Global Trip Record Viewer Quick Reference

This guide provides an overview of the Global Trip Record (GTR) Viewer tool. It will quickly guide you through the basics of accessing, navigating, and viewing records in the tool.

Getting Started

To access the GTR Viewer you must be added as a user. You may find more information on gaining access in the

implementation guide. Remember that this is an American Express Global Business Travel tool for internal users

only. Do not share this link or your ADS user name or password for access.

1. Access the site at :

2. Enter your ADS user name and password.

3. Click log in.

Search for a record

When you log in you will presented with a page including a search bar. You may begin typing information in the

search bar to identify the record you are attempting to find. As you type, you will receive category suggestions based

on if you are entering alpha or numeric characters. You may choose to use the suggested category search by

clicking it or just hitting search to search all searchable fields. You may enter multiple search criteria by separating

the data with a semi-colon (;) or asterisk (*) or space ( ) or comma (,). You may also enter the data in quotes for an

exact match. The searchable fields are listed below,

1. Name

2. Email

3. Phone

4. Employee ID (for McKinsey users only)

5. Reference (PNR Locator)

6. Confirmation Number

7. Company (including Reporting ID, Client ID, or Client Name)

8. Code (3 digit city/airport codes)

9. Date (segment dates)

10. Ticket

Identify Trip/Traveler

The results matching your search criteria will be displayed. If you receive an error message stating that there is no

match or too many results - you may clear, retype, and or continue to type to modify your search criteria. Once

results are displayed, identify the correct traveler and click on the down arrow to expand to see the segment overview.

If you have searched for a specific trip using criteria such as reference, confirmation number, code, date, or ticket only

the travelers matching that criteria will be displayed here.

If multiple phone numbers exist for the traveler ellipses “…” will display next to the email address. You may click or

hover over that button to see the additional information.

The summary displays a few key fields about the segment for quick servicing. The data field guide provides more

details on the data displayed for each segment type. To see further details for the segment – click on the down

arrow.

After clicking on the down arrow from the previous page – the traveler will be expanded to see a segment overview.

This includes active segments/events for the traveler based on the search criteria listed in chronological event order

with car or limo pickups appearing before Hotel. Note that the hotel check-in and check-out and car pickup and drop-

off are separated into different events. Scroll down to see additional events.

The icons displayed in the segment summary detail the segment type (air, rail, car, limo, hotel, other).

Colors

The colors displayed in the segment summary are based on the scheduled dates and times compared to the date and

time you are viewing the record. Scheduled dates and times include air/rail departure, air/rail arrival, car/limo pickup,

car/limo drop-off, hotel check-in, and hotel check-out.

Traveling = Blue (aqua blue) – today’s date/time is inside the dates of the segment

Future = Purple - today’s date/time is before the dates of the segment

Cancelled = Dark Orange – the segments have been cancelled

Past = Dark Gray – today’s date/time is after the dates of the segment

Segment Status

The segment status displayed for each segment is based on the status code used in the GDS compared to a look-up

table to give a short description of the status along with an indicator noting if it is Active (A) or Passive (P). More on

this status can be found in the data field guide but here are a few common codes and the status that will be displayed:

BK = Confirmed-P

GK = Confirmed-P

HK = Confirmed-A

Modify Search or Filter

From the Segment Overview page you may modify your search or filter the data further to find the exact data you are

attempting to find.

› Modify your search by adding a semi-colon (;) or asterisk (*) or space ( ) or comma (,) and typing additional search

criteria. If you click on the X or type over the existing data the search will start again.

› Filter the data using the segment trip status, segment type buttons or text filter to search by PNR

Segment trip status. The default display is active. Use the buttons to select one or any combination of the three.

o Active = Traveling and Future (see Colors for more info)

o Cancelled

o Past

Segment type. This includes all of the segment types that exist for the traveler based on the search criteria.

Click on the buttons to remove or add filter for specific types.

o Air

o Car

o Hotel

o Limo

o Rail

o Other

Reset the filter to the default display by clicking on “Reset to default” link.

Questions and Answers

Q1. What if I can’t find the traveler?

If you are attempting to find a traveler’s car or hotel reservation and the traveler was booked on a multi-passenger PNR, the

traveler’s hotel or car reservation may not be available in GTR Viewer if the secondary traveler’s hotel or car reservation

was not properly associated to the passenger. You can find the hotel or car reservation by searching for the primary

traveler in the reservation (the secondary passenger’s travel companion).

Q2. Why can’t I see the segment?

Ensure your search bar and filter contains the correct information. Remember that Cancelled and Past date segments are

not shown as default and you can use the filter buttons to see those. Clear or reset the filter and start again if you are

unsure.

Q3. What email address is displayed for the traveler?

The email address from the GDS record is displayed in the traveler summary for the traveler. If multiple email addresses

exist in the GDS record then the system attempts to get the best match for the traveler based on the traveler’s first and last

name. The best match is considered the email address for the traveler and is used going forward. If there are multiple

emails that are considered the best match then the first email in the PNR is displayed in the traveler summary. No te: any

emails available in the GDS record are available for search but will not display in the result summary.

Q4. What phone number is displayed for the traveler?

The phone number from the GDS record is displayed in the traveler summary for the traveler. If multiple phone numbers

exist in the GDS record then the system displays the first phone number in this order: 1) Mobile 2) Business 3) Home 4)All

other and displays in the traveler summary. The other phone numbers are displayed when you click or hover over the

ellipses “…” . Note: any phone numbers available in the GDS record are available for search

Q5. Why is the employee ID not displayed for my client?

The employee ID is currently only populated for McKinsey. Future releases may allow mapping and searching for other

client’s employee IDs but that is not currently available.

Q6. Why are ticket details missing?

Ticket details are only displayed for the segment if the segment has been included in the ticketing entry. If the ticket did not

include that segment then detailed ticket information will be missing. However, the Date of Issue field should include the

Ticketing Time limit.

Q7.What fare information is displayed?

Fare details are only displayed for the segment if the segment has been included in the stored fare entry. If the stored fare

did not include that segment then fare details information will be missing. If multiple stored fares exist for the same

segment, then all fare details will be displayed.

Q8.Why is the MI information missing?

MI information is displayed if it exists in the GDS record and is mapped for reporting purposes. If the mapping doesn’t exis t,

the MI information will be missing.

Q9.Why are details missing in the More Travelers area?

More Traveler details are only displayed if multiple passengers exist on the same GDS record (PNR). If employee ID,

phone, and email are not correctly formatted for passenger association – only the name will display. Note: if multiple

travelers exist on the same PNR they should be available for search

Q10.How are the Cruise, Tour, and Ferry segments displayed?

For this release, the Cruise, Tour, and Ferry segments are displayed as Other segments. The details are available but not

in normalized segment format.
