Sundale’s Journey to becoming a Queensland Workplace PErforMing!!!

• Sundale was formed over 50 years ago by a group of local business people and service organisations.

• Today, Sundale provides residential aged care, in-home care, retirement living options, child care, rehabilitation and community housing services to the communities it operates in, which extend from Kilcoy to Gladstone.

• Sundale employs over 500 people, including carers, registered nurses, physiotherapists, maintenance and grounds people, laundry and catering workers and administration support.

• We felt we needed to increase the education for Team members specifically in relation to manual handling tasks completed by our support service workers being catering, laundry and maintenance.

• Sundale became self-insured for Workers’ Compensation in July 2011 and were mindful of WRI’s and the associated costs.

• In 2012 myself and colleague attended a PErforM workshop at Workplace Health and Safety Queensland Nambour conducted by Kerry Cowling.

• The discussions after the PErforM workshop with Kerry were positive and we felt we could introduce the PErforM program to Sundale which would assist us to manage hazardous manual tasks in the workplace.

• Implementation of the PErforM program was also going to be a positive way to meet our legislative requirements.

• We downloaded the resources available from WHSQ and created our business plan….

• During the creation of this business plan it was identified that the manual handling injuries were increasing steadily in our support service areas.

• We identified that internal training on patient transfer and people handling was extremely thorough, but training in manual handling for our support service (non-clinical) areas was not addressed as comprehensively.

• Our original plan was to roll out a ‘generic’ style of PErforM training as is off the WHSQ website

• After further deliberation and consultation, we decided to provide PErforM training in a customised manner so the training was tailored for specific work areas. We believed this would engage workers more effectively.

• In late 2013, our plan was presented to the Executive Committee for review. Approval was given (along with an initial budget to get things moving).

Roll out of the PErforM program began in May, 2014 in our Catering Services department located in Nambour.

• Involving area managers up front is a key part of our process.

• Meeting with the area Manager to introduce PErforM.

• This meeting includes a detailed information session about the associated tasks.

• Managers are kept informed on an ongoing basis throughout the training process.

• We attend the site several times over a period of two weeks, talk to Team members one on one and observe the tasks they complete within their workplaces.

• We arrange to be onsite during both the morning and afternoon so we get to see both AM and PM shift team members.

• We ask Team members • ‘What are the jobs that you do in your role that you go home

feeling a bit sore from’? • ‘Are there any tasks that you have to complete that stop you

wanting to come to work?’

• At first most Team members would say, Oh nothing really!• By the end of the day, Team members would line up to tell us about the

tasks they were having difficulties with…..!• During the observation sessions we video and photograph Team

members completing the tasks and incorporate all of this into our training presentation. We customise the presentation to the relevant teams and tasks they complete in their workplaces.

• From these observation sessions, we choose two tasks, one being a simple quick fix (control measure is generally provided by the Team on the day) and a second task that requires attention, but further investigation and discussion is needed.

• Once the PErforM Risk Assessment and training presentation have been completed we again consult with the Manager for final review of the training resources to be used for their area.

• Training dates are scheduled, notifications are sent out and training sessions are held.

• We run multiple training sessions for an area to ensure all Team members are able to attend. The session runs for approximately 1.5 hours.

Topics in the training sessions include: • The five risk factors;• Risk Management;• Hierarchy of Control;• Risk factors identified in their area (includes photos

and videos taken during the observation sessions);• Review a completed PErforM Risk Assessment;• Complete details on the body map;• Complete the risk factors section;• An open discussion about the second task

identified and any control measures/ concepts are documented;

• After the education sessions are held, the trainers return to the area to collect the ‘homework’ Risk Assessment forms usually in about two weeks.

• Once received, we meet with the area Manager and document all the Risk Assessments into the PErforM Risk Register. We work with the Manager and the local Health and Safety Representative to assist with any implementation of control measures.

• Where required the Quality Risk and Safety Team arrange quotations, access further information on relevant equipment required (example quotes on anti-fatigue mats, anti-vibration gloves etc) to assist the Manager to implement the control measures as quickly and effectively as possible.

• Where there have been large budget implications for control measures, we’ve been advised that the Manager has used the PErforMdocumentation for assistance with approval for such equipment.

• The local Health and Safety Representative reports monthly on the status of the register in their area to the Manager. PErforM updates are provided by representatives and trainers at the quarterly Health and Safety Representative Committee meetings.

• From here the trainers complete a three month and six month follow up visit to the area to ensure any identified risks have been logged and control measures implemented.

Most importantly, the STATS…Workplace Incidents 01/07/2011 to 30/09/2015Since the commencement of the PErforM program in May 2014, number of incidents has reduced dramatically in the areas where education has occurred. One journey claim and one elder aggression against a worker.

We continue to roll out the PErforM program training at individual sites and expect to complete our project in early 2017. As from October, 2015 the PErforM program training is also included in Sundale’s Corporate Orientation.
