2015 - 2016 Annual Recruitment Report

The 2014,2015 Recruinnent Cycle was considered a new era for ECC's recruinnent and outreach philosophy, by folding recruiters into admissions and integrating admissions counselors into the high schools. This set the stage for 2015,2016 to become one for function, execution, and analysis. The purpose of this report will be to analyze the efforts that took place, and outline what efforts are needed in 2016,2017 to contribute to the college's overall enrollment success.

Recruitment Committee:

As outlined last year this committee was re,established. Over the course of 2015,2016 cycle, this committee was the primary engine driving all recruinnent and outreach efforts. Representation includes, Marketing and Communications, Admissions, Recruinnent, Veterans Affairs, Student Affairs, Academic Affairs, Advanced Studies, Pathways, and SES.

The committee meets monthly to discuss and plan recruinnent activities, as well as assess the results of on and off campus events and if it met its intended purpose.

Over this cycle the committee has evolved to try and coordinate all of the colleges' recruinnent efforts into one collective area and message; housed under the Office of Admissions and Recruinnent. The steps taken so far have been the use of a college,wide recruinnent calendar which was originally found on SharePoint, but has been recendy moved to Web Advisor.

With the committee having representation from all functional areas of the college, it was able to identify recruinnent efforts being conducted by members not on the committee. One such example of this is Open House Cruise Night held at the Vehicle Technology Training Center. The event was thought of and planned by the faculty at the VTTC, however when brought to the Recruinnent Committee's attention Admissions and Recruinnent support was offered in terms of instant admissions and enrollment collateral. Additionally radio and social media marketing was added to further enhance the event. The event had over 100 classic and custom cars in attendance and yielded an increase of 8 applications after the event.

The committee also began a "summer information" project to communicate to all faculty activities they could participate in. Information was put on ECC Today, ecc.edu and emailed direcdy to the faculty. As a result, we had participation from faculty members that typically may not have attended a summer event.

The committee's purpose has morphed into becoming the hub for all recruinnent activities for the college. As it moves forward, it will be the primary force in the execution of the college's Recruinnent and Enrollment Plan which was finished in April of 2016.

Recruitment &: Enrollment Management Plan:

Development

Upon my arrival to the college the first order of business was to create a comprehensive recruitment plan. This plan was finalized in late April and includes strategies and tactics to support:

1) Systematized and standardized recruitment and enrollment process. 2) Development of an enrollment funnel that supports ECC's processes and business model. 3) Identification of Recruitment areas of focus:

a. High School/Traditional b. Adult/Non~Traditional

c. Influencer( Community Outreach &: Partnership) d. Non~Credentialed (GED/HSE/TASC)

4) Prospect to enrollment Communication Plan. 5) Enhance and utilize "Recruiter" (CRM software) to track and analyze progress in

outreach, marketing and enrollment funnel efforts.

Implanentation:

Was scheduled to begin after hiring and training of Coordinator of Recruitment; this has been delayed and adjustments are underway as a result of the elimination of the position.

At this point what has been accomplished is the creation of communication workfl.ows to prospective students that inquire about the college. Once a prospect's information has been received and input into the CRM, they will receive a series of four communications over a 30 day period encouraging them to apply to the college, while also explaining the features and benefits of an ECC education.

Content and some workflows were also created to communicate to a student who was once a prospect and is now an applicant. When a student inquiries about the college, a timeline is in place that will prompt a series of communications. The first will encourage them to apply, the application will be acknowledged, they will then be walked thr.ough acceptance process, and finally, the last communication will be when they register for Classes. So in the end, a student who inquires and enrolls with us should have 33 touches from the college.

Additionally high school account plans have been created. Based on Fall2015 enrollment numbers, area high schools have been ranked platinum, gold, silver or bronze. Platinum and gold schools have been deemed "priority relationships" and the counselors have been tasked to increase outreach with these schools. For example, in May, all Admissions counselors were given a list of high school seniors whom planned on attending ECC in Fall2016. While visiting these schools, they gave the list to the guidance departments at these schools. Their goal was two~fold; one get transcripts for incomplete students so we could move these students along the enrollment funnel, and secondly, ask for instant admissions for students who had not decided on

a college yet. Guidance counselors were excited to know about the students that were planning on attending. The results are as follows: ·

Incomplete 102 Applications closed Instant Admits 5 Scheduled New Applications 14 Received

Staffing:

Structure remains consistent with 2014,2015 with the exception of the number of associates.

l) Admissions Counselors function to working solely with High Schools and their students. The list of Western New York High Schools was equitably distributed to Counselors College wide. The goal of the assignments were to provide opportunities for the ECC Counseling staff to strengthen the high school to college rapport and offer programming. Some of the programming included:

o Individual visits o WNY Consortium High School Visits o Instant Admissions Events o College Fairs o Tours and Information Sessions

2) The College's remaining Recruiter continues to be tasked with leading and coordinating the efforts with our business and community organizations. This mainly includes identifying opportunities to target and recruit the non~traditional population of students through various businesses and community agencies throughout the greater Metro Buffalo area, as well as organize and coordinate all college events on and off campus.

3) Director of Admissions, assists and par.ticipates in all on and off campus events as schedule dictates.

Outreach Events:

Over the course of 2015,2016 recruitment cycle there were several successful community outreach events that need to be highlighted. Although these events did not yield direct prospects, they have been able to establish connections which have.

WNY Guidance Counselors Breakfast , This is a annual event that is held at the North Campus (February 5th 2016). Counselors from all areas of WNY are represented. At the event SES, and faculty were able to present to the group on new areas of focus at ECC, highlighting specifically the new Nano,tech expansion and other developments in STEM. At the event the College Recruiter was present as well as several Admissions Counselors and the Director of Admissions. Through networking, we were able to book four new instant admissions events as well two college tours . ECC is plan to be the annual host for this event.

Community Leaders Luncheon~ This was a new event and the brain child of the College Recruiter and Recruitment Committee. It was held on March I4th 2016 at the Staler Erie Room on the City Campus. The event brought together community leaders from a wide range of agencies that ECC partners with. The list of attendees included, Catholic Charities, WNY Veteran One Stop, Buffalo Employment and Training Center, Urban Christian Ministries, Buffalo Adult Education Services, AmeriCorps, Burmese Community Services, Say Yes Buffalo, Journey's End Refugee Services, and Hillside Scho~arship Connection. At the event leadership from the organizations were thanked for their partnership with ECC and given a detailed overview of all the services t;he college provides. After the event Catholic Charities both visited the City Campus and had an Admissions Counselors visit their location. Additionally BETC invited us two career fairs they were holding and also asked us to present our services to their staff.

These are just two examples to events that yield future potential rather than imme~ate results. Other events of this type include panel discussions to parent and students at the area high schools, Hope Program Qune 25th 2016) and Pathway to Prosperity Event (August Jrd 2016) in conjunction with County legislators, etc. This is an area is where we look for new and innovative ideas for enrollment growth. The end goal is to have ECC ingrained in all areas of the community as the educational provider of choice.

Underclassman:

ECC also services underclassman to plant the seeds for enrollment in the future through the efforts of Joanne Colmerauer.

Challenges: . .

Below is a list of the challenges that were encountered and will be addressed during the upcoming year:

• Measuring effectiveness. Significant work has been done with the development and enhancement of "Recruiter." However we are just at the beginning stages what the system can do for the college. The list of events below was generated from "Recruiter" as a result of the development we have done. The next steps are to work on the system's communication between the college's ERP system "Colleague" and "Recruiter". Once this is done, we will be able to see the event name, event type, date, prospects received, number who have applied, the number who completed the enrollment process and the number that registered. Once complete, we can see the effectiveness of our efforts, and use this to make decisions on what events to participate in, whom we should send, and probable enrollments. This process is underway, but more complex than anticipated, so we are moving slower than planned.

• Assignment of duties to staff. Currently, the Admissions Counselors solely report to the Counseling Chair, therefore, assigning tasks can be a challenge. The counselors have been very responsive to the needs of our efforts, however ensuring proper coverage for events has been accomplished mainly through volunteerism. There have been events that ECC has not been able to cover because of a lack of volunteers.

In conclusion, while detailed reporting was evident this past year, we cannot overlook the major successes we have achieved with the regard to the systems we have set in place. The college has been able to utilize its current resources effectively. We have successfully integrated Admissions and Recruinnent into one functional area that can collaborate effectively with Marketing/Communications and Counseling to work towards meeting the college's future enrollment expectations.
