We just announced our second quarter financial results, which include earnings of 26 cents per share and total revenue of $4 billion.

Better Records Management and Security Certification Help Cut Hiring Costs, LitigationIn today’s litigious environment, employers can limit their risk of employee claims by enhancing their new-hire and “on-boarding” processes with better document workflow and forms management. By automatically verifying that all required forms are submitted and imaged, such processes can give employers the ability to respond quickly to requests for information, thereby increasing efficiency and reducing exposure to fines for non-compliance.

A number of environmental factors are contributing to the topic’s urgency:• Employers are required to verify that all corporate forms and state and federally mandated employee documents are accurate and handled only by those with authorized access. • Increasingly, employers need to demonstrate that their employees are working in the U.S. legally. • Employees are required to receive documents on corporate policies (such as a sexual harassment policy) and acknowledge their receipt. To stay compliant employers need to track these signed acknowledgements. • Even among lower-income and entry-level employees, where turnover can exceed 100% per year, personnel files must often be kept for a number of years. And that includes applicant files, in case an applicant files a complaint.

It’s clear that misplacing employee records through manual filing can be costly in a number of ways. But with the challenges also come opportunities. Streamlining the hiring and recordkeeping process can also add to revenues.

Staples, Inc. invented the office superstore in 1986, and today it’s the world’s largest office products company. With 69,000 associates,the company is committed to making it easy to buy a wide range of office products, including supplies, technology, furniture, and business services. Staples serves consumers and businesses in 21 countries throughout North and South America, Europe and Asia. Headquartered outside of Boston, Staples operates 1,786 office superstores and serves its customers through mail order catalog, e-commerce, and contract businesses.

The ChallengeStaples wanted to replace its aging fleet of competitive black-and-white printers and streamline its in-store signage production. Previously Staples had shipped pre-printed color forms for signs, shelf tags, and labels to each store. The local store associates then printed specific details like prices or sale offers in black-and-white on the provided forms for placement in their stores. The SolutionStaples turned to Xerox for technology to help capture customer attention, while saving money and saving the store associates time. Xerox placed more than 1,200 Xerox Phaser® network color

printers in Staples stores across the U.S. Xerox evaluated the time-intensive process for creating in-store signs and, using Xerox technology, collaborated with Staples to develop a simpler, more productive method for in-store network printing. Instead of standard color forms shipped from a central location, each Staples store, using a Phaser 8400, now prints shelf tags, sale signs, and other point-of-sale materials on demand and in full color.

In addition, Xerox worked with Staples to standardize its labels and signs, reducing the number of forms from twenty to five. Now Staples associates no longer have to spend time switching media in and out of a printer. And they print signs faster and with fewer errors, giving them more time to serve customers.

The Benefits“Because this solution allows us to quickly and easily deploy new sign messaging, Staples can now create more dynamic, eye-catching and timely signs and labels,” said James E. (Ed) Farris, Sr., Manager Retail IS, Staples Inc. “We’ve decreased our shipping and warehouse storage costs in the network printing space. We have also been able to reallocate store labor and curb the potential waste when changes to promotional messaging would otherwise result in unused pre-printed forms.”

DocuColor 5000 Carves Out New Opportunities for Digital Color Printing Xerox has launched the 50 page-per-minute DocuColor® 5000 Digital Press, the industry’s first digital color press to address the needs of print operations that require more advanced printing features at mid-range monthly print volumes.

Developed for volumes of 30,000 to 150,000 impressions per month, the DocuColor 5000 features 2400 x 2400 dpi print resolution and state-of-the-art laser technology. Its 32-beam laser – compared to a typical 2-beam laser – allows the press to scan more data faster and at a higher resolution. With the choice of three different color servers, it can be integrated easily into a print operation’s existing print workflow.

To process incoming print files and drive the DocuColor 5000 digital press, Xerox offers the FreeFlow® DocuSP® color server. Print providers can also choose from the offerings of Creo or EFI.

Powerful New Color Printer and Software for Graphic Designers Two new products give design professionals even more digital color printing power through new color management tools, improved performance, and enhanced image quality. Both the Xerox Phaser® 7760 tabloid color laser printer and Electronics for Imaging (EFI) Splash® RPX-i software enable designers to create vibrant, full-color documents such as newsletters, brochures, pre-press proofs, and comps.

New Workflow Option for DocuColor 240/250 EFI Splash RPX-i software is a Mac-based workflow software option that can be added to the EFI-driven controller on the Xerox DocuColor® 240/250 color laser multifunction system. It increases color control and improves workflow efficiency for advertising agencies, design firms, marketing departments,and creative services companies. And so short-run print jobs aren’t interrupted for paper reloading, also new with the DocuColor 240/250 is an optional 2,000-sheet paper feeder, which expands the multifunction system’s maximum paper input capacity to 5,260 sheets.

Presenting the Second Annual Chester Awards to America’s Best Kid Inventors From a field of more than 8,000 entries, three young inventors have received Chester Awards as winners of the By Kids For Kids (BKFK) and Xerox Invent-a-Toy World Games. Named for Chester Carlson, the inventor of xerography, the Chester Awards symbolize the spirit of innovation that all children possess and honors outstanding achievement by kid inventors.

The second annual awards were presented in June at the International Licensing Show in New York City. Xerox sponsors the Chester Awards, and this year Mattel Inc. sponsored the competition in the toy category.

“To realize the future that Xerox scientists envision, we must continually hire the best and the brightest,” said Sophie Vandebroek, chief technology officer and president of the Xerox Innovation Group. “That’s why it’s so important for bright children and teenagers to dream and think of becoming scientists and engineers.”

The 2006 Chester Award winners are:

• Russell Moore, a sixth-grader from Trumbull, CT, who invented the game “Water Tag.” To play, each player wears a custom-designed vest containing four built-in water pouches that have plugs with long fabric ribbon cords. The rules are similar to touch football: when you “tag” opposing players, you pull their vest cord, soaking them with water.

• Ana Lingenfelder, a seventh-grader from Hanover, PA, for her “Hands On Hand Clap” game, which is played solo. Players hang the game board on a wall or put it on their lap, turn it on and select a rhyme such as “Miss Mary Mack” or “Oh Little Playmate.” They select a level of difficulty, and the game begins. The “hands on the board” light up as players clap their hands against the board to the beat of the music. If they make a mistake, the buzzer sounds and they start over.

• Jacob Schwartz, a kindergartner from Colfax, CA, for his “EZ Transitional Training Wheels.” Jacob created adjustable training wheels that make learning how to ride a bike fun and easy. To start, the training wheels are extended all the way out to provide maximum support and stability for the young rider. As kids get more comfortable riding, the training wheels are moved closer to the bike, making it less stable and requiring more balance.

Each of the Chester Award winners receives a licensing contract from BKFK, legal support to patent the invention (if patentable), professional expertise to bring the product to market, a Xerox Phaser® color printer valued at $1,000, and a $5,000 U.S. savings bond. Each winner will also direct a $1,000 savings bond to the teacher of his or her choice. Ten finalists receive a scholarship to Camp Invention, a weeklong summer enrichment program.

So how did you do? Here are the answers:

1. Your parrot is safe. All Xerox machines are tested to ensure that they meet or exceed current standards or acceptable practices for emissions.

2. Although Xerox sets strict limits on the intensity of the lights used in its products, intentionally exposing your face is not recommended.

3. Shredded office paper will make safe organic compost. Images on prints or copies are made from toner, which is a fine, nontoxic powder composed of plastics, colorants, and small quantities of functional additives.

4. Black toner is not hazardous. It can be swept up carefully (to avoid creating a cloud of dust), placed in a sealed plastic bag, and put in the trash.

5. As long as the machine is placed according to published Xerox installation requirements, it will be safe. Xerox products are frequently installed on submarines, aircraft carriers, and other specialized locations.

6. While Xerox toner and paper are nontoxic, this is not recommended as Xerox has not sought approval by the U.S. Food and Drug Administration for such uses.

7. Toner is acid-free and can safely be used in an archival scrapbook.

8. Toner particles are very fine, and plastic polymers encapsulate its colorants. You may be able to remove most of the toner from your rug by vacuum cleaning – preferably with a HEPA filter – and then using a cold, damp cloth if necessary.

9. Ingesting small quantities of toner will not harm your dog.

And if you are still wondering, Bush recommends against staring at a machine’s light sources to avoid discomfort and nuisance effects. And a typical Xerox office multifunction system – which can print, copy, fax, and scan – consumes up to 50 percent less energy than a standalone copier, four laser printers, and fax.

New Multifunction Systems Make Color Prints and Copies Easy to Manage Further helping offices from small to large control their color printing costs, Xerox has launched three multi-function systems that make it easy to monitor, track, and manage color prints, copies, faxes, and scans.

The Xerox WorkCentre® 7655 and 7665, for the mid-to high-volume office and department, along with the Xerox WorkCentre® 7132, aimed at small and medium-sized workgroups, are the first digital color multifunction printers equipped with Xerox Standard Accounting, free software that monitors how many and what kindof pages are produced.

Network administrators and IT managers can access Xerox Standard Accounting through the Web for a printable report that tracks scans and faxes and shows how much each office worker is printing and copying, both in color and black and white. Businesses can also use the reports to charge prints, copies, scans, and faxes to internal departments or external clients.

The Xerox WorkCentre 7655 multifunction printer prints and copies at up to 40 pages-per-minute (ppm) in color and 55-ppm in black and white. The 7665 multifunction printer prints and copies at 50-ppm in color and 65-ppm in black and white. Both are also available as digital color copiers.

New Office Products Feature Speed, Clarity, Advanced Engineering, Convenience

The Xerox WorkCentre 7132 multifunction printer is targeted to small and medium workgroups that need advanced monochrome multifunction features, color scanning, and the occasional ability to print in color. Printing and copying at up to 32-ppm black and white and 8-ppm color, the WorkCentre 7132 produces high-quality images with true 1200 x 600 dpi print resolution.

The system automates sending scanned documents to a variety of locations simultaneously. With one scan, users can send a document, directly from the device, to multiple fax numbers, e-mail addresses, and network folders.

Worldwide order taking for the WorkCentre 7655 and 7665 are available through the Xerox direct sales force, authorized sales agents, and TeleWeb sales channels. The WorkCentre 7132 is available in North America, and order taking begins Sept. 1 in Europe and Latin America. Multifunction Copier/Printer: Advanced Features to the Small OfficeXerox has introduced the Xerox WorkCentre® 4118 desktop multifunction device, designed to provide small offices the advanced copying, printing, scanning, and faxing typically found in high-end multifunction systems.

Starting at $799, the WorkCentre 4118 copies and prints at 18 pages-per-minute and is available in two configurations. The WorkCentre 4118P copies and prints, and the WorkCentre 4118X adds faxing and color scanning.

ScanFlowStore software from X-Solutions is a simple, affordable scanning package designed for small and midsized businesses that may not need all of the extensive workflow options available with Xerox FreeFlow

SMARTsend software. ScanFlowStore allows users to scan hardcopy documents and send them to multiple destinations such as a network server, e-mail address or financial accounting packages such as Microsoft Great Plains.

The two new software programs from Equitrac Corporation are designed to track and measure how many color and black-and-white pages are printed, copied or scanned by individuals or departments. Equitrac Express 4 for colleges, universities, and school districts and Equitrac Office 4 for businesses also allow administrators to charge individual departments or clients for prints, copies, scans, and faxes.

Monroe County Sheriff’s Office is the largest

in New York State. With the noble mission to

uphold the trust and confidence of the people

it serves, the office nonetheless faces challenges

common to all public service organizations:

how to reduce costs, improve productivity, and

maximize budgets.

The Challenge The Sheriff’s Office called on Xerox to help improve the efficiency of the office infrastructure, reduce deputy overtime and streamline processes in the Records Division. The Record’s Division couldn’t keep up with the volume of reports the Sheriff’s Office was generating and faced a backlog of thousands of records representing months of data. Similarly, the Sheriff’s Office itself used a manual process for processing accident reports – from filling out forms in the squad car, to processing and filing the hard copies, to searching for requested documents and distributing photocopies to insurance companies.

The SolutionThis manual-intensive, document-driven process lent itself well to Xerox’s primary area of expertise, Smarter Document ManagementSM. Xerox used Lean Six Sigma processes to define the success criteria for the project, including voter perception, cost and customer satisfaction and to identify data to guide the reengineering process.

Case Study: Helping Law Enforcement Take a Bite out of Costs

The team transformed the accident report process from paper-driven to completely digital, eliminating a significant amount of time by allowing a deputy at the scene of an accident to scan a driver’s license instead of manually filling out a form. Reports are now downloaded automatically into a digital repository that the Sheriff’s Office and insurance companies can access directly, 24/7.

The BenefitsThe solution has radically changed the way the Sheriff’s Office gathers, stores, and distributes accident report data – eliminating steps, accelerating workflow, and reducing costs throughout the process. Digitizing and streamlining has cut costs by 70% and has cut down on deputy processing time by 80%. That means deputies can spend much more time on the job that they were hired to do.

“The Xerox team instantly figured out what needed to be done and how to do it effectively using the infrastructure that we had in place,” said Sheriff Patrick M. O’Flynn. “They really streamlined the process. In my time in government service, I have never seen a project of this complexity get turned around and delivered so quickly and so completely.”

And since insurance companies can respond to claims faster, thereby saving money, the upgrade has actually provided a new revenue stream to the Sheriff’s Office: it now charges insurance companies for the service.

Xerox has earned the international standard in information security for 12 more of its mid- and high-speed offi ce multifunction products. These systems join 18 other Xerox digital color and black-and-white offi ce products, giving Xerox the broadest array of printers and copiers certifi ed to meet customers’ strictest security requirements.

The Xerox WorkCentre™ 232/238/245/255/265/275 copier-printers and the six corresponding WorkCentre™ Pro advanced multifunction systems – which print, copy, fax, scan and e-mail – received the National Information Assurance Partnership’s Common Criteria Certifi cation following comprehensive evaluation and testing. NIAP is a U.S. government initiative created to meet the security testing needs of IT consumers and companies.

Unlike other document services vendors, Xerox has the entire multifunction system evaluated, rather than just a security kit or an individual security feature.

All IT products procured by the U.S. Department of Defense, and many agencies that support the U.S. Federal Government, must carry Common Criteria Certifi cation. This ensures that highly

sensitive information is treated with the proper level of confi dentiality and integrity and only authorized personnel have access to the information. Certifi cation is also important for customers in a variety of industries, including the healthcare, legal and fi nancial sectors, which are required to comply with strict security regulations such as the Health Insurance Portability and Accountability Act (HIPAA) and Gramm-Leach-Bliley Act.

NIAP specifi cally certifi ed the following components of the Xerox systems:

• Encryption with Secure Protocols - Themultifunction systems encrypt data traveling on the network to and from the device, preventingunauthorized viewers from accessing print andscanned documents as they travel to fi le servers or other network repositories. The systems can be managed securely by encrypting the connection to the Web user interface or through device management through software that supports encryptions – such as Xerox Device Manager or Xerox CentreWare™ Web. This protects confi guration data and settings established by systems administrators.

• Authentication - By validating user names and passwords prior to use, Network Authentication restricts workers’ access to scan, e-mail and fax features as needed. System Administrator Authentication requires systems administrators to log in to the device in order to make confi guration changes.

• Internal Audit Log - The multifunction systems can maintain audit logs of activity to help track the path of documents, an important feature when complying with federal regulations such as HIPAA.

• Firewall - A built-in fi rewall manages all communication access to authorized users.

• Image Overwrite Option - The Image Overwrite option electronically “shreds” data stored on the machine’s hard disk during routine job

processing. Electronic removal of data can be performed automatically after every job or when a person specifically requests it.

• Embedded Fax - Unprotected fax connections in multifunction devices can be a back door into the network.

• Secure Print - Prevents unauthorized viewing of hardcopy documents by holding jobs in queue until a PIN is entered at the device.

NIAP has certified a total of 30 Xerox office digital color and black-and-white multifunction systems. Others are the Xerox WorkCentre™ Pro C2128, C2636 and C3545 advanced color multifunction systems; CopyCentre™ C2128, C2636 and C3545 digital color copiers; Xerox WorkCentre® Pro 35, 45, 55, 65, 75 and 90 advanced multifunction systems; the WorkCentre™ M35, M45, and M55 copier-printers; and the CopyCentre™ C65, C75 and C90 high-speed digital office copiers.
