1. ERASMUS+ Programme

- ERASMUS+ Programme = mobility for learners and staff - Higher Education Student and Staff Mobility

Two types of exchange

- ERASMUS+ strict (within Europe)

- Faculty agreement (outside of Europe)

3. Characteristics of the ERASMUS+ programme

On condition of full compliance with ERASMUS regulations

- Full academic recognition of stay at host institution:

- Full integration of courses taken abroad into programme of study at KU Leuven;

- Full recognition of results obtained at host institution (conversion of results).

• ECTS : - number of ECTS credits is indication of study load; - 30 ECTS credits = normal study load for one semester.

• Exempt from host institution’s registration fees

• Grant (min. 3 months - max. 6 months)- covers additional expenses of mobility;- national scholarships remain unaffected.information: http://www.econ.kuleuven.be/ond/erasmuseng

• Focus on quality, not quantity, of exchange.

3. Characteristics of the ERASMUS+ programme

Extended master differs from ‘normal’ Erasmus exchange:

• 60 stp in Leuven + 30 stp abroad 30 stp (one semester) extra !

• The 60 stp in Leuven are in conformity with the standard master’s programme for which you are registered

• You follow the same application procedure as the other exchange students, BUT: you should compile a coherent module programme (of at least 30 stp) from the modules the host institution offers and submit that as part of the application file

• You do not replace courses in Leuven with courses abroad, but you select an additional module programme of 30 stp complementarity versus equivalence of courses

• Demonstrate how your choice of programme expands on or compliments the programme you are following in Leuven in motivation letter

• Coherence of module programme + motivation of its complementarity are part of selection criteria

4. Timing of Erasmus exchange (extended master formula)

• Beginning of ‘third semester’: students choose 30 stp study modules from Leuven in their ISP (“placeholder” modules, cf. below)

• These Leuven modules will be replaced by the modules that are successfully completed during the exchange. Only the modules from the exchange appear on the diploma supplement

• If you attained all credits for modules abroad and for the complete master’s year in Leuven graduation in February

• But: often late receipt of exam results from Erasmus exchanges (e.g. April or May) graduate in February with retrospective effect, but a certificate or transcript cannot be issued until all the stp from the host university have been received. You can request a certificate confirming you obtained 60 stp for the Leuven courses

• Resit: if the student is required to retake one or more (foreign or Leuven) course modules for which (s)he did not pass graduate after the third exam period (September)

• Modules from abroad with score < 10/20 are replaced by the Leuven “placeholder” modules for equivalent amount of credits in third exam period

5. Who is eligible for Erasmus exchange ?

Am I eligible for applying for an extended master ?

• You are enrolled in the master TEW/MBE or master EW/master of Economics in 2013-2014

• You completed the prior education (bachelor or other) that gave you access to TEW/MBE or EW/Economics or you are at most 12 credits removed from it at the start of academic year 2013-2014

• Your most recent CSE (Cumulative Study Efficiency) is >75%

Þ You can apply in the 1st semester of the ‘selection year’ 2013-2014 for exchange in the first semester of 2014-2015

6. Selection procedure – step 1

STEP 1: Selection and reservation of the destination

• The aim is to send ‘low risk’ students. This doesn’t mean you need exceptional marks to qualify.

• In case of multiple candidates for same destination, selection based on:o Study results from previous yearso Language skillso Coherence of module programme abroad +

complementary to Leuven programmeo Motivation, incl. choice of module programme

• After the selection round, a destination is reserved for you.

6. Selection procedure – step 1Guidelines for constructing your abroad study programme

• 30 – 36 ECTS credits• Preferably master level courses; according to required previous knowledge, a

limited number of course modules from 3rd Bach phase at host university is acceptable

• Foreign course modules that are only marked according to a pass/fail system cannot be taken up

• Foreign language course modules: if they relate to the language of the country itself (max 6 ECTS credits)

• Final diploma supplement:o Completed modules from first Master year in Leuven (60 credits)o Credits taken during the exchange yearo If necessary, the credits taken in Leuven in the third exam period as

replacements for any exchange modules the student did not pass• Leuven tolerance rules apply for the whole set of course modules (i.e. you have

to pass for all modules to obtain your master’s degree) !

6. Selection procedure – step 2

STEP 2: Definitive confirmation of reserved destinations

• Selected students receive final confirmation of their destination on condition that, after the end of the second (June) OR third (September) exam period, they don’t have more than 12 study points still to attain (excluding the 30 study points at the host university) in order to obtain their master degree

• Attention! If the study period at the host university begins before the end of the September exam period, the condition above must be met by the end of the second exam period (June).

7. CONCRETE PROCEDURE

Step 1: Selection and reservation of the destination

• Overview of grants and destination available here or in Erasmus Office, room 00.118 - Naamsestraat 69

• Fill out online form: https://econweb5s.econ.kuleuven.be/erasmus

• Submit ‘Application form for participation ERASMUS+’ in DROPBOX – entry hall HOG FEB – Naamsestraat 69

on Thursday November 21 at the latest

Step 2: Definitive confirmation of reserved destinations after the second (June) OR third (September) exam period

(2) Printout of motivation letter inc. proposal of module programme (30 ECTS)

For students with non KU Leuven previous education: similar proof of official study results for all bachelor (+ possibly master) years !

Step 1: Reservation of Erasmus destinations

Reservation in two rounds (November and February):

Round 1: November 7 to 21, 2013• Submit application file between 7 November and 21 November 2013

• Check information about all Erasmus destinations through web links on online application form (https://econweb5s.econ.kuleuven.be/erasmus)

• Opportunity to examine files about Erasmus destinations in room HOG 00.117, Naamsestraat 69, between 7 and 18 Novembero Important: please discuss the exchange with your parents before

formally applying !

• Announcement of reserved destinations: Dec/Jano See Toledo + mail with official approval letter

Step 1: Reservation of Erasmus destinations(Round 1 continued) After announcement of selection round 1:

• Selected students submit at Erasmus office HOG 00.118 within a week after announcement:o Official approval letter, signed by parentso 70 EUR to cover deposit and administrative costso Signed form for the attention of the bursar (‘pedel’) stating that the

student wishes to graduate after 90 study points instead of 60

If the above requirements are not met before the deadline, the Erasmus destination expires and is made available again in the 2nd round

• Not selected in round 1 ?o Different reasons possible (e.g. limited number of available slots)o Possibility to re-apply in 2nd round

• After the end of the June 2014 exam period: 1st round of official confirmations of Erasmus exchanges

• Criterion? Max. 12 study points TO DO in Leuven in 2014-2015 (i.e. excluding 30 study points exchange)

• What if re-sit in Leuven?o For destinations where academic year starts after 3rd (September)

exam period in Leuven: re-sit in Leuven still possible!o For destinations where academic year starts before

announcements of results for 3rd (September) exam period in Leuven: • Definitive annulation of Erasmus destination• 70 EUR refunded to student

- After the end of the September 2014 exam period: 2nd round of official confirmations of Erasmus exchanges, same criterion!

Remarks

• The 70 EUR administrative costs are refunded to the students upon return from their stay abroad, if all administrative requirements are met.

• Students who ultimately cannot participate in the exchange because they do not meet the conditions (cf. previous slide), get their 70 EUR refunded.

• If you get definitive approval for your selected destination, but ultimately decide not to participate in the Erasmus exchange, please notify the Erasmus secretary asap. In that case, you are not entitled to a refund of the 70 EUR.

• Jönköping business school (Sweden)

• Sevilla (Spain) only bachelor students

8. AWARD OF GRANTS

• In the previous academic year, the following grants were awarded: - Non scholarship students: 310 EURO / month- Scholarship students: 370 EURO / month

• From 2014-2015 onwards, the grant will (also) depend on the country of destination – amount is currently ???

• Nearly all grants for a period of 3 – 6 months.

• Faculty agreements (no grants available)

• Ekonomika Alumni funds 5 grants of 500 EUR
