The Board of School Trustees of the Fort Wayne Community Schools met in regular session in
the Lester L. Grile Administrative Center on Monday, June 12, 2017 at 6:04 p.m. President Julie
Hollingsworth called the meeting to order with the Pledge of Allegiance and the following members in
attendance:

Dr. Wendy Robinson, superintendent, presented the following information and
recommendations concerning awards and recognitions:
RECOMMENDATION: It is recommended that the Board recognize North Side High School Unified
Track and Field students who placed second at the state Unified Track and Field finals in June.
RELATED INFORMATION: Unified Track and Field, a partnership of the Indiana High School
Athletic Association and with Special Olympics Indiana, offers a unique and quality experience of
sports training and competition in an inclusive environment. Students with and without disabilities
collectively represent their high school. This year marked the fourth State Track and Field finals, which
brought together the ten best unified teams in the state to compete. The North Side team took second
place, and this is the first time the team has gone to state finals.

RECOMMENDATION: It is recommended that the Board recognize the Northrop and Snider high
school bands for receiving the Indiana State School Music Association All-Music Award for 2016-17.
RELATED INFORMATION: The Indiana State School Music Association (ISSMA) All-Music
Award is designed to recognize well-rounded school music programs. To qualify for the All-Music
Award, the group must earn a gold rating at every level and competition. The Northrop and Snider
bands were selected for the 2016-17 honor and will be presented with a special banner to display in
recognition of their achievement. Representing the bands tonight are each school’s drum majors.

RELATED INFORMATION: The Indiana High School Athletic Association State Track and Field
championship was held June 2-3 in Bloomington. Track teams from across the state competed. Fort
Wayne Community Schools had top 10 finishers from Northrop, Snider and Wayne high schools.

12, 2017 and the payroll for the period ending May 12, 2017; and the personnel report.
The minutes from the Board meeting held June 22, 2017, were distributed to Board Members for review
with a document for approval.
RECOMMENDATION: It is recommended that the Board approve the vouchers for the period
ending June 12, 2017 and the payroll for the period ending May 12, 2017.
RELATED INFORMATION: All vouchers paid by the Fort Wayne Community Schools appear on a
voucher listing totaling $6,472,512.23. Gross wages and fringe benefits paid by the Fort Wayne
Community Schools appear on the Payroll Certification document totaling $7,965,197.69 for the period
ending May 12, 2017.
Detail of all paid vouchers and payroll remains on file in the Business Office until audited by the State
Board of Accounts. Following the audit, these records are stored as required by record retention

Dr. Robinson presented the following recommendation concerning the Laptop Computers for
Special Education Teachers:
RECOMMENDATION: It is recommended that the Board approve the purchase of 300 Lenovo
laptop computers from Prosys of Indianapolis and 15 laptop computers from Hewlett Packard Direct of
Omaha, NE for $276,639.44.
Tagging and imaging services are included in the purchase price from Prosys for all 315 laptops, and
315 laptop cases are included in the purchase price from Hewlett Packard.
RELATED INFORMATION: The 300 Lenovo laptops will replace those currently utilized by
Special Education teachers and other positions, and the 15 Hewlett Packard laptops will replace those
currently used by school psychologists.
Indiana law does not require public bidding for purchases made at or below General Services
Administration (GSA) pricing. Both Prosys and Hewlett Packard extended pricing below GSA pricing.
Prosys pricing is approximately 50% below GSA and Hewlett Packard pricing is approximately 49%
below GSA pricing.
These computers will be purchased on a 48-month lease purchase agreement with a $1.00 buyout option
at the end of the lease at a 2.16% interest rate through PNC Equipment Finance. The lease will consist
of four annual payments of $69,159.86. At the end of the lease FWCS will own the laptops.
This purchase will be funded with the Special Education Federal Grant.

RECOMMENDATION: It is recommended that the attached list of gifts, grants and donations be
officially accepted by the Board.
RELATED INFORMATION: Throughout the school year, various schools receive gifts and
donations from individuals, organizations and businesses. Authorization to receive gifts is a Board
function. The State Board of Accounts has agreed that a listing of all gifts received during any one year

Dr. Robinson presented the following recommendation concerning the Report of 2016
Extracurricular Account Equipment Purchases:
RECOMMENDATION: It is recommended that the attached report of equipment purchases be
officially accepted by the Board.
RELATED INFORMATION: Equipment purchases including equipment reconditioning over $500
from extracurricular funds are subject to approval by the Board of School Trustees. The State Board of
Accounts has agreed that these purchases and reconditioning may be accepted annually.
Attached is the report as submitted by FWCS unit heads for 2016.
Questions will be addressed by Chief Financial Officer Kathy Friend.

concerning the Report of 2016 Extracurricular Account Equipment Purchases be approved. Roll Call:

Dr. Robinson presented the following recommendation concerning the First Semester 2016-17
Extracurricular Account Reports:
RECOMMENDATION: It is recommended that the Board accept the Extracurricular Account
Reports for the first semester of the 2016-17 school year.
RELATED INFORMATION: Indiana Code 20-41-1-8 requires an accurate account of all money
received and expended by extracurricular accounts. A report of the sources of all receipts, the purposes
for which the money was expended and the balance on hand is required to be filed with the School
Board of Trustees. All extracurricular semester reports were audited by the Business Office. The
General Ledger summary report of each school’s accounts is provided. All extracurricular records are
maintained for five years and are available for inspection in the Business Office. This document will
also be kept on file in the Superintendent’s Office.

Board Member Steve Corona congratulated the following North Side students who were invited to
attend a one-week summer academy at IU Bloomington known as the Balfour Scholars: Jaesha
Alexander, Keishawnra Burnett, Lesly Cardenas, Trinity Carter, Ana Martinez, Seiktama Mon, Jessica
Ramirez, Irwin Serratos, CalistaTerlosky and Stefan Townes. Mr. Corona also commented about
visiting Sweetwater Sound and Parkview last week. They both provided good advice for high school
counselors and students when applying for jobs.
Board members attended graduations last week and commented that it was rewarding to see the student
successes. Board Members congratulated the FWCS graduates, parents and staff and gave best wishes
for a successful life.
Dr. Robinson thanked all the people who work to make the graduations a good experience for all.
Board President Julie Hollingsworth commented on local plan to increase local income tax to work on
sidewalks, alley improvements and the river front. Call your city council representative or attend a
council meeting.
The next regular meeting of the Board is scheduled for Monday, June 26, 2017 at 6:00 p.m. in
the Lester L. Grile Administrative Center.
Documents to be signed by members of the Board were the Regular Board Meeting Minutes
from May 22, 2017, Payroll Certification 10 for payroll ending May 12, 2017 and Voucher List for
period ending June 12, 2017.
