Evaluation of Environmental Elements
All shelves are sturdy and very well built. Work tables and chairs are equally well made. The circulation desk and other office furniture
is of the same quality as shelving a tables. All furniture is of good quality and in excellent
condition having been purchased in the last eight years.
Teacher Survey Results
Mobile computer lab and new classroom computer lab make technology more accessible
Size of media center is adequate for an entire class and students doing various other activities
Smart board & projector for whole class instruction is useful
Projectors continually blow bulbs
Well organized and clean teacher workroom with die-cut machine and laminator
Teachers are included in the selection of resources
Media specialist states more space needed for teacher resources
Laminator is not available on an as needed basis
Media specialist states that some teachers do not effectively monitor their classes
Teacher Survey Results
Hard to monitor a whole class because the student computers/workstations are separated by long distance
Hours of operation need to be extended to allow teachers and students more access
Although there is a mobile lab and a new classroom lab there are only five computers in the media center
New computer lab is not connected to the media center
Hard to monitor all students in the media center because of the placement of shelving
No faculty access to the bathroom in the office space
Limited workspace in the teacher workroom
Extra shelving needed in the foyer area for displaying student work
Mobile lab often has laptops that are not working
Student Survey Results
Reading area in the center of the library is not comfortable because of all of the activity going on around it
No private areas to work When a class is in the media
center, there is not a computer available to search the catalog or use the Internet
Easy to find books
There is no time to go to the media center after school
Only allowed to go to the media center once a day
Can’t go into the media center without a pass from a teacher
New students that had not gone through orientation had difficulty finding the media center

Action Plan
The following slides will address the issues gathered in the teacher/student surveys.
Each slide depicts an area of the media center and how that area can be modified to offer a solution to a problem that was mentioned in the teacher/student surveys
Ebenezer Middle School Media Center
The entrance to the media center is not easily visible nor very inviting from the atrium area. New signage above the doors would remedy this situation.
Ebenezer Middle School Media Center
New signage above the doors would cost $61.60
Vinyl lettering on media center doors detailing the hours of operation would cost $20.90
Both items purchased from www.buildasign.com
Foyer Area
This is a very large space that is currently not being utilized.
In the revised floor plan the space on the right has additional shelving to display student work. The space on the left is converted from the resource room to the new circulation desk for better monitoring of students.
Shelving added along this wall will replace this table and lamps and make this space more useful
New circulation desk
Foyer Area
This shelf is adjustable and can be configured to house various types of student work
List price from www.schooloutfitters.com is $544.99 for a 36w x 12d x 72h red oak shelf
Total cost for new shelving is $1634.97 as 3 shelves are needed in this area
Demolition and reconstruction of circulation desk would be bided out to local construction companies
Initial rough estimate from one local contractor is $4300.00
Conference Room
The conference room is a space that is seldom utilized for media center activities.
In the revised floor plan this space is converted into the new teacher resource & periodical room as it is a much larger area and better meets the needs of the resources & periodicals.
Teacher Resource Room
The teachers’ resource room contains teaching resources as well as old periodicals. This area will need to be addressed soon as space is filling up quickly.
In the revised floor plan this area is replaced by the circulation desk. The larger resource room will be located in the old conference space.
Teacher Resource Room
Additional shelving is added to the new teacher resource room
4 new shelves can be added to this new space
Total cost is $2179.96
Shelving and Student Workspace
In the revised floor plan these two areas trade places
In doing so, new computer stations can be added and students in the aisles can be better monitored from the new circulation desk
Shelving Placement
The media center is equipped with adequate shelving. However, many of the shelves are currently positioned over electrical and internet ports that could be used for additional computers.
In the revised floor plan the shelves are moved to the other side of the media center and positioned so that students can be monitored from the circulation desk, and ports are available for additional computers.
Student Work Tables
The worktables seen here are in an awkward arrangement. They back up against 5 of the computers and the emergency exit.
They also separate the shelving units.
In the revised floor plan, the worktables are part of the larger student work space.
Student Work Space
The two small student computer work spaces are separated in the current floor plan.
In the revised floor plan the student computer work space becomes a larger area more conducive to working with an entire class.
Student Work Space
Eight new computer tables are added to the new student workspace. This will bring the total number of computers from 10 to 22 that are available in the media center.
Tables are $852.99 Chairs are $178.99. Total cost of furniture is
$9687.76
The Circulation Desk
The circulation desk is near the front entrance of the media center. It is positioned in front of the media center office.
In its current position, it is hard to monitor all students at all times.
In the revised floor plan the circulation desk is positioned so that all areas of the media center are visible.
Reading Area
The reading area is currently located in the middle of the media center floor between the two student work areas.
In the revised floor plan it is positioned behind the larger student work space under the windows that are visible in this slide.
Two low shelves are also added under the windows.
Sizes are 36 x 12 x 36. Total cost for new shelving 679.98.
Unused Space
This space is currently not utilized as it is not easily seen from the current circulation desk.
In the revised floor plan, this space becomes part of the new reading area complete with low shelving under the windows. It is easily visible from the new circulation desk.
Office Space
The office space is a large area with a private bathroom.
In the revised plan, the office is converted into the new workroom to give faculty a larger work area and access to the bathroom.
Teacher Work Room
The teacher workroom is a small space.
In the revised floor plan the office space and the workroom space have been exchanged because the workroom needs to be larger.
In the new space the workroom could house a much needed work table.
Teacher Workroom
Work Table for the new teacher workroom
Size: 42w X 60l X 32h Cost is $489.99
Server / Storage Area
This is a large area that is poorly used. The tower and the two computers in the corner are the only items in this room that need to be in here. The rest could be checked out to teachers. There is a large need for carts among teachers. The monitors and printers are extra parts that could be stored in the media center storage closet that is located behind the media center.
Server/Storage Area
There is a small kitchen area complete with refrigerator and a microwave set up in this space
This is also poor use of this space. These items are available in the faculty lounge
Storage/Server Area
In the revised floor plan, the extra computer parts are stored in the closet behind the media center and the computers and servers are positioned against the far wall so that the conference tables can be housed in this area should they ever be needed.
Private Workspace
In the revised floor plan five private workspaces are added by placing study cubicles under the windows of the office, resource room, and teacher workroom
Cubicles are $179.99 Chairs are $178.99 Total Cost &1794.90
Recap of Key Changes in Floor Plan
New shelving added in the entrance way
New circulation desk for better monitoring of all spaces
New computer workstations added bringing total to 22
Larger resource room Quieter reading area with
low shelves added
Larger teacher workroom with access to bathroom
Storage area better utilized and tables added
Study cubicles added for privacy
Total projected cost for needed improvements: $20850.06

Current Facilities Policy
Students are encouraged to visit the media center throughout the day in order to complete class assignments, research various topics on the computer and in the print collection, check out materials, browse the magazine section, read for pleasure, or use the audiovisual resources and equipment. Students must have their planner signed as a pass to come to the media center. An Internet pass is also required for using the internet while in the media center. Students may be sent in pairs (2) to check out books while small groups of 4 may come to research.

Students must have their planner signed as a pass to come to the media center during class hours. Passes are not required before or after school. Students may be sent in pairs (2) to check out books while small groups of 4 may come to research.
Current Facilities Policy
Class visits are encouraged and may be scheduled to check out books, provide time for research using the print and non-print resources, and also to use the computers. Teachers must remain with their classes and are responsible for students’ behavior while in the media center. The media center is not place where students should come to socialize. Instead students’ behavior should reflect a sense of respect and privacy for fellow media center patrons. Continued misbehavior may result in the loss of media center privileges.
Please let me know if you would like to collaborate with the media specialist for your research assignments. I am glad to help you in any capacity that I can. At the time of scheduling classes to use the media center, please inform us if staff services will be needed prior to the scheduled visit (such as gathering of materials, review of location of materials, teaching of pertinent library skill, etc.)
Current Facilities Policy
Circulation ProceduresFacultyTeachers are encouraged to use the media center for research
purposes and to check out as many materials as needed for classroom use. Equipment such as LCD projectors, VCRs, laptops, digital cameras, camcorders, etc. is for short-term loan. In order to maximize circulation, it is requested that materials and equipment be returned promptly after use. Please note that faculty members are responsible for items checked out in their name. If you loan items checked out in your name to another person, you are still responsible for those items.
Current Facilities Policy
Circulation ProceduresStudents
Students are encouraged to browse the collection and check out books for curriculum support purposes and for pleasure reading. They may check out 2 books for a 2 week period of time. They cannot check out reference books, magazines, or any type of equipment.
Students are assigned a patron barcode number that is used to check out books. These barcodes are attached to the back of the students’ planners. Students are responsible for all books checked out in their name. Please do not allow students to return books to the media center for other students. There have been instances of books returned by students other than the borrower which could not be accounted for. This makes deciding who is responsible difficult. The overdue charge is $.05 per day excluding weekends, holidays, and absences. Report cards are held at the end of the 9-week period if students have overdue books.
An internet pass is also attached to the back of the students’ planners. This pass must remain in the planner for students to be able to utilize the Internet.
Current Facilities Policy
Audiovisual EquipmentAudiovisual equipment is available for checkout through the media
center. This includes VCRs, television, cassette players, digital camera, video camera, laptop computer, LCD projectors, overhead projectors, DVD players, etc. Some LCD projectors may be checked out for the entire year. These projectors are assigned on a first come first serve basis. See the media staff if you need to reserve needed equipment to assure you have access to these items on the date needed. Equipment needs to be returned promptly after use to insure its availability for others.
Current Facilities Policy
Mobile LabThe mobile lab is available for check out from the media center. This lab
contains 30 wireless laptops and a printer. See the media staff to schedule dates to use the lab. Scheduling is on a first come first serve basis. The mobile lab can become a very popular item so be sure to plan ahead and reserve your needed dates.
Should problems arise with the mobile lab, please submit a SysAid for each laptop or the printer. Do not return the mobile lab to the media center without submitting a SysAid if there are laptops that are not working. It is extremely inconvenient to other teachers when problems are not taken care of when they arise.
All teachers must read and sign an acceptable use policy/teacher contract PRIOR to using the mobile lab for the first time each school year.
Current Facilities Policy
Media Center Workroom The teacher workroom is available in the media
center. There is a laminator, Ellison machine, bulletin board paper, and paper cutter. If you must send students to use the workroom, send only responsible students and do not send more than 2 at a time. Remind students to clean up their work are before leaving the workroom. The media center will not provide scissors, pens, construction paper, etc. Please be sure to bring all needed items with you. Students are not allowed to use the laminator or the paper cutter.
Current Facilities Policy
Laminating Laminating will be done by Mrs. Yawn every
Wednesday. There is a yellow box for you to place your items to laminate. Be sure to put your name on your items. Once items are laminated, they will be placed in the green box for pick-up.
The laminator will also be available for individual teacher use everyday after school.
Additions to Facilities Policy
Equipment General Care Practices:1. Use equipment only for the purpose for which it is designed.2. Don't force equipment. If machines do not perform properly and your operational
procedures have been correct, send the unit to media center for repair or e-mail media specialist.
3. Always keep equipment covered when not in use, and keep the external portions clean.
4. Make regular checks of all cords and connectors for loose plug tips, worn or broken insulation, or other indicators of possible problems.
5. In emergencies you may need to make simple adjustments or minor repairs to equipment. Do not attempt to make major adjustments. Equipment failures may be caused by errors in operation: cords are not fully plugged in or the outlet is bad; the speaker is not connected; controls are not in proper positions; a threading path has not been followed accurately. Recheck procedures before e-mailing for repair.

Additions to Facilities Policy
6. Never replace a lamp when the projector is plugged in. Make sure fans are still running when replacing lamps.
7. Projector Lamp Cautions: a. Never handle lamps with bare fingers - always use the paper wrapper if one is provided or
make your own. Oils from the skin react with some kinds of glass and, in all cases, the oils will get dark as they "cook." Any dark spot on the lamp will absorb more heat causing uneven thermal stresses in the glass.
b. Periodically inspect projectors to insure proper operation of the cooling system. Check for fans that are loose on their shaft and for sluggish fan motors and refer to AV Repair.
c. Never operate a projector with the lamp housing open as this not only exposes the operator to flying glass if there is an explosion, but also may seriously impair the cooling system operation.
d. Make sure that the lamp itself is properly seated. Lamps which are not in precisely the right position may be subject to overheating at the contacts, as well as affect the operation of the cooling system.

C. Equipment Repair ProceduresSysAid is the District's online system for managing
maintenance requests. You can access the system directly by clicking on the
SysAid icon on your desktop. If you have any questions on the use of the system,
please contact the media specialist.

Recap of key policy changes/additions
Hours extended for teachers and students
Students are able to access the media center after and before school without a pass from a teacher
Internet passes are placed in every student’s planner to eliminate the need to get a pass from a teacher
Behavior and monitoring of students are better detailed
Directions for common problems with projectors are outlined
Directions for submitting repair requests for mobile lab laptops are discussed
Use of the laminator is extended
Long Range Plan
Because the student population continues to increase, a new addition to the back of the media center is needed for an additional computer lab
The doorway that is now the emergency exit could be the opening to the new computer lab
The windows behind the new reading area could be kept and used to monitor the new lab
This new space could be used to increase the number of classes that can utilize the media center from 1 to 2 or 3
