Select the properties that you want to attribute to the selected field. If it’s a name field, change the Type to Text; if it’s a field that will contain numbers, select Numeric, etc. Repeat for all the fields on the form.

Using the Object PaletteThe Object Palette can contain predefined objects that you can paste into your form, like a memo header or a group of fields you use often. If you are designing a memo, place the memo header object included with FormTool—containing From, To, and Regarding fields—into your form. You can also create your own objects and then save them to the Object Palette for future use.

To use the Object Palette:Click (Object Palette) on the Main toolbar.

To save an object to the Object Palette:

1. Define your group of objects by clicking(Select) and dragging a box around them.

2. Select them all and drag-and-drop them into the Object Palette.

Choose or create an FTL file to save your objects into. The Default.ftl file contains many samples. FormTool automatically saves objects in theLibrary folder, found in the C:\Program Files\IMSI\FormTool Deluxe folder.

Adding DetailsOnce the labels and fields are in place and defined, you can do the detail work. This may include shading the fields with the Graphics tab or adding logos and images. If you have an image that you want to place on the form, click (Picture) in theObject toolbar.

Place the cursor where you want the picture to appear and draw the rough dimensions. The Open dialog appears. Browse to the image file you want, or go to the Clip Art directory.

You can also add colored borders around a text box—or make them thicker for the fields—using the Graphic tab of the Property Inspector.Click (Select) and double-click the field or text box. The Properties of Text Field dialog appears, displaying all the options available for the specific object you selected. Some options are not available for certain objects. For instance, if you selected an ellipse, the Font tab will not appear. Now, you can either use the form as it is,filling it and/or printing it, or you can connect it to a database.

2 SEE ALSO: If you want to connect the form to a database, see “Connecting to a Database” on page 4-45 of theOnscreen Reference Manual.

Filling a FormThis section introduces you to filling the forms you create in the Designer. To get to the Filler View, select View|Go To Filler, press <Ctrl>+<F>, or click (Go To Filler) on the Main toolbar.

The Filler ViewThe Filler View is where you fill your forms, creating data that can be saved, edited, sorted, and queried. It is similar to the Designer View, but only contains these elements:

Use the first five icons to go from one record to another. From left to right, they are: FirstRecord, Previous Record, Search Record, Next Record, and Last Record. The next set of icons are record management buttons. From left to right, they are: NewRecord, Delete Record, Save Record, Copy Record, Query, and Sort Order.

2 SEE ALSO: For more detailed information on the Database toolbar, please see “Searching, Browsing, Adding,Deleting, and Saving Data” on page 4-50 of the Onscreen Reference Manual.

How to Fill a FormUse the <Tab> or <Enter> keys to select fields for filling, or press <Shift>+<Tab> to go backwards in field order. The exception for using the <Enter> key to select fields is the memo field. While filling a memo field, the <Enter> key will act as a carriage return (as in a word processing application). This way you can enter text in paragraph form instead of one continuous line. You enter data one field at a time. Each field accepts data as defined in the Designer View. For example, numeric fields will only accept numeric characters, date fields are automatically filled with today’s date, and check boxes and radio buttons are filled by pressing <Space>.

Defining Filling OrderUse the <Tab> key to select fields. The fields will be selected in the order in which they were created. If you wish, you can change the order in which fields are made active by selecting Tools|Field Filling Order.

1 NOTE: You must be in Designer view to define the filling order.

Chapter 2 Installing and Getting Started with FormTool

To define the filling order:

1. Select Tools|Field Filling Order. All the fields will have a number attached to their border. The filling order will default to the order in which the fields were created.

2. Choose which field you want the user to fill first and click on it. If you want the first field created to be the first to be filled, you will still need to click on it first. The field box will now have a number ‘1’ attached (in a solid-colored box), and the number on the selection arrow will change to a ‘2’.

3. Now select the field you want the user to fill second.4. Continue to click the fields in the filling order you want. The numbers of the other

fields will change to reflect the new order.

Scanning and OCR in FormToolYou can scan a document with FormTool using almost any TWAIN-compliant scanner. The resulting image can then be converted into FormTool form elementsusing the processes known as Optical Character Recognition (OCR) and Electronic Forms Recognition (EFR). Instead of replicating a form by hand, you can have FormTool convert the elements on the image to editable electronic objects. There are three basic steps to converting a scannable form or image into an editableFormTool form:

1. Scanning an existing hard copy form, or Importing electronic information.2. Recognizing objects and converting them to FormTool elements.3. Editing the resulting elements and arranging them in your form.

Scanning or ImportingUse your scanner to directly scan images or forms into FormTool. You can also import an image into FormTool if it has already been scanned, or choose a single image from a library of images.FormTool recognizes elements as several different types of entities:

• Horizontal lines are seen as the base for fields.• Vertical and diagonal lines are seen as graphic items.• Text used for headers, footers, headings, small print, and body text will be

recognized as text.2–11

Page 26: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

FormTool

• Field boxes allow you to create input fields, e.g., phone numbers and addresses.• Check boxes are seen as check boxes.• Fonts are recognized, which will save you many steps in the formatting of your

document. You can choose to keep or substitute the recognized font for any font installed in your system.

OCR & EFRYou can recognize and convert text and graphic elements of an image intoFormTool elements. We will use the terms Recognition, Recognize, and Recognizing to describe the process of OCR and EFR.

TipsHere are some general tips which will help you get the best possible image when you scan:

• Optimum resolution for scanning is 300 dots per inch (DPI).• If your document uses only grayscale images and text, use the grayscale option.

This will give you the best results for some fonts and check boxes with shadows.

• Make sure the page size of your scanned image is the same as the form. You can set this up in File|Form Setup in FormTool. FormTool supports Windows page sizes, so you can scan up to 11" by 17", depending on your scanner. The most common sizes are 8.5" by 11" (letter) and 8.5" by 14" (legal).

Scanning a FormThere are several steps to take when you scan a form into FormTool.

Selecting the SourceThe Select Source command lets you select a TWAIN-compliant driver for your scanner. You will only have to use this command:

• The first time you use your scanner, or• If you have more than one scanner driver installed.

2–12

Page 27: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

Chapter 2 Installing and Getting Started with FormTool

To select your TWAIN-compliant driver:

1. Select Image|Select Source. The Select Source dialog opens.2. Choose the driver that you wish to use.3. Click [OK], click [Select], or press [Enter], depending on your software.

1 NOTE: The number of sources in the Select Source list depends upon the number of scanners installed on yourcomputer and your scanning software.

Starting the ScanScanning your form puts a picture of your form into your computer’s memory. After scanning, we will put FormTool’s powerful recognition software to use.

2 NOTE: The scanning-related options in the Image menu won’t be available unless you have a scanner availablefrom your computer and the supporting scanning software installed.

To scan a form:

1. Select Image|Scan to open the scanner software. The scanner software’s interface appears.

2. Select settings that will give you the best scan for FormTool’s recognition process.3. Depending on the scanner software you are using, start the scanning process by

clicking the appropriate button.

After scanning, close your scanning software as described in your scanner’s manual.

2 NOTE: For more information on operating your scanner, please consult your scanner’s user manual and scanningsoftware.

Recognizing Form ElementsFormTool will now perform powerful software calculations on the image, extracting the elements that you choose to remain on the form. You may want FormTool to recognize fields, or to only recognize the lines on the form so you can create your own fields. To change the default settings for the way FormTool

recognizes elements on your forms, select Image|Recognize or click [Recognize] in theRecognize Options dialog.

1 NOTE: If you are recognizing a scanned image, you need to have the image on the form and select Image|MarkSelection for OCR in order for the Image menu options to become available.

To recognize an image:

1. Select Image|Recognize. The status bar at the bottom-left of the FormTool window will show a progress indicator, and text describing which items are being recognized. Or, you can click [Recognize] in the Recognize Options dialog.

2. When the recognition process is finished, an overlay of the new FormTool objects(fields, text, and graphics) will appear on top of the image.

After Recognizing, you may wish to hide the imported image, if you wish to view only the fields, lines, and check boxes that were created by the Recognition process.

Editing ObjectsAfter you’ve imported the image, you can make some basic image edits inside FormTool. If you need to make extensive changes that aren’t available as menu items, you can bring the image into a bitmap-editing program and make your changes there.

The three basic edits are Moving, Rotating, and Mirroring.

To edit an image in FormTool:Select Image|Image Edit, and choose an edit from the submenu.

2 SEE ALSO: For more information about editing objects, please refer to the Onscreen Reference Manual(FT25Ref.pdf) on the CD-ROM in the Manuals folder.

PrintingThis section covers the basics of printing your forms. You can print the forms to file the hard copy away, or have them handy for people to fill in by hand. Before you print anything, you can always use the Print Preview option by selecting File|Print Preview, or clicking (Print Preview).

2–14

Chapter 2 Installing and Getting Started with FormTool

Printing from Designer ViewThe Print command in this view is the same as in many Windows applications. SelectFile|Print or click (Print) on the Main toolbar to open the Print dialog. In the Print dialog, click [Properties] or [Setup] to open a printer properties dialog. There, you can change printer drivers and settings such as orientation, paper size, and paper source. Click [OK] to return to the Print dialog.

The Print dialog is the same in both Designer and Filler. It contains four check boxes:Print to file, Contents only, Suppress zero, and Print comb fields.Print to file is the only check box that relates to both Designer View and Filler View. Printing to file prints an electronic file, or printer file (PRN), which you can take with you when you have your forms professionally printed.Print comb fields check box creates printed fields with vertical, separating lines.By using this option, you can hand-fill the paper forms when character separators are desired. The lines are not visible on your screen, but they are printed on your form. The margins (the red dotted line surrounding your form) indicate the printable area of the form. The margins are defined by your printer driver, so you cannot adjust them.

Printing from Filler ViewThe Contents only and the Suppress zero check boxes are commands that only apply to the Filler View.Selecting the Contents only check box allows you to only print the data that has been entered into the fields. This is convenient when you want to print onto existing paper forms. In the Filler View, all number and currency fields have the default value of 0 or $0.00. This value will always appear in these fields to indicate that they are a numeric type. When the Suppress zero check box is selected, FormTool will not print these zeros. This way you don’t print a form covered with zeros; it will only contain data entered on the form.

NetworkThis section covers topics related to running FormTool over a network.

2–15

Page 30: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

FormTool

InstallationFormTool should be installed onto local systems rather than onto a network. However, all forms, databases, and index files can be saved to and accessed from a network drive. When a database is stored on a network drive, anyone using FormTool can access and manipulate the data as long as they have a copy of the form file on their local systems. When generating a database, it is automatically stored to the default path C:\Program Files\IMSI\FormTool Deluxe\Data\FormTool.mdb. This path can be changed to a network location later. You can change the default path to a network location to allow file sharing.

Be sure that the path is accessible to all users and that they are all mapped the same way. The path and file name are saved with the forms so if one user creates the database, a second user must be mapped the same way in order to access the data.

Or, place the cursor over theintersection of the two rulers, and the cursor will change to a four-headed arrow.

Changing Ruler IncrementsYou can choose the measurement unit used on the rulers: inches, centimeters, picas, points, or millimeters. Select Options|Form, then click [Form Setup]. In the Page group, change the Units to the settings you want. Your choice will be reflected on the rulers for the form. The ruler units display is also affected by your workspace zoom setting; FormTool will display as many unit markings as it can at any given zoom setting.

Print MarginPrint margins are the dotted lines around the edges of the form in the Designer workspace. These lines indicate the printable area of the form. Objects outside the print margins will not print.Select View|Print Margins to display/hide the print margins in the Designer workspace. Print margins cannot be changed for any given form. The default print margin depends on the printer driver you use. This is reflected in the Printer line of the FormTool Print dialog.

Zooming In and OutFormTool provides various ways to magnify or reduce the view of a form or a particular area of a form. The Zoom settings appear in the Zoom drop-down list box, toward the right end of the Main toolbar. All Zoom settings are proportional to the actual size of the printed form, from 25% to 400%. Also available in the Zoom setting list are the Page Width and Whole Page options, which are explained later in this section.

3. Give the form a name in the File Name field.4. Click [Save] to save the form. The FTF extension will be added automatically. Hereafter, when you save the form with the Save command or button, the file will be saved under the same file path and name, and the Save As dialog will not appear. FormTool will support the long filenames permitted in the Windows environments. For example, the following filenames are valid:

• 1999 Inventory.FTF• Part 39812093489.FTF• ABC Co Invoice.FTF• Ret Goods Rpt.FTF

3 TIP: It’s a good idea to use filenames that suggest the contents or purpose of the form. A form named Material386Iron.FTF is easier to remember than M386Fexx.FTF.

Saving Files as TemplatesIf you save a form as a template, you can preserve all of the form’s settings and objects to be used in the creation of other forms or for similar versions of the same form. Templates are automatically filed in the Template subdirectory, located under the FormTool main directory.

Saving as ExeTwo other commands are Save as Exe… and Send. These commands allow you to save a FormTool form (FTF) as an executable file (EXE). We call this self-contained program the E-Filler. Simply, it is a convenient way to pass a FormTool form back and forth between you and a person who does not have FormTool. When you send an E-filler form in the EXE format, the recipient can fill in the fields and return the completed form. You can then import the information into your database. You can either save the EXE to your hard drive to send whenever you want, or send it immediately via e-mail to anyone who has an e-mail account and is running Windows. For example, if you have a database made up of address information, and you wish to have a client put their address information into your database, you could send them your form saved as an EXE file. They could fill it in and send it back to you. Then you

can export the data from the EXE to your database. You will have the data direct from your client in the form that your database requires! There are two ways to create an E-Filler:

1 NOTE: You must be in Filler View to create an E-Filler.

• Select File|Save as Exe… This allows you to save an executable filler file (EXE) on your hard drive.

• Select File|Send. This allows you to send the executable filler file (EXE) as an attachment to an e-mail.

1 NOTE: An executable is a stand-alone program (EXE) that runs on a Windows PC.

To save an E-Filler on your hard drive:

1. In the Filler mode, select File|Save as Exe. The Save As Exe dialog appears.

2. Select the folder where you want to save the file. Type in the name for the file.

3. Click [Save].

Sending FormsYou can send forms to other users on your network server using the File|Send command. The form file with all its database links will be sent to the recipient.

1 NOTE: Microsoft API-compatible mail is required to send FormTool Forms.

To send a form by e-mail:

1. Make sure you have saved your form.2. In Designer View, select File|Send|Send Form (in Filler View, select File|Send|Send Data).3. If you have not already selected an information service for your e-mail, you should

1 NOTE: If you work at home, you are probably using an Internet-based mail service, like Netscape or MicrosoftOutlook Express. If you work in an office environment, you may be using Microsoft Exchange Server. If you areunsure which service you should choose, consult your network administrator or Internet Service Provider (ISP).

4. If you have not already selected a user profile, you should see a dialog that allows you to choose an existing profile or create a new profile. Choose a profile before proceeding to step 5.

5. Once you have chosen a profile, an e-mail will appear with the form file as an attachment.

6. Proceed as you would with any other e-mail message.

1 NOTE: If you need help using your Mail program, consult the program’s documentation. If you need help selectingan information service or creating a profile, consult your Windows onscreen help.

To send an E-Filler by e-mail:

1. Make sure you have saved your form.2. Select File|Send|Send EXE.3. Follow instructions 3 through 6 in “To send a form by e-mail:” on page 4-3.

Printing FormsPrinting your FormTool forms works the same as printing just about any document from a Windows-compatible program. The Print Preview command allows you to examine your form layout before you commit it to paper. The Print dialog gives you various options for printing your document.

5Creating Forms

This chapter tells you how to:

• Create a new form from scratch, from an existing form, or from a template.• Set up the basic characteristics of a new form, such as paper size and

measurement units.

Creating a New FormThere are three ways to start working with forms: create a new form from scratch, from a template, or by using an existing form as a starting point.

To open a new blank form:

1. Either select File|New, or click (New) on the Main toolbar. The New dialog appears.

2. Select Normal to create a blank form based on the default template, or choose from the list of four templates supplied by FormTool.

Creating and Using TemplatesTemplates preserve all of the settings and elements of a form so they can be used again to create an identical or similar form. By saving page settings, text boxes, fields, graphics, and colors that appear again and again on your forms, you save keystrokes and reduce the possibility of errors.

To save a form as a template:

1. Select File|Save As Template.2. In the Save As Template dialog, type a name for your template.3. Click [OK].

1 NOTE: Templates always reside in the Template subdirectory, located in the FormTool main directory.

Page 49: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

FormTool

To use an existing template:

1. Select File|New to open the Templates dialog. The Templates dialog contains four provided templates, as well as any other templates created using the File|Save As Template command.

2. Highlight the template you want to use and click [OK].

The elements and the settings of the template are inserted into a new form file, ready for you to edit and use as needed. The preset templates supplied with FormTool are page setup templates; they contain no objects. You can delete these templates (except Normal) if they are not needed. The template settings are shown in this table:

FormTool Templates PaperSize Orientation Measurement Units

Legal Landscape Legal Landscape Inches

Legal Portrait Legal Portrait Inches

Letter Landscape Letter Landscape Inches

Normal Letter Portrait Inches

Filename Extensions Used in FormToolWhile using FormTool, you may encounter files with these filename extensions: FTF(FormTool for Windows form file), DBF (FormTool database file)MDB (FormTool database file), MDX (index file for some database types), FFD (FormTool data file), EXE(FormTool Filler file), FTL (FormTool object library file), FTR (FormTool report file), and LBL (FormTool label file).

Setting Up a New FormSelect Options|Form to open the Form Options dialog, which contains form layout defaults. Adjust these defaults or change the setup to suit your needs. The Form Options dialog includes these tabs:Form Fill—Specifies the properties of the form’s background (or fill): color, percentage and type of pattern, fountain fill (also known as a gradient), and a preview of your settings.Grid—Specifies whether the grid is on or off, measurement units, snap-to points, origin, line color, and a preview of your settings.Form Setup—Specifies the paper size, page orientation, form identification, and form authorization.

Form Setup DefaultsFormTool maintains default settings for the form page setup as well as the form workspace view. When you first open a new form, the page setup defaults are the same as the defaults you have set up in the Options menu. The settings include paper size, page dimensions and orientation, and so forth. To change these defaults and create a different page setup for a particular form, use Options|Form as described in this section. You can also view a document’s default settings by selecting Format|Properties from the Main menu (or right-click anywhere in a blank area of the current document and select Properties from the local menu). The Document Default Properties dialog contains tabs for all aspects of the current form. These tabs are: Border, Fill, Shadow, Corners, Image, Bar Code, Font, Text, Field, Table, Grouped Radio Buttons, and Visible.

Form Options—Form Fill TabThe Form Fill tab contains these elements: Preview—Displays a preview with thecurrent settings. Pattern—Specifies the fill pattern. This can be invisible, a solid color, or one of several patterns. Color—Specifies the color of the pattern. Other FormTool Design ToolsTwo other FormTool design tools are Spelling and Form Info.

SpellingMenu: Tools|Spelling Toolbar: Main The Spelling command ensures that you have no misspelled words in your form. This command checks the text in text objects only. In Filler View, it will only check the data in the fields. The Spelling comand alerts you to misspelled words that don’t match those in its dictionary or in your own custom dictionary. It will search these dictionaries for a match and offer you a list of alternative spellings. You can select one or a group of text boxes to spell check, or you can check the entire form. If you spell check the entire form, the Spelling command starts at the beginning of your form and works its way to the end. If you start in the middle, the Spelling command returns to the beginning of the form after it reaches the end.

To spell check your form:

1. Select the text boxes you want to spell check. If you don’t select anything, theSpelling command spell checks the entire form.

2. Select Tools|Spelling... or click (Spell Checking) on the Main toolbar. The Spelling commandmatches the text in the first text box against the dictionary. If it encounters a word it does not recognize, the Word Not Found in Dictionary dialog appears, with the unrecognized word displayed in the Not Found box. If the dialoghides the part of the form that you need to see, just grab it by its title bar, and drag it out of the way.3. Correct the misspelled word by typing the word correctly in the Replace With box,

or by clicking on one of the suggested spellings in the Suggestions list.

Form InformationSelect File|Form Information to open the Form Information dialog, which gives you some statistics about the current form. This command is available in Designer View and Filler View. It gives you a count of the fields, objects, images, and tables on the page of the active form in the workspace. The Form Info box on the right displays the Author of the form and a Description. Both attributes are specified in the Form Setup tab of the Form Options dialog (found in the Options|Form menu). The Form Information dialog’s statistics are useful when you are looking for a form to be used as a template.

Setting Default PropertiesWhen you first add an object, it uses the default properties settings. Each type of object has its own set of defaults. To control the default property settings for all objects, select Options|Object Defaults.

Object Defaults MenuSelect Options|Object Defaults when you want to change any element of any object. You may want a square to have a dotted line for a border, or a circle to be filled with a certain color. The Object Defaults menu contains headings for every property for every element (object)in FormTool. You can either select a submenu from the Object Defaults menu, ordouble-click directly on an object to open its associated dialog. In the dialogs, you will see that many of the objects share settings. This is because many objects have the same attributes. A circle can have an outline, and a line that has width can be dotted. A field can be filled with a color, as can a square or circle.

Changing Default PropertiesYou can set up your form exactly as you want it to look and act, and then save your settings. Now, every time you open a blank document, it will contain the settings you have chosen. You can also save a document as a template, which will enable you to send your forms to other users of FormTool whose defaults settings are different.

To change any default properties:

1. With your form open on the desktop, select Options|Object Defaults and select an object whose default properties you want to set.

2. In the Properties dialog of the object you have chosen, click the tab for the property you want to edit and select your settings. For example, if you are changing the default fill color for all Rich Text fields, select Options|Object Defaults|Rich Text, then the Fill tab.

3. Change the settings, then click [OK] to execute the new default settings. They will take effect immediately (for the type of object whose properties you are changing).

4. Select Options|Save Settings, and the new settings for that type of object will be used for all new forms you create until you change the settings again.

3 TIP: Default properties should reflect the most commonly-used values. You can always change individual objectproperties to suit a particular need.

5–12

Saving and Reusing SettingsFormTool lets you save default page setup and view settings for repeated use. To do this, use either the Autosave Settings or Save Settings option in the Options menu. Autosave SettingsSelect Options|Autosave Settings to toggle this setting on or off. A checkmark next to this menu item indicates the feature is turned on.When you work with Autosave Settings turned on, changes you make to the form default page setup and view settings are automatically saved when you close FormTool. These settings will automatically be used the next time you open a new form in Designer View. You will usually want to work with Autosave Settings turned on, but you can turn it off if you’re going to be working with a form that uses different settings. For instance, you might be designing a form for use in an office in another country which uses different currency and measurement units, or maybe you are creating a form that you probably won’t need to use again.

6Creating Objects and Fields

This chapter explains procedures and commands for inserting and working with objects. In this chapter you will learn how to:

• Use Insert menu commands and the toolbar tools to insert objects on a form.• Work with the Object Palette.• Use objects from other forms and applications with Object Linking and Embedding

(OLE).• Edit objects using Edit menu commands and the mouse.• Move and align objects.• Change the size of objects.• Work with grouped objects.

Inserting Objects on a FormThere are several ways to insert an object into a form. You can create new objects, or use existing objects from other sources. This section covers the following operations:

• Insert menu commands and their equivalent tools on the Drawing toolbar for inserting objects.

• Importing and linking objects from another application using commands on theInsert and Edit menus.

• Edit menu commands for copying, moving, and resizing existing objects.• Selecting Insert|Object... to open the Insert Object dialog.• Pasting objects from the Object Library using Edit|Object Library commands.

To insert an object:

1. Select a tool from the Drawing toolbar, or choose an object command from theInsert menu.

Page 61: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

FormTool

2. Move the cursor to the area on the form where you want to place the object. Hold down the mouse button and drag to create the object.

3. Release the mouse button to complete object insertion.

3 TIP: The <Ctrl> key will help you create constrained objects on your form. Press and hold <Ctrl> as you create theobject to draw a perfectly straight diagonal line, a perfect circle, or a square.

To insert an OLE object into your form:

1. Select Insert|Object.2. The Insert Object dialog appears and lists the object types you can embed. This list

is determined by the applications you have installed on your computer’s hard disk. You can then either choose Create New (the default) or Create from File.

Create New—Choose Create New when you want to embed a new OLE object from another application, and you don’t have a specific file that you want to use.

1. Choose Create New (if it isn’t already selected) and choose the type of object you want to import in the Object Type list box.

2. If you want an icon representing theOLE object to be placed in yourform (instead of the object itself), select the Display As Icon check box.

3. Click [OK] to close the dialog. The object will appear in your form, or you will be prompted to create the new object.

You can edit the object using tools available in the source application. Consult the source application’s user manual if you need help editing the object. If you want to resize the object, click on it and drag the sizing handles.

1 NOTE: If you are creating a new bitmap image, FormTool will automatically access your painting application.Press <Esc> to return to the FormTool desktop.

Chapter 6 Creating Objects and Fields

Create from File—Choose Create From File in the Insert Object dialog when you want to embed or link an existing OLE object into your form.

1. Choose the Create from File radio button. The appearance of the dialog will change, as shown:

2. Type the path and name of the file that you want to use in the text box, or click [Browse] to locate the file using the Open dialog.

3. If you want the OLE object to be displayed as an icon in your drawing, choose theDisplay as Icon check box.

4. Select the Link check box if you want the OLE object to be linked; otherwise it will be embedded.

1 NOTE: A linked object takes up very little room in the document, and if you edit the original document, the changes will be reflected in FormTool. An embedded object will increase the file size of your FormTool document, and any changes you make to the object inside FormTool will not be reflected in the original document. An embeddedobject is independent of the original document.

An OLE object based on the file will be inserted into your FormTool form. To edit the object in FormTool using the application that created the file, double-click the object, or click the object and select Edit|Object. To update or edit links to a linked object, select Edit|Links and use the dialog.

1 NOTE: You can read more about OLE in your Microsoft Windows handbook.

Editing Linked and Embedded ObjectsTo update or edit links to a linked object, select Edit|Links and make changes to the Linksdialog. Click [Open Source] to edit an OLE object using the source application. You can also edit an OLE object using the source application by double-clicking on it or right-clicking it and selecting Linked <image type> Object|Edit from the local menu.

Using the Object PaletteIn FormTool, you can keep an object library of elements that you can reuse in various forms. Just open the Object Palette and drag-and-drop your objects. Objects will be entered with the default names of Item 1, Item 2, etc. You can edit alibrary object by right-clicking to open the local menu. There, you will find commands such as Copy, Cut, Paste, and Delete.

To add an object or group of objects to the Object Palette:

1. Click (Object Palette) on the Main toolbar to open the Object Palette (if it isn’t showing already), or click the Object Palette tab on the docking palette.

2. In an open form, select the object or objects you want to add to your library.3. Click the object(s) and drag the object(s) to the palette, then release the mouse.

To delete an item from the Object Palette:Right-click on the item that you want to remove and select Delete from the local menu.

To use objects from the Object Palette:Select the object that you want to use, then click and drag it onto your form.

Working with Overlapping ObjectsAs you add objects to a form in Designer View, they occupy layers of the form. Layers are stacked from the bottom up, in the order that objects are inserted. Layers are only conceptual; when you click on an object that overlaps another object—that is, one of several objects on several layers—the object on the top layer is selected.Sometimes when you are selecting objects to work with, you’ll need to bring an object into the foreground—the top layer. The Bring To Front and Send To Back commands on the Edit menu let you move among overlapped objects.

Arranging Objects on a FormThis section tells you how to:

• Duplicate existing objects.• Move objects either by click-dragging, or with the arrow keys.• Resize objects.• Determine exact positioning of objects using the Object Position dialog.

6–4

Page 64: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

Chapter 6 Creating Objects and Fields

• Align objects, either on the form or with other objects.• Delete and cut objects from a form.

Cutting, Copying, and Pasting DuplicatesUsing the Edit menu and the Clipboard, you can copy and paste duplicates of objects in your form.

To cut and paste objects, or copy an object and paste duplicates of it in the form:

1. Select the item you want to cut or copy.2. To copy the object, select Edit|Copy, press <Ctrl>+<C>, or click (Copy) on the Main

toolbar. This places a copy of the selected object on the Clipboard.3. To remove the object from the form and place it on the Clipboard, select Edit|Cut,

press <Ctrl>+<X>, or click (Cut) on the Main toolbar.4. Now, select Edit|Paste, press <Ctrl>+<V> or click (Paste) on the Main toolbar. It

doesn’t matter where the cursor is when you do this. This pastes a duplicate of the selected object into the form, on top of the original, in a “tiled” formation.

1 NOTE: The pasted object remains selected so that you can reposition and size it right away. Repeat the Pastecommand as needed to make other duplicates.

Moving ObjectsTo move a selected object or objects:

1. Select the object(s) you want to move.2. Position the cursor anywhere in the selected object (if you are moving a group of

objects, the cursor can be within any of the selected objects). The cursor changes to display a four-headed arrow.

3. Click, hold, and drag the selected item(s) to the new location, or, press the appropriate keyboard arrow key (left, right, up, or down) to move the selected object(s) to the new location. The selected object(s) will move in increments determined by the settings in the Grid tab of the Form dialog (select Options|Form).

Aligning ObjectsTo help you position objects as you move them, use the workspace rulers, scroll bars, and the form gridlines. When the Snap to Grid option is turned on, you get even more help with positioning. Every time you insert or move the object, it will be automatically positioned along the nearest grid snap point. You can also use the Format|Group Align command, which will align several ungrouped objects according to common settings.

Aligning Grouped ObjectsWhen you are working with several objects at once, you may want to align them all together, as a group.

To group align objects:

1. Select the objects you want to align.2. Click the tool you want to use on the Arrange toolbar. For example, you may want

to align several fields by their top margin, so you would click (Group Align Top).

3. The objects will automatically align.

3 TIP: You can combine alignments by applying one then applying another.

Using the Object Position DialogThe Object Position dialog lets you specify an exact position for an object or group of objects on the form. It is based on the X, Y coordinates (the X axis is the horizontal, and the Y axis is the vertical) for the top/left edges of the object and the bottom/right corners of the object. You can also use this dialog to resize an object.

6–6

Page 66: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

Chapter 6 Creating Objects and Fields

To specify the exact position of an object:

1. Right-click the object that you want to position and then select Position from the local menu. Or, double-click the object to open the Property dialog and click the Position tab.

2. Specify the exact position for the selected object by typing or dialing in the coordinates you want.

3. Click [OK] to save these settings and exit the dialog.

Top and Left—These options represent theX and Y coordinates for the top-left corner of the object. The X and Y coordinates are the position of the object’s top edge along an x axis, and the object’s left edge along a y axis.Bottom and Right—These options represent the X and Y coordinates for the bottom-right corner of the object. The X and Y coordinates are the position of the object’s bottom edge along an x axis, and the object’s right edge along a y axis.

3 TIP: You can use the Position settings to resize an object as well as reposition it. Just specify Top/Bottom andLeft/Right coordinates that designate an area larger or smaller than the selected object. The object will resizeto fit the designated area.

Resizing ObjectsThe easiest and fastest way to make an object larger or smaller is to select it and drag the selection handles until the object has the shape and size you need.

The Effect of Snap to GridWhen you work with Snap to Grid turned on, it affects the resizing operation. As you drag the selection handles, the object is resized up or down in increments, according to the snap points currently set for the grid. Snap points are set with the Frequency settings in the Grid tab of the Options dialog.

As noted in the preceding section, you can also resize objects using the Object Positiondialog settings.

To resize a group of objects:

1. Select all the objects that you want to resize.

2. Select Format|Group Resize.3. The Group Resize dialog appears with

these options:

HorizontalResizes the width of all selected objects.

• Grow to Widest—Resizes all selected objects to the width of the widest object in the group.

• Shrink to Smallest—Resizes all selected objects to the width of the narrowest object in the group.

• No Change—Does not change the width of any of the selected objects.

VerticalResizes the height of all selected objects.

• Grow to Tallest—Resizes all selected objects to the height of the tallest object in the group.

• Shrink to Smallest—Resizes all selected objects to the height of the shortest object in the group.

• No Change—Does not change the height of any of the selected objects.

4. Select the Horizontal and Vertical options that you desire and click [OK] to resize all the selected objects in the group.

Working with Grouped ObjectsWhen you want a group of objects to stay together on a form and be treated as one object, you can group them. Grouping objects saves time when you want to edit or apply the same format to several objects on a form.

Properties of GroupsSome properties, when assigned to a group, apply to all objects in the group. For example, if you set a border color or fill pattern for a selected group, all objects in that group will adopt that property. Even when grouped, however, you can press <Shift> and click inside the group to select a particular object and change its individual properties, without affecting other members of the group. However, if you then select the group and

change its properties, those settings will override whatever settings exist for the individual members of the group.

Not all properties are available for all groups. You can change these properties in theGraphics tab of the Property Inspector:

• Border type, width, and color• Fill pattern, color, and background color• Display• Anchored

In the Form tab of the Property Inspector, you can work with all available properties. The Data tab of the Property Inspector however, is not available for grouped objects. Even in a group, the fields of your form are always treated as discrete objects with their own field definitions.

Group ObjectsTo include one or more objects in a group:

1. Select the objects either by clicking and dragging a bounding box, or press <Shift>and click each object in turn.

2. Be sure to select every object that you want included.3. Select Format|Group Objects (or right-click in the Design Area and select Group

from the local menu).4. Selection handles appear around the group. Use the selection handles for moving,

resizing, and editing the entire group.

UngroupTo ungroup a group of objects, select Format|Ungroup Objects (or right-click in theDesign Area and select Ungroup from the local menu).

7Formatting Objects

Objects in FormTool are formatted by changing their properties. When you add an object, it automatically takes on the default properties set for that type of object. You control these defaults through the Objects Defaults section on the Options menu.By using the Options menu, the Default Properties dialogs (described later in this chapter), and/or the Property Inspector, you can change object properties as needed. The Text Format toolbar also contains tools for working with some frequently used text properties. This chapter tells you how to work with all the Options menu commands and dialogs needed for formatting objects and for controlling default property values.

Formatting with the Property InspectorThe Property Inspector has three different tabs—Form, Graphics, and Data. All three tabs contain the properties most often set for objects.

To change properties using the Property Inspector:

1. Display the Property Inspector (if it’s not already open on your desktop) by clicking (Property Inspector) on the Main toolbar.

2. Select the object to be formatted.3. Click on the property you want to edit in the Property Inspector. Only properties

applicable to the selected object will be available; others will be grayed out.4. Edit the property and, if necessary, press <Enter> to activate the changes.

Form PropertiesForm properties define the elements that make up the form itself. Color, background color, fountain fill, and hiding/showing of different object types can be specified in this sheet.

FormTool

1 NOTE: All the “Show...” options and the Snap to Grid settings are toggles that determine the way your workspace is displayed. These settings are available in the View menu as well, and are global for the workspace. They will

also override the Display property of any particular object.

Graphics PropertiesThe Graphics tab of the Property Inspector is used to change an object’s appearance. When you select an object, the applicable properties become available in the Graphics tab.

Data PropertiesThe Data tab of the Property Inspector is used to define fields. Properties such as the name, size, prompt, and whether a field is bound to a signature can all be changed here. More importantly, this is where you can change the type of field from a numeric field to a memo field. This allows you to create many generic fields and change thetype afterwards.

2 SEE ALSO: For details on working with these properties, see the Onscreen Reference Manual in the Manualsfolder on the FormTool CD-ROM.

Formatting with the Format MenuThe Format menu is very similar to the Arrange toolbar. It contains commands for arranging objects, accessing the Style sheet and the Property tabs:Accessing Properties—All properties for all objects in FormTool are contained in theFormat|Properties menu.Formatting Text—The Text command in the Format menu contains the properties for formatting text in text objects, fields, and table cells. You can change fonts, attributes, and size of text; align and justify text; and adjust word and letter spacing.Setting Default Properties—The Options|Object Defaults submenu presents a set of commands for controlling the default settings for all objects, including data fields.

Chapter 7 Formatting Objects

1 NOTE: When you use the Format menu commands for field and table cell properties, you won’t see the effect of the changes in Designer View. These properties will affect the contents of the field or cell when you make entries

in Filler View.

Working with Grouped Objects—The Format menu contains four commands for working with grouped objects and fields: Group Align, Group Resize, Make Same Size, and Rotate. All of these commands can be found on the Arrange toolbar.

Formatting with the Properties DialogThe Properties dialog will appear when you double-click on an object, or select Options|Object Defaults. There you’ll find the most comprehensive set of object properties.

To use a Properties dialog:

1. Double-click on the object that you want to format to open the Properties dialog, displaying all property settings available for the selected object, set at the current default.

2. Click the tab of the property that you want to change.3. Select the properties you want to change, keeping an eye on the Preview box to see

the effect of your changes.4. Click [OK] when you are finished to set the new properties, or click [Cancel] to cancel

the operation without saving any changes.

PropertiesThe available properties when double-clicking on an object are: Border; Fill; Shadow; Corners (Rounded Rectangles only); Image; Bar Code, Font; Text; Field; Table, Grouped Radio Buttons; and Position, Visible.

2 SEE ALSO: “Three Tabs: Form, Graphics, and Data” on page 2-2 of the Onscreen Reference Manual, found onthe FormTool CD-ROM in the Manuals folder.

Border PropertiesBorder (line) properties can be set for all objects. They can also be set for data fields and tables. Your selections for borders are visible in both Designer View and Filler View.

Page 73: FormTool Onscreen - Org Chart Softwareowsoftware.com/docs/FT25Guide.doc?/docs/FT25Guide.doc  · Web viewFormTool. If the word is spelled correctly but the Spelling command does not

FormTool

Fill PropertiesFill properties can be set for text objects, data fields, ellipses, rectangles, check box and radio button fields, and tables. Your Fill choices are visible in both Designer View and Filler View.

PatternPatterns appear on top of your selected background color. You can choose Invisible, Solid, and a variety of dot, stripe, and other patterns. However, if you choose the Invisible pattern, the Color selections become unavailable.Pattern does not affect background color.

1 NOTE: If you select the Fountain Fill option for an object, you won’t be able to use a pattern.

To choose a pattern:

1. First choose the background color. Remember, your pattern will appear on top of the background color. Choosing the background first gives you the best view of how your pattern will look in the object.

2. Choose a color in the Color list box. This is the color that is controlled by yourPattern selection.

3. Now select the Pattern that you want to use. Check out the effect you’ve achieved in the Preview box. Adjust the Color, Pattern, and Background Color selections until you’re satisfied with the combination.

4. Click [OK] to close the dialog. Your pattern is displayed in the object on your form.

TransparentThe Transparent option is activated when one of the last six fill patterns (Up Diagonal, Grid, Trellis, Down Diagonal, Horizontal, or Vertical) is selected. Select Transparent to display objects that lie behind objects with a transparent fill pattern.

ColorThe selection you make in the Color list is displayed according to the pattern that you select for the fill. The color pattern is displayed on top of the background color you select. Thus, if you choose a grid pattern and a yellow color with a dark blue background, the yellow grid will be displayed on the blue background. If you choose Solid for the pattern, the yellow color is displayed in a solid pattern over the blue background, so the background color won’t be visible at all.

Background ColorThis controls the background color of your object. Any choices that you make for the Pattern and Color options in this Fill dialog will be displayed on top of any background color you choose.

Fountain FillA fountain fill is a gradual blending of colors within an object. The Fountain Fill option allows you to choose starting and ending colors for your fountain. The Fountain Mode option allows you to choose the direction of your fill.

• Horizontal fountain—The starting color is at the left side of the object, and ending color is on the right side.

• Vertical fountain—The starting color is at the top of the object, and the ending color is at the bottom.

• Radial fountain—The starting color is at the outside edges of the object, and the color gradation moves toward the object’s center.

To create a fountain fill:

1. Select Options|Form and click theForm Fill tab.

2. Select Fountain Fill in the bottom right-hand corner. The Fill tab changes, presenting the options for a fountain fill.

3. Choose the starting and ending colors for your fill in the Start Color and End Color list boxes.

4. Choose a direction for your fill by choosing from the Horizontal, Vertical, or Radial radio buttons under Fountain Mode.

5. Check the Preview box to see how your fill will look. Continue selecting colors and fill directions until you are satisfied you have the look you want.

6. Click [OK] to close the dialog.

8Defining Fields

This chapter introduces the definition of data fields in forms in FormTool’sDesigner View. It shows you:

• How to set default properties for fields using Options|Form properties.• How to modify the properties of specific fields by using the Properties dialogs, the

Property Inspector, the Format menu, or the Style Bar.

2 SEE ALSO: For more information, see “The Property Inspector” on page 2-1 of the OnscreenReference Manual.

Accurate Field Data = Accurate DatabasesThe fields of your FormTool forms will contain the actual data entered by users. Keep this in mind when you are designating the properties of fields in Designer View. The more specific the properties of a form’s fields, the fewer mistakes will be made when data is entered in those fields. When a particular form is linked to a database, the data in the form fields contributes to that database. Each field contains a unit of data within a database record, and it is important for the data to be as accurate and specific as possible; this will make the records in your database consistent. Invoices, reports, and other documents that utilize these data will be more accurate, and searches executed on the database will produce the best and most accurate information, as quickly as possible.

2 SEE ALSO: For more information, see Chapter 9, “Filling In Forms,” in this User Guide, and Chapter 4, “Using andCreating Databases,” in the Onscreen Reference Manual.

Working with Field PropertiesA field is an object in FormTool, so defining a field is the same as formatting an object:

• Default properties of fields are controlled through the Options|Object Defaults dialog.• The properties of any field can be changed using the Properties dialogs, the Property

Inspector, and/or the Format menu.

Defining Fields with the Properties DialogTo display the Properties dialog, which can contain the Border; Fill; Shadow; Font; Text; Field; Database; and Position, Visible tabs, double-click on the field you are editing or select Format|Properties. These Properties tabs work just as they do for other objects.

Defining Fields with the Data Tab of the Property Inspector The Property Inspector’s Data tab contains properties exclusively applicable to the data contained in fields.

Types of FieldsThere are 14 different types of fields, and each field type has its own selection of properties. There are two different kinds of properties. The first type are general properties of style, such as Borders, Fills, Shadows, and Fonts. The second type are function properties, and can be defined in the Data tab of the Property Inspector. The type you assign to a field will determine the properties and the acceptable values and settings for those properties. FormTool supports the following field types:

Field Type Description

Text Alphanumeric characters.

Date Defaults to the current date in the format defined by the mask.

Numeric Accepts numbers only.

Currency Displays numeric characters with mask of $0.00 (For USA). It can also display the appropriate localized settings for the UK, Germany, and more.

Logical True/False or Yes/No values (T, F, Y, N).

Memo Alphanumeric character strings in paragraph format, including tabs and carriage returns.

1 NOTE: The Form and Graphics tabs of the Property Inspector contain respective properties for the appearanceof the form and fields, such as background color and border width.

Defining Fields with the Format MenuThe Format menu works exactly the same when working with fields as it does when working with other objects. You can use the Format menu to format text that is entered in fields, arrange and set the exact position of objects, or work with grouped fields.

Setting Default Properties for FieldsWith the AutoSave Settings and Save Settings options in the Options menu, you can change, save, and reuse these default properties for fields: Borders, Fills, Shadows, and Fonts.

Data PropertiesItems in the Data tab are used exclusively for data field definition.More information about the Data tab and its contents can be found in Chapter 2 of theOnscreen Reference Manual. This chapter describes each field property as follows:

• Definitions of the property and how it looks in Filler View.• Instructions for specifying the property’s value in the Data tab. If a dialog is used to

9Filling In Forms

This chapter describes the onscreen elements in FormTool’s Filler View, and how to fill in forms. It also explains some aspects of using form data to create databases in these topics:

• The contents of the FormTool workspace in Filler View, and how it differs fromDesigner View

• The elements of a form displayed in Filler View, and how to navigate them• General guidelines for entering data in form fields• Descriptions of Filler View tools, menus, and commands

What Is Filler View?In Filler View, you display a form that has been created in the FormTool Designer View, and you fill in its fields according to the way they were defined in Designer View. The data you enter can be modified, but not the field definitions themselves. The one element of the form setup that you can change in Filler View is the color of field backgrounds and field text. These colors can be altered using the Options|Field Color Settings command as explained in “Fill Properties” on page 7-4.Another aspect of working with Filler View is using the form in connection with a linked database. The data that is entered in the fields of a form is stored as the records of a database. Anything that is entered in the form can be utilized in a related database field.

2 SEE ALSO: For more information on databases, see Chapter 4, “Using and Creating Databases,” in the OnscreenReference Manual, found on the FormTool CD-ROM.

These are the differences between the Filler View and the Designer View:

• The title bar changes to FormTool- [<formname>: Filler View].• The Database toolbar appears under the Main toolbar.• Neither the Property Inspector nor the Drawing, Text Format, or Arrange toolbars

are available; these elements are used for creating forms in Designer View.

Chapter 9 Filling In Forms

• The menu bar contains fewer selections.• The (Highlight Fill Areas) button is added to the Main toolbar.• The unavailable buttons are grayed out in the Main toolbar.• Gridlines and rulers do not appear.• In the form itself, the field backgrounds have their assigned colors, and any default

or predefined information is already in the fields.

Navigating through FieldsOnce you have a form displayed in Filler View, there are three ways to move the cursor.

To navigate through fields, you can either:

• Click in the field.• Move forward through the fields by pressing <Tab>, and backwards by pressing

<Shift>+<Tab>.• Press <Enter> to move the cursor to the next field in the filling order. If the field is a

Memo field, pressing <Enter> moves from one line to the next until you reach the end of the field; then it moves to the next field.

In addition, don’t forget to make use of the workspace scroll bars. Especially when you’re zoomed very close, the scroll bars help to move the form up, down, and sideways so you can get a clear view of all the fields.

Filling in the FieldsWhen the cursor/insertion point is in a field in Filler View, the field is selected and ready for you to enter data. Depending on the type of field, you will see a blinking cursor, a drop-down list, or other means of entering or selecting data. If the field has an assigned default value, such as the current date, that value will automatically appear in the field.

Typing and Editing in Filler ViewWhen you type in text fields, you can use the same editing devices that are available in Designer View. For instance, you can press <Back Space> or <Delete> on the keyboard to delete something you’ve typed, cut and paste as in other programs, and use the arrow

Choosing Options in a FieldThe options available to you when you access a form in Filler View depend upon the field definitions set up for the form in Designer View.

2 SEE ALSO: “Formatting Objects” on page 7-1 for complete details on how fields are defined.

If you change your mind about something you’ve selected or entered in a field and want to start over, press <Esc> to remove whatever option you’ve chosen (if the field had a default entry, it will return to the field). You can also use the Undo and Redo commands on the Edit menu.

Inserting Pictures in an Image FieldImage fields are used for inserting logos, pictures, clip art, or other graphical elements into a form. The main difference between a Picture field in the Designer View and an Image field in Filler View is that a graphic in a Picture field is a permanent part of the form (a logo, for example), while an Image field uses an image as if it were another piece of data in a form (a photo of yourself or a new floor plan).

1 NOTE: When an Image field is defined in Designer View, you select options to control the display of the insertedimage. These options may be used to crop a picture or to adjust it to the size of the field.

To assign a picture to an Image field while in Filler View:

1. Click the Image field to select it.2. Click inside the field to make it active. An arrow will appear on the right-hand side

of the field.3. Click on the arrow to open the Open dialog.4. In the Open dialog, browse to the folder that contains the image you want to use

and double-click to open it. The filename of the image will appear in the form’s field.

5. Move to another field, and the image appears.

Working with Signatures

Chapter 9 Filling In Forms

Signature fields are associated with user names and passwords stored in the ADMIN directory of FormTool. Signature fields are typically included on forms that are used to record approvals. Also, a form may contain fields defined with a Bound to Signature property; the state of these fields depends on a correct password being entered in the Signature field.

1 SEE ALSO: Before you work with Signatures, you must have created users in the Password Manager dialog. You can select which users are entitled to access a selected signature field by selecting the check box for the desired users in the User Names for Signature dialog. For more information, please see “User Names”on page 2-23 of the Onscreen Reference Manual PDF.

1 NOTE: If the Password Administrator creates users while you have FormTool open, they will not appear in theUser Names for Signature dialog. You will need to close FormTool and restart it.

To work with a Signature field in Filler View:

1. Select the Signature field. TheSignature Login dialog appears:

2. Select your user name from those displayed and click [OK]. The dialog will close and you will return to the Signature field.

3. Enter the valid password for your user name. To protect your password, it will appear as a series of asterisks.

If other fields in the form have their Bound to Signature property set, their Locked orHidden Property will be activated, depending on their Bound to Signature option.

Changing a Signature Field’s User Name RequirementTo change a user name to be utilized by a Signature field:

1. Click on the user name that appears in the Signature field.2. Type in the correct password for this user name and press <Enter>.3. Click in the Signature field again. The Signature Login dialog appears.

FormTool

4. Select a different user name.5. Click [OK]. FormTool will recognize that user name in association with the

requirement for this Signature field.

1 NOTE: You can press <F4> to bring up the Signature Login dialog, but if you haven’t entered the correct password yet for the currently selected user, you will get an Incorrect Password message. Click [OK] to exit theerror message.

Fields that Are Bound to Signature FieldsIf the Bound to Signature property is set for a form field, the state of that field in FillerView is dependent upon the Signature field in that form.

To view the signature settings:

1. Go to Designer View.2. Click in the Bound Parameters Value field in the Property Inspector.3. Click on the right side of the field.4. Choose one of the radio buttons in the Protection Operation group:

• Lock Field—If this option is designated for the bound field, it will be locked, or closed to further editing, if the Condition for Operation is met in the Signature field.

• Hide Field—If this option is designated for the bound field, it will be hidden on the form in Filler View if the Condition for Operation is met in the Signature field.

5. Choose one of the radio buttons in the Condition for Operation group:• Field is Signed—Locks or Hides the bound field when the Signature field is

signed.• Field is Unsigned—Locks or Hides the bound field when the Signature field is

unsigned.

If you want to unlock a locked field or make a hidden field visible:

1. In Filler View, click in the Signature field.2. Enter the correct password for the current user name. The condition for the

Signature field will no longer be met, and the locked field will be unlocked (or the hidden field will be visible).

Save as ExeAn empty (no data entered) or filled form can be saved as an EXE file from the Filler View. This is used most often to send a form to someone that does not have FormTool installed. It can also be used to send a form to someone that only wishes to print the form for their records or for filling out the formby hand.

1. In the Filler View, selectFile|Save As Exe to open the Save As dialog.

2. Type in the name of your file, and navigate to where you want to save your file.3. Click [Save].

Import DataUse this command to open data-only versions of form files that you saved with the File|Save Data command in the Filler View. FormTool will automatically add the FFD extension to the name.

1. In Filler View, select File|Import Data. Only FFD files will be listed in the FileName box.

2. Navigate to the drive and directory of the file. Highlight it and click [OK], or double-click the filename.

3. When you have finished working with the data on this version of the form, you can save it again as an FFD form. Or you can switch to Designer View and save it as a regular FTF form file, a template file, or other version of a FormTool form.
