Overview E-mail is undoubtedly the most widely used, and possibly the most mission-critical, business application currently available. With the advent of new mobility technologies, wireless corporate e-mail has become a key application for the wireless industry, and it enables mobile operators to provide services and solutions that fulfill the business user's need to stay connected.

This document describes three innovative mobile e-mail solutions that can be easily implemented without large-scale changes to an existing mobile network or corporate network. These solutions, which can be used with Microsoft® Windows Mobile™–based Pocket PC Phone Edition and Windows Mobile–based Smartphone, are:

• Desktop E-mail Redirector

• Hosted Exchange

• Microsoft Exchange Server 2003

Desktop E-Mail Redirector Visto Mobile Personal Edition™ (VMPE), a desktop e-mail redirector solution created by Visto, is a recommended third-party element of an integrated Microsoft portfolio of e-mail services that offer mobile operators scalability and selection by supporting most major subscriber segments, devices, messaging servers, billing models, and notification mechanisms that are currently available. Visto Mobile Personal Edition™ (VMPE) is ideal for individual mobile professionals, small offices, home offices, and enterprises that have servers running Microsoft Exchange Server 2003 or IBM® Lotus® Domino®.

Visto Mobile Personal Edition™ (VMPE) provides two key benefits to users—simplicity and control of e-mail access. Users without a mobile e-mail solution can obtain one without causing extra work for their corporate Information Technology (IT) departments; users can easily download the Visto Mobile Personal Edition™ (VMPE) installation application by means of the Web and then install and operate the desktop redirector software themselves. They can also set preferences for sending and receiving e-mail at timed intervals or on command. The desktop redirector software runs on Microsoft Windows®–based computers that are running Microsoft Outlook®.

By offering VMPE™, mobile operators can create new, branded solution offerings that connect busy mobile professionals to their business e-mail accounts, Calendar, Contacts, some files, and the user's global address lists (GALs) while they are away from the office. A mobile operator's service subscribers can have instant mobile access by synchronizing their Windows Mobile–based devices with their e-mail servers behind company firewalls.

If a user's mobile operator does not offer Visto Mobile Personal Edition™ (VMPE), a user can subscribe to the service directly through Visto and still use the mobile operator's network.

Visto Mobile Personal Edition™ (VMPE) extends the capability of Microsoft Pocket Outlook to provide synchronized access to e-mail received at the user’s desktop computer from the corporate messaging server.

By using Visto Mobile Personal Edition™ (VMPE), users can receive their corporate e-mail messages on their mobile devices if their desktop computers, or one of the five computers that they have delegated their accounts to, are connected to the corporate messaging server. As long as the users' devices are connected to the messaging servers, e-mail messages, Calendar changes, and Contact changes that appear in the user-selected mailbox folders are synchronized with the mobile devices through gateways that exist either at the Visto NOC or at the mobile operator's NOC.

If the users' desktop computers are not connected to a corporate network, (for example, if users have a laptops and travel with them), the desktop redirector application on the users' computers will not synchronize with the users' mobile devices. However, users can delegate the connection held by their desktop redirector—between the gateway at the NOC and the corporate messaging server—to up to five other office desktop computers that are running the desktop redirector software. Users can delegate each desktop computer that is running the software to five other computers, effectively giving users five-way redundancy. By delegating these connections, users maintain privacy, security, and reliability. The desktop redirector software runs on Windows-based computers.

Mobile devices control synchronization, so users can configure their mobile devices to receive and send e-mail as frequently as every 15 minutes. Alternatively, users can perform a manual send/receive action. Visto Mobile Personal Edition™ (VMPE) supports e-mail with attachments, Calendar, Contacts, real-time access to files on users' desktop computers, and real-time access to the users' global address lists.

Data Type Capabilities Visto Mobile Personal Edition™ (VMPE) supports the following capabilities for the specified types of data.

Elements The main components of Visto Mobile Personal Edition™ (VMPE) are desktop redirector software, a gateway that can be hosted by Visto, and device client software.

The following diagram shows the high-level architecture of Visto Mobile Personal Edition™ (VMPE). The various components are all hosted on Microsoft-based hardware.

Desktop Redirector Software The desktop redirector software is installed on the user's computer that resides behind the corporate firewall. This software provides access to Microsoft Exchange Server 2003 and uses the same interfaces that Outlook uses. This software synchronizes data from the messaging server, such as a Microsoft Exchange server, to the mobile device through the gateway. The software is proxy and firewall compatible and requires no changes.

Gateway The gateway can be hosted by Visto or licensed by the mobile operator. This component transports data to the mobile device or desktop computer in a secure, end-to-end encrypted session. Data that flows through the gateway is never stored at the gateway or in Visto’s NOC.

Windows Mobile–Based Device Client Th Windows Mobile–based device client software is installed on the mobile device and makes data available online or offline to the user. This software interacts with the address book and calendar built in the Windows Mobile operating system and extends to Pocket Outlook for e-mail services. The Visto Inbox appears as a separate account within the Inbox tree on the device, and it is the default account used after it is installed, thereby providing a seamless experience for the user.

How Visto Mobile Personal Edition™ Works A user can configure the Visto Mobile Personal Edition™ (VMPE) client software on his or her mobile device to automatically synchronize the Inbox on the device with the messaging server behind the corporate firewall at specific time intervals or to synchronize after the user activates synchronization on the device. If the user sets an automatic interval, the client software on the device automatically synchronizes with the messaging server when the user turns on the device.

To synchronize with the corporate messaging server (the e-mail server) behind the corporate firewall, the device establishes a direct, encrypted connection with the gateway that is running the VMPE software. The gateway then establishes a direct, encrypted connection through the corporate firewall to the user's desktop computer, or to one of the delegated computers that is running the redirector software. The desktop redirector application running on the desktop computers behind the firewall initiates the connection to the NOC, so firewall changes are unnecessary. The computers running the desktop redirector application must be connected to the corporate messaging server behind the corporate firewall.

Data is synchronized between the corporate messaging server and the computer, between the computer and the gateway, and between the gateway and the user's device that is running the VMPE software. At the gateway, data is exchanged as messages or transactions at the application level. The gateway acts as an Internet-based real-time message conduit between the user’s computer and the mobile device. To protect the contents of messages while en route, the software on the user's desktop computer and the software on the mobile device encrypt the messages before transmission to the gateway. Visto does not have access to the security mechanisms used by the mobile device and the user's computer, so Visto does not have access to any message content. The following diagram displays this process.

Hosted Exchange Users are taking advantage of mobile devices more today than ever before, making their mobile devices critical tools that they use on a daily basis. Wherever users are—in the office, in the car, or at the coffee shop—they need to be able to communicate quickly and efficiently with their customers. The Hosted Exchange solution helps users meet their expanding mobile communication needs and is a rich e-mail solution that offers flexible communication options through e-mail, Contacts, and Calendar.

Hosted Exchange provides a multiple-service environment that is based on Microsoft Exchange Server and offers the ability to add functionality for consumers while emphasizing reliability, availability, scalability, automation, and flexibility. The solution includes the automation framework for provisioning as well as end-to-end management and reporting to ensure the lowest possible cost of operations.

By implementing the Microsoft Solution for Hosted Exchange 2003 (Hosted Exchange), mobile operators can offer businesses and individual consumers the following scalable services:

• Rich and basic e-mail boxes

• Messaging services

• Collaboration services

• Vanity domains

Users can access the broad selection of services that can be offered through a Hosted Exchange solution through both the Microsoft Office Outlook 2003 client and the Outlook Web Access (OWA) Web client on a mobile device. Hosted Exchange supports multiple devices, although it works best with the Windows Mobile–based Pocket PCs and Smartphones, which have the ability to receive Short Message Service (SMS) notifications from Hosted Exchange 2003.

Hosted Exchange is a tested, pre-engineered solution that is based on standard Microsoft server products and includes management tools that help ensure rapid time to market and superior service levels to users. Hosted deployment of the Hosted Exchange solution is available.

The Hosted Exchange solution can be easily bundled with broadband or wireless services to help differentiate access services. The heart of the Hosted Exchange solution is the Reference Architecture Guide, which outlines the recommended architectures and best practices that enable mobile operators to design and deploy an optimum configuration. The guide is available on the Microsoft Solution for Windows-based Hosting CD.

Business Benefits Hosted Exchange offers unparalleled scalability to meet the changing needs of mobile operators and their customers, accommodating growth to several million e-mail boxes. For mobile operators who seek to address the increasingly attractive small to medium business (SMB) market, the solution offers flexible business modeling and the tools required to deploy value-added services quickly and easily and with minimal cost.

By bundling current product offerings with services like Internet broadband access, mobile operators can also take advantage of the value of the services they provide and increase average revenue per user (ARPU) as the perceived value of broadband offerings increases.

Functionality Microsoft Exchange server is the leading environment for managing messaging services. Hosted Exchange 2003 enables users to synchronize their data manually by using scheduled synchronization, the AUTD feature with SMS. Combined with OWA and Outlook Mobile Access (OMA), Hosted Exchange supports most devices shipping today with a rich e-mail experience. Offline synchronization is currently supported for Windows Mobile–based devices.

Hosted Exchange offers native support for basic mobility driven by the Hosted Exchange 2003 environment, which includes Fenestrae. This support includes Outlook Mobile Access Browse for both Wireless Application Protocol (WAP) 1.x and 2.x, mailbox, Calendar, Contacts, SMS notifications of new messages, and fax delivery as e-mail for mobile users. As a result, users who subscribe to a service that uses a Hosted Exchange e-mail solution can do the following:

• Synchronize their Calendar and e-mail at wireless hot spots like an airport, certain coffee shops, and even certain fast-food restaurants

• Schedule meetings, assign tasks, maintain their schedules, and efficiently manage their time away from the office

• Synchronize their Windows Mobile–based Pocket PC Phone Edition or Windows Mobile–based Smartphone with the latest e-mail messages and calendar items wherever they are

• Have a reliable, full mobile data backup service and storage location for emergencies

Elements Hosted Exchange 2003 supports Microsoft Exchange 2003, Internet Message Access Protocol (IMAP), and POP3 messaging formats. The architecture of the Hosted Exchange solution consists of a server running Exchange Server 2003, a Simple Mail Transfer Protocol (SMTP) to SMS gateway, and a mobile device.

SMTP to SMS Gateway The SMTP to SMS gateway is a mechanism to accept and translate incoming SMTP messages and e-mail messages to SMS by using the Short Message Peer to Peer (SMPP) protocol. After the message has been translated, it is sent to the mobile device. Exact implementation of this gateway varies among Short Message Service Center (SMSC) vendors.

How Hosted Exchange Works Depending on the mobile device, users can access their Hosted Exchange e-mail Inbox, Calendar, Contacts, and Tasks by using either ActiveSync or OMA. Windows Mobile–based devices can use ActiveSync because they provide native support for the Hosted Exchange solution. Users of other devices that support Wireless Markup Language (WML), HTML, Extensible Hypertext Markup Language (xHTML), and Compact HTML (cHTML) can use OMA to browse their Exchange Server 2003 e-mail Inbox, Calendar, Contacts, and Tasks by means of the WAP protocol; however, OMA does not synchronize content.

Users who are using Windows Mobile–based devices can manually synchronize their e-mail, Calendar, Contacts, and Tasks with their Exchange Server 2003 accounts; schedule synchronization at specific intervals; or use the AUTD service (if supported).

Exchange Server 2003 Always-Up-To-Date Service Business managers and mobile professionals are incrementally dependent on e-mail and other Contact and Calendar information, yet they have a limited amount of time to spend in front of their desktop computers. Also, corporate IT departments have mobility and e-mail environment standards. As a result, enterprise customers are looking for ways to connect the mobility dots. They are looking for solutions that work out of the box, match their expectations for "always-on" messaging services, and provide a consistent deployment model for national and worldwide enterprises.

The Exchange Server 2003 AUTD solution, which can be branded for a mobile operator, is a value-added service that provides an always-on experience for users and allows mobile operators to provide enterprise customers with a rich mobile e-mail solution that works out of the box with native features of Windows Mobile–based devices. The service takes advantage of the native capabilities of Windows Mobile–based devices to directly synchronize user-selected mailbox folders on the device, the Calendar, and the Contacts list with a server that is running Exchange Server 2003.

By offering AUTD as a service, a mobile operator can increase its ARPU and gain a progressive foothold in the enterprise market. Enterprise market opportunities that the AUTD solution may lead to include: enterprise device provisioning solutions and hosted messaging solutions.

An application service provider (ASP), a mobile operator, or an enterprise can host the AUTD solution. Microsoft offers custom installation and integration services for this solution, including billing, provisioning, and access control.

Business Benefits The AUTD feature in Exchange Server 2003 adds value for mobile operators by adding perceived customer value to services. This feature generates increased ARPU by positively affecting both data and voice traffic and reduces churn. Critical customer needs are satisfied by allowing users to access corporate e-mail anywhere and anytime. Mobile operators benefit from users' incoming mails generating outgoing calls.

The AUTD feature can be implemented by licensing or hosting. The AUTD feature also offers a standard fit with existing billing systems.

Functionality The Exchange Server 2003 AUTD solution takes advantage of native SMS notification capabilities of Windows Mobile–based devices to deliver additional messaging, collaboration, and partner solutions. It supports direct synchronization of user-selected mailbox folders, Calendar, and Contacts for smart devices and feature phones. Windows Mobile–based Pocket PC and Smartphone clients can synchronize e-mail, Calendar, Tasks, and Contacts. No additional enterprise servers or software are required, and the software supports a full range of mobile devices.

The Exchange Server 2003 AUTD service works like scheduled synchronization; however, synchronization is initiated by a notification that the Exchange server sends to the device. The server sends a notification when it receives a new message or other Personal Information Manager (PIM) information for the subscriber, such as if the user added, changed, or deleted a Calendar or Contacts item.

Because the server prompts the device to synchronize when the server receives a new message, mobile device battery life improves, smaller packets are sent over the network (so traffic is lighter), subscribers never have to wonder if their e-mail is up to date, and operators can monetize the service based on value rather than data load. This solution is ideal for subscribers who have critical but infrequent messages and who have concerns about battery life and data plan usage.

The AUTD feature for mobile devices interfacing with Exchange Server 2003 provides the following benefits:

Elements The components of an Exchange Server 2003 AUTD solution include a server running Exchange Server 2003, an SMTP to SMS gateway, and a mobile device.

A mobile operator that offers an AUTD solution receives a data sheet, a white paper, and a demonstration from Microsoft.

SMTP to SMS Gateway The SMTP to SMS gateway is a mechanism to accept and translate incoming SMTP messages and e-mail messages to SMS by using the SMPP protocol. After the message has been translated, it is sent to the mobile device. Exact implementation of this gateway varies among SMSC vendors. The following diagram illustrates the communication path between the enterprise server and a mobile device.

Mobile Device Windows Mobile–based Pocket PCs and Smartphones have native support for the AUTD solution. When the device receives the SMS notification from the SMSC, it processes the notification and initiates synchronization without alerting the user.

How AUTD Works When the server that is running Exchange Server 2003 receives a new message for a mobile user, the server sends a notification, which is a specially formatted control packet, by means of the SMTP to SMS gateway in the mobile operator's network. The gateway sends the notification to the user's mobile device as an SMS message. When the device receives the notification, it processes it without alerting the user and performs background synchronization with the Exchange server. During synchronization the device receives all of the information that the server has queued and transmits any new information that it has in its queue to the server.

The server sends another notification each time a new message arrives in a user's mailbox. The AUTD solution works over all types of operator data networks, including General Packet Radio Services (GPRS) and 1xRTT; SMS delivers the synchronization notifications.
