Completed," click the Questions about Learning Materials link. Be sure to include the name of the course and request the status change.

3. When the status is changed, it will appear as "Completed" on your My Transcript page.

Training Emails

Notifications are emails that are sent by the system when you complete tasks such as enrolling in a class or completing a course. You can choose whether you want to receive your emails immediately or to receive them daily within one compiled email.

Note - The emails will be sent to the E-mail Address that appears on the My Profile page in the Community. If you change that email address, the change may take up to 10 minutes to go into effect on the Training page.

To select your email delivery method: 1. Click the Welcome tab and select My Training Emails.

2. If you change from the Immediate to the Daily option:

You will stop receiving emails as they are triggered.

Only the emails triggered after you made your selection will appear in the first daily summary email.

3. If you change from the Daily to the Immediate option:

You will begin receiving emails as they are triggered.

The daily emails stored before you made your selection will be sent with a daily email.

Notes:

This setting applies to all emails except reminders sent by an instructor from a training class.

Emails are not stored and cannot be accessed within the system.

Submitting Training Issues

If you encounter issues in the Training system, please click the link on the Welcome screen called "Troubleshooting Tips."
