THE VENUEEnter through the red barn doors to our spacious Restaurant offering warehouse, rustic industrial feel complimented with a wall of wine barrels and polished cement floor.

Or perhaps the freedom to create your very own atmosphere in the Marquee is more in keeping with your event. Nestled in the trees our permanent marquee overlooks the lawn and lake and if the weather is warming up we can open the sides allowing you a view over the vines. Possibly you would like something a little less formal and make the most of Perth’s glorious weather, then keep the celebrations outside Under the Trees with service from our Smokehouse.

Should you wish to extend your beverage package up to six hours please let us know during the planning process.

Indulge yourself and your guests with our expansive five hour beverage package. Guests can choose from the following beverage menu.

BEVERAGESTERMS & CONDITIONSCONFIRMATION OF BOOKING

A deposit of 25% of total charge is required as an initial security deposit to confirm your booking. Where the deposit is not received within 7 days of a tentative booking being placed, Oakover Grounds reserves the right to release the booking. Until the deposit is received the booking remains tentative.

MINIMUM SPEND An approximate minimum spend will be set by the Function Coordinator before the initial deposit is paid. This amount will be decided on via a case by case basis, as it is dependent on number of attendees, food & beverage requirements, and setup requests.

MINIMUM NUMBERS The booking agreement is based on the number of people indicated on the booking form. If numbers decrease by greater than 10% you will be charged for the shortfall.

CONFIRMATION OF FINAL NUMBERS For groups of 50 or more, final numbers must be confirmed in writing 14 days prior to the function. For groups of less then 50, final numbers must be confirmed 7 days prior to the function. Clients will be required to prepay according to final confirmed numbers. If numbers increase, the client must pay the extra cost. If numbers decrease the client must pay for the confirmed numbers.

STAFF Oakover Grounds will supply staff for waiting and clearing tables, serving the bar, and the setup and pack down of tables, chairs, glassware & crockery. Requirement of staff for the setup of lighting, centrepieces, or any other extra duties may incur a fee. Should the venue be required to be open outside of normal hours to allow for set up or pack down, an extra fee may be incurred.

PICK UP OF DECORATIONS AND EQUIPMENT Should you choose to leave decorations or equipment on the premises, you do so at your own risk. Oakover Grounds will take all care to ensure your possessions are safe, however we do have a large amount of public access, and no responsibility will be taken. Any leftover decorations or equipment must be picked up within five (5) working days of the wedding. Anything left on the premises after this time will be disposed of.

TERMS OF PAYMENT Payment can be made by Visa or MasterCard, cash, direct deposit or Amex NB. Amex will incur a 3% surcharge.

CANCELLATION POLICY All cancellations must be made in writing to the Functions Coordinator. The following cancellation fees apply to all bookings: Once received confirmed numbers the client will forfeit the initial deposit.

FOOD AND BEVERAGE Food and Beverage Packages must be confirmed and selections advised to the venue seven days prior to the date of the function. No food or beverage of any kind will be permitted to be brought into the venue by the client or any other person attending a function unless prior arrangement with Oakover Grounds, and may incur a charge. The menus contained herein are subject to change without notice.

Functions booked on a Public Holidays may incur a surcharge of 15% on all food and beverage.

PRICE VARIATION Packages are valid from 1st Mayy 2018 – 30th June 2019. Due to food and beverage price increases Oakover Grounds cannot guarantee prices will not increase prior to your function date, however we will guarantee that any increase will not exceed 5% of your chosen package. Should any increases incur, we will notify you immediately.

INSURANCE Oakover Grounds will endeavour to take every possible care but accepts no responsibility for damage to, or loss of, merchandise or personal belongings left in the venue prior to, during or after the reception. Clients are financially liable for any damage sustained, or loss incurred to the venue, fixtures or fittings, through their own actions, those of their guests, sub-contractors and contractors.

DECORATIONS Nothing is to be nailed, screwed or adhered in any way to any wall, door or other part of the venue. All decorations are to be preapproved by the Functions Coordinator prior to the reception.

ENTERTAINERS AND CONTRACTORS No entertainment is to be arranged without approval from the Functions Coordinator.

The Musicians Award stipulates that all entertainers must be provided with a meal. These are provided at a charge of $30 each.

AUDIO VISUAL We can source, hire and set-up required audio visual equipment, charges will be dependent on the arrangement. Audio Visual providers arranged by the client must be informed to contact the Functions Coordinator seven days prior to the event for delivery and setup guidelines.

SMOKING The venue itself is non-smoking including the veranda and grounds.

SECURITY The client will incur the cost of any additional security for a private function, deemed necessary by Oakover Grounds.

UNDERAGE GUESTS Juveniles are welcome to attend functions at the Oakover Grounds providing a legal guardian is with them at all times. A consent form may be required and must be signed by both parties (management and legal guardian) one week prior to the function. The underage guest must always have soft drinks ordered for them. The wristband issued by security must be visible at all times.

DELIVERIES All deliveries to Oakover Grounds must be approved by the Functions Coordinator and be clearly marked with the date and day of the function. Suppliers are responsible for delivery and pickup within Oakover Grounds.

DRESS CODE Guests to Oakover Grounds must be neatly dressed at all times and wear appropriate footwear.

RESPONSIBLE SERVICE OF ALCOHOL Oakover Grounds actively promotes and engages in Responsible Service of Alcohol. No BYO alcohol is permitted at any time. If any guest is found to display any signs of nearing a level of intoxication the service of alcohol will be removed. If the guest then becomes aggressive or is found to be supplied alcohol by another guest both parties will be asked to leave the premises..
