FileCloud Drive
You can use FileCloud Drive to store, access, and share files to collaborate with the people
you work with or share data.
• FileCloud Drive is a client application. This is because it allows you to access the FileCloud
Server and the files you store there.
• You can access files in Drive like you do on a Windows PC in Windows Explorer.
• The same features that are available on the User Portal are also available in Drive.
• Drive allows you to easily open the User Portal if you need to.
• Drive includes an assistant to make it easy to access Drive files from Microsoft
applications. In FileCloud Server version 18.2 and later.
This section describes how to use Drive on a Windows computer.

What is FileCloud Drive?
FileCloud Drive allows you to access all the files in your FileCloud server like you work with
your files in Windows.
Generally, we are used to working with Windows File Explorer, but changing to a Web based UI
reduces efficiency. You have to download files from FileCloud first and then modify and upload
it back to FileCloud. This can be improved when you work with FileCloud Drive. You can
actually edit files the same way you generally edit files in Windows PC.
This is how our files are accessible on browser
when it's on FileCloud Server.
FileCloud Server looks like this in Windows PC
using FileCloud Drive.

Clicking the share will require that the user log in to FileCloud Server and then they are taken
directly to the selected folder or file.
To share a file by creating a direct link:
1. Launch FileCloud Drive by clicking on the icon in your system tray.
2. A File Explorer window opens, displaying the contents of your mapped drive.

DocIQ gets all configuration information from FileCloud Sync and Drive.
For example, when a file is opened from Drive, DocIQ will know which FileCloud account you
are using.
• This allows DocIQ to show you information about the file that is uploaded to the FileCloud
Server site in the Office application.

How can I prevent another using from downloading a file I am working on?
When you lock a file, you can block other users from reading the file by enabling Prevent
download.
Note that you cannot enable Prevent Download unless DocIQ Lock is also enabled.
If another user, USER2, attempts to download the file, USER2 will see the following conditions:
• The file cannot be downloaded from the FileCloud User Portal
• FileCloud Sync will not download the file that is locked and read-blocked.
• FileCloud Drive will not open the file that is locked and read-blocked.
• DocIQ will open the file from a Sync path when file is already available in the Sync client
(previously downloaded).
• DocIQ will open the file from a Drive path when the Drive client allows a file to be
opened.

Working with FileCloud Drive
Although FileCloud Drive automagically makes your remote FileCloud server files
available as if it is a local drive in your Windows Computer, there are many ways you can
configure and use your Drive client.
When FileCloud opens, you will see a screen notification that the mapped drive is loading. You
can disable this notification in the system tray menu.
To mute all notifications:
1. Launch FileCloud Drive by clicking on the icon in your system tray.
2. A File Explorer window opens, displaying the contents of your mapped drive.
3. In your system tray, right-click the FileCloud Drive icon, select Advanced, and then Mute All

FileCloud Drive Best Practices
It is important to understand the underlying technology powering FileCloud Drive so that
you can use it most efficiently for its intended purpose.
Network
Dependency Description Best Practice
Without a
network
connection,
FileCloud
Drive cannot
work.
FileCloud Drive provides a virtual view to
your FileCloud files and makes it appear as
if the files are actually local, but in reality
they are not. The files are present on the
remote server and if the underlying network
connection is not available, FileCloud Drive
cannot work. So in cases when you are
going to be offline and want access to your
files, FileCloud drive is not a suitable tool
and it is recommended to use the FileCloud
Sync app instead which keeps a copy of
the remote server files locally on your
computer.
Use FileCloud Drive when
you have a reliable network
connection.
Use FileCloud Sync when you
are offline and want access to
your files.

Network
connectivity
determines
download
time.
When you have a large file, for example 1
GB, and you try to open it in an application
via FileCloud Drive, it will first have to be
downloaded from the remote connection
and then opened. Depending upon your
network connectivity this could take a
while. So even though these files appear
connected to your PC, they are in reality in
the FileCloud server.
Use FileCloud Drive to work
with small to medium sized
files
Use FileCloud Drive to edit
documents
Use FileCloud Drive to
upload a small number of files
or downloading small
documents.
FileCloud Drive is more
convenient than using the web
portal to edit files because it
avoids downloading the file
first, editing it, and then re-
uploading it to the server.
FileCloud Drive's File
Explorer window automatically
opens the document in the
application, allows you to edit,
saves it, and then uploads the
file back to the server.
Network
connectivity
determines
how long it
takes to
complete an
action.
When you choose an action like copy or
delete from the system try menu, the cursor
icon will animate until all operations are
committed to the FileCloud Server. When
the action is complete, the cursor will stop
animating. The time it takes the action to
complete depends on the speed of your
network connection.
Wait for the cursor to stop
moving before choosing another
action.

FileCloudDrive Two-Factor Authentication
FileCloudDrive supports Two-Factor Authentication codes when your administrator
enables 2FA Policy in FileCloud server.
• The code will be asked only the very first time a new device is connected
• Subsequent connections to the FileCloud Server will not require the code for login
• This is because FileCloudDrive performs automatic re-logins as needed and entering
code will not be necessary
Two-Factor authentication codes will be required when the device record is removed by your
Administrator from the Device Management panel
You can use the following dialog box displayed by Drive to type in your Two-Factor
Authentication code.
If you do not have a code, please contact your administrator.

Terminal Server Support
FileCloud Drive can be used in Terminal server environment from v12 onwards.
This support resulted in the following changes
The FileCloud Drive application binaries will be installed in C:\Program Files (x86) folder. This
can be modified only by Administrator while users can only execute the application (but not
change config etc in that location)
The FileCloud Drive data will be stored in %APPDATA%/FileCloud Drive folder. This is
created for each of the user and only user specific data is stored. Therefore, every user in the
Terminal server environment can launch and mount their specific account.
There is a limitation due to the number of available mount points in the system. Every time a
volume is mounted by an user, that drive letter cannot be used by a different user. In some cases,
if two users start drive at the same time, they may attempt to mount FileCloud volume to the
same drive letter and it will fail for one of the user. In that case, the user that had the failure will
need to select a different drive letter and mount the FileCloud volume.
If FileCloud Drive cannot map drives and the Drive logs are filling up with the below error
“Tonido::TonidoCbfs::addMountPoint: Exception :Cannot create a file when that file already
exists."
To resolve this error, you will add this
parameter <useuniquemountlabel>1</useuniquemountlabel> in config.xml of the FileCloud
Drive.
The Config.xml file is located at %PROGRAMFILES(x86)%/FileCloudDrive
Once the changes are made restart the drive or reboot the server

Automatic Locking in FileCloud Drive
The ability to automatically lock files on modification is available in FileCloud Drive version 11
and later.
The ability to handle MS Office files to detect the presence of locked files "(~$ files), and to
keep the lock on a file being edited until the special lock files are released are available in
FileCloud Drive version 14 and later.
You use the automatic lock feature to lock a file on the FileCloud server before allowing
any changes to the file.
• If the lock cannot be set, then changes to the file will be prevented and the server copy
will not be updated.
When can a lock be set?
FileCloud Server can set a lock if:
• the file contents are set with "read" permissions
If the lock is set then the lock will be released when the file is closed.
When does the status of a lock change?
The normal process for locking a file includes:
1. You open a file in the application that created it. For example, an editor such as
Microsoft WORD.
2. The editor application opens the file and reads the data.
3. The editor application sends a request to Filecloud Drive through the OS to open the file.
1. Filecloud does not know which application is requesting to open the file.
4. FileCloud Drive will attempt to lock the file at this point and download the file (if
necessary).
1. If a lock cannot be set, you will see an error.
2. If the lock can be set, the file will be displayed.
5. The editor application will read the contents of the file.
1. The file lock is still in effect at this point.
6. The application displays the data that was read closes the request (to open).

OPTION EXPLANATION
Clear Cache
FileCloud Drive stores locally accessed file in a local cache. This cache
location will be cleared when this option is selected, and then the volume will
be remounted. Any further access to files will cause FileCloud Drive to
download it first. Care must be taken to make sure there are no existing
application are actively using files during this operation.

Recovered
Folder
When a file is removed from remote server (or if FileCloud Drive for any
reason cannot retrieve listing from remote server due to network errors), the
locally cached files will be moved to recovered folder instead of deleting it. It
is safety mechanism and in most cases the files in this folder can be deleted
after reviewing it.
Empty

This option will delete the files stored in recovered folder. Ensure that the files
are reviewed before deleting it.
Open Log
Folder
This option will launch explorer window to the location containing FileCloud
log files. This is used for debug purposes.
Disable DocIQ
Integration
This option removes the DocIQ panel that is shown in a Microsoft Office
application after DocIQ is installed and enabled.
This option is useful if you only need to disable DocIQ for a short time while
troubleshooting computer issues.
This option does not permanently remove DocIQ. To remove DocIQ, you
have the following options:
• uninstall Sync or Drive
• use the Windows Programs Control Panel to remove DocIQ
To display the DocIQ panel again in a Microsoft Office application, just
select this option again to clear the check mark.

Lock
Automatically
on Edit
This option will lock a file on file open action and will unlock a file on file
cloud action.
• This function works at the file system level.
• FileCloud Drive does not know if a file is opened in an application
after the contents are read.
• While the contents are displayed in an editor such as MS WORD, the
lock will be released automatically.
This function is useful when a lock is taken manually in a browser by an user
and if someone tries to open that file via FileCloud Drive, the file access will
be prevented.
When working in the Explorer window, you will also see lock
notifications:
• If you click once on a file, the LOCK notification appears.
• Hovering over a file with your cursor, you may see it unlock. This is normal. The
lock will be released on file inactivity.
• Sometimes you will see a notification of a file being locked or unlocked as
search progress. This is normal. Auto-lock and unlock can happen on file
access.
For more information, read about Automatic Locking
Mute All
Notifications
FileCloud Drive will try to show notifications on various conditions and
selecting this option will prevent those notifications from being displayed
High Server
Latency Mode
(v12 onwards). FileCloud Drive will attempt to retrieve file listing when a
user navigates to a folder. In slow network condition, this can cause
Windows Explorer to hang. Selecting this option will cause FileCloud Drive
to retrieve the listing in background (User will see the behavior of empty
folder until the listing is retrieved). (Not available from V14 onwards).
Max Single File
Limit
FileCloud Drive will cache a file locally when windows explorer requires it
(Typcially windows explorer will try to pre-cache files for quicker access or
to display thumbnails or previews). The files are also cached on file
open/copy operations. This option will set a limit to max file size that can be
accessed. This is primarily meant to manage bandwidth usage.

Increasing File Size Limits
This area has been changed in version 11.0.
FileCloud Drive sets a limit on the size of the files you can download to 30MB by
default.
This default limit is set for the following reasons:
• FileCloud Drive downloads a file from server before it can be read, modified, or updated
• Windows OS can pre-fetch files to improve user experience and can request files that are
not actively used
• This activity can sometimes cause heavy bandwidth usage
• To limit this, FileCloud Drive has maximum file size limit setting to prevent downloading
large files
You can change this value from the Drive system tray menu.

7. FileCloud Drive receives the "close" request.
8. FileCloudDrive will release the lock at this point.

open the file
1. The lock will be re-acquired
2. Data will be written
3. The file will be closed
4. The lock will be released
When will I know a file is locked?

FileCloudDrive Two-Factor Authentication
FileCloudDrive supports Two-Factor Authentication codes when your administrator
enables 2FA Policy in FileCloud server.
• The code will be asked only the very first time a new device is connected
• Subsequent connections to the FileCloud Server will not require the code for login
• This is because FileCloudDrive performs automatic re-logins as needed and entering
code will not be necessary
Two-Factor authentication codes will be required when the device record is removed by your
Administrator from the Device Management panel.
You can use the following dialog box displayed by Drive to type in your Two-Factor
Authentication code.
If you do not have a code, please contact your administrator.

Issues with Uploading a File to Drive
1.9.1.10 Why can't I upload files larger than the storage quota to a Network Folder?
• As per the windows architecture, to create a drive FileCloud needs to specify a size.
• When FileCloud mounts as a virtual drive, your storage quota is used as the size of the
drive.
• This mechanism restricts uploading files larger than the total size of the drive.
You must have an Administrator privileges to reset your storage quota.
If you do not, please contact your administrator to change it for you.
If you need to change the storage quota for a particular user, you can edit their current
policy settings or create a new policy.
Administrators can read more about Setting the Storage Quota for Users
