Introduction

Target AudienceThe intended audience for this Exporting to a Microsoft SQL Server Database guide is administratorswith a good working knowledge of databases.

About the Exporting to a Microsoft SQL Server Database GuideThe scope of this document is to provide information on how the data held within a Nimbus processrepository can be exported via the Data Export Utility and represented in a Microsoft SQL ServerDatabase. This facilitates advanced reporting and data analysis (via tools such as TIBCO Spotfire oreven Nimbus metric links). It also facilitates the sharing of data between other process tools.Information flow is one-way, meaning that any changes made to the data in a Microsoft SQL ServerDatabase will not be reflected in TIBCO Nimbus, and data will also be replaced in the Microsoft SQLServer Database whenever an export is run.

Usage Guidelines

It is important to know that when the TIBCO Nimbus Data Export utility is run, it will make extensiveread operations against the process repository for the duration of the export operation. This will havea significant impact on the performance of the Nimbus system. The operation can last from a fewminutes to a number of hours, depending on the scope and amount of data that is being exported andthe hardware specifications of the servers hosting the process repository and the Microsoft SQL ServerDatabase. It is therefore advised to schedule the operation to be run at off-peak times or, preferably,against a backup of the repository to minimize the impact on a live process repository. For informationon creating backups. please refer to the TIBCO Nimbus Administration Guide, which can be found onthe TIBCO documentation site.

Note: Exported content does not obey access rights. To ensure content remains secure you shouldmanage permissions on the SQL Database.

About TIBCO Nimbus

TIBCO Nimbus is a process management mapping application that allows corporate information to bepresented graphically and hierarchically in the form of maps and diagrams. It provides a simple user-interface that enables any employee within an organization to access information that is relevant andessential to fulfil their role.

Maps are a collection of diagrams created by process authors. A map is initially created as a draftversion until it is promoted to a master. Maps may also comprise a number of scenarios. Accessrights can be assigned to individual users and groups, allowing or preventing access to an entire mapor parts of a map. Continuous improvement to processes is achieved through a number ofcollaboration features. Acknowledgement requests ensure users are aware of process content thataffects their roles. Reviews ensure that content is kept up-to-date. Feedback and change requestsallow users to suggest improvements. Users can also be notified when content changes through theuse of subscriptions.

Statement sets are a hierarchical set of regulatory and auditable statements that ensure complianceto specific business and legal requirements, such as ISO 9000/12001/17799, CMMi, internalcompany policies, etc. Statements can be linked to activities that are related to compliance andgovernance.

Exporting Data to a Database

The utility can be run as a scheduled task or it can be run manually. It is advised that the utility is runovernight, or when few users are logged into the system.

To manually export data from a Process Repository

1. Run CtrlDataExport.exe (...\TIBCO Nimbus\Client\Utilities).2. Click Browse to select the Process Repository that you want to export from, then click Next.

Note: If you have previously saved a settings file click Load to select and open it.

3. Enter the user name and password of a TIBCO Nimbus administrator, then click Next.

Database4. In the Database tab specify the details of the database to export to.

Specify or select a SQL Server Instance - either choose a SQL Server from the list or manuallyenter the SQL Server that you are exporting to.

Note: Click Refresh to update the list of servers.

Choose one of the following options:· Use Windows Integrated Security

If Windows Integrated Authentication (WIA) is enabled then select this option to allowauthorized users to run the utility.

· Use a specific user name and passwordSpecify a user name and password to user whenever the utility is run.

Note: Both options will require the user to have access to the SQL server. Click TestConnection to test the credentials against the SQL server.

Specify a new or select an existing Database - either choose a Microsoft SQL Server Database toexport to from the drop-down list (to populate the list from the selected server click Refresh), ormanually enter the Microsoft SQL Server Database.

Export Options5. In the Export Options tab, select what data to export from the following:

Process MapsAll Process Maps exports all process maps in the process repository, including masters,drafts and scenarios.Selected Maps Only allows you to select which maps to export (click Select Maps to selectthe maps that you want to export).

Statement Sets

Statement Sets Only will export statement set data (not including statement link data).Statement Sets and Links exports statement set data and statement link data.

Other Items

Export Documents exports document data.Export Storyboards exports storyboard data.Export Keywords exports keyword data.Export Scorecards exports scorecard data.

Exports all action data. Note that actions may be related to process content, such asdiagrams, statement sets, storyboards, etc. These items must also be selected for export ifyou want to export actions related to these items.

Governance Data

Exports review, authorization, acknowledgement, change request and memo data. Note thatgovernance data will only be exported for the other options that are selected (for example,to export governance data for documents, you must include also documents in the exportoptions.

Advanced

The Advanced tab allows you to select external scripts and commands to run on the data after ithas been exported.

6. Specify any external scripts or commands to run:

External SQL ScriptsChoose a folder that contains any SQL scripts that you want to run on the exported data.SQL scripts will be run in alphabetical order.

External CommandRun an external command (.exe, .js, .vbs, .bat or .cmd) after any selected SQL scripts havebeen run. Either enter a command or executable (including the file path) in the Command

to run field, or click to select an executable. You can also specify arguments and set atimeout for the utility to terminate if the script fails to return a value or stops working (setthe timeout to '0' for no timeout limit).

OptionsThe SQL Command Timeout (seconds) specifies the time limit for the Microsoft SQLServer to respond to a command. You can also set the SQL Command Timeout to '0' for notimeout limit.

7. Click Export Now.

Note: You can save these settings so that they can be loaded in future sessions. Settings fileswill be saved as <filename>.CtrlDatExp. The settings file can also be used to run the utilityfrom a command-line prompt and when running an automated Windows Scheduled Task.

Scheduling

Exporting data to a database can be run from the command line, or as a Windows Scheduled Task. Runthe following command:

<Location of Database Export Utility> <Settings File>For example:

"C:\TIBCO Nimbus\Client\Utilities\CtrlDataExport.exe" "C:\TIBCO Nimbus\Client\Utilities\Settings.CtrlDatExp"

A log file is generated in the same location as where the utility is run from.

Entity Relationships

Table relationships can be represented in an entity relationship diagram. Entity relationship diagramsprovide a visual overview of table relationships within a database, allowing you to better understand adatabase. You can create customized entity relationship diagrams using SQL Server ManagementStudio. If you do not already have SQL Server Management Studio then SQL Server Management StudioExpress is freely available from Microsoft.

To create entity relationship diagrams in SQL Server Management Studio (Express)

1. In SQL Server Management Studio (Express), expand the database node for the TIBCO Nimbusdatabase.

2. Right-click on the Database Diagrams node and choose New Database Diagram.3. In the Add Table window, hold Ctrl and select each table that you want to add to the diagram and

then click Add.

This will create an entity relationship diagram for the selected tables. You can save the diagram bypressing Ctrl + S. Entity relationship diagrams are saved under the Database Diagrams node for futurereference.
