3 Overview

trueCall Recorder allows you to monitor the calls that you make and receive. It allows you to record some or all of your incoming and outgoing phone calls, has a built in voicemail, and with the optional Internet Control Panel, keeps a log of all the calls you have made and received that you can view over the Internet.

Messages and call recordings are saved to the supplied memory card, and can be played from your phone or saved on your computer using trueCall Message Centre software.

trueCall Recorder comes with either a 70 or a 140 hour memory card.

Why keep call recordings and voicemail messages?

If you have a record of what was said on a call, it is easier to resolve problems:-

When you have bought something over the phone it is easier to resolve disputes over ‘who said what to who, and when’ - this can prevent mis-selling and slamming.

You may be able to use the recordings to get compensation from telemarketers who repeatedly disturb you.

If you receive malicious calls, this information may make it easier to take action to stop them.

Banks and insurance companies often keep recordings of calls for their own protection - why shouldn’t you do the same?

You can keep a record of harassment by debt collection companies.

trueCall Message Centre

The Call Recorder memory card can be plugged into a computer and the recordings can then be transferred to your hard disk using trueCall Message Centre software.

trueCall Message Centre software is supplied on the memory card and this requires a PC running Windows XP, Vista, 7 or 8, or an Apple Mac running OSX with PC emulation such as Parallels.

4 Setting up trueCall Recorder

Check you have Caller-ID on your phone line

In order to access all of trueCall Recorder’s features you will need to have the Caller-ID service on your phone line. This service displays the caller’s number on your phone when they call you, and allows trueCall to distinguish between callers you do want to speak to, and those that you don’t. Some operators provide the service free, other operators charge a small monthly fee.

Before you install trueCall, check that the Caller-ID service is active on your phone line. An easy way to do this is to make a call to your landline from your mobile and check that its number is displayed on your phone. If your phone does not have a display window, then please call your service provider to confirm that the service is active.

Decide where to install your trueCall unit

trueCall can operate from any phone socket in your house. If you have a cordless phone system, locate it near the base station, otherwise install it close to the phone you use most often - you want to be able to easily check trueCall to see if you have any messages.

Connect the unit to your phone and power supply

Unplug your phone’s lead (or the lead from your cordless phone base station) from the wall socket, and replace it with trueCall's phone lead. If you have broadband on your home phone line, you must plug trueCall’s lead into a broadband splitter/filter.

Plug your phone’s lead (or the lead from your cordless phone base station), into the socket at the back of trueCall.

Plug the mains adaptor into the power socket at the back of trueCall and into a wall socket - the lights will flash for about a minute, then trueCall will say ‘Ready’ with just the green light lit.

Plugging in the memory card

Plug your Call Recorder memory card firmly into your trueCall unit (label side up). After a few seconds you’ll hear the message “Memory card ready” through the speaker.

If trueCall detects an error on the memory card you will hear the message "Error on memory card - please remove the card". It may be that the card is faulty or it isn't a genuine trueCall card or just hasn’t been inserted fully. Remove the card for 10 seconds then replace it making sure that the card is plugged firmly into the socket.

If the memory card is write protected you’ll hear the message “Cannot record to memory card as it is write protected”.

Don’t rapidly insert and remove your memory card as this may corrupt the card and reboot your trueCall unit.

Phones and phone lines

trueCall Recorder will work with a wide range of phone equipment including corded and cordless phones. If you have a number of extensions in your house we recommend that you use a modern multi-handset cordless phone system - this allows you to control trueCall Recorder from any phone.

trueCall was designed for use in the home and will work on landlines and cable phone lines. It shouldn’t be plugged into office switchboards, or used on VoIP lines or lines that are shared with a fax machine, or anywhere you need to dial ‘9’ for an outside line.

Other equipment

You may have other equipment plugged into your phone line - alarm systems, set top boxes, digital TV boxes, etc. These mustn’t be plugged into the back of trueCall, but can be plugged in alongside trueCall using a 2 way phone adaptor (or plugged into any other phone socket in your home).

Memory card

The supplied memory card is an SD memory card similar to those used in digital cameras. It is specially formatted to work with trueCall and contains trueCall Message Centre software. Standard SD cards won’t work in trueCall Recorder.

Setting up trueCall Recorder

If the switch is towards the front of the card, you can read from it and write to it - this is its standard position.

If the switch is towards the back of the card, you can only read from it - you can’t record calls.

Memory cards have a ‘write protect’ switch that allows you to prevent a card being changed. Sometimes, during handling, this can be accidentally knocked into the wrong position. If a card is not performing properly, then check its write protect switch.

7 Recording your calls

When it is first installed, trueCall Recorder will record all incoming and outgoing calls, but you can choose how to configure it:-

Do not record calls - No calls will be recorded Record selected calls - Press trueCall's button during the call to

record the call Record all calls - All calls will be recorded

You can specify different recording rules for incoming and outgoing calls (eg record all incoming calls, record selected outgoing calls). This can be done through your Internet Control Panel (page 18) or through the Handset menus (page 14).

trueCall will flash its blue light to warn you if you select ‘Record all calls’ but no memory card is installed (or it is full, corrupt or write protected).

Recording a call

If trueCall is set to ‘Record all calls’ - you don’t need to do anything - so long as a memory card is installed, is write enabled, and has enough memory for at least half an hour’s recording, then every call will be automatically recorded to the card.

If trueCall is set to ‘Record selected calls’ - at any time during an incoming or outgoing phone conversation just press the button on the top of the trueCall unit to tell trueCall to save the recording of the call. You will hear a beep (which won’t be heard by the person on the other end of the line). trueCall’s Buffered Save feature means that even if you press the button half way through the call, trueCall will save the complete conversation to the memory card right from the start.

trueCall’s red light flashes while a call is being recorded. A single call recording may last a maximum of 12 hours.

any guests who might use your phone, are

aware that their conversations may be recorded.

8 Voicemail

trueCall has a built-in voicemail system that can store 12 minutes of messages from your callers. You control it from your phone handset, and it speaks to you telling you what your options are at each stage.

If you use trueCall’s voicemail rather than the network voicemail or the voicemail in you phone trueCall will be able to keep a better record of what has happened to your calls.

Playing back your messages

trueCall flashes it’s red light to tell you that you have new messages or missed calls waiting - 1 flash for 1 message, 2 flashes for 2 messages, 3 flashes for 3 messages and 4 flashes for 4 or more messages.

There are three ways to play back your messages - from your phone, by pressing the button on the unit, or by dialling in from another location when you are away from home.

1. Playback from your phone handset

Pick up the phone attached to trueCall, and when you hear the dial tone press trueCall’s button (or dial Hash Star - # - on your phone). trueCall tells you how many messages you have, and then plays them back one at a time. At the end of a message, or at any time during the playback of a message, you can choose from to delete, save or repeat the message. You can listen to the message details, ring the caller back, or if you have a trueCall Call Recorder memory card installed, you can archive the message to the card.

2. Quick playback through the speaker

Press trueCall’s button to quickly playback your messages through trueCall’s speaker. Press the left button to save the message or the right button to delete it.

3. Checking your messages when you are away from home

When you are away from home you can use Remote Access to access your voicemail messages (page 13).

Message Centre

trueCall Message Centre allows you to easily manage your call recordings and archived messages. It allows you to copy recordings and messages from your memory card to your computer, then annotate and file them.

Installing trueCall Message Centre on your computer

The trueCall Message Centre installation program is supplied on the trueCall Call Recorder memory card. Plug this into your computer. If your computer doesn’t have a socket for an SD card then you can use the supplied Memory card/USB adaptor. Plug the Memory card into the adaptor then plug the adaptor into a spare USB socket on your computer.

Different computers are set up differently, but when you plug the memory card in a window will generally pop up asking you whether you want to install trueCall Message Centre. If this doesn’t happen then open the memory card in Windows Explorer, and double click on the ‘trueCall Setup’ icon.

Follow the instructions to install trueCall Message Centre. By default it is installed in your programs directory under ‘trueCall’ and your recordings are stored in the ‘My Phone Calls’ folder under ‘My Documents’. The installation automatically creates sub-folders within ‘My Phone Calls’ - ‘Family’, ‘Friends’ and ‘Work’ - but you can amend these to build your own personal filing system for your recordings.

Using trueCall Message Centre

Copying files from your memory card to your computer

When you want to transfer recordings to your computer, remove the Call Recorder memory card from trueCall when your phone is not in use.

Note : Don’t insert or remove a memory card from your trueCall unit while you are on a phone call, as this will end your call and may corrupt your recordings.

Plug the memory card into your computer. A window will generally pop up asking you whether you want to run trueCall Message Centre, or it may just show the contents of the memory card (in which case, run trueCall Message Centre from your Windows menu).

Warning - The trueCall Call Recorder memory card has been specially optimised to work with trueCall. Only access it using trueCall Message Centre - don’t delete or change any of the files on it directly, or copy any other files to the card as this may stop it from working in trueCall.

Reviewing your recordings

Message Centre has a split screen (page 11). In the bottom half you can see details of the recordings on the memory card, and in the top half you can see details of the recordings on your computer hard disk alongside the directory structure.

Recordings are shown with the time and date they were recorded, their duration, whether they were an incoming or outgoing call, the calling/called phone number (if available), name (if available) and the recording type (call recording, archived voicemail message, etc). You can click on the column headings to sort the entries.

Sometimes there may be entries that have no date, or which have a date without a year - this is because trueCall didn’t have its date set when it made the recording.

Listening to recordings stored on the memory card

To listen to one of your recordings, just double click on it. A playback window pops up that shows the recording date, type and phone number. You can start, pause, stop, fast forward or rewind to listen

to the appropriate part of the recording, and you can see how far you are into the file in hours, minutes and seconds in the top right of the window.

Saving recordings from the memory card to the computer

To save a recording to your computer, simply highlight one or a group of recordings in the SD card area and drag to the appropriate PC folder. Once the copy is complete, you can delete the recording(s) from the memory card.

Listening to recordings stored on your computer

If you double click on a recording in the computer window, it is played back and you have the opportunity to write comments as you are listening to the call. You can also create bookmarks - markers in the recording - by clicking on the Pin button. You can attach a description to each bookmark to allow you to quickly find important parts of a recording. Recordings are stored on your PC in the standard WAV file format and can, for example, be emailed to others and played back on other computers.

Deleting recordings from the memory card

Once you have saved all the recordings you want to keep, you can delete the remaining recordings from your memory card by clicking on the ‘Delete all’ button. Don’t attempt to delete files from the memory card using your computer’s operating system.

Renaming your recordings

Right click on a recording in the computer window and select ‘Edit’ to change the name of the file. Getting trueCall to store the caller’s name with the recording

In your trueCall Internet Control Panel you can associate a name with a phone number. We recommend that you load up the names and numbers of the people you speak to most often as this makes managing your messages and recordings much easier. You can flag these as being either ‘Personal’ or ‘Business’. trueCall will then be able to show the name against any calls to or from that number in your Internet Control Panel and in trueCall Message centre.

Where trueCall can’t find a name to associate with a phone number it will try to give other information about the number -

geographic location* or number type (freephone, premium, etc).

Removing the memory card from your computer

Once you have finished working with your memory card on your computer, don’t forget to remove it and plug it back in to trueCall so you can make further recordings!

You must always be careful when you remove any memory card from a computer. First, exit from the Message Centre software then click on the ’Safely remove hardware’ icon in your system tray and ‘Stop’ the memory card. The process is the same if you are using the Memory card/USB adaptor.

Don’t remove the memory card from your computer until you see the message ‘Safe To Remove Hardware’. If you don’t wait for this message your memory card may become faulty, and future call recordings may not be saved.

Options

Announcements

If you are using trueCall Recorder for business purposes you can get trueCall to announce your company and warn callers that their calls will be recorded (page 22). You can turn on this option at the Internet Control Panel (page 18). You can use the supplied message We record our calls”, or you can record your own personal announcement at the Handset Menu (page 14) .

You can also record music on hold to entertain your callers while they are waiting for you to pickup.

Dial up Remote Access

You can dial in to the trueCall Care unit from anywhere in the world and access your voicemail messages, the telephone handset menu and can even tell trueCall to do a Weblink during a Remote Access call. Call into your unit and when trueCall answers press the Star key. trueCall will ask for your PIN (by default the last 4 digits of your unit’s serial number). You can turn off this feature at the Handset Menu or Internet Control Panel.

The Handset Menu allows you to change many of trueCall’s settings, record your personal greeting and your own trueCall announcements, and listen to your voicemail messages and call recordings. A series of voice prompts tell you what options are available, so there are no complex codes to remember.

To access the menu, pick up your phone, wait for the dialling tone and press the trueCall button (the button on the top of the unit). trueCall first plays back any messages through the speaker and then offers the Handset Menu. You can press ’0’ to skip the messages. If you are away from the trueCall unit dial Hash Star ( # ) to access the messages and menu. You can also access the Handset Menu from a remote location using Remote Access (page 13).

trueCall’s top priority is to allow you to make and receive phone calls, so if you are listening to message or in the menu when an incoming call arrives, trueCall will abandon your session and connect the caller.

The following list shows each option that is available in the menus:

1►Listen to messages and call recordings - This option allows you to listen to your voicemail messages, and if your memory card is plugged into your trueCall unit you can playback your call recordings.

Call recordings are presented in reverse date order - the most recent recording is played back first. This allows you to quickly review your most recent recordings.

When listening to your recordings you have the following options:-

Delete the recording - This frees up space on the card for further recordings.

Listen to details of the recording – trueCall can give you additional information about each recording – the time and date it was made, its duration, whether it was an incoming or outgoing call and the phone number of the person you called or who called you (if their number is available).

Archive the recording – You can archive any important recordings. Archived recordings can’t be deleted by mistake through the setup menu, they can only be deleted through trueCall’s Message Centre on your computer. You can listen to archived recordings through the ‘Archived Recordings’ option in the ‘Messages and Call recordings’ menu.

Ring the caller or person you called - If you have the phone number of the person you called or who called you, you can call them back directly at the touch of a button. Unlike other ringback services, there is no additional call charge for this feature - the call cost is the same as if you had dialled the number yourself.

2► Call recording settings – You can choose how incoming and outgoing calls are recorded. Options are to not allow the recording of incoming calls, to record selected calls or to record all calls.

3►Voicemail options

3►1►Record your Personal voicemail announcement - This message needs to invite the caller to leave a message. You don’t need to introduce yourself, as this is done by your personal greeting. The standard message is:-

“I’m afraid that we’re unable to take you call at the moment, please leave a message after the tone”

You can record a similar message in your own voice.

3►2►Change Ring Duration - You can change the amount of time your phone will ring before the caller is sent to voicemail. By default, this is 15 seconds. Generally people set their answering machines to answer after 9 to 25 seconds (4 to 8 rings). Important note – if you are using a 1571 network voicemail service in conjunction with trueCall, voicemail must answer your calls before the 1571 network voicemail service. In this situation we recommend that you set trueCall to pick up after 9 seconds.

3►3►Switch Audible Message Alerts ON or OFF - As well as flashing its red LEDs to alert you that you have new messages, trueCall can also play a tone through its speaker every minute to give you an audible warning. By default, message alerts are OFF.

3►4►Switch Missed Call Reporting ON or OFF - If Missed Call reporting is ON, trueCall will tell you about Missed Calls when it plays back your messages (page 8). By default, Missed Call reporting is ON.

3►5►Record your Personal Ringback later announcement - this announcement is used if trueCall doesn’t have enough memory to record a message.

“I’m afraid that we’re unable to take you call at the moment, please leave a message after the tone”

You can record a similar message in your own voice.

3►6►Switch Voicemail ON or OFF - If you prefer to use your network’s voicemail, or the voicemail built into your phone you can turn off trueCall’s voicemail here. By default, voicemail is ON.

4►4►Record Personal Announcements

4►4►1►Record your Personal Recording Announcement - if you choose to play a warning message to incoming callers they will hear the message -

“This call is being recorded for training purposes”

You can record a similar message in your own voice.

4►4►5► Record your Personal Wait Announcement - During the Whisper or Shield process this is played to the caller after they have identified themselves, and while your phone is ringing. The standard announcement is:-

“I’m trying to put you through, please wait a moment”.

If you play music in the background when you record this announcement you can create your own personal ‘on-hold’ music for your callers. The recording must be at least as long as your ring duration.

5►Change security settings

5►1►Change Security Level - trueCall offers three levels of security.

Basic Security - you can access your messages and the handset menu without a PIN, but it is required for remote access. Medium Security - You can access your messages directly without your PIN, but need it for the handset menu and remote access. This is the default option. High security - You need your PIN to listen to your messag-es, for the handset menu and for remote access.

5►2►Change your PIN - PIN security controls access to your messages and the handset menu. trueCall PINs may be up to 8 digits long.

5►3►Switch Remote Access ON or OFF - Remote access allows you to dial in to trueCall from another phone and listen to your messages (page 13). For security reasons you may want to switch remote access OFF. By default, remote access is ON.

6 ►Set the system date and time - trueCall sets its date and time by dialling a special phone line when it is first plugged in (national call charges apply). If you have Caller ID, this is updated every time you receive a phone call. If for any reason you need to set the date and time manually you can do it here

7 ►System information - System information tells you about your trueCall unit – how much recording time is left on your memory card, unauthorised access attempts and other information that may be required if you call customer services.

8 ►Reset your system - Deletes all your voicemail messages, personal announcements, and any changes you have made to your options. It will also reset your PIN to the last 4 digits of the serial number printed on a label on the underside of your unit. If you reset your system you CANNOT later retrieve any of this information.

18 Internet Control Panel & Weblink

If you have access to the Internet then you may find trueCall’s Internet Control Panel useful. It is a secure web page on the Internet (www.trueCallControl.co.uk) that you access using your own personal user name and password. You can review details of the calls that you have made and received and change trueCall’s settings.

Registering

Before you use your Internet Control Panel for the first time you need to register your trueCall unit. Go to www.trueCallControl.co.uk then click on ‘Register’. You are asked for your name, email address and your unit’s serial number (printed on the bottom of your unit). You can then choose a user name and password and click on ‘Submit’. Please read the terms and conditions carefully and click on ‘Accept’ if you are happy with them.

Weblink

Weblink is the process that synchronises your trueCall unit with the Internet Control Panel. trueCall dials up our server in London (a standard 0208 number) to synchronise. Weblink calls generally last less than a minute (though your initial Weblink may take 5 minutes).

As standard, trueCall only does a Weblink when you ask it to*, but you may like it to perform a regular scheduled Weblink to keep your control panel up to date – for example once a day, once a week, or every weekend. These scheduled Weblinks take place in the middle of the night and may be free under your calling plan.

If you want to keep your control panel up to date with all the calls you have received while you are at work, on holiday, or are away on a business trip, you can get trueCall to do a Weblink after each unanswered call. Alternatively you can ask trueCall to do a Weblink during a Remote Access call (page 13) - when trueCall plays you the Handset Menu dial ‘’. trueCall will confirm, and ask you hang up, and it then does a Weblink.

Note: trueCall does a quick Weblink that lasts only a few seconds when it is powered up to get the current date and time from the server. This saves you having to set its clock every time it is plugged in.

* You can perform a manual Weblink at any time by holding down trueCall’s button for two seconds. It will beep and say “Weblink started”.

Using your Internet Control Panel

Once you have registered and logged in to your Internet Control Panel you will see a screen with a number of options:-

Home - This page carries useful information, hints and tips and news. It also gives a summary of incoming and outgoing calls.

Call log - You can view details of your calls here. Just like your mobile phone, trueCall keeps a record of all the calls that you make and receive, including incoming calls that are blocked and those that are not answered. If you see an unfamiliar number you can try to identify who has been calling by looking it up directly on the Internet.

For each call it shows the phone number, date, time and duration of the call.

Contacts - You can enter details here of the people who you regularly call, or who regularly call you. This allows trueCall to attach their name to their entries in the call log and your call recordings list. If you use trueCall Recorder for personal and business calls you can separate out personal and business contacts. You can import and export the list.

Options - You have a wide range of options available to get trueCall working exactly as you want. You can change trueCall’s security settings, tailor the way that trueCall’s built in voicemail system operates, choose how you would like Weblink to operate, and access a number of advanced settings.

Incoming calls - You can choose here to get trueCall to answer every call and warn the caller that their call is being recorded before ringing your phone (page 13).

Green and blue on Your phone is ready and free for you to make or receive a call. (the Internet Control Panel gives you the option to turn off the blue light)

Green on with flashing red/blue You have new messages/missed calls waiting. The number of flashes indicates the number of messages/missed calls.

Red and amber flashing trueCall is ringing your phone.

Red on / flashing An incoming or outgoing call is in progress. If the red light is flashing, trueCall Recorder is recording the call. If the light is steady the call is not being recorded (no card inserted or card is write protected, full or corrupt)

Green & Amber flashing A caller is leaving a message on trueCall’s voicemail. If you press trueCall’s button you can hear their message as it is being left, and pickup the handset if you want to speak to them.

Green with flashing blue Calls cannot be recorded because there is no memory card inserted, or the card is write protected, full or corrupt.

How can I check how much recording space is available on my memory card? The trueCall Message Centre will show you how much recording time remains on your memory card or you can hear this in System Information at your handset menu (page 7).

When I plug my memory card into trueCall I hear the message “Cannot record to memory card as it is write protected” Each memory card has a white switch on its left hand side. If this is in the backwards position the card is write-protected and trueCall won’t make any recordings on the card. Slide the switch forward and re-insert the card (see diagram on page 6).

When I plug the memory card into my PC I see the message ‘Do you want to scan and fix …’ Your computer has detected a possible error on your memory card - click ‘Yes’ and your computer will check for errors and try to fix any that it finds.

I would like to email a call recording to someone You can find your recordings stored in your ‘My phone calls’ directory, or one of the sub directories below this in WAV format.

A call recording cut off before the end of the call If you make and take calls on phones plugged into other extension sockets in your house and transfer the call between handsets, you may, in certain circumstances, lose part of your call recording.

Call recorder has recorded some odd modem calls in the middle of the night - what are these? Sky boxes, alarm systems and other devices in your house may make calls in the middle of the night. If your trueCall Call recorder is set to ‘Record all calls’ these will be recorded. Just delete these calls.

Can I legally record phone conversations on my home phone?

In the UK you are allowed to make recordings of your private conversations provided that the recording is for your own use. Often a recording can quickly resolve a disagreement about ‘who said what & when’. In some cases recordings are admissible as evidence.

Out of respect for their privacy, you should make sure that everyone in your household, and any guests who might use your phone, are aware that their conversations may be recorded.

Can I record phone conversations on behalf of my business?

The laws relating to call recording for businesses are many and complex, and you will have to determine yourself whether your use is legal. The relevant legislation includes:-

Data Protection Act 1998

Telecommunications - Data Protection and Privacy - Regulations 1999

Human Rights Act 1998

Regulation of Investigatory Powers Act 2000

Telecommunications - Lawful Business Practice - Interception of Communications Regulations 2000

Safety

The power supply should be plugged a standard 3 pin socket outlet. The trueCall unit must be installed near the socket-outlet and must be easily accessible. Only use trueCall’s power supply, any other power supply will invalidate your guarantee and may cause damage.

Simply clean trueCall with a damp cloth. Do not use chemicals or abrasive cleaning products.

Do not open trueCall as there are high voltages inside the unit.

Do not touch the plug contacts with sharp or metal objects.

Environmental

trueCall is intended for indoor use only.

Do not submerge any part of trueCall in water and do not use it in damp or humid conditions, such as in bathrooms.

Do not expose trueCall to fire, explosive or other hazardous conditions.

There is a slight chance that trueCall could be damaged by an electrical storm. We recommend that you unplug the power and phone line cord for the duration of the storm as such damage is not covered by the guarantee.
