What is the Exchange?
Exchange is a secure, web-based platform where users can order, communicate and exchange documents with thousands of
Vendors. Exchange provides access to the largest interconnected network of lenders and service providers in the U.S. for
ordering mortgage services, including credit, appraisal/AVM, title, close, verifications, mortgage insurance, flood, document
signing, GFE services and fraud tools.
Please visit our website for more information.
Important: The information within this guide is describing all functions of the Exchange website, regardless of the type of
service ordered or any specific user configurations the company may have.
General Workflow for a New Order
The orders are managed through each product placed by the Lender. Either party, furthermore, each User may also have
different configurations, we’ll discuss this further in the next section.
This section is only providing, at a high-level, the general flow seen for each order placed in the system.
1. Lender places the new order(s) for the perspective loan
a. The types of products may vary by Lender (i.e. Title, Appraisal, Flood, Closing/Escrow etc.)
2. Vendor accepts the new order(s) which will send an auto-confirmation to the Lender
3. Order is managed and tracked for each product through the Exchange. This may include any and all communication
with the Service Provider (i.e. Title, Appraisal, Flood, Closing/Escrow etc.)
4. Vendor delivers the final product(s) via the Exchange (i.e. Title, Appraisal, Flood, Closing package etc.)
5. Lender or Provider complete the order in the system
Exchange uses Events for all of the actions that will be taken. These will be discussed with greater detail in another section of
this guide.
User Configurations
Users that have access to the Exchange website have many product options that are configured for their personal, unique
login User ID, like having a key crafted to open a particular door.
These options range from types of products a user can order, where the user will land upon logging into the website, the
Service Providers the user can choose for a particular product, and even performing specific functionality on the Exchange.

Communicating with the use of Events
The Exchange provides the ability for users to communicate with the opposite party via the use of Events. By using the Exchange,
the use of email is no longer required with that party.
As a new user, there are some simple things to understand about events. Events are:
Used by both parties
Delivered within seconds
Used to communicate information such as:
o General comments about the order or the Borrower
o Actions that need to take place, i.e. cancelling the order, rescheduling of the closing or appraisal
appointment, request to order payoffs or subordinations, etc.
Used to send any documentation, including the final product requested
Generated by either the Lender, Provider or Exchange
o Exchange will auto-generate events depending on an action taken
For example, when a document is uploaded by the Lender, via the Documents tab within the Order
Summary page of the order, Exchange automatically generates the 460 Document Delivered by
Customer event
Listed numerically
In addition, each product will have their own set of events. For example:
500 Curative Cleared event should only be used in the Title order.
o This event is used to communicate to the Lender that the Title has been cleared
However, there are some general events used with all products. For example:
220 Comment: General event that may be used on all orders
o Lender and/or Provider send this event to provide a general comment on an order
222 Comment Action Required: General event that may be used on all orders
o Lender and/or Provider send this event if action is required to be taken by the opposite party
Events are color coded to provide a visual for the user. Valid event colors are:
Red – This indicates a “Reader must act”
Yellow – This indicates an “Action may be required (present or future)”
Blue – This indicates “Information Only”
Green – This indicates event delivery was a “Success”

User may click on the name of the event to see further details.
Clicking on the Read More link, will open a new window. This window will contain all the details for that order, including
further comments for an event, if any.
Lastly, events will be listed in chronological order, with the most recent event listed on top. Below is an example of a set of
events. We will discuss how to add an event in a further section.
Event Tips:
The Event name describes what action is taking place
The name and numbers of the events will not change
They have been preselected by upper management, so users should
only see the ones needed for their job role
Event 100 Service Received will ALWAYS be the 1st Event on every
order. That is your indication that the order was placed.
Because these events are specific for each company’s workflow, a list of all events will not be provided. Please see
the appendix for a list of the most common Title, Closing, and Document Signing events

Logging into the Exchange
Access the website with the following link: https://Lender.RealECExchange.com
Enter the permanent User Name
and temporary password in the
appropriate cells then click
Login.
User Name should be provided
by internal party or may be
received by email.
User will be prompted to establish a permanent password. The password should meet the following requirements:
o Must be between 8-20 alphanumeric characters
o Must not contain repeating characters
o Must contain at least one digit or special character
(Special characters are: !@#...)
o Must contain an upper case character
o Must contain a lower case character
o Must not contain illegal characters
o Must not contain username
Note: A green checkmark will indicate all requirements met.

Security Questions
Exchange users are required to establish six security questions. This will not only add an extra level of security but will also allow
users to reset their own password should they ever forget it.
The process will vary from the initial set-up versus the editing of already established security questions. Both processes will
be described below.
Security Questions Set-up for New Users
New users will be prompted to establish these immediately after setting up a new password.
Click the arrow to select a question from the drop
down menu.
Enter an answer in the Answer field to the right. Click the Show radio icon to display the answer in the
Answer field.
Note: It is very important to remember your
security question answers for future password
expirations and resets. It’s recommend that
you write them down for future reference.
Successful entries will be
visible with a green checkmark.
Once all six questions have
been selected and answered,
click Submit.

Editing Security Questions
Users who have already established their security questions may edit them at any time by
clicking on the Change Security Questions from the Options Menu.
Step 1:
Enter established password
Note the Current Questions shows 6
questions have been established.
Click the red X to the right of the question to
delete it.
Click the + Add More link to choose a
different question(s).
Note: 6 Security Questions are required on the
account.
Step 2:
A pop-up will appear.
Click on the drop down to select a question.
Enter an answer in the second field.
Click on Add when ready to add next
question.
Note: The pop-up will remain on the screen, but after user clicks Add, the Current Question Count
increases. Continue with this process of adding questions until the Current Question Count reflects a 6.
When ready, click Close.

The 6 questions selected should be listed. If not previously entered, input current password and click Submit.

Resetting Your Password
Exchange will allow up to 3 failed attempts for login. Because personal security questions were established, users have the
ability to reset their own password should it be forgotten.
Note: If users have forgotten their security questions, or they have had 3 unsuccessful attempts, they will need to contact
Black Knight Support to have them reset. Support Line: (877) 273-2532 or Email: [email protected]
Enter User Name and click the Forgot
Password? Link.
Users will be required to answer 3 of the 6 established
security questions.
Enter the answers to each question and click Submit.
A temporary password will be emailed.
Close the browser window.
The email will contain a temporary password and a link to continue with the process. Click the login hyperlink to open Exchange.

Enter the User Name and paste or enter the
temporary Password into the Password field.
Click Login.
User will be prompted to answer 3 of the 6 security questions and be required to enter a new password.
Answer the 3 security questions.
The Current Password field will
already contain your temporary
password.
Enter and confirm a new password.
Click the Change Password button.
Password Guidelines:

Options Menu
The Options Menu is located in the upper right hand corner of the screen and allows the user to change their password,
change their security questions, access Release Notes and Training.
Change Password
User must successfully answer 3 Security Questions and enter their current password. New password must follow the
Password Guidelines above and cannot match previous 12 passwords.

User must enter their current password to change security questions. Click here to review further.
Release Notes
Opens the Release Notes PDF in a new window.
Training
Opens the Training page in a new window. Access Training guides, job aids, videos and other training documentation for the
Exchange website

Order Dashboard
Upon logging into the Exchange, user will land on the Order Dashboard page. This page provides a quick view to all recently
placed orders.
Results can be filtered using the filters above the dashboard:
1) My Orders:
a. User may expand the dashboard results to all orders within the user’s branch (if the user is configured to
view all branch orders).
2) Date Range Filter:
a. Filter results with preset 30, 60 or 90 day date ranges.
Note: When the filters are being used, please click Refresh to refresh the results displayed.
In addition to the filters, the Order Dashboard provides additional features such as:
3) Pending Providers (applies only to Closing Insight Title and Closing Providers):
a. Displays all Title, Closing and Doc Signing orders that are pending because the Provider has not yet
completed registration. User has the ability to send reminder emails, change the Provider for an order or
cancel the entire order.
4) Options Menu:
a. User may change their password, security questions, access Release Notes and Training.
5) Search link:
a. User may search using different types of search options
6) Create New Order button:
a. Use this button to place a new order.

User may view a list of orders from the Dashboard by clicking on the number that appears within the specified criteria.
The Search Results page will display a quick view of the specified products ordered.
Click on the Transaction Number to view and/or manage the order.
Use the scroll bar to see further details for that order.
Click on the header of a column to sort.
Sequence ID column represents how many Products are associated to that order.
Doc column will display a paper icon if there are document(s) associated to the order. If icon is present, users may
click on it to download and view the document(s). We will discuss these steps in a further section.

Searching for Existing Orders or Documents
In addition to locating existing orders within the Order Dashboard, orders can also be located using the Search feature.
Step 1: Click the Search link at the top right of the page.
Step 2: The Search page has 2 tabs:
Orders: Will retrieve all products denoted for detailed search criteria.
o User may use the Sort By dropdown to sort the criteria in a specific order.
Documents: Will retrieve products only if there are documents associated for the selected search criteria.
In addition, there is an Advanced Search (+/-) located at the bottom of the page that allows users to enter more detailed
criteria if needed.
After entering the required search criteria, click Search.
The search results will vary depending on the criteria that was used.
Regardless of results, the view will be similar as detailed in the previous section.

Create a New Order
Depending on how the company’s access is configured, Users may or may not place a new order directly from the website. If
the company does place a new order directly on our website, then the following steps do apply. In addition, the following steps
apply regardless of the type of product being ordered, what will differ is the information required for each particular product.
Step 1: From the Order Dashboard page, click the Create New Order button.
Step 2: New Order
Note: Required fields will be denoted with a red asterisk and the word required to the right of the cell.
Important detail for Closing Insight Orders only: If the Provider is not listed, Users have the ability to invite the Provider to
register with Black Knight to use the Exchange. See the Appendix for more details.
Select the Branch, Product Type, Product and Provider by clicking on the drop down arrow.
Note: If the Provider option is locked, this could mean
one of the following:
1) Company is configured for iSelect. iSelect will
auto-pick a provider from a managed vendor list. 2) Two products were ordered simultaneously. For
example: Title & Closing/Escrow. a) Users will have the option to select the
Provider in Step 6 of creating the new order.
Upload order Data: Users can upload a Loan
Application/1003 to the order. This will preload
information, saving users data entry time.
Note: This step is not required to begin the new order
and may not be available to all Lenders.
Select the File Type 1003 File
Browse for the 1003 on the computer (step not
shown)
Upon receiving a “Successful Upload” pop-up,
click on Begin New Order.

Important: The information required through the remainder of the 6 steps will vary for each product ordered.
The system will identify which fields are required for completion of that order.

changes are needed, click on the

When ready, click Continue.
Step 2: Loan
Steps 2-4 will display a picture of a 1003 Loan Application for guidance only. It will highlight the sections that can be reviewed
on the Borrower’s 1003 to retrieve data needed to complete that section in Exchange. If a 1003 was uploaded in the previous
steps, then the system will prepopulate the data for the users.
Select data by clicking on drop down menus or
clicking directly into a field and typing the data.
Enter Loan Information needed
Reminder: Required fields are denoted as

When ready, click Continue.

Step 3: Property
Enter the subject property information.
If needed, users have the ability to switch the Subject Property drop down to Legal Description.
When ready, click Continue.
Step 4: Parties
Enter information for all parties needed for the order.
If needed, switch from Individual to Corporation if
dealing with a commercial property. Required fields will
auto-adjust when this action is taken.
Click on the + sign to add additional parties, where
applicable.
When ready, click Continue.

Step 5: Order Details
Enter any additional order information (i.e. need by date, fee, special instructions).
Select if it is a Rush Order. This may incurr additional charges.
User has the ability to Add Documents or Add Notifications to this order by clicking on the plus
sign for either. These actions may also be taken after the order has been placed.
Click here for further information on adding documents.
When ready, click Continue.
Step 6: Complete
Confirm and/or make changes to the Product,
Provider or Agent.
Note: If configured to, make changes by clicking on the
Change link. Doing so will unlock the drop down menu
allowing for changes.
If two products were ordered simultenaously, users will need
to select a Provider unless configured for iSelect.
Click Submit Order to complete placing the order.
Note: To review the order before submitting, click the Review Order link at the bottom of the page. Once reviewed, click
Submit Order to complete placing the order.
Appraisal Products: Exchange has been selected to run appraisals through the UCDP Process to Freddie Mac and
Fannie Mae. The UCDP credentials will display after the product/provider choices, and are not editable by the user.

Once the order is placed, an Order Confirmation page will appear.
Every order placed will be given a Transacation ID. There is no need
to memorize or keep track of this number, it’s just the way orders are tracked in Exchange. From this window, users may:
1. Begin a new order, for a new loan, by clicking the Begin a New Order link.
2. Add a product to the existing order by clicking the Add a Product to this Order link.
a. By adding a product to an existing order, the system will link the other orders to the existing loan
through the Transaction ID.
b. Each Product will be managed individually.
3. Review the order just placed, by clicking the Go to Order Summary page link.

Order Summary Page
The Order Summary page is where orders will be managed. Users will have the ability to communicate with the Provider with
the use of events and exchange any documentation needed by either party.
The Order Summary page consists of 3 tabs:
Events: Here is where events will not only be added but reviewed. These will be listed in chronological order and will
display a history of all events added by both parties.
Notifications: Allows user to set-up notifications so they may be informed via personal email when an event has
posted to the order.
Documents: Allows user to upload documentation. When a document is uploaded, Exchange will auto-generate the
event that will deliver the document to the opposite party.
1. Add Product: Allows user to add a product to the existing order.
2. View Order Sheet: View and/or print the history of the entire order.
3. Status Box: Provides user the status of the order.
a. Certain events can affect the status displayed. For example, event 230 Service on Hold would change the status
to display On Hold.
4. Add New Event: User will click on this link when ready to add an event.
5. Filters: User may choose to Expand All events, select certain Events to Display at once or change the # of Events to
Display on page.

Events
As mentioned earlier, the Exchange provides the ability for users to send comments, cancel orders, update status and schedule
events on an order with the use of events.
Each client is configured to a set of events specific for their company. Furthermore, each user has a specific set of permissions
associated with their User ID. Regardless of the event the user is adding, the steps below will be the same. What will vary is the
event window, which will tailor the information required for each specified event.
Step 1:
Click Add New Event.
Step 2:
Click on the dropdown to see a list of events.
Note: Only the events the user has been configured for will be
listed.
Step 3:
Complete the required information for the selected event.
Click Add Event when ready.
Note: If adding a document to an event, the document will go through a scanning
process before it is added to the order. See Document Scanning for more
information.

Clicking on the Event name will display additional info (event comments, date and time event was sent, and which user posted
the event).
View more detail by clicking Read More. A new window will open providing further a summary of all events.

Adding Notifications to an Order
With the use of Exchange, the use of email is no longer required when managing orders with Providers. Because of this, the
Exchange provides the ability to send automatic email notifications to a user’s email address when a specific event(s) is
received on the Order Summary page. Some clients request their users be setup automatically when they are provided
access. Please check with the manager for further details.
Regardless, a user still has the ability to set up themselves or others to receive specific notifications on an order.
From the Order Summary Page, click on the Notifications tab.
The Notification History will display a history of all
notifications that have been sent and will provide
users with the method of delivery along with a date
stamp.
Step 1:
Click Attach Notifications.
Step 2:
Enter the email address(es). Note: Users may add additional parties to event
communications.
Select the events users need to be notified on.
User may click on Attach More Notfications if
needed and follow the same steps.
When ready, click Submit Notifications.

Step 3:
The notification window will close and will display the user(s) added.
Users may view or edit the notifications by clicking on the View/Edit link.
The View/Edit page will display the notifications that are set on the order.
Edit Notifications will open the notification window again, allowing the user to make edits.
Remove Recipient link will remove ALL notifications and recipient information.

Adding Documents
Users may view or add documents from the Documents tab. When a document is uploaded, Exchange will auto-generate the
event that will deliver the document to the opposite party.
From the Order Summary Page, click on the Documents tab.
User will need to know where the document is saved before taking the following
actions.
Step 1:
Click Attach Documents.
.
Step 2: Steps are similar to attaching a document by email.
Click Choose File. From the pop-up window, locate and select the document to be uploaded (steps not pictured).
Select the type of document from the
Document Type dropdown menu.
If the document type is not listed, then
use the Document Description to
manually enter the document type.
Use the Attach Another Document link
if additional documents need to be
uploaded.
When ready, click Upload
Document(s).
IMPORTANT: Once the document is uploaded it may not be deleted. If needed, user may click Undo before clicking on
Upload document(s).
If no error message appears (see document scanning
below), the document will then be uploaded with a date
and time stamp.

Exchange will also auto-generate the 460 Document Attached by Customer event anytime a document is uploaded. This
event informs the Provider that the Lender uploaded a document.
Document Scanning
Anytime a document is added to Exchange, a scan will be performed on the document(s) to ensure there are no threats that
may be posed to the system and to ensure the proper file type was uploaded.
If a document is found to contain malicious content or fails the document scan, a message will appear at the top of the screen
to notify the user and include the document name for reference.

Reviewing Documents
Similarly to the Lender’s 460 Document Attached by Customer event, when the Provider sends a document other than the
actual product ordered (Title Report, Appraisal, etc.) the 180 Document Delivered by Provider event will post to the Order
Summary page.
A user has the ability to review the documents by clicking on the paper icon. Once a document has been uploaded, the paper
icon will be visible indicating there is documentation to review.
The icon will appear in 3 different locations:

Updating the Contact Person on the Order
The contact person on the order is automatically assigned to the person who created the new order. This is important to
understand because it’s how Exchange will identify who receives the email notifications for the events received on the orders.
The Lender has the ability to update the contact person by adding an event. This event will include all the pertinent information that
changed and ownership will automatically be transferred.
Note: Any User who has the proper permissions to access Exchange, for their location, will be able to review the order as well.
Transferring ownership would not prevent that from happening.
Within the Order Summary page, click on the Add New
Event link. Select event 325 Loan Contact Update.
Assign to: Select who the order needs to be reassigned to.
Exchange will prefill any information already in the system for that user.
Make any changes if needed.
Click Add Event.

Appendix
Selecting a Settlement Provider
When placing a new order for Closing Insight only, the Lender must select an office location of the Settlement Provider for
which they will do business.
If the Settlement Provider is not listed, the Lender may invite the Provider to register with Black Knight so that they have the
ability to use the entire Exchange website, which includes Closing Insight. Once the Provider takes the proper steps to
register the office location, they will have the ability to manage this and any future orders with the Lender.
The Lender should perform a thorough search of the database prior to initiating a new invitation. Inviting agents to register
that are already part of the Exchange database will cause duplicate records for the same location which can lead to routing
issues of the order.
Below is some Exchange vocabulary users will see on the website. Understanding these will help users when making
selections and/or initiating an invitation:
Provider (a.k.a. Settlement Provider/Agency): Office location that is handling the transaction.
Includes Attorney as well as Escrow offices.
Agent: Individual Agent within a registered provider office location.
Party ID: A unique number provided to each registered office location. This number is not only used to identify the
Provider in Exchange by the Lender but it’s also how Black Knight identifies them as registered agencies.
Agency/Primary Contact (a.k.a. Administrator): Person responsible for completing the registration for the office
location. This user will receive access to the administrative website and manages:
Company billing information.
Accepts Network and Financial Agreements with Black Knight.
Access for each individual agent within that location.
IMPORTANT TIPS:
If the Lender will be initiating an invitation, they should ensure they have the correct information of the
Agency/Primary Contact to complete the invitation.
Each settlement provider office location only needs to be registered once.
If placing the order for both Title and/or Closing & Escrow Services, these steps will be taken further in
the process, prior to submitting the new order.

Search for a Provider
If the Provider is not listed in the drop down menu, follow the steps below to search the database.
Step 1:
Click on the Search for a Provider link to search by Agency first.
A Provider is required.
An Agent is not required.
o Provider must be selected before an Agent can be selected.
o Office location must be registered before an Agent can be invited.
Step 2: Begin Search
Select the State the vendor does business in (and/or) Agent’s email.
o If only a State is chosen, the results will display every state they do business in. Users may use the Agency
State filter to narrow down their location.
Users may also enter the Agency’s Party ID.
Hint: For best results, contact the Provider and ask them for their PARTY ID, this will narrow down the results for
that specific Provider.

Step 3: Narrow Search Results
If the PARTY ID was provided, the Search Results will narrow down to the specific office location. No additional filters needed. If the search was broader, users may click on the Advanced Search Results Filters to help them narrow down the results.
Step 4: Select the Provider.
It is critical that the correct provider office location is identified. An incorrect choice will affect the routing of the order. Best Practice: Call the Provider to confirm the Party ID. If the Provider does not know the Party ID, ask them to provide their Street Address.
Make a selection by clicking the radio button for the correct provider.
Once selected, click on Assign Provider.
Users may also click on the icon to view/select registered agents within that location. Once selected, User will be returned to the New Order Screen and will continue with submitting the new order. If the Provider is not found, click on Invite New Provider/Agent. This will allow users to invite a Settlement Provider or an
Agent to register with Exchange.

Initiating an Invitation for a New Provider
Selecting the Invite New Provider/Agent link will allow the Lender to initiate an email invitation to a new Settlement Provider
inviting them to register with Exchange. Reminder: If the Lender is inviting a Settlement Provider to register the office location, they must have the information of who will take on the Administrative Role, as described at the beginning of this document.
When ready, click on Invite New Provider/Agent link. The Lender will receive a pop-up and must complete the required
information to initiate the invitation.

o Exchange will now do a quick search of the database to ensure this Provider is not already part of the
database.
o If Exchange has found a potential company or user who is already registered, then the user will receive a pop-
up that needs to be addressed. This will be discussed in the next section.

Duplicate Check Process
During the process of the Lender submitting the registration invitation, Exchange will run checks to ensure neither the Provider
nor an Agent have already registered with Black Knight. How the Lender needs to address this potential duplicate will vary on
the level of integration the company has.
Lender Exchange Website
A Lender who initiates a registration invitation through the Exchange website, will receive a pop-up when they click on the
Initiate Invite button of the invitation:
Take action:
1. Review potential duplicate.
2. If the results are indeed the Provider the Lender intended to choose, make a selection from the list by clicking in the
radio icon within the first column.
3. Click Choose Provider.
a. This action will cancel the initiated invitation and route the new order to the selected Provider.
4. If the Provider is not the intended recipient, you may choose to click Send Original Invitation.
a. This will allow the invitation to move forward as submitted.
b. Once the Provider completes the registration, they will then be able to manage the order submitted.

Integrated Lenders
Lenders who have a level of integration with the Exchange software through their own internal systems will need to address
potential duplicates through the Exchange website.
When a potential duplicate is found, log into the Exchange website. https://Lender.RealECExchange.com
Users will have the ability to address the potential duplicate in one of two locations, Order Summary page of the order or the
Pending Providers Dashboard that will be explained in the next section.
Order Summary page
Once the order has been searched for, in the Order Summary page you will see the 3315 Potential Duplicate event.
Possible action:
1. Click on the Review button of the 3315 Potential Duplicate event name.
2. If the results are indeed the Provider the Lender intended to choose, select Provider by clicking in the radio icon.
3. Click Choose Provider.
a. This action will cancel the initiated invitation and route the new order to the selected Provider.
4. If the Provider is not the intended recipient, you may choose to click Send Original Invitation.
a. This will allow the invitation to move forward as submitted.
b. Once the Provider completes the registration, they will then be able to manage the order submitted.

Pending Providers Dashboard
The Pending Providers Dashboard displays all registration orders that were initiated by a Closing Insight Lender only. These
are registrations that are pending because the Provider has not yet completed the registration process. Users can send a
reminder email to the Provider, change the Provider for an Order, address any duplicates or cancel the entire order.
To access, click on the Pending Providers button from the Order Dashboard.
Note: The Pending Providers dashboard does
require a user to have the correct permissions to make any edits.
Users will receive a toast message in the corner of the screen upon launching the
dashboard.
All columns (except Action) are sortable by ascending or descending order.
Search for a Provider by Product Name, Loan Number or Transaction ID. Wildcard searches are accepted.
