ESCO eStore refresh - FAQ

Background

The ESCO eStore is the result of a yearlong initiative within ESCO to re-engineer the customer ordering

experience. We are very excited about the new possibilities that the eStore will provide.

In 2012, ESCO selected Oracle iStore as the software package to support online customer ordering. The

Steel Network has served ESCO for 14 years, but had outlived its useful life as a primary web interface

for users to manage their orders.

eStore is built on a web platform. Therefore, you can use your navigator front and back buttons

to move through the site. The design should be familiar to any user experienced with using

web-based ecommerce sites for business or personal use.

eStore is compatible with all major Internet browsers (Microsoft Explorer, Google Chrome,

Firefox, and Safari)

eStore incorporates most of all the features of the Steel Network, and also includes additional

functionality to enhance the user experience. The user guide will go into more detail on the

differences.

Users, Access, and Security

The ESCO eStore incorporates some new security features.

One of the first things you’ll notice, is that unlike the Steel Network, we can accommodate multiple

users for a single customer. In the previous Steel Network, it was a 1 user : 1 ship-to location; in the

ESCO eStore, you can authorize many users for a single customer, and give them different tiered levels

of access.

Tier 1: User can access all functions of eStore; add items to cart, check out; can ship to all

available ship-to locations (including drop-ship addresses)

Tier 2: User can access all functions of eStore; add items to cart, check out; can ship to 1

preferred ship-to address

Tier 3: User can view orders, invoices and payments; can add items to cart, but cannot check out

Other security features:

Passwords automatically expire after 60 days; when a user logs in, they will be prompted to

change their password

No shared usernames or passwords; all users can have their own unique login and password

ESCO can provide tracking data for eStore usage

Users can maintain their own profiles

We will continue to add additional security enhancements as business needs change.

Basic Navigation

The ESCO eStore is designed with a consistent look and feel to meet our customer’s expectations of a

world-class ecommerce site.

When you first log in, you’ll be directed to the eStore home page, with clearly labeled navigation links.

Building your order

Direct item entry

o The easiest way to start a new order is to use the “Build Your Order” button in red on

the home page. This link will take you the Direct Item Entry page, which should be

familiar to previous Steel Network users. You can also access the Direct Item Entry Form

by clicking on the “Cart” button at the top of the screen and then clicking “Direct Item

Entry”

o Items can be entered as:

ESCO Part # / Manufacturer Part # - this field supports all major OEM numbers

and ESCO numbers; examples include: U40S, 112KH, N1R, 7T5701MT, 116-

7462DD, JLKC125M10-14R. *Note: this field is not case-sensitive, however, the

item needs to be entered completely with no missing characters

ESCO 7-digit – This is ESCO’s internal item number (7-digits in length)

Customer Part # - This is the customer’s internal item number. For those

customers who have provided their internal numbers to ESCO cross-referencing

our parts, you can enter an order using your own internal number.

o After adding items, use “Fill Details” to ensure your item numbers are valid. Any errors

will show at the top as “Error.”

o Add to Cart – Click “Add to Cart.” You will see “Current Cart” highlighted in the upper-

right hand corner. Items must be added to the cart to see your pricing. The cart page

shows you details such as quantity available, lead-time, where the item is shipping from,

sales tax (where applicable). You can also click on the Item Name for more detail

*Helpful hint: if you need to update your quantity, change the quantity ordered

and select “Recalculate” to update the price.

Checking out basics

o Shipping: At Checkout, you have a lot of options. Here you can change the contact on

the order, the ship-to address, shipping method, and ship priority.

o Billing and Payment: confirm the desired billing address, and enter your PO number

o Review and Place Order: confirm all your details and “Place Order.” You will receive an

order number and can print the page for your records.

You can now select “Continue Shopping” to go back to the home page.

Price and Availability & Quoting

You can check Price & Availability by adding items to your cart.

Page 7: ESCO eStore refresh - FAQ Documents/eStore Quick Start Guide revised May 2016.pdfESCO eStore refresh - FAQ Background The ESCO eStore is the result of a yearlong initiative within

7 of 15

After checking price and availability, you can either delete the cart, continue shopping to add more

items to check price and availability, save the cart, or check out.

Other ways to create a new order

Search and add to cart

o Search for all or part of an item in the search bar and add to your current cart or to a

new cart.

*Helpful hint: we will be adding more functionality in the future to include

searching by part criteria such as measurements (for blades)

Shop by item category

o From eStore home, you can Shop by product category.

*Helpful hint: we will be adding more filter options to the categories in the

future. Stay tuned for additional enhancements.

Upload from .csv file

o The ESCO eStore allows a user to upload a .csv file. Go to “Build Your Order,” and click

“Upload.”

The file needs to be in a comma de-limited (.CSV) format and in the same order

as the Direct Item Entry form.

Contact your ESCO Customer Service Representative for a template.

Shop dealer surplus

o From eStore home, you can shop by dealer surplus. This is an up-to-date inventory list

that other eStore users maintain showing excess stock.

o The dealer surplus looks and feels like the old Steel Network surplus listing.

o Items reported out on the dealer surplus listing are purged quarterly.

*Helpful hint: if you want to see a listing of all available surplus inventory in a

report (Excel) format, contact your ESCO Customer Service Representative for a

full report.

Shop plate remnant

o From eStore home, you can shop for remnant plate. Select “REMNET” at the top of the

screen, or on the left-hand navigation, select “Shop By” and “REMNET”

o REMNET items are not yet orderable through the eStore; you will need to contact the

ESCO Customer Service team at Phoenix directly. However, we do intend to offer this

feature in the near future.

Cart Basics

Select the Cart button on the left sidebar. Here you will see “Current Cart,” “Saved Carts” and

“Shopping Lists.” This section is going to focus on Current Carts and Saved Carts.

ESCO eStore allows a user to add items to an existing (“current”) cart, and save it for future access.

There is no limit to the number of “saved” carts you can maintain.

When you first log in, begin adding items to your cart. When you navigate to “Current Cart,” you’ll see

these items appear with pricing and availability.

Page 9: ESCO eStore refresh - FAQ Documents/eStore Quick Start Guide revised May 2016.pdfESCO eStore refresh - FAQ Background The ESCO eStore is the result of a yearlong initiative within

9 of 15

At this point, your “Current Cart” is active. If you navigate away from this screen, and continue to add

items to your cart (either through Direct Item Entry, searching for items in the search bar and adding to

cart, or through items by category), these items will continue to be added to the “active cart.”

From here, you have some options. You can:

Save the cart for future use

Continue shopping – the continue shopping button will default to the Direct Item entry page;

however, you can also navigate to the eStore home page, or search for items and add them one-

by-one

Save to a list – see “Shopping Lists” for more information

Delete Cart

Checkout (initiate the checkout process)

If you save the cart, you will be prompted to give it a saved name. After you save the cart, and navigate

back to the “Current Cart” button, you’ll see that you do not have any active carts; it is now under

“Saved Carts.”

Page 10: ESCO eStore refresh - FAQ Documents/eStore Quick Start Guide revised May 2016.pdfESCO eStore refresh - FAQ Background The ESCO eStore is the result of a yearlong initiative within

10 of 15

Updating Saved Carts

Navigate to Saved Carts. Select the cart you wish to update or reinstate, and select “Update Cart.”

As you will now see, this cart becomes your “Active Cart.” Any additional items you add through Direct

Item Entry or search and adding to cart will be added to this Active Cart, until you save it again.

Questions about Carts? Reach out to your ESCO Customer Service Representative for assistance.

Shopping Lists

The Shopping List allows you to create a list of items and save it for future use.

For example, if you have a customer with a machine parts list, you can create a “Shopping List” with all

the required replacement parts. When it’s time to place an order, you can simply adjust the quantities

to meet what the customer’s needs are, and add it to a cart.

Even if you select zero for an item on your shopping list, if you go back at a later date, all of the original

items to the list will still be there.

Like shopping carts, you can create an unlimited number of lists.

Page 11: ESCO eStore refresh - FAQ Documents/eStore Quick Start Guide revised May 2016.pdfESCO eStore refresh - FAQ Background The ESCO eStore is the result of a yearlong initiative within

11 of 15

*Helpful hint: you can create shopping lists from an ESCO parts listing or Bill of Materials. For instance,

if you have an ESCO bucket, and know the parts listing for that bucket, create a shopping list for it.

When you give it a name, give it a name that you will remember, such as “Customer XXXX, Serial #

RHXXXX.”

Want to Sell Excess Inventory?

From the homepage, select “Dealer Surplus Edit”

Enter in the required fields and click “Insert”

*Helpful hint: you need to know the ESCO 7-digit number; if you don’t know it, search for the item in the

search bar, or try adding it to a cart by your cross-reference number or the PMID/Manufacturer number

to locate the 7-digit number

Surplus quantities will be deleted on quarterly on January 1st, April 1st, July 1st, and October 1st

Contact your CSR if you would like a report of all current surplus items.

Other Features

The ESCO eStore has some other features to support your day-to-day operations in addition to placing

orders. These are grouped together as Orders/Invoices/Payments.

Click on Orders

Track Orders / Order History

From the Track Orders page, you can look at all current and past orders (as far back as 2007) and order

details for your account.

Simple search: Default is orders placed in the last 7 days. You can re-query for a different date

range. You can also search by Order Number, Order Date, Order Status, or PO Number. Use the

“condition” to help narrow down your search if you only have a partial value.

o *Helpful Hint: All ESCO Return Material Acknowledgement (RMA) numbers begin with

the number “9.” If you are looking for RMA status, search by order number and change

the condition to “starts with,” then put “9” in the value field.

o *Helpful Hint: If you want to search just for “open” orders, search by “order status,” “is”

and “Booked”

Advanced Search: Advanced search allows you to search by the Reference number you receive

when booking an order over eStore; also allows you to look up by specific pricing agreements or

ship tos (such as in the case of drop shipments)

Order details – Order details shows line-by-line detail on the order you’ve placed

Shipment details – Shipment details shows specific information on the shipped date for line

items; you can also click the tracking number link (where available) and be navigated directly to

the carrier site to confirm ship date, ETA, etc.

Troubleshooting

These are some common troubleshooting tips you may find useful:

When I try to log in, I get an applications administration error. What do I do?

The ESCO eStore is a live web-based site; like all web-based applications, it will function best if your

browser and cache history is clear. Delete your cookies, cache, browser history, etc. and try again. It

may be necessary to close your browser and reopen.

What if I can’t find a part number I am looking for?

See the “Not Finding What You’re Looking For” section above and verify you are using the

recommended search tips. ESCO has a catalogue of over 600,000 item numbers, and only a portion

have been published on eStore. If you can’t find a part number, contact your ESCO Customer Service

Representative.

I would like a refreshed price list. Why can’t I request it like on Steel Network?

Price list refreshes are done quarterly for all customers. If you need a price list refresh outside of that

time, contact your ESCO Customer Service Representative.
