Exhibitor Handbook Arlington Convention Center Regulations Accessibility / ADA

Display Guidelines

Attaching decorations - The use of nails, screws, tacks, pins, adhesive material, tape, glue, staples, or any product that could penetrate, deface or damage doors, floors, walls, surfaces, furnishings, or equipment is prohibited. No holes may be drilled, cored or punched in the FACILITY.

Glitter is prohibited in carpeted areas.

Helium balloons must be filled, installed and removed by a balloon-decorating firm; helium tanks must be handled according to fire code. The USER will be assessed a labor fee at the prevailing rate for retrieval of loose balloons.

Open-flame candles are prohibited.

Pipe and drape must be offset from walls and pillars to prevent damage to walls or interference with wall sconces; this also applies to items stored behind pipe and drape.

Removing Decorations - It is the responsibility of USER and/or its agents, decorators or exhibitors to remove all event-related displays, decorations, equipment and/or materials of any kind, including dirt, bark, mulch, or similar materials during the contracted move-out time.

Signs and Banners – Signage must be professionally produced. Painting of signs, displays or other objects is prohibited inside or outside the FACILITY.

Non-ground supported aisle signs and banners –At the discretion of the Director, only CENTER personnel, the CENTER'S preferred in-house contractor, and/or pre-approved decorating firms are permitted to install signs and banners that require hanging throughout the facility including Exhibit

Hall, Grand Hall Meeting Rooms & Public Space. The USER will be assessed a fee at the prevailing rate for installation and dismantle of signage.

Pre-approved decorating firms are permitted to hang signs and banners weighing less than 50 pounds in the Exhibit Hall and Grand Hall; ceiling hang points are available in the Grand Hall.

Ground supported signs and signs on easels are permitted and may be installed by the USER but location must adhere to fire code; easels may be requested from your Event Coordinator and are provided, inventory permitting, on a complementary basis.

Signs, banners, and similar materials must not be nailed, taped, stapled, or attached to walls, ceilings, and other building surfaces. Attaching to or leaning materials against Grand Hall walls is prohibited.

Stick-on decals and/or similar adhesive backed promotional items are prohibited from use, sale and distribution.

Specialty Exhibits - Specialty Exhibits involving wet displays, hydraulic equipment, vehicles, industrial machinery, animals or exhibits using or consisting of dirt, bark, mulch, or similar materials are not allowed in the Grand Hall (main stage and craft fair locations) or other carpeted areas without prior approval from the DIRECTOR.

Wet Displays and Exhibits, including, electrically connected fountains, hot tubs, and other decorative water containers, must be tested and approved by a CENTER Facility Systems Specialist.

Any outside exhibitors using tents in their exhibit space must ensure that they are properly weighted down with at least 80 lbs of weight. Any indoor exhibitors wishing to use tents in their space must discuss with show management to ensure they meet fire regulations. Please see “Tents” under the Facility Services section below for contact information for our preferred vendor.

Facility Lighting Lighting on the show floor of the ACC is provided at 50% on move-in and move-out days. Lighting is provided at 100% on show days, October 27-29, 2017, between the hours of 9:00am - 8:30pm.

Food and Beverage

The CENTER has an exclusive provider for food and beverage services, including concessions, catering, and alcoholic beverage services. These services are operated and controlled by the CENTER and its official concessionaire.

No food and beverage products, supplies or alcoholic beverages may be brought into or removed from the CENTER by the USER, their employees, contractors, or attendees.

Exhibitor Products - Samples are permitted on the show floor only if the item is a sample product of the exhibitor. Written permission must be obtained 30 days prior to the event from the DIRECTOR for sampling and distribution to event attendees.

Food and non-alcoholic beverage samples may be provided complimentary and must be limited to 1 ounce or less (bite size) of food and 4 ounces or less of non-alcoholic beverages. Service for alcoholic beverages must be arranged through the CENTER’S exclusive food & beverage provider.

Temporary Food Establishment Permit - Exhibitors that are approved by the CENTER to distribute food or beverage samples must obtain a current, Temporary Food Establishment Permit from the City of Arlington Health Department and display in the booth or at the show Management Information Desk during the entire event period. For information, or to apply, contact (817) 459- 6777or www.arlingtontx.gov/health.

Smoking Policy

In accordance with CITY regulations, smoking is prohibited inside the CENTER and outside the CENTER within 50 feet of all entrances and exits.

Taxes USER is responsible for the payment of all taxes, fees and charges required by legal authority associated with use of the FACILITY. Questions concerning sales tax should be directed to:

Booth Regulations Display Booth Specifications and Guidelines

Exhibitor’s display booth(s) shall not extend above 10ft unless approved by show management.

Hard backwalls must leave a nine inch clearance at the rear of the booth for access to electrical equipment, etc. Back to back hard walls must have eighteen inches between the hard walls.

A limited number of banners, hung from the facility ceiling directly above exhibit booths, will be permitted ONLY after contacting Reed Sales at 203-840-5373 to discuss the required payment of an advertising fee. Said banner approvals are on a first-come, first serve basis.

In all cases, Reed Exhibitions shall have the absolute right to require Exhibitor, at Exhibitor’s expense, to change, alter, modify or remove all or part of his exhibit or display booth. Grounds for such action shall include, but not be limited to:

o Lack of aesthetic uniformity or harmony with other display booths at The Tiny House & Simple Living Jamboree.

o Non-compliance with express restrictions on the dimensions of the display booth or any part thereof, whether contained in the Application & License Agreement for Exhibition Participation, Rules & Regulations Handbook or the Exhibitor Manual.

o Objectionable noises or odors emanating from the display booth. o Objectionable signs or lights in the display booth. o Obstruction of aisles or of other display booths. Tables, demonstrations, sampling, putting

contests and /or celebrity appearances must be placed a minimum of four feet from the aisle, in booths that are ten feet in depth. For booths greater than ten feet in depth, the set back is a minimum of ten feet.

o Objectionable clothing or attire, or lack thereof, worn by Exhibitor’s personnel, his agents or models.

Exhibitor shall not store boxes, crates, construction materials or any other materials in or around the display booth area. Any unfinished and / or exposed part of a display booth must be draped at Exhibitor’s expense. Additional storage space can be secured through Freeman.

All food and beverages to be served and / or consumed in specifically designated areas of the ACC, and / or Exhibitor’s display, must be purchased from or approved by the exclusive food service contractor at the ACC. All charges for such food and beverages are the sole and direct responsibility of the Exhibitor and shall not be billed through Reed Exhibitions, nor shall Reed Exhibitions assume responsibility or liability for them.

Exhibitor must strictly comply with all fire, safety and electrical regulations of Arlington, Texas, and the ACC. Combustible materials will not be allowed within the ACC, and no Exhibitor will be allowed to put up or operate any combustible engine, motor or machinery on the premises. All construction materials used in Exhibitor’s display booth must be flame proofed. Balloons and/or blimps of any kind are strictly prohibited. Compressed gas cylinders of any kind are strictly prohibited. It is the exhibitor’s responsibility to ensure proper booth construction. Drapes, signs, banners, plastic cloth, decorations, and similar materials must be flame-resistant or fabricated of inherently fireproof materials. A flame test will be performed when deemed appropriate by the Arlington Fire Department.

The fastening of screws, staples, nails, signs, decals or other devices and objects to any part of the ACC’s property is strictly prohibited. Exhibitor shall be responsible for any damage it causes to any part of the ACC and is responsible for all cost for repairs of same.

Photography and / or graphic reproduction of Exhibitor’s booths and products displayed therein, without the prior permission of the Exhibitor and Reed Exhibitions is strictly prohibited. On site the photographer needs to check in with the media center.

Exhibit Booths must not restrict or obstruct the visibility of emergency exit signs or system monitors.

Exhibit booths must be installed and exhibitor products stored so as not to interfere with access to required emergency exits and life safety equipment. Easels, signs, or other obstructions may not be placed in aisles outside booth areas.

Generators are not permitted in indoor or outdoor booths, power must be ordered through the appropriate form.

Use of Exhibit Space It is expressly agreed that exhibit space is assigned subject to the following terms and conditions:

For purposes of this paragraph, persons means any natural person or any corporation, partnership or other domestic, or foreign, business entity.

An Exhibitor may lease space from Reed Exhibitions under the definite understanding that its product(s) and / or service(s) are deemed by Reed Exhibitions to be directly related to the event.

All exhibits in The 2017 Tiny House & Simple Living Jamboree shall be officially housed in the Arlington Convention Center and attached parking area (ACC). Exhibits are not allowed outside the ACC without prior approval of Reed Exhibitions.

Exhibit space assigned is for the SOLE AND EXCLUSIVE USE OF THE ASSIGNED EXHIBITOR. EXHIBITOR SHALL NOT REASSIGN OR SUBLEASE ITS EXHIBIT SPACE with any person, firm or other entity. No Exhibitor is permitted to show goods other than those manufactured or handled by Exhibitor in the regular course of business. Use of the assigned exhibit space for the display of products of persons other than the Exhibitor is a violation of the Rules and Regulations, and subjects Exhibitor to cancellation of Exhibitor’s display space without refund. No person, firm or other entity not assigned space in the ACC will be permitted to solicit business in any manner anywhere in the ACC or in proximity to the property of the ACC.

Exhibitor shall display its products or services only in the exhibit space assigned by Reed Exhibitions. Exhibitor is expressly prohibited from displaying its products or services in any space, including, but not limited to, aisle space, public space, lobby, parking lot, loading dock, restaurant, or any other space not assigned by Reed Exhibitions.

If Exhibitor’s assigned booth space is separated by an aisle, the booths, numbering at least two (2) on either side of the aisle, must be a uniform and equal number, and the aisle separating the booths must remain clear for foot traffic.

Distribution in any manner, at any time beginning 3:00 pm Friday, October 27, 2017 through and including 5:00 pm, Sunday, October 29, 2017, of any product, literature and/or promotional items by Exhibitor personnel or its agents, including models retained by Exhibitor and wearing apparel of an advertising nature, shall be strictly confined to the exhibit space assigned by Reed Exhibitions and/or any official, approved distribution point(s) designated by Reed Exhibitions.

Reed Exhibitions has an absolute right to require Exhibitor to change, alter, modify or remove any or all parts of Exhibitor’s display including, but not limited to, signs, cards or other printed material, stands, display cases or other physical structures, and any items being displayed by Exhibitor, which Reed Exhibitions, in its sole discretion, deems unsuitable for its Show. Booth Types DIY Village Marked space in the parking lot, a basic power connection, and signage will be provided. There will be access to a shower for those staying overnight. Please see the DIY Village informational packet for more information specific to this area. Inside Exhibitor Marked square footage on the floor is all that is provided for these booths. Furniture can be ordered through Freeman as needed. Utilities can be ordered through the Arlington Convention Center.

Outside Exhibitor Marked spaces in the parking lot are all that will be provided for these booths. Furniture can be ordered through Freeman as needed. Electrical can be ordered through this form. No other utilities are available for the outdoor booths. Vendor Fair One 8 ft table and 2 chairs will be provided. Any electrical needed must be ordered through the ACC. Booths are 10’x10’. Booths will be marked out on the floor but will not have pipe and drape in between. Exhibitors may designate their own contractor for the physical set-up and dismantling of their display ONLY consistent with Texas state labor laws. All other show services, including advance carpet installation, must be provided by the Official Service Contractor. The Exhibitor MUST notify Reed Exhibitions of its intention to utilize its own designated contractor on the form provided before the stated deadline. Please refer to the EAC procedures document for more information and rules and regulations specific to Exhibitor Appointed Contractors.

Exhibitor Services A/V JSAV is the preferred audio/visual provider for this event. Please refer to their order for more information about the equipment and services they offer and pricing. Catering Levy is the exclusive catering provider for this event. Please refer to their menu for catering options. Please keep in mind that since Levy Restaurants is the exclusive food and beverage provider, they do not allow outside food or beverage to be brought into the building. If outside food and beverage items are brought into the facility, you will be asked to remove them and will be charged a fee. Electrical The Arlington Convention Center is the exclusive provider for electrical services inside the facility. Please refer to the order form for information about their offerings and pricing. Exhibitors who are ordering electricity for outside exhibits will use a different form. Please refer to this form for options and pricing for outside exhibits. No outside generators are allowed for indoor or outdoor exhibits, all power must be ordered through the appropriate form. Internet and Telecommunications The Arlington Convention Center is the exclusive provider for these services inside the facility. Please refer to the order form for more information about options and pricing. NOTE: Internet and Telecommunications services are not available for outside exhibitors. Storage, Furniture, Material Handling Freeman is the exclusive contractor for storage, furniture rentals, and material handling. Please refer to the Freeman exhibitor manual for more information on services they offer and pricing. Advance orders typically receive a discount, so get your orders in early! All inbound and outbound shipments require material handling through Freeman. Be sure to print out the appropriate shipping labels and ship to the warehouse if it will arrive prior to the event. The facility will not accept any shipments prior to the event and all shipments arriving during the event will need to work through Freeman. The deadline for warehouse advance shipping is October 23, 2017. The earliest date for direct-to-show site shipping is October 26, 2017. Freeman can also help to arrange shipping for your exhibits. information and pricing. Any outside exhibitors using tents in their exhibit space must ensure that they are properly weighted down with at least 80 lbs of weight. Any indoor exhibitors wishing to use tents in their space must discuss with show management to ensure they meet fire regulations. Exhibitor Personnel, Badges, Show Access

Reed Exhibitions will furnish Exhibitor with 2017 Tiny House & Simple Living Jamboree badges for use by exhibitor personnel only. Exhibitor acknowledges that any badges in addition to those allotted as set forth in the Exhibitor Manual shall be provided to Exhibitor at a per badge fee (whether the person attends The Tiny House & Simple Living Jamboree or not), payable at time of order.

Structures will receive 8 badges, with an additional 2 provided per additional structure space.

Exhibitors will receive 5 badges, with an additional 2 provided per additional 100 sq ft.

Misuse of Tiny House & Simple Living Jamboree badges is strictly prohibited. Should such a violation occur, the badge will be reclaimed by Reed Exhibitions, and the wearer will be refused further entry into display areas for the duration of the 2017 Tiny House & Simple Living Jamboree.

Exhibitor must staff its booth(s) during all show hours of 2017 Tiny House & Simple Living Jamboree.

Exhibitor’s personnel must wear the official 2017 Tiny House & Simple Living Jamboree credentials for admission. Security personnel will refuse entry into display areas to all persons not wearing the official 2017 Tiny House & Simple Living Jamboree badge.

Exhibitors may purchase additional 3-day show credentials for anyone not working the booth. Please contact your sales rep for more information.

Exhibitors can pick up badges at the Customer Service counter near the main entrance to the exhibit hall.

General Information ATMS ATMs will be available to exhibitors and attendees inside the facility. Medical An EMT will be onsite during show hours only. Wheelchairs can be rented in advance through Arlington Homecare. Medical stickers are available for those who may need assistance during the show. Parking Much of the Arlington Convention Center parking lot will be used for outdoor exhibits for the event. Parking will be available in nearby lots. Insurance The Exhibitor must provide Certificate of Insurance confirming that the Exhibitor has in full force and effect, Worker’s Compensation insurance, comprehensive general liability insurance, and automobile liability insurance which meet the following minimum standards:

Worker’s Compensation insurance, providing and meeting the requirements established by the State of Texas and must have authorization to do business in the State of Texas.

Comprehensive general liability Insurance, providing at least $1,000,000 in coverage and naming: The Freeman Companies, The City of Arlington (CITY), Arlington Convention Center, Reed Exhibitions, RELX Inc., and their officers, directors, employees, agents, successors, assigns, and affiliates as additional insured.

Automobile liability insurance, which includes all owned, non-owned and hired vehicles with minimum limits of $500,000 bodily

injury and $500,000 property damage liability. Our partner, Buttine Exhibition & Event Insurance, is offering their services to all exhibitors for this

event. Please see the brochure for more information about coverage and costs. Reed Exhibitions, their officers, directors, employees and agents, and the Arlington Convention Center

will not be liable for any injury to any person that may occur in the exhibit area or for the loss of or damage to any material from any cause whatsoever, whether in transit, or before, during or after Tiny House & Simple Living Jamboree, regardless of whether Reed Exhibitions furnishes attendants, guards or night watchmen. It is expressly acknowledged that Reed Exhibitions has not purchased insurance of any kind for the benefit of Exhibitor, nor is it under any obligation to do so. The Exhibitor shall indemnify Reed Exhibitions against and hold it harmless from any negligent acts performed by Exhibitor or Exhibitor’s officers, directors, employees or agents of Exhibitor or in connection with Exhibitor’s use of display space. A. Exhibitor hereby waives any and all claims against Reed Exhibitions, their officers, directors, employees, agents and the ACC, resulting from loss, theft, damage or destruction to its property or loss from any cause whatsoever (including, but not limited to, damage to its business from delay, mechanical failure, labor trouble, failure to provide space in Tiny House & Simple Living Jamboree, or failure to hold Tiny House & Simple Living Jamboree as scheduled), or from bodily injuries or personal injury to it, its agents or employees. Exhibitor shall obtain at its option and at its own expense, adequate insurance against such injury, loss or damage. B. Exhibitor assumes full and complete responsibility for any damage or destruction of the property of others, or from Exhibitor’s participation during the period of Tiny House & Simple Living Jamboree. C. Exhibitors are not required to supply Reed Exhibitions with a copy of the Certificate of Insurance, however, it is suggested that Exhibitor have a copy of the Certificate of Insurance at The Tiny House & Simple Living Jamboree. D. Exhibitors using services other than those provided by the Official Service Contractor must inform all Exhibitor Designated Contractors of the insurance requirements and guidelines applying to them as outlined in the Rules and Regulations for the Use of Exhibitor Designated Contractors, contained in Section 12 of the

Reed Exhibitions cannot and will not intervene in any Legal Disputes between Exhibitors. “Legal Disputes” is defined as any action in litigation; pending litigation, contemplated litigation; inclusive of, but not limited to, disputes arising from: patent infringement claims, trademark infringement claims, copyright infringement claims, unfair competition claims (i.e., unfair trade practices, comparative advertising, misleading or deceptive advertising, misrepresentation, etc.), breach of contract claims, tortious interference claims, defamation claims or any other claims which may be brought as an action at law in the United States or throughout the world. Only bona fide court orders, properly served on Reed Exhibitions, mandating Reed Exhibitions to take action, will enable Reed Exhibitions to act in exact accordance with the terms of such order. COURT ORDERS SERVED UPON EXHIBITORS CAN NOT AND WILL NOT BE ENFORCED BY REED EXHIBITIONS.

Only the court issuing such order is empowered to enforce such order. Court orders mandating a court appointed official to carry out a court order at the 2017 Tiny House & Simple Living Jamboree will be carried out by such court appointed officials, NOT BY REED EXHIBITIONS. For the service of court orders at show site, Reed Exhibitions will require the following procedures be followed to minimize the potential of a disturbance and to continue the smooth operation of the show:

All court orders must be presented to Reed Exhibitions prior to serving any show Exhibitor with such order. If court officials are serving court orders, the court officials will also be required to report to Show Management prior to obtaining permission to enter the show floor for the purpose of serving show Exhibitors.

Reed Exhibitions reserves the right to accompany an Exhibitor, agent or representative (or court appointed official) who is serving court orders upon Exhibitors. Only one agent / representative from the company serving the court order will be allowed to serve other Exhibitors. No other company agents or representatives will be allowed to disturb other Exhibitors or enter other Exhibitors’ booths for any purpose consistent with show rules and regulations.

Service of court orders must be accomplished in a professional, businesslike manner. In the event an Exhibitor or an agent / representative of an Exhibitor serves a court order other than as prescribed herein, Reed Exhibitions reserves the absolute right to escort the offending Exhibitor, agent or representative from the premises, reclaim the persons’ Tiny House Jamboree badge and refuse entry into the show exhibit areas for the duration of the show. In the event the procedures set forth herein are not followed by an Exhibitor, Reed Exhibitions reserves the absolute right to deny offending Exhibitor from obtaining space at future Tiny House Jamboree exhibitions.

Exhibitors who unreasonably request, demand, harass or in any way attempt to persuade Reed Exhibitions to act in any manner which is contrary to and inconsistent with the policy stated herein, may be either removed from The Tiny House & Simple Living Jamboree at Reed Exhibitions’ sole discretion, or may be denied the ability to exhibit at future events at Reed Exhibitions’ sole discretion. all Exhibitors to handle Legal Disputes either prior to or subsequent to The Tiny House & Simple Living Jamboree. The Tiny House & Simple Living Jamboree is an inappropriate forum for such disputes to take place. Unauthorized Merchandise

Reed Exhibitions expressly prohibits the unauthorized sale, display and / or exhibition of merchandise which violates any registered trademark rights, copyright rights, and / or any rights in a person(s) or entity’s name, likeness and / or identity.

Reed Exhibitions shall provide notice to the Exhibitor in the event it is brought to Reed Exhibitions’ attention and verified to Reed Exhibitions’ objective satisfaction that an Exhibitor violates any of the rights identified in subparagraph A above. Reed Exhibitions reserves the right to ask Exhibitor to produce appropriate documentation verifying that Exhibitor has the right or license to sell the merchandise. In the event Exhibitor cannot produce such documentation, Exhibitor shall be required to remove the Unauthorized Merchandise from Exhibitor’s booth immediately.

Reed Exhibitions expressly reserves the right to terminate the Application & License Agreement immediately and remove Exhibitor from the show upon

Exhibitor’s failure to comply with the terms set forth in subparagraph B above.

Use of Copyrighted Music Exhibitor acknowledges that Exhibitor is solely responsible to obtain all applicable licenses from ASCAP,

BMI, and / or any other music licensing agency or directly from the copyright owner in the event Exhibitor uses copyrighted music in connection with Exhibitor’s exhibit at The Tiny House & Simple Living Jamboree. Reed Exhibitions will not obtain any such licenses or authorizations on behalf of Exhibitor.

Use of Image / Likeness / Exhibitor Name / Exhibitor Logo

Exhibitor, Exhibitor’s employees, agents and representatives irrevocably consent to be identified, photographed, recorded, video recorded and grants to Reed Exhibitions, its subsidiaries, affiliates, successors, assigns and licensees, the right in perpetuity to use only photographs, recordings and / or video tapes which may contain the image, likeness, name or logo of Exhibitor for the promotion of future trade shows operated by Reed Exhibitions in any and all media throughout the world. Media

All media must register for a media badge and be approved by Reed Exhibitions in advance of the event.

All requests for cable broadcasting and satellite up linking / down linking must be submitted, in writing, to Reed Exhibitions no later than September 15, 2017. Cable broadcasting and satellite up linking / down linking are subject to Reed Exhibitions approval, which may be granted or denied at Reed Exhibitions’ sole discretion.

Move-In, Move-Out Booth Installation Deadline All display booths must have begun installation no later than 12:00 p.m., Friday, October 27, 2017. For any space not claimed and occupied, or for which special arrangements have NOT been made with Reed Exhibitions in writing by 12:00 p.m., Friday, October 27, 2017, such space shall be deemed to be forfeited and the Exhibitor will pay as liquidated damages 100% of the total contracted display booth fee for which Exhibitor agrees is a reasonable amount under the circumstances. Reed Exhibitions will not be liable for any incurred expenses. Reed Exhibitions reserves the right to assign such forfeited space to any other entity at Reed Exhibitions’ sole discretion. Labor Regulations Please note the labor jurisdictions page of this manual for restrictions on what you are able to bring in on your own and how you are able to bring it in, as well as what you are able to set up on your own. If you require material handling to get your equipment to your booth this can be ordered through Freeman. If you require labor to complete setup of your booth this can also be ordered through Freeman. floor following the official close of the show. Exhibitor must remove all product and valuables from the display prior to leaving the facility following the official close of the show.

Personnel Allowed During Move-In / Move-Out In the interest of safety, only those full-time employees and sales representatives of exhibiting companies and authorized personnel of Exhibitor Designated Contractors directly responsible for the set-up and dismantling of the booth will be permitted in the exhibit areas during move-in and move-out dates and hours. Under no circumstance will family, guests, or children of any age be allowed on the show floor until the official show opening on October 27, 2017 at 3:00p.m. All those onsite during move-in and move-out must be 18 years or older. For any DIY Village exhibitors who require an exception to this rule because you will have children inside your house, please contact us to request a waiver form. This must be completed in advance of the event. Official Service Contractor

The Official Service Contractor (Freeman) will maintain an Exhibitor Service Center at Tiny House & Simple Living Jamboree. Order forms for booth furnishings, labor and other show services will be included in the Official Exhibitor Manual, which will be mailed to all Exhibitors.

DO NOT SHIP EXHIBIT MATERIALS TO THE ACC PRIOR TO THE FIRST OFFICIAL MOVE-IN DAY. The ACC will refuse to accept and will assume no liability for such shipments, regardless of shipping method(s). All freight and product bound for the Tiny House & Simple Living Jamboree must be coordinated through the Official Service Contractor.

Special Services

Reed Exhibitions provides security guards for the general exhibition areas in the ACC, from the period of move in through the conclusion of move-out.

No booth packages are being offered for this event, space purchase will include raw space only. Any furniture needed for the booth must be rented directly from the General Services Contractor.

Unless otherwise provided elsewhere in the License Agreement or by Reed Exhibitions, Exhibitor must obtain all labor, furnishings, electrical service, booth cleaning service, wiring, telephone, security, food and / or beverage, and other supplies and equipment through the Official Service Contractor, Preferred Contractors or the Arlington Convention Center. All charges for such services or materials are the sole and direct responsibility of the Exhibitor. These charges shall not be billed through Reed Exhibitions nor shall Reed Exhibitions assume any responsibility or liability for them.

Any exhibitors bringing structures and requiring visitors to remove shoes or wear booties must provide appropriate signage and must provide their own booties, these will not be provided by the event.

Contests, Drawings Or Giveaways

If you are planning to hold a contest, drawing or to distribute promotional materials / giveaways, it must be approved by Reed Exhibitions at least two weeks in advance of the event. All contests, drawings and giveaways are subject to approval, which may be granted or denied at Reed Exhibitions’ sole discretion. No cigarettes, cigars and / or other tobacco products may be given away, unless the tobacco product is the Exhibitor’s product of record. Press Conferences

If you are planning to hold a press conference, it must be approved by Reed Exhibitions at least two weeks in advance of the event. All press conferences are subject to approval, which may be granted or denied at Reed Exhibitions’ sole discretion. All press conferences must be held in the Media Center and not in the Exhibitor’s booth. Please contact Stefanie Minuto for approval at [email protected].
