New Exhibitors: How To ExhibitOnce your company has elected to participate in this prestigious event, follow these three easy steps:

On-Site Rebooking Instructions ▶ Review all exhibit information carefully.

▶ Read the Terms & Conditions on the Exhibit Space Agreement.

▶ Select five exhibit space choices based on the enclosed floor plan. (Those with lower priority numbers need to be realistic with the preferred choices you are considering.)

▶ Consult the space selection schedule and priority point list to determine your appointed time.

▶ View the updated OTC 2015 floor plan online before leaving for OTC 2014 to see how the selections of the top 350 priority exhibitors affected your choices.

▶ Complete the Exhibit Space Agreement and bring it with you at your appointed time to the Rebooking Lounge.

▶ Arrive 10–15 minutes early to submit your Exhibit Space Agreement and to review the current OTC 2015 floor plan for available space before making your final selection.

If you are unable to attend the Onsite Priority Exhibit Space Selection at your appointed time, you must submit your Exhibit Space Agreement by 18 April 2014 to OTC by fax at +1.866.491.7171 or email at [email protected].

OTC Show Management will act as your proxy to assign the best space available to your company during your appointed time. You must receive a confirmation that an Exhibit Space Agreement has been received by OTC Management to insure your proxy will be made.

Please do not submit an Exhibit Space Agreement before your appointed time slot if you will be rebooking on site.

If you miss your appointed time slot and have not submitted your Exhibit Space Agreement for OTC Show Management to serve as a proxy, you can still select space by coming to the Rebooking Lounge and checking with OTC staff. However, the selection of available space will diminish rapidly.

Attention OTC Priority ExhibitorsImportant information for OTC Priority ExhibitorsOTC companies with a priority rank of 1–681 will have the opportunity to participate in the advance or on-site exhibit space selection process. This process allows you to select and reserve your exhibit space for OTC 2015 before or while at OTC 2014.

Advance Priority Exhibit Space SelectionWho: Exhibitors with a Priority Rank of 1–350 When: 24–28 March 2014

Exhibitors with a priority rank of 1-350 must submit an Exhibit Space Agreement no later than 17 March 2014 to participate in the advance exhibit space selection process.

On 24 March 2014, OTC Show Management will begin calling exhibitors, in priority order, to pre-assign those with a priority rank of 1–350. This pre-assignment will help with companies whose space selection sometimes require redrawing of the floor plan during the selection process.

Please refer to the enclosed preliminary floor plan (subject to change). Once the selection process begins, the OTC 2015 floor plan will be updated in real-time at www.otcnet.org/go/exhibit2015. It is highly recommended that exhibitors refer to the floor plan online once rebooking begins, as the floor plan and booth configurations will change.

On-Site Priority Exhibit Space SelectionWho: Exhibitors with a Priority Rank of 351–681 When: 5–8 May 2014

Approximately two weeks prior to OTC 2014, the on-site space selection schedule will be posted on the OTC website at www.otcnet.org/go/exhibit2015. Exhibitors with a priority rank of 351–681 will receive a link to the on-site space selection schedule via email. This schedule will include your appointed time slot* for exhibit space selection. The schedule will also be distributed to your booth at OTC 2014.

Exhibit space selections will take place Monday, 5 May–Tuesday, 6 May in Reliant Center, room 200; and Wednesday, 7 May–Thursday, 8 May, in Reliant Arena, Stockman’s Club.

Post-Show Priority Exhibit Space Selection Who: Exhibitors with a Priority Rank of 682 and Higher When: 27 May–13 June 2014

Exhibitors with a priority rank of 682 and higher should submit an Exhibit Space Agreement and Designated Contact form by 17 May 2014. Please review the updated OTC 2015 floor plan at www.otcnet.org/go/exhibit2015 before making your five preferred booth selections on the Exhibit Space Agreement. It is highly recommended that exhibitors refer to the floor plan online once rebooking begins, as the floor plan and booth configurations will change.

Space will be assigned in priority order, and then by date of receipt of agreement for exhibitors with the same priority ranking. OTC Management will attempt to contact exhibitors whose selections are not available. If the attempt is unsuccessful, the best available exhibit space will be assigned.

All Exhibitors with Priority RankAfter all advance, on-site, and post-show priority time slots expire, space selection will be offered on a first-come, first-served basis regardless of priority rank or past participation. OTC 2015 exhibit space will not be assigned without a completed Exhibit Space Agreement. A 25% deposit will be due on 1 July 2014 to confirm exhibit space.

All exhibitors will have until 1 July 2014 to request a reduction in size or cancel their space with no penalty.

3. Conference Map Booklet and Pocket FolderThe official OTC conference map booklet and pocket folder is a perfect place to highlight your company’s presence at OTC. The booklet contains the OTC exhibitors’ names and booth numbers; the booklet’s pocket folder contains the map.

Conference ProgramApproximately 40,000 conference programs are distributed on site to conference attendees providing detailed information on the technical sessions, special events, and exhibition. Participants often keep the programs after the conference to use as a reference tool. Full-, half- and quarter-page ads are available.

4. Conference Program Full Page Ad with Adhesive TabsThis advertising opportunity offers a way to help attendees reference important information in the OTC conference program. More than just an ad, attendees can peel off adhesive tabs from your full page ad to mark pages that are important to them. Your company logo or a specific marketing message can be printed on each of the 11 adhesive tabs and/or the imprint area underneath the tabs. You also receive another full page ad on the back side of the page. This ad will be printed by 3M, which is an industry leader in adhesive products

5. Conference Program Belly BandThe first information conference attendees will see when picking up their program is your company’s advertisement on the belly band wrapped around the outside. Escalator Runners Because OTC activities take place on both levels of Reliant Center, four sets of escalators provide conference participants with access to the technical sessions on the second floor. SponsorshipsSponsors who spend USD 25,000 or more in sponsorships and/or advertising are recognized in the website, preview, program, Proceedings, and on-site signage.
