Getting Started
How to Verify Current Version

Adding a New Operator

1. Click Add
2. Enter operator name, password and assign permission levels
1. Maintenance: User has write authority to add, change, and delete in the particular function.
2. Inquiry: User has read-only authorization to view, but not make changes to, data in the particular function.
3. No Access: User cannot access this particular function.
3. Click Post
Viewing Operator Log

The Operator Log is a running list of all activity taken place within the application for all of the users. The information includes user name, activity, date and time. To view this:
1. Click Help button
2. Select View Operator Log
Entering Program Information

1. Click Program Info.
2. Enter required program information
3. Click Post
Selecting Reporting Options

•Enter the title you wish to see at the top of each report: Type a title in the edit box, (typically the organization name). If left blank, there will be no title at the top of the report just the report name
•Market Price CD’s at 100.00: This option automatically prices CD’s at 100.00 otherwise matrix pricing is used
•Earnings and Yield Summary in months: This option breaks the report down into individual months (e.g. if you run the report for 01/01/07–03/01/07 there will be two columns one for 01/01/07-01/31/07 and one for 02/01/07-02/28/07)
•Default page orientation: Select portrait or landscape. Portrait is the default
Selecting System Settings

•Enable sub-fund accounting (optional): Separates investment balances within a fund
•Enable Fund level account register activity(optional): Forward all changes in fund balances automatically to the account register
•Enable offset accounting (optional): Creates offset relationships between accounts so that money market sell and buy activity recorded in one account is automatically matched by cash deposit and withdrawal activity in an offset account
•Enable debug logging: When debug logging is turned on, a log file is produced for all activity. The log file can be emailed to Evare to help diagnose issues
•Disable dick caching: Disk caching is a way to speed up access to the database. Uncheck only if advised advised by customer support
•Send version info at logon (optional): Sends version information to Evare at time of login
Running the Utilities

1. Click Utilities
2. Check desired utility
1. Unlock locked database files: Select this utility if you get a message that an investment is locked
2. Rebuild database index files: Only use this function when advised by customer support
3. Click Run
4. Click OK when utility finishes running

1. All Account Register Activity: System will use Safekeeping Institution GL account numbers for all Account Register activity.

Hiding Security Type: This option enables the user to hide any security types that the organization can not invest in.
Creating a New Security Type

1. Under Securities, highlight the security category, “Fixed Income, Equity or Cash Management”, then click the New button
2. Enter the required security type information and click Post
3. Click the New Security type you have created and click the New button. Enter the security name in the security name field. This will create the security template

1. Click “+” next to Equity and highlight equity type
2. Click Corporate Actions button at bottom of screen

Adding a New Financial Institution

1. Click Institutions tab
2. Click New
2. Enter Institution Name and Number
1. Select the Institution type to maintain information on each bank, brokerage house, and clearing/custody institution that you use for purchasing, selling, issuing, or safekeeping your investments.
2. Compliance Information: The currently defined profiles for each institution appear in the grid. Make changes to the purchase, sale, safekeeping and issuing percentages as appropriate.

2. Enter required general ledger information
• Copy from Fund: (optional) automatically imports the GL numbers from the fund selected to the fund being updated.
• Bank Account #: (optional) allows the fund to have multiple sets of GL numbers linked to different accounts at institutions.

2. Choose from either the CUSIP search or enter the required security information if the CUSIP is not already entered into the system
3. Enter the price and fund information and click Post when done

1. From the investment purchase screen, click Security Details
2. Click Advanced to view the advanced parameters screen
3. Enter any investment specific parameters which differs from the security template (security name, odd long and short coupons, ratings)

3. Enter the transfer Date, sell amount and new fund information

2. Enter the percentage of collateral required, the exclusion amount and choose either direct assign or pooled and click Post

1. Tip: The security type must be set up in Reference before collateral can be assigned at the investment level
2. Highlight the investment which you are going to assign collateral to

Vendor Pricing
Price your securities at fair market value, the standard required by recent GASB 31 regulations, by connecting to Evare's pricing server and downloading prices from FT Interactive Data
Matrix Pricing
Price your securities with the system's matrix price calculation, which determines bond prices by calculating the present value of future cash flows at a given yield

Enter prices for any security in your portfolio
Setting up Security Variances

1. Click on Extensions and click Get Prices
2. Click Variance and choose security type
3. Add basis points and click OK
Use the Security variances screen to adjust the basis points used in matrix pricing. A basis point is .01 of a percentage point of the rate used. For example, if the effective interest rate decreases .5%, enter -50 basis points. If the effective interest rate increased .5%, enter 50 basis points

Performing Swap Analysis

1. Click “+” next to Active Investments
2. Click “+” next to year and highlight the investment number that will be swapped
3. Enter required swap information and click Report to view

The below fields are populated by the system with the Original Security Information you entered:

Par Value: The field is populated by the system with the original information entered for the investment. You can change the value to the par value you want to sell, which does not have to be the full par amount.
Sale Price: Enter the price that the investment sold for as of the Swap Date.
Horizon Price: Enter a projected price that will be used for calculating the ending dollar value of the investment.
Sell Trans Fee: Enter the amount paid for any transaction fees associated with the sale of the investment.
Swap Date: Enter the date on which the swap is executed. Today’s date is set as the default.
Horizon Date: Enter a future date that will be used for calculating the ending dollar value of the investment.
Reinvest Rate: Enter the rate of return resulting from the reinvestment of the interest from the security.

Instrument Type: Select an Instrument Type that reflects the investment.
Security: Enter a name to identify the investment.
Security ID: Enter up to nine characters to represent this transaction or investment.
CUSIP: Enter the investment's nine-digit CUSIP number.
Buy Price: Enter the amount paid for the investment as of the swap date.
Maturity Date: Enter the date when the bond matures, i.e. the principal of the bond comes due and must be repaid.
1st Accrual Date: Enter the date the bond began to accrue interest.
Coupon Rate: Enter the interest rate payable on the investment.
Horizon Price: Enter a projected price that will be used for calculating the ending dollar value of the investment.
Buy Transaction Fee: Enter the amount paid for any transaction fees associated with the purchase of the investment.
Date Basis: Select a date basis that reflects the investment
Pay Days Delay: Enter the number of days a payment on the investment is delayed from the last day of the previous interest period. The number must be between 0 and 365.
Pay Per Annum: Enter a value for the number of times per year you are scheduled to receive interest payments from the investment.
1st Pay Date: Enter the date on which the first payment from the investment is scheduled
