Essential Checklist for your Ceremony

If you wish to attend: � You will be sent the official Graduation

Ceremony invitation on Tuesday 27th March 2018 to your personal email address only, so please ensure you have submitted an up-to-date email address to the Student Registry.

� When you receive your invitation, please confirm your place, as well as your two complimentary guest tickets.

� Order your graduation gowns from J. Wippell & Co Ltd, www.wippellgownhire.co.uk from Tuesday 2th March 2018.

If you do not wish to attend: � Please notify the

[email protected] if you do not wish to attend your ceremony by Friday 25th May 2018. Please note, you will not be able to defer your ceremony to another date.

Official Certificates � Please ensure you have cleared any

outstanding payments with the Finance Department ([email protected]).

� Your official certificate will not be issued at your Graduation Ceremony. Instead, you will be issued an unofficial scroll for presentation purposes. It will take two to three weeks from your award date for your official certificate to be processed and produced. Please ensure you have kept the Student Hub informed of your latest permanent address as this is where we will send your certificate ([email protected]).

� Please note that your name recorded on our system is how it will be presented on your certificate and called out at the Ceremony. If your name is incorrect, please contact the Student Hub to amend it on the system. You will need to provide proof of name for the change, for example your passport or driving licence.

Essential Information

Tickets for Graduation As a graduate, you will not require a ticket to enter the Ceremony or Reception. Graduates are entitled to two complimentary guest tickets. You must confirm these names when completing the online booking form, which will be emailed to you on Tuesday 27th March 2018 to your personal email address only. If you fail to confirm your two guest names at the same time of you confirming your attendance to the ceremony, you lose your complimentary tickets and are unable to confirm them at a later date. Additional Tickets Additional tickets will become available on Tuesday 29th May 2018 via the Online Store: store.regents.ac.uk and will be charged at the prices below. A limited number of tickets will be available to purchase on the day subject to availability.

Refunds Refunds will not be issued after Friday 29th June 2018, 17:00. Special Requirements If you or any of your guests require wheelchair access or any other special arrangements, please note this on the booking form. You can also inform us directly on [email protected]. We will contact you prior to your Graduation Ceremony to confirm the arrangements for you and/or guests.

Academic gown collection On the day of your Graduation Ceremony, you will need to collect your gown and hat from J. Wippell & Co Ltd at Regent's University London. 11:00 Ceremony: 09:00 collection 15:00 Ceremony: 13:00 collection All gowns must be returned by 18:00. Collection of tickets and admittance to the Ceremony venue Guest tickets will not be posted out. You will be able to collect any guest tickets on the 2nd and 3rd July from 12pm- 3pm from the Conferences and Events Office. If you are unable to collect your tickets on the specified dates, you will be able to collect them on the day of your Ceremony during registration. Graduates and guests will need to be seated at least 30 minutes before the ceremony begins. Comfort Breaks and Personal Belongings We politely ask that you take all necessary comfort breaks prior to the start of your ceremony. We do not provide cloakroom facilities. You can leave any personal belongings with your guests during the Ceremony or alternatively can leave your belongings under your allocated seat at the Ceremony venue. Please note, it is your responsibility to look after these. We are not accountable for the loss of any personal belongings. Please ensure your phone has been switched off during the Ceremony.

J. Wippell and Co Ltd

Academic dress is mandatory at Regent's University London Graduation Ceremonies and consists of a robe, hood and hat. The colour and style of these items is dependent on your qualification and awarding institution. The online order service provides the opportunity to see exactly what you will be wearing once you have provided the relevant details.

Tempest Photography

Tempest Photography are the official photographers for all Regent's University London Graduation Ceremonies. Tempest Photography will have four studios set up at the University where you will have the opportunity to have professional photographs taken before or after your Graduation Ceremony. If you would like to have photographs taken in the professional studios, to avoid disappointment you should arrive early, leaving enough time to robe and register. No appointment required. Before the Ceremony On arrival, you must register at the registration desks located in Tuke Common Room at Regent’s University London. Upon registering, you will be given your name card which will have your seat number. Please note, you cannot change your seat number and you must keep your name card with you at all times as you will need to hand it to the staff member reading the names out on the stage. After registration, you will be directed to gown and will then be expected to make your way down to St. Marylebone Parish Church. Note: If you have time before the Ceremony, we strongly advise that you visit the photography studios as they get extremely busy later in the day.

The Ceremony You and your guests must be seated at least 30 minutes before the start of the ceremony. Once the Ceremony has commenced, guests will not be able to enter the main hall and will be directed to additional seating with the possibility of a limited view, so please ensure you arrive early. If you are not in the hall by the start of your Ceremony, you risk missing it completely. Ceremonies are expected to last approximately an hour and a half. The Ceremonies are opened by the entrance of the Procession for which the assembly is required to stand. The Chancellor will declare the Ceremony open and there will be some brief speeches before the graduates are presented. Therefore, you must sit in your allocated seats. To ensure that every graduate’s achievement is honoured equally, you are kindly requested to remain in your seats until the completion of the Ceremony. The Chancellor will declare the Ceremony closed, after which the assembly will be asked to stand again for the exit of the Procession. Cameras and video cameras are permitted inside the venue. However, please do not disturb our professional photographers/videographers.

After the Ceremony After your Ceremony, you will be led out row by row after the Procession has left and will be directed back to Regent's University London for a group photograph and a light Reception on Tuke Lawns, please note that the Reception is not a sit down meal.

St Marylebone Parish Church

Where will I sit?

Graduands will receive their seat number upon registration at Regent’s University London. Graduands will need to keep their name/number slip until they are called up to the stage. Guests will be permitted to sit anywhere in the Church apart from the graduate seating and the reserved seating. Members of the Student Registry will be on hand at the Ceremony venue to ensure graduates are seated in their correct seat

What happens during the Ceremony?

Graduands will be called upon row by row to walk up to the front where a member of the Student Registry will pass your name slip to the reader at the lectern. Please remain in the order you were seated.

� You will be directed to walk up to the left hand side of the stage where you will be met by a member of the Student Registry.

� You will need to hand your name card to the member of the staff which will be passed on to the Head of Programme to read out your name.

� When your name is called, you must walk towards the Chancellor to shake hands, then to the Faculty Dean to shake hands and receive an unofficial scroll.

� You will then need to turn to your left to take a photograph by Tempest Photography.

� After your photograph has been taken with the Faculty Dean, you must walk down the center aisle back to your seat. Members of the Student Registry will be on hand to direct students back to their seats

Criteria for the Academic Achievement Prizes

As well as recognising each graduate’s achievement in completing their degree, we also recognise the academic achievement prizes listed below. Prize winners will be awarded with a personalised engraved crystal award at the ceremony.

Faculty of Business & Management � Best Student

The student with the highest classification will be awarded.

� Best Dissertation/Consultancy Project The student with the highest mark for their Dissertation or Consultancy Project will be awarded.

� Best Language Student The student who has: � Gained one of the top marks for the

final-year language module of their year.

� Started studying the language for which they gained a top mark at a beginner or lower intermediate level.

� Preferably studied more than one language as part of their programme at the University.

Faculty of Humanities, Arts & Social Sciences � Undergraduate Student

All prizes are considered by HASS Senior Management.

� Postgraduate Student All prizes are considered by HASS Senior Management.

Student Engagement Award The Regent’s Student Union Student Engagement Award is dedicated to one graduating student per faculty.

Criteria Candidates for this award must have shown significant contribution to the Regent’s student body in their own unique ways. The student must have shown solid achievements and engagement in academic representation and social matters – helping to build a better, more cohesive and integrated student body at Regent’s.

Award process The Student Union will receive a list of all the graduating students provided by the Student Registry. Upon the shortlisting, Student Union Executive Officers will vote on the candidate whom they believe to embrace the criteria requirements.

Drinks and Canapé Reception

The light Drinks and Canapé Reception is a chance to celebrate your achievements with your fellow graduates, family and guests, as well as the academics who taught you. Please note that the reception is not a sit down meal and will only be serving light refreshments. Dietary requirements When you book into the Ceremony, you will

have the opportunity to declare any special dietary requirements. This information will be passed onto our in-house catering team.

Frequently Asked Questions – FAQs

Where will the Summer 2018 Graduation Ceremonies be held? St. Marylebone Parish Church, 17 Marylebone Road, London NW1 5LT. When does registration for the Summer 2018 Graduation Ceremonies open? Registration opens on Tuesday 27th March 2018 and closes at 17:00 on Friday 25th May 2018. You must register via the booking form before the deadline. How can I register to attend the Summer 2018 Graduation Ceremonies? You must complete the booking form which will be sent to your personal email address only on Tuesday 27th March 2018. You must register by the closing date on Friday 25th May 2018. If you do not register by the closing date, you will not be permitted to attend the Graduation Ceremony. You will receive an email confirming whether your registration has been successful. What is the next step after registering for the 2018 Graduation Ceremony? You will need to hire/purchase your graduation gown via the official Wippell's website (see page 11). I have not received an invitation to the Graduation Ceremony, what should I do? If you have not received a graduation invitation please email [email protected].

If another graduate did not receive their invitation, can I forward mine to them? No – the graduation invitations are personalised with your student number. Please do not forward on your invitation to anyone as we monitor the ticket allocation which relates to the capacity of the ceremony venue.

How do I request a visa letter for me and/or my guests? If you require a visa letter for you or your guest(s), please contact the Student Hub on [email protected]. Are guest seats allocated? No – guests can sit anywhere apart from the graduate and reserved seating. I am not able to attend the Ceremony, can I attend a future ceremony? No - If you do not wish/or are unable to attend your allocated ceremony, you are unable to defer to the next ceremony/year. I am a University of Wales/ Open University/ student – would I be able to attend the Regent’s University London Ceremony? Yes - Regent’s University London Graduation Ceremonies include University of Wales and Open University students. What should I do if for religious reasons I am not able to shake hands? It is customary for graduates to shake hands with the Chancellor and Dean as they cross the stage. However, this is not a requirement of graduation, but to avoid any embarrassment, if you would prefer not to shake hands please contact us at [email protected]. When will I receive my official certificate? You will receive your official degree certificate three weeks from your award date.

If you have any other queries, please do not hesitate to contact us at [email protected]. We endeavor to get back to you within 24 hours of receiving your query. How many guest tickets am I allowed? Each graduate will be allocated two complimentary guest tickets only. Additional guest tickets will be allocated on a first come first served basis on Tuesday 29th June 2018 via the online store – store.regents.ac.uk. An email will be sent out on Tuesday 29th May 2018 at 12:00 with instructions and a link to the online store. Please note, the online store will only be accessible from Tuesday 29th May to Friday 15th June 2018.

How long does the Ceremony last? Your ceremony will usually last between one hour and 15 minutes, to one hour and 30 minutes.

Can I bring children to the Ceremony? Yes – Children are welcome to attend the ceremonies. Children aged six and under are free of charge. Please refer to page 8 for ticket prices. What should I wear on the day of my Ceremony? Graduates and guests are asked to dress smartly (no trainers, caps or jeans). When crossing the stage to receive the unofficial scroll, please remember to take care as the floor is slippery and may be uneven. We would strongly advise you to wear suitable footwear. Will I receive further information regarding my Ceremony? Yes - You will receive the following: � Graduation Invitation, Tuesday 27th March

2018.

� Reminder email to book into your Ceremony, Tuesday 15th May (Deadline to book is Friday 25th May 2018, 5pm).

� Availability of additional guest tickets with instructions on how to purchase them, Tuesday 29th May 2018.

� Final details before the Ceremony, Tuesday 29th June 2018.

Terms and Conditions

We want to ensure you and your guests enjoy this special day. To help achieve this, we require you to agree to the following Terms and Conditions. By submitting your booking form, you accept the following Terms and Conditions: 1. I agree to arrive at the venue sufficiently

in advance of the ceremony start time; and to be seated at least 30 minutes prior to the start of the ceremony.

2. I agree that any guest tickets purchased are not transferable to another ceremony, or to another student.

3. I agree to notify the Awards, Ceremony and Events Officer by email if I need to cancel my place, or any of my guest ticket(s). Refunds will not be issued after Friday 29th June 2018, 17:00.

4. I agree to hire my academic dress before the deadline. Academic dress and smart dress are compulsory. The University reserves the right to refuse admission to those students who do not comply with these requirements.

5. To enable the University to ensure that students and guests are able to participate fully in the ceremonies, I agree to let the University know in advance if I or my guest(s) have any special requirements.

6. Failure to comply with any of the above terms and conditions will result in my losing my place at the ceremony. There will be no late admittance to a ceremony.

7. The University reserves the right to refuse admittance to a ceremony.

8. The University reserves the right to ask any person to leave the ceremony and/or ceremony venue if the University considers they are causing a disruption to the ceremony or other guests.

We strongly advise that you do not plan your visit to London until you have received confirmation that your request to attend has been successful. Please note that your official degree certificate takes up to two to three weeks to process and produce from your award date and will not be presented to you on the day of your graduation.

Parking Options

There is no parking available at St Marylebone Parish Church. However, onsite parking at the University is available at a charge (see below). Please arrive early to avoid disappointment. � Thursday: £2.50 per hour

� Friday: £2.50 per hour

� Saturday: £15.00 per day Pay and display parking is available around Regent’s Park every day. The charges apply from 09:00 to 18:30. Charges for pay and display parking are: � Monday to Saturday: £2.40 per hour

(60p per 15 minutes, 4 hours maximum stay).

� Sundays and Public Holidays: £1.40 per hour (35p per 15 minutes, no maximum stay).

Disabled badge holders and motor cyclists park free of charge, but are subject to four hours maximum stay from Monday to Saturday. No coaches or commercial vehicles are permitted within Regent’s Park. Parking on double yellow lines is not permitted at any time. We use the Graduation Questionnaire to obtain information and opinions on how graduates felt about their graduation experience, from receiving their invitation, to the ceremony and reception.

Was it what you expected? Are there any areas we can improve on? We value your thoughts and views to help us enrich the student experience for future graduates. You will be sent the Graduation Questionnaire on Tuesday 10th July 2018, directly to your personal email address.

Graduation Ceremony Footage

Your Graduation Ceremony will be professionally filmed and edited by our in-house Media Services department and will be available to download on the Regent's University London website (see below) a month after your ceremony. W: www.regents.ac.uk/graduation

Check List Before the Ceremony By Friday 25th May 2018

Confirm my attendance and my two complimentary guest names via the online booking form which is sent to my personal email address.

Ensure I have no outstanding payments to the University.

Order and pay for my graduation gown.

Inform the Graduation Office if either I or any of my guests require special arrangements, i.e. wheelchair access.

Contact the Student Hub if any of my guests require a visa letter. Please note that we are unable to state any passport details or names on the visa letter. We will issue a letter that confirms that you will be attending a ceremony on a specific date. They will be able to use this as supporting documentation with their visa application ([email protected]).

Book my accommodation/travel arrangements (if necessary) for the day of the ceremony.

On the day of the Ceremony

Bring my student card/photo ID with me to the registration desk to sign in, collect my guest tickets and receive my seat number.
