Recognition is the timely acknowledgement of an individual or team’s efforts for a job

well done that supports the organization’s goals and values.

2. Why does Aricent have the Aricent Celebrates Excellence Program?

Aricent has the Aricent Celebrates Excellence Program to facilitate the

acknowledgement of an employee’s efforts or a job well done. Our Aricent Celebrates

Excellence Program has many ways through which we are celebrated at Aricent,

including Kudos, WOW Award, Annual Award, and Milestone Award. Through our online

celebrate excellence tool, you can also deliver Kudos or WOW Awards via an eCards to

recognize anyone at Aricent for their successful delivery of any project, any time.

3. Where can I find the awards I have received?

You can find your awards and eCards posted on Aricent Celebrates Excellence

application under your activities tracker and on social wall app on the tool. The

recognition received before August 2014 will not be available in this tool.

4. Who is eligible to participate in the Aricent Celebrates Excellence?

All regular employees are eligible to participate.

5. Why do I receive recognition? What are recognition elements?

Recognition comes in many forms, a simple thank you all the way to special awards that

honor your successful contributions to our collective success. When you receive

acknowledgement of a job well done, it is for demonstrating one of the below mentioned

behaviors/traits. These behaviors are also called as Recognition Elements.

6. What types of recognition can I receive?

You can receive the following recognition via Aricent Celebrates Excellence Program:

Kudos Award: Acknowledgement from your colleagues, team members or manager

WOW Award: Acknowledgement from managers

Annual Awards: Acknowledgement from managers and our Executive Leadership

Team for extraordinary performance during the year

Milestone Awards: Acknowledgement for your tenure with Aricent (Example: 1 year,

5 years, 10 years, 15 years, 20 years and 25 years)

7. What are reward points?

The Reward Points are the points earned when you receive recognition under Wow, Annual and

Milestone recognition categories. The earned points are visible to you on your system account

and can be accumulated / redeemed against a wide array of products available in an online

catalogue. Reward points can be carried forward and accumulated during your entire service

years with Aricent and will expire only on separation.

8. Where can I do with my points? What is Rewards Catalogue?

You can use your points to purchase a variety of items, services, travel and more via an

online catalogue available on the Aricent celebrate Excellence tool – Shop tab. Save

your points for the big things or spend your points when they are awarded to you, the

choice is yours. Within the catalog, you will find every days items, such as books and

electronics, sports accessories and clothes, even jewelry, travel and cards etc!

9. Will our awards this fiscal year be the same as the awards employees received in

the past?

You will find that many of the awards you know and love from the past continue to live

on in our newly updated Aricent Celebrates Excellence Program; however, many of the

awards have been expanded and new awards have been introduced, too.

10. If i receive good number of recognitions in a year, will it also translate into a

higher rating in iPerform?

It should be noted that the Aricent Celebrates Excellence program does not have any

direct or indirect linkage with your performance assessment i.e. any employee receiving

higher number of recognitions may not get a higher rating at the yearend assessment

and vice versa. Performance rating is a reflection of the overall performance of the

employee for the entire year, while recognition highlights particular instances of

achievement by the individuals or teams

Kudos

(employee-to-employee recognition, no points awarded)

11. What is Kudos?

Kudos is an employee to employee recognition. It can be given as an acknowledgement

or a simple thank you by any employee to another. It can be a peer-to-peer, manager-to-

employee or employee-to-manager recognition. Kudos is a very simple way to provide

instant recognition and appreciate someone for their work.

12. Who can give or receive Kudos?

Kudos can be given or received by all regular employees irrespective of their grade or

role.

13. How can I give Kudos?

It is very simple to give Kudos to your peers/ manager or team members. You can select

the employee to be recognized, enter a recognition message, pick the behavior

(recognition element) that best fits the reason for the award along with an e card and

submit the recognition. Once submitted it will be published within the tool on the

Recognition wall for all to see. The recognized employee will receive mail intimation for

the same.

14. What is the approval process of Kudos?

There is no approval required for Kudos. Once you complete the Kudos process in

Aricent Celebrates Excellence application, it will be immediately received by the

recognized person and published on the recognition wall for all to see.

15. How many Kudos Awards can I receive or give in each quarter?

You can receive or give any number of Kudos during the quarter. There is no limit to the

number of Kudos Awards you can receive or give in each quarter or during the year.

However recognition should be given judiciously. If overdone it may erode its

significance or value to the employee recognized. Make sure it is for something relevant

and tangible.

16. How many points do I get for a Kudos Award?

Kudos is a non-monetary recognition and there is no reward points associated with

Kudos.

WOW Award

(points awarded, manager-to-employee recognition)

17. What is a WOW Award?

Wow award can be given to an employee or team by a manager to recognize the

exceptional work or a job well done. Apart from e-card, employees will get reward points

with this recognition as a token of appreciation for their achievements as an individual or

a team.

18. Who can give or receive a WOW Award?

A manager can give a WOW Award to any member of his team. For Aricent to deliver

exceptional results for its clients, we all must be collaborative, so that means managers

can give awards to members of other teams as well.

Wow Award can only be received by employees below Assistant Vice President level.

19. Can we include contractual employees while giving a Wow-Team Excellence

award or give Kudos to them?

Only regular employees are part of this program, hence contractual employees cannot

be given any recognition through this program

20. Who can approve Wow Awards?

Wow awards are approved by the Director or above. Wow Awards budget is allocated to

your director, which can be utilized by all managers in your director’s team to recognize

their team members. All directors can approve nominations; so if you are a director and

above, your nomination will not require additional approval.

21. As a manager, how can I give a WOW Award?

As a manager, you can reward exceptional performance and inspire other employees to

deliver their best by honoring employees and teams with a WOW Award. You can give a

WOW Award by simply logging into the celebrate excellence tool, nominating an

employee or team, stating the recognition message / citation, selecting the behavior that

prompted the award and submitting the nomination to your director for approval.

22. How many employees can be nominated for a single Wow Award?

There is no limit to the number of employees who can be included in an Individual or

Team excellence award. Ideally Individual Award should be given to one person for

exceptional individual contribution whereas team award is given the collective success of

all team members. Any number of team members can be included in a team excellence

award subject to the budget availability of the director.

23. Who approves WOW Awards?

Directors and above can approve WOW Awards requests raised by the managers who

report to them.

24. As employee, will I know if I’ve been nominated for a WOW Award?

You will not know if you are nominated for a WOW Award. You will be notified of the

honor only after your award is approved by your director.

25. How will I know if I received a WOW Award?

Once the nomination is approved, you will be notified via mail along with the manager

and the award will be published on the recognition wall in Aricent Celebrates Excellence

application.

26. Will I receive any certificate along with the Wow Awards?

You will receive Recognition badge and e cards in the tool along with your Wow Award,

which can be printed and posted on your work area as a token of your accomplishment.

27. How many WOW Awards can I receive or give each year?

You can receive any number of WOW awards during the year subjected to the budget

availability of your director.

As manager you can give away Wow awards till your director has Wow awards budget

available of any particular quarter. You will have visibility of your director’s budget for

Wow awards for a particular quarter.

28. How many points do I get for a WOW Award?

You get the following points for being given a WOW Award.

29. What happens to the unutilized reward points of the director for any particular

quota?

A director’s or above points budget will be allocated on quarterly basis. Any unused

budget a director may have at the end of a quarter will be carried over to the next quarter

and added to his or her quarterly budget for the next quarter. All remaining points at the

end of the fiscal year will lapse and will not rollover to the next year.

30. As a manager, why should I nominate an employee for a WOW Award?

In your role as a manager, you want to recognize and reward high performance and the

behaviors Aricent seeks most from its employees. When you do so, you show

employees that you are interested in them personally, as well as the success they

deliver for our clients. In turn, employees you recognize tend to want to deliver even

better performance for you in the future. Acknowledging employees for their

contributions to our collective success is win-win for everyone.

31. As a manager, can I nominate someone from a different team for a WOW Award?

Yes. Managers can nominate employees and teams that do not report to him or her for a

WOW Award.

32. Who will have WOW Award points budget?

Directors and above will have WOW Award points budgets. As a manager, you can see

your director’s budget and use it to recognize your team.

33. As a manager, can I decide how many points to recommend when I nominate an

employee for a WOW Award?

The award points are fixed and cannot be adjusted by managers.

34. As a manager, how do I know a WOW Award has been approved?

As the manager who nominated an employee or team for a WOW Award, you will

receive notification of the nomination approval or rejection via email. You can also find

this information in the celebrate excellence tool, too.

35. As a manager, what do I do if my director doesn’t agree with my recommendation

for a WOW Award?

Your director may reject your recommendation if he does not agree. If you would like to

appeal his or her decision, start by having a discussion with your director, explaining all

of the business reasons behind your nomination. In the end, it is your director’s decision

to approve or reject your nomination. It is also suggested to discuss with your director

before you nominate someone for a Wow Award.

36. As a manager, when should I tell an employee that he or she has been nominated

for a WOW Award?

Once an employee’s or team’s WOW Award has been approved, the celebrate

excellence tool will send a notification via email. However, you can always tell the

employee about the award and celebrate the success that comes with such an award.

Just be sure it is approved in the celebrate excellence tool before you deliver the news.

37. As E4 or N4 grade, I have employees reporting to me, will I have access to the

Wow awards budget for recognizing my team?

You will have access to the Wow awards budget if you have employees reporting to you

in SAP

38. What is a director’s role in the process?

Director plays a very important role in celebrating excellence in their team by fostering a

practice of giving instant, timely and frequent recognition. They should create awareness

of the impact of recognition on team / individual performance among the managers in

their span and actively encourage them to recognize their team members as much as

they can. They should also ensure that the employees nominated by the managers are

truly deserving of the awards before approving the same. They need to manage the

points budget allocated to them judiciously. Each director and above is assigned a points

budget based on the total number of employees reporting to him or her.

39. Why are points budgets managed at the director level?

Points are managed at the director level because of the numbers of employees reporting

into them, which provides for more significant budgets, allowing for WOW Awards to be

better managed from a budget point of view.

40. Is my points budget allocated to directors annually or quarterly?

Reward points budget is allocated quarterly to the directors.

41. As a technical director, will I get any budget for Wow Awards?

Wow awards budget is distributed based on the employee span of the director. If you do

not have any employee reporting to you, then you would not have any Wow awards

budget. You may recognize through Kudos or request your peer directors to recognize

the individual’s effort using their Wow awards budget.

Milestone Award

42. What is a Milestone Award?

A Milestone Award is given as an acknowledgement for the years of service at Aricent. It

is given after completion of 1 year, 5 years, 10 years, 15 years, 20 years and 25 years. It

is an acknowledgement and celebration for the consistent efforts, dedication and

commitment displayed by the employee during his/her service tenure with Aricent.

43. Who is eligible to receive a Milestone Award?

Any regular employee is eligible to receive a Milestone Award.

44. What are the Milestone Award criteria?

Any employee who has completed 1 year, 5 years, 10 years, 15 years, 20 years and 25

years of service at Aricent are eligible to receive a Milestone Award.

The date an employee joined Aricent as a regular employee shall be construed as

his/her DOJ and the same shall be treated as his/her anniversary date in subsequent

years. Period served as a trainee or on contract shall not be included. Milestone awards

are applicable for employees completing milestone from August 1, 2014.

You will be notified through an email when you receive a Milestone Award and your

recognition will also be posted on the Recognition Wall in the tool. You will be able to

view your award on the Aricent celebrate excellence tool, which is where you will also

find points you have been awarded.

48. Will I receive any certificate for Milestone Award?

All employees based in India will receive a certificate on completion of 1 year and a

plaque for 5, 10, 15, 20 and 25 years completion along with the reward points. The

certificate / plaques will be handed over to the managers so that they can present it to

the employee on the day of milestone completion.

Employees based outside India will only receive the reward points.

Annual ACE Awards

49. What is an Annual ACE Award?

Annual ACE Awards is the elitist award of the year and is given to individuals for

exceptional leadership skills, showcasing excellence in their respective areas, innovative

delivery or collaboration during the year. It is an acknowledgement from managers and

our executive leadership team of the employee’s achievements.

50. Who is eligible to receive an Annual Award?

All regular employee, who have completed at least 6 months in Aricent as on the launch

date of the process are eligible to receive an Annual Award, although certain award

categories may have special eligibility criteria.

Annual Award can be given to an individual not a team.

51. What are the type of Annual Awards and their eligibility criteria?

52. Who can give an Annual Award?

Managers are responsible for nominating their team members for Annual Awards.

Annual Awards are approved by all the managers in the hierarchy of the employee

through the Associate Vice President level, followed by the Annual Award jury and HR

Business Partner approvals.

The CEO Award is nominated by the jury and approved by the members of the

Executive Leadership Team, including our Chief Executive Officer.

The jury team consists of the Engineering / Corporate functions heads, Location heads,

Operation head and Global HR Head. HR team will lead and drive this activity, facilitating the

whole process

56. How will I know if I’ve been nominated for an Annual Award?

You will be notified when the Annual Award winner list is finalized. The winners will also

be published on the celebrate excellence tool and Intranet.

57. How will I know if I have received an Annual Award?

You will receive a mail intimation on winning the annual award. You will also be notified

when the winners list is finalized and you will be invited to the Annual Awards ceremony.

58. How many points do I get for an Annual Award?

59. What is a manager’s role in the Annual Award process?

Managers play an important role in the Annual Award nomination. Managers can

60. As a manager, who can I nominate for an Annual Award?

As manager, you can nominate any individual from your team for an Annual Award. You

cannot nominate someone from a team you do not manage for this Award.

61. Why should I nominate an employee for an Annual Award?

You should nominate to honor an employee for his or her contributions to our collective

success throughout the year. By recognizing employees for their individual contributions,

you inspire them to deliver even greater performance in the future, as well as set the

stage for high performance for your entire team.

62. Can I nominate someone from a different team for an Annual Award?

You cannot nominate someone from a team you do not manage for an Annual Award.

63. When should I tell an employee that he or she has been nominated for an Annual

Award?

You can tell your employee that he or she was nominated after the Annual Award

winners list is published in the celebrate excellence tool and on the Intranet.

64. If I am a director based in India and give recognition to an employee who is based

outside India, say US, what will be my point deduction?

The value of the reward points is different in different countries basis Purchasing parity

of that location. The winners will get the standard reward points (500 for Individual

Award and 150 for Team Award) irrespective of any location but the budget owner will

bear the impact. Please find below some scenarios:

FAQs related to the Application / Tool

60. How can I access Aricent Celebrate Excellence tool?

You may log into Aricent celebrate Excellence (ACE tool) by clicking on the link “Aricent

Celebrate Excellence” available under Tools section on Aricent World (AW) homepage.

Like all other Aricent systems / tools, ACE is also a single sign on system hence does

not require any login ID or password.

61. Will my personal details be available on ACE tool?

Tool has sync up with Aricent’s enterprise portal. Going forward on weekly basis, this

sync up will happen and the default information like employee name, location, Grade etc.

as available in enterprise portal will automatically get updated in ACE tool.

62. Whom should I contact in case I find out any discrepancy in my personal

information available in ACE tool?

In case you find any disconnect in the personal information available on the ACE tool,

please raise a helpdesk ticket. While raising the ticket, please select Aricent Celebrates

Excellence as service category and Recognition Tool as sub category.

63. How do I update my profile picture in the ACE tool?

You may click on your name on the upper right corner of the homepage to access your

profile page and update your profile picture in the “Personal info” tab.

64. Do we have any reference documents providing the information about the entire

program, process and ACE tool?

Yes, below three documents have been uploaded on the Recourse Center app on the

home page which provides detailed information about the program and related

processes.

65. How can I raise a nomination / Recognition in the system?

Once you log into the system, provide the first name of the employee whom you want to

recognize in the “I would like to recognize” app on the homepage. Further you will be

required to select the recognition type and provide other related details like citation,

select an ecard, recognition element etc. Post filling the required information, click on

submit button to either raise a recognition or to send a nomination for approval.

66. As a manager, in the tool where can I see the budget points available with my

Director?

Budget points available with the Director are available on the Budget app visible on the

homepage.

67. As a manager, while selecting a team for Wow - Team Excellence Award, do I need

to select each individual separately or can I select the entire hierarchy based on

the line managers?

Currently we do not have the option of selecting the hierarchy based on the line

managers; hence each individual recipient of the team award needs to be selected

separately.

68. How can I check the status of the recognition that I have raised?

You may check the status of the recognition(s) that you have raised under the Activity

History page. In order to access the Activity History page, click on your name on the

upper right corner of the home page to access your profile page. Once you are on the

profile page click on the Activity History tab. You will also receive a system generated

mail once any action (Approval or Rejection) is taken by the Director on the recognition

raised by you.

69. Where can I see all the recognitions that I have received over a period of time?

In order to view all the recognitions that you have received, click on your name on the

70. Can I see the details of recognition received by other employees across Aricent in

ACE tool?

Yes, you may view the details of recognition received by other employees across Aricent

on the “Social Wall” app available on the homepage and on the Social Page.

71. I don’t want my recognition to be displayed on Social Wall. How do I turn this off?

In case you do not want your recognition to be public, click on your name on the upper

right corner of the homepage to access your profile. Once you are on your profile page,

click the Preferences link in the grey box. Make the required changes on this page and

save those changes.

72. As manager, can I save the nomination as draft and submit it later for approval in

Wow Awards?

You cannot save the nomination as draft. You can preview and edit the nomination

before submission to your director

73. As a Director (budget Owner), how will I come to know that a manager has raised

a nomination and same is pending for my approval?

Once a manager (under your hierarchy) raises a nomination, you will receive a mail

notifying about the recognition that has been raised and also detailing out the relevant

information like name of the employee for whom nomination has been raised, citation

given by manager, recognition type etc. You will also get an alert on the homepage once

you log into the tool.

74. As a director, how can I approve or reject any nomination that has been raised by

the manager under my hierarchy?

There are multiple ways to approve or reject any nomination:

a) Option 1 - You may log into the system and on the homepage there is a

Review Approval tab at the bottom of the page. Click on the same and you

will be directed to Review Approval page where you may approve or reject

the nomination.

b) Option 2 - You will also get alert on the homepage for any pending requests.

Click on the same and you will be directed to the Review Approval page.

c) Option 3 – You can reach to the review approval page by clicking on the link

you get on the notification mail which you will receive when any manager

submits any nomination.

75. As a director, can I reject the nomination and will it go back to my managers, so

that they can modify the nomination and resubmit the same?

You can reject the nomination as a director specifying the reason for rejection and

managers will be notified regarding the same. But managers cannot access the rejected

nomination for any modification. Once rejected, the nomination has to be raised again

afresh.

76. As a director can I delegate my rights (for approving or rejecting any recognition)

to any of my team member in the system?

Yes, you have the option to delegate your rights to any of your team member. To

delegate your rights, you may click on your name on the upper right corner of the

homepage to access your Profile page. Once you are on the Profile page, click on the

delegate link in the gray box. Make your changes on this page and save the changes

77. Can I access the application on mobile or any hand held devices?

No. Currently we do not have the application available on the mobile or handheld

devices.

78. As a director, do I have the option to give my remarks while approving or rejecting

any nomination?

No, approver does not have the option to give comments or remarks while approving or

rejecting any nomination. However in case of rejection, you have to select the reason for

rejection from the dropdown list provided against each pending nomination request. You

may select any of the commonly used reasons specified in the application or you may

select “Miscellaneous” in case of reasons other than the ones mentioned.

79. Where can I see the badges that I have received for various recognitions?

You can view the number of badges that you have received under the “Badge” app on

the Social page. To view the details of the badges received/earned, click on the arrow on

the upper right corner of the badge app. A new window will open providing the details of

badges that you have received under each recognition category.

80. Where can I see my Reward Points available for redemption?

Your total reward points available for redemption will be visible just below your name at

the right hand side top corner of the home page.

81. Can I have a detailed statement of the reward points that I have earned, points that

I have utilized and points available in my kitty?

In order to have a detailed statement of the reward points, click on your name on the

upper right corner of the home page and click on the statement tab. This tab provides

complete information about the reward points available at the beginning of the particular

period, rewards points earned and reward point utilized in that foresaid period. You also

have the option to change the time period by selecting filter options available on the

same page.

79. How can I spend / redeem the points that I have earned?

You may spend/ redeem your points by visiting the Shop page available in ACE tool. On

the Shop page, click on the “Shop For Merchandise” app, a new window will open up

with a preset catalogue from where you may select the merchandise against which you

want to redeem your points.

80. Whom should I contact in case I find any discrepancy in the points that I have

earned and points that are being displayed on my profile?

In case of any discrepancy in the points earned and points getting displayed, please

contact your Business Partners at your respective location or you may also drop a mail

to [email protected] detailing out your concern.

81. What all product categories are available in the merchandise catalogue?

Merchandise catalogue includes 17 different product categories like electronics, gifts,

health & beauty, home, office, men’s etc.

82. Whom should I contact in case I am facing problem while redeeming my points

or with the merchandise catalogue?

In case you are having issues while redeeming your points or using the merchandise

catalogue, you may drop a mail to [email protected] detailing out

your concern(s).

83. As a manager how can I pull out the reports from the system?

You need to click on the “My Reports” tab on ACE tool homepage. You will be directed

to the standard reports section; from there you will be able to access different types of

reports.

84. What all formats are configured in the ACE tool to pull the Reports?

All standard and custom reports can be pulled in Microsoft excel and PDF document

from the system.

85. Does this tool include some custom reports as well?

Yes, currently we have 3 customs reports:

Recognition Step Status Report.

Recognition Status Report – Employee Wise.

Recognition Status Report – Count Wise.
