MAPPING HOUSING
Issue 3 GIS Newsletter
Gi4 Housing is a forum for Social Housing Providers to share best practice through the use of GIS and the many benefits it brings by improving work practices, saving time and cutting costs.
Set up by a few housing GIS Officers wanting to encourage wider use of GIS, the group is free to join. They currently run through LinkedIn and Slack or you can follow via Twitter as well as holding seminars where members get together and share their experiences.
Gi4 Housing is just as useful if you don’t have GIS and want to find out more. You will get lots of advice and help whether its about what system to get, what tasks can be done, what data can be used etc.
Join online through the links below or for more information contact Steve Litchfield [email protected]

A look at GIS and how it can assist Housing Associations both small and large
• Are You Re-Tendering your Grounds Maintenance /
Estate Services next year?
• Have You recently merged with another social
housing provider or looking to in the next twelve months and want to look how you can bring the two GM Services together?
• Are You thinking about bringing your Grounds
Maintenance in-house?
• Would you like to improve your Grounds Mainte-
nance DLO by scheduling work with more insight?
If any of the above applies to you then now is the time to think about capturing your Grounds Mainte-nance data and holding it in a GIS. GIS enables you as an organisation to see exactly what land you own, and therefore what you should and should not be maintaining as well as providing accurate figures for the amount of grass to be cut or number of hedges to face. Having this information can also assist in re-calculating GM Service charges for your tenants.
Social housing clients have reported savings of up to 15% on GM
tenders following data capture work before going through the
tender process.

In January, Rick Thompson was invited to pre-
sent at the NHMF conference in Birmingham.
The subject was ‘Take the Guesswork out of
Mapping Your Data’ and looked at analysing
NPV data, where to site new developments
amongst many other tasks.
ODC attended the Gi4 Housing seminar in
Manchester (see below) and will be visiting the
SFHA show in Glasgow in early June.
ODC are next exhibiting at Housing 2018 from
26th June to 28th June at Manchester Central
on stand G45.

ODC On the Road
ODC were proud to sponsor the Gi4 Housing Seminar held in Sale, Manchester in April. A mixture
of housing associations, some with GIS, some without, came together with the industries leading
suppliers to discuss the latest developments and share ideas. Topics covered included the new
Geo-Spatial Commission set up after the 2017 budget, using GIS to keep a diverse organisation
who are spread across the country all on the same page, along with some live demonstrations of
how Asset Managers can make informed decisions when their data is presented.
ODC are pleased to support
the SFHA by becoming a
Commercial Associate. This
will allow members to ben-
efit from the experience
ODC has gained from their work with over 40
housing associations across the UK.

Consistent Delivery Of Services
“We required this map to help us understand the travel implications to ensure consistent
delivery of our services to current and future tenants.
Thank-you for everything you’ve done to help – this has been an extremely interesting pro-
ject to be a part of and I will be interested to see how these maps are used in the longer
term.“ Hannah Berry- Asset Data Officer

The Customer:
Plymouth Community Homes
The Task: Identifying travel implications
to ensure consistent service delivery.
The Data: Plymouth Property Points Data
(Geocoded to Address Base) and Open
Street Maps
Method:
The Plymouth Property Points were
visually analysed to create a selection of
properties at the edges of the stock.
These outer property points were used to
create Drive Time Areas through
ArcOnline. Drive Time Areas are driven by
algorithms analysing the UK road network
for routes. Through these it was possible
to create areas representing different
distances you could cover from the
properties within a set amount of time
(e.g. 10 minutes, 60 minutes).
Result:
With the areas produced, it is possible to see
how far one can travel from the outer most
properties within a given time frame and how
this may affect service delivery.

At the last Gi4
Housing Meeting
held in
Manchester in
April Steve
Litchfield, Senior
GIS Analyst and
Matt Willcox,
Senior Portfolio
Manager at Orbit
Group presented
on how GIS is being used across
asset management for strategic
insight.
Here we take a look at some of
the key benefits for Orbit.
GIS is at the heart of what Orbit
do and is used extensively
within the Asset
Management department
for assisting with their
Portfolio's and Core
strategies.
GIS assists Orbit with Multi
Criteria Decision Analysis
utilising Internal Data such
as Property locations, NPV
and building type etc.
“Geographic Information accessibility is on the
increase, perfect for querying multiple datasets for
spatial analysis.”
And combining this with External data such as Third
party market information, transport links (existing and
planned) as well as Local Plans.

In the last 6 months there have been 28 different GIS projects for the team at Orbit.
These have assisted in various areas including Asset Management such as:
• Portfolio / Core
Strategy in
identifying
areas for
development /
rationalisation
• Stock Swaps
• Office Strategy
• Potential
Mergers and
Acquisitions
The maps on the right
show how many of
the external datasets
have been utilised to
establish land prime
for development
• GIS Involved with many SAM Projects
• Uses a wealth of internal / external datasets
• Allows the business to move forward with a coherent strategy

Reducing Environmental Impact
“As a social landlord we have a responsibility to reduce our impact on the environment. We can use this
information to work out an accurate calculation of our CO2 emissions based on those who drive into
work. Once we know what our impact is we can work out the best way of making improvements, such as
a car share or low-emission vehicle leasing scheme.”
Natalie Hyde– Neighbourhood Lead
The Customer:
Trafford Housing Trust
The Task: Staff Location Analysis, Drive
Distance Areas.
Aim: Identifying the potential for car
shares or staff car leasing to reduce
environmental impact.
The Data: THT Staff Postcodes, Open
Street Maps & OS Codepoint Open
Method:
The Trafford Staff Postcodes were
matched to OS Codepoint Open.
These points were used to create
Drive Distance Areas through
ArcOnline. Drive Distance Areas are
created through algorithms that
analyse the UK road network. This
can then produce a polygon showing
how far you can drive within a certain
distance. This is following roads,
rather than as the crow flies.
Result:
These polygons can enable a visual analysis of
where car sharing schemes could potentially be
considered. To accompany the visual aid, the num-
ber of staff within each band (5, 10, 20 or 30 miles)
was counted and printed with the final output PDF.

Loreburn joins the GIS revolution

Loreburn Housing
Association are
based in Dumfries
and have just over
2800 properties. Chief Executive
Lorraine Usher saw the benefits GIS
could bring to Loreburn following a
conversation with ODC at the Housing
Show in Manchester. Capturing their
grounds maintenance data will bring
immediate cost savings when the GM contract is next let but Loreburn will also gain from the
many other benefits GIS offers. Buying a GIS and employing a GIS specialist can be a significant
investment so Loreburn have signed up for one of ODC’s Managed Services (the first in Scotland
to do so) whereby Loreburn have access to ODC’s cloud-based GIS allowing them to view their
data but its ODC’s GIS experts that run it. It’s a simple idea that allows Social Housing Providers
to piggy back on ODC’s GIS expertise at a fraction of the cost of doing it all inhouse with the risk
and expense that involves.
ODC’s Rick Thompson, himself a former GIS Officer at Trafford Housing Trust said: “It was
always felt that unless a Social Housing Provider had at least 10,000 properties they wouldn’t be
able to afford to run GIS. ODC now have a number of Social Housing Providers with less than that
number and Loreburn is the latest example to prove that size is not a barrier to progress.”
“I’ve been really impressed with the ease of use of
the GIS and being able to view our data in such a
clear way is going to help us in all manner of ways
in the future. This will improve our rent affordabil-
ity by improving processes, reducing our overhead
costs and giving our tenants better value for their
rent, something that is really important to
Loreburn.”

“Craig, we have just over 1000 properties and I’m struggling to see how GIS
can help us, especially with the cost of the system and someone to run it”
“Being honest, you are at the lowest end where you can justify the investment
purely on saving tangible costs but there are many benefits beyond just
saving pennies. We’re aware of the costs which is why we developed our
Managed Service Package which includes our Cloud based GIS and we run it
for you. Read the article on page 5 with Loreburn who don’t have many more
properties than yourselves.
“I have heard that some companies have received significant compensation
due to electricity pylons located on their land. Is it true that this is possible
without incurring any up front costs, and even once the offer from the
electricity companies has been received, we are not obligated to accept?”
“That’s correct. Some providers of social housing have already received settle-
ments in the hundreds of thousands of pounds and it is usual for the analysis
to be done for free and without any obligation to accept the electricity com-
panies offer. ODC uses GIS for part of the analysis which allows efficient
searching to establish quickly the likelihood of compensation being due”
“Hi Craig, I have found this newsletter very informative. Do you have a
mailing list to email the latest innovations in GIS?”
“Yes we do, but due to the recent changes in legislation we do need your
explicit consent to keep your email. Please email me at [email protected] with
the subject line ‘Please add me to your Mailing List’
