Administrator Tasks The FM:Interact administrator, completes the following tasks to support Alternative Workspace (AWS):
Ensure those users who will work with Alternative Workspace (AWS) are assigned the Space Management Power User designation
Ensure Views associated with Alternative Workspace (AWS) are permissioned to the proper roles. o Zone Type o Workspace Zones o Zone Scope o Alternate workspace to people
Ensure Graphic views associated with Alternative Workspace (AWS) are permissioned to the proper roles. o Occupancy Zone

Lesson Introduction To implement Alternative Workspace
(AWS), there are specific tasks performed
within FM:Interact.
Before you Begin: Vacate the rooms
where you plan to place the Workspace
Zone.
Activity Scenario
You are a Space Planner with Power User
privileges for the Space Management
Module and you are trying to increase
your space utilization for three of your
departments: Marketing, R&D, and
Admin- FacOps.
You have decided that you are going to
implement an Alternative Workspace
Strategy for these departments since their
employees are traveling frequently or
working from home on a regular basis and
do not always need a permanent seat
assignment.
Process:
Below are the stages for establishing alternate workspaces:
Stage Description
1 Establish Zone Types. NOTE: FM:Interact currently supports only one zone type called “Occupancy Zone.” You can change the name of the zone type.
2 Establish Workspace zones. For example:
Marketing Pod
Sales Pod
R&D Pod
Technical Support Pod
Consulting Pod
Training Pod
3 Establish Zone Scopes (if necessary)
4 Assign rooms to Workspace Zones.
5 Assign people to Workspaces.

Activity 1: Establishing Alternative Workspace
Step 1: Create or Verify the Occupancy Zone Exists in FM:Interact
In this activity, you determine if an Occupancy Zone exists in FM:Interact. If the Occupancy Zone does not exist, you will create it with the following
information:
1. Log into the training system with the following credentials:
User ID: administrator
Password: fms
2. PATH: SPACE MANAGEMENT> VIEWS> ZONE TYPES

Description Occupancy Zone
Is Occupancy Zone? Yes (click to display a checkmark)
Is Multi-room? Yes (click to display a checkmark)

Procedure: How to Add a Zone Type
Use the steps below to add a Zone Type to
FM:Interact:
1. Click Add.
Result: The Details panel displays a
form for entering a new Zone. Select
the Edit Graphic View Name radio
button, and click OK.
2. From the Type ID, enter a unique value
to associate with the zone.
Example: 001
3. In the Description field, type a
description of the new zone.
Example: Occupancy Zone
4. Click to display a checkmark in the Is
Occupant Zone, if employees will reside
in that zone.
5. Click to display a checkmark in the Is
Multi-Room Zone, if rooms can be
assigned to more than one zone.
6. Click Submit.

Step 2: Create Workspace Zones
In this activity, you will create three (3) Workspace zones. As defined to the right:

launched FM:Interact and you are logged
into the system

Procedure: How to Add a Workspace Zone
Use the steps below to add a Workspace
Zone to FM:Interact:
1. Click Add. Result: The Details panel displays a form for entering a new Zone.
2. From the Type Key drop-down list, select the Zone type to apply against this zone. Example: 1 Occupancy Zone
3. In the Zone Name field, type a description of the new zone. Example: Marketing Workspace
4. In the Target People to Zone ratio, type the number of people to space ratio you expect for this zone. Example: A target to people ratio of 1.3 is interpreted as 1.3:1 - 1.3 people to 1 space, or 13 people assigned to a 10-seat pod.
5. In the Crosshatch color field, type a numeric values from 0 to 255 to assign a color to the zone, and click Submit. Result: The Workspace zone is created.

Step 3: Permission the Occupancy Zone
Graphic View
In this activity, you verify and/or permission the Occupancy Zone Graphic View.
The Occupancy zone Graphic View needs to be permissioned for you to be able to place Workspace zones onto the floor plans.
Permission the Occupancy Zone Graphic view to:
Administrator Role
Everyone role

Procedure: How to Permission the
Occupancy Zone Graphic View
1. Locate the Occupancy Zone Graphic view, and click to display a checkmark next to the graphic view.
2. Click Edit Security.
Result: The list of roles display. 3. Click to display a checkmark next to
each role you wish to assign to the Graphic View, and click OK.

Step 4: Assign Rooms to a Workspace
Zone
In this activity, you use the Floor Plan Viewer to select spaces to assign to a Workspace Zone.
You will use the floor plan for New York
Weston III Tower 5th floor (500-05).
For each Workspace zone, select a group
of rooms to assign to the Workspace zone
for:

Procedure: How to Add Rooms to a
Workspace Zone
Use the steps below to assign rooms to a
Workspace zone:
1. From the Graphic view drop-down
list, select the zone type.
Example: Occupancy Zone.

Result: The selected spaces (e.g.,
workstations) display with a bold
boarded. This identifies the selected
zone.
3. Move your mouse over a selected
workspace and right-click to display
a menu.
4. From the right click menu select
Zone Types & Zones> Assign to 1-
Occupancy Zone
Result: The available Workspace zones
are available to select and assign to the
selected workspaces.
2. To select space, do either of the following: a. Hold the CTRL key and click to select
each room to assign to the workplace zone
OR b. Click to select a room in the desired
area, then position your pointer just outside of the select space, and click and drag your mouse over the spaces you want to include in a workspace zone.

5. From the list of available Workspace
zones, select the Workspace zone to
apply against the selected
workspaces.
Example: Marketing Pod
Result: The Workspace zone
crosshatches with its assigned cross
hatch color/pattern.
Repeat Procedure Steps 2 to 5 for each
subsequent Workspace Zone to apply to the
selected floor.

Procedure: How to View Existing Rooms
Assignments to a Workspace
To review what rooms are assigned to
existing Workspace zone, preview the
ROOMS TO WORKSPACES view.

NOTE: You can add rooms, one at a time, to
the Rooms to Zone view.

Step 5: Assign People to a Workspace
Zone
Once rooms are associated with a
Workspace zone, next identify the people
assigned to that Workspace zone. For each
Workspace group, assign the following
individuals from the chart to the right to
each group:

Procedure: How to Associate People to a
Workspace Zone
Use the steps below to add a people to a
zone in FM:Interact:
From the People to Workspaces View
1. Click Add. Result: The Details tab display.
2. From the Zone Name drop-down list, select the zone.
3. From the Employee ID field, click Select and search for the employee ID to associate with the workspace.
4. Click Submit. Result: The individual is assigned to the Workspace zone.
Step 6: Report on AWS Utilization
Use the steps below to report on the
Workspace Zones you’ve created:
