Enhanced MFP Features

IntroductionThis white paper describes the enhancements Samsung has developed for the production MFP models. Refer to the corresponding MFP model’s User Guide for more detailed information about these enhanced features.

OverviewSamsung’s dedication to customer satisfaction is the driving force behind the development of enhanced features for our innovative new MFP copier lineup. From the time we launch a product, we place a high priority on responding to customer feedback so we can refine our product performance. The feature enhancements presented in this document represent the fruit of our efforts. We have designed these new and highly innovative enhanced MultiXpress features to meet or exceed our customer’s existing businesses requirements.

Job BuildWhen the number of pages in a large job exceeds the capacity of the ADF, the Job Build feature allows users to feed parts of the job into memory, and then assemble it into one transmission. Users can combine multiple input sources from a single job or they can merge different types and sizes of documents from multiple jobs and then print or scan to a server, to e-mail and to a fax all at one time.

Copy Job BuildWhen users face the challenge of merging scanned documents that originated from different sources (platen and ADF) or when they need to scan large documents that exceed the ADF capacity, they can use the Copy Job Build feature. They can temporarily store documents scanned from various input sources and build the job until users select “Print All.”

Scan to Server/E-mail Job BuildWhen users need to send separate documents to a server or to e-mail as a single job, they can use the “Scan to Server/E-mail Job Build” feature. This feature allows users to send multiple documents as one job to a server or to e-mail.

Applicable options by input source:

• Duplex• Resolution• Original Size• Original Type• Color Mode• Darkness• Erase Background• Scan to Edge• Compression Quality• Scan Preset

Applicable options by job:

• Destination (Server setting, E-mail: To, Cc, Bcc, Reply to)

• File Format

Scan to Fax Job BuildWhen users need to send scanned documents that originated from various sources and contain large pages, they can use the “Scan to Fax Job Build” feature. Scan to Fax Job Build combines all of the scanned jobs that are stored in memory from different input sources in one document job file. The user completes the job building process by choosing “Send All,” which sends the selected jobs to the fax destination.

SyncThru Web Service 2.0Samsung designed SyncThru Web Service 2.0 (SWS) as a complete print management service based on a Web interface. Version 2.0 includes the usability enhancements offered in version 1.0 and adds new features such as Role-Based Access, Standard Accounting and Address Book.

User AccessSWS offers the following user access types:

• Administrator: a user authorized to access all of the interface menus and who can perform all of the SWS operations after logging on.

• Public User: a user authorized to access a limited amount of the interface menus and who can only perform allowed operations without logging on. The sdministrator controls the extent to which a public user can access the menus by assigning a role to the user.

Public users can only access the following menus (with some limitations):

• All of the pages in the Information menu• All of the pages in the Maintenance menu• Document Box menu• Address Book menu

Standard AccountingSWS allows an authorized administrator to configure the Standard Accounting feature to permit only authenticated users access to the services. SWS provides the following job accounting features:

• No Accounting• Network Accounting• Standard Accounting

Address BookSWS allows users to easily import contact data from their computers and store it locally on the MFP by using the Address Book feature. The Address Book feature contains the following address book types:

• Individual (Common) Address Book• Fax Groups Address Book• E-mail Groups Address Book.

Individual (Common) Address BookThe individual (Common) Address Book is a consolidated address book that can contain e-mail addresses, fax phone numbers, SMB addresses, and FTP site addresses. Users can export and import the address to and from their computers. They can also create fax groups and e-mail groups and then assign members to those groups from their individual address books.

Fax Groups Address BookThe Fax Groups Address Book allows the user to store frequently used Fax numbers in two convenient groups: Speed Dial and Group Dial. The Speed Dial group allows the user to store frequently used individual fax numbers for easy access. The Group Dial group allows the user to create groups of multiple Fax addresses to make bulk fax blasts a one-step process. Group Dial creates groups by virtually linking to the original individual fax numbers stored in the Speed Dial group.

E-mail Groups Address BookThe E-mail Groups Address Book contains two address types, Individual and Group. The Individual address book allows users to store individual e-mail addresses for easy retrieval and access. The Group address book allows users to create groups of e-mail addresses for easily sending bulk e-mails. The Group address book creates groups by virtually linking to the original individual e-mail addresses stored in the Individual address book.

Document BoxSamsung has expanded the Document Box feature. The user can access the new Document Box features by using SWS.

The Document Box feature allows the user to store document data on the hard drive in three types of boxes, Public, Secure and Common.

From the Document Boxes the user can perform various MFP tasks. These tasks include the following:

• The Document Box feature allows the user to store documents for copying, printing, sending to e-mail, sending to a server or sending to a fax

• The Document Box feature allows the user to store

scanned or printed data on the hard drive• The Document Box feature allows the user to access

document data on the hard drive and use it for printing or transmitting (to server/e-mail/fax). This feature also supports the transfer of data from the MFP hard drive to an external memory source (USB or host PC). Note: The Document Box does not support importing data from an external memory source to the MFP hard drive.

• The Document Box feature allows the user to manage the document data files stored in the Document Box by using the SWS interface. The management features include editing the document file name, moving the document file and copying the document file.

User BoxesThe Document Box feature contains three types of User Boxes. These three types include the Public Box, the Secure Box and the Common Box.

Public BoxThe Public Box allows all users to create, edit and store scanned and copied images. Deleting is allowed restrictively in the administrator’s features.

Secure BoxThe Secure Box allows all users to create a private box. The user who owns the box can store, edit and delete scanned and copied images. Access to the Secure Box is only available by using a password.

Common BoxThe Common Box is a default system generated User Box that users cannot create, delete or edit. The MFP uses the Common Box for storing faxes and PC print jobs.

Examples of the Document Box interface:

Thumbnail PreviewThe enhanced Document Box feature now supports thumbnail previewing. Users can select an existing document file in a box and preview a thumbnail image of the first page of the document. Users can access the thumbnail view from the SWS and MFP interfaces.

Depending on the document format, there may be limitations on the preview image. The user can enable or disable this feature.

Note: Only scanned images support the Thumbnail Preview feature.

Standard WorkflowThe Standard Workflow feature allows users to manage documents on the MFP. They can use this feature to create, modify, scan, box and fax to multiple destinations.

These main services in Standard Workflow include the following:

• From the scanner or the Document Box to multiple destinations

• Job Programming for Scan/Box/Fax to XXX Services• Receiving Fax Distributions by CID or Remote ID• Workflow Management/Redirection/ Complete Report/

Notification/Favorite/My Workform

From Scanner or Document Box to Multiple DestinationsThe Standard Workflow feature allows users to send scanned images or stored documents to multiple destinations such as e-mail, SMB, FTP or fax from a single session. They can also store and print the documents.

Without Standard Workflow, if a user wanted to send a document to three different people at different destinations such as fax, e-mail and an SMB server, they would need to perform three separate jobs. However now, with Standard Workflow, they just need to make one job flow for this operation.

Example:

1. Select Input Options (Scan, Box, Fax detail options):

2. Select the destinations (Fax, E-mail, SMB/FTP, Box, Print) and enter values such as Fax Numbers, E-mail Addresses, SMB/FTP Addresses, Box Location, Copies, etc.:

3. Save or Execute the Workflow:

Job ProgrammingWhen a user wants to reuse their workflow options, they can save it and recall it whenever they want to perform that operation.

Example:

1. The user creates the Scan/Box/Fax to single or multiple destinations workflow and saves it.

2. When they perform a Scan Job, they can just load

the document and select the Scan Workform from the list and click Execute to perform the workflow.

Receiving Fax Distribution by CIDThe user can program the MFP to recognize fax lines that support caller ID (CID). When the MFP receives an incoming fax from a CID that is stored in the Standard Workflow, the MFP executes the workflow saved for that CID.

Example:

1. The user must create a Fax workform with the Input set to Fax and they must enter the CID phone number.

Note: The user can only create Fax workforms in the Public Workform tab. The administrator must enable Fax workforms in Admin Options.

2. The user selects the destinations (Fax, E-mail, SMB/FTP, Box, Print) and enters the values for the Fax Number, E-mail Address, SMB/FTP Address, Box Location, Copies, etc.:

3. The user saves the workform (the workform name is the Fax Number). This completes the setup.

4. When the MFP receives a fax from the CID, the MFP executes the Fax workform job flow automatically. The Standard Workflow feature reads the workform and sends the Fax to all of the specified destinations.

Workform ManagementAnother new feature available from Standard Workflow is the enhanced workform management tools that allow users to create, edit, delete, sort and filter workforms.

Auto Redirection of Fax TransmissionsThe Auto Redirection feature redirects failed fax transmissions to the recipients e-mail address instead.

The administrator must enable the Auto Redirection feature for each selected user. Then the user must have the fax number and the e-mail address for the destination in their address book.

Complete Report and Notification The Complete Report and Notification feature allows the user to have a Complete report sent to them through e-mail notification after the MFP completes a workflow. The administrator must enable this feature. The SMTP server must be configured before the user can send notifications through e-mail.

Favorite WorkformsThe Favorite Workforms feature allows users to assign their preferred workforms to the Favorite tab. Users can register their workforms to the Favorite tab from the My Workform tab and the Public Workform tab.

IBM ProprinterThe MFPs now fully support IBM Proprinter commands.

USB Direct PrintingThe Duplex, Staple and Collate options are now available when users perform USB direct printing.

Extensible Authentication Protocol Transport Layer Security (EAP-TLS)EAP-TLS is now an option for use with 802.1x port-based Network Access Control.

Underscore Character SupportThe user can now use underscore “_” characters when they perform a Scan-to-E-mail process.

Font Download to Hard DriveThe user can now download fonts to the MFP hard drive.

Device Serial Number in E-mail Alert MessageThe MFPs now include the device serial number in an E-mail alert message.

SNMP ResponseThe MFP firmware now sends an SNMP response about the usage counter information to SWAS.

Secure Internet Printing Protocol (IPP)The MFPs now incorporate secure IPP over SSL.

Filename ChangeThe users can now change file names in the Scan-to-SMB, to FTP, and to e-mail options from the MFP control panel.

Single Sign On (SSO)The MFPs now support the SSO feature. This feature allows the user to continue using the MFP without the need to sign in each time they want to use a different feature.

Role Management (Authorization)The MFPs now include options for setting up access rights for each device function. This allows the administrator to control which MFP features a user can access.

PDF EncryptionThe MFPs can now encrypt PDF files for secure transmission.

Digital Signature in PDFThe MFPs can now generate PDF files that include digital signatures.

Print Job EncryptionThe MFPs can now encrypt print jobs for secure transmission.

Information HidingThe Information Hiding feature allows users to hide the job and owner name information on the Job list. Only the job owner can see this information.

Secure E-mail (SMTPs)The Secure E-mail feature allows the user to send e-mail to an SMTP server through a secure channel (SMTPs).

Protocol and Port ManagementThe Protocol and Port Management feature allows users with the required access to disable and enable protocols and port numbers.

MAC Address FilteringThe MAC Address Filtering feature allows users to deny connections to devices with specific MAC addresses.

Watermark for CopyThe Watermark for Copy feature allows the user to print text over copied documents. The MFP includes the following default watermark text:

• Top Secret• Urgent• Confidential• Draft

StampThe Stamp feature allows the user to add tracking information to copied and printed documents. The MFP includes the following tracking information:

• User ID• Device Serial Number• Date and Time• Page Number

Job LogThe Job Log feature allows the MFP to store all of the print job logs on the hard drive. For added security, the MFP encrypts the job logs before storing them on the hard drive.

Operation LogThe Operational Log feature allows the MFP to store all of the MFP operational logs on the hard drive. For added security, the MFP encrypts the operational logs before storing them on the hard drive.

Security Event LogThe Security Event Log feature allows the MFP to store all of the MFP security event logs on the hard drive. For added security, the MFP encrypts the security event logs before storing them on the hard drive.

Log Back-UpThe Log Back-Up feature allows the user to schedule a time for the MFP to copy the logs to another location.

Mailbox Back-UpThe Mailbox Back-Up feature allows the user to schedule a time for the MFP to copy the mailbox to an external mail server.

Address Book Back-UpThe Address Book Back-Up feature allows the user to schedule a time for the MFP to copy the address book data to an external server.

Job Alert NotificationThe Job Alert Notification feature allows users to schedule “Job Completed” alerts through e-mail in Concise, Verbose and Custom formats.

Device Alert NotificationThe Device Alert Notification feature allows users to schedule “Error” alerts through e-mail in Concise, Verbose and Custom formats.

Software Interface RevisionSamsung has redesigned all of the printer software to have a unified and refined look and feel.
