This document describes how to administer the various components that make up EMC ViewPoint for SAP HR archiving objects (CHR) Module. EMC’s technology allows you to effectively manage your application data by providing the ability to define the access, retention, and service level requirements for any business transaction at each point in its lifecycle.

Audience This guide is part of the ViewPoint documentation set, and is intended for use by anyone administering the ViewPoint for SAP CHR Module. It is assumed that the installer has a working knowledge of SAP Basis, and has the appropriate levels of responsibilities to perform the tasks described.

Introducing ViewPoint for SAP CHR Module

IntroductionThe ViewPoint modules are constructed in modular form and cover the application modules FI, SD, MM, CO, etc. with a special program package for exactly this application. You can easily see from the name which ViewPoint module belongs to which SAP module: FI, SD, MM, CO, etc. All ViewPoint modules have in common that they can be easily installed in the SAP R/3 system via the SAP transport utilities "tp" and "SAINT". Installation details of the ViewPoint modules are in the EMC ViewPoint for SAP Modules Installation Manual.

This administration manual was written to make construction and administration of the ViewPoint CHR Module as easy as possible. At first, data archiving with transaction SARA is discussed; the second topic is the ViewPoint index construction from the SAP archive files.

The EMC ViewPoint for SAP Modules Utilities User Manual contains additional module information.



ViewPoint CHR ModuleAs already explained in the EMC ViewPoint for SAP Modules Installation Manual, from release 4.0, the ViewPoint Software Suite has an own naming area. The names of the programs and objects described in Table 1-1, “Object names of ViewPoint CHR Module,” are originated exclusively from this naming area. For a complete list of all objects please refer to the text *.txt you receive with the transport.

Supplied menusTogether with the ViewPoint Module a global menu is supplied for all products and utilities of ViewPoint Software Suite and a menu especially for the add on CHR. This menu can be called up to release 4.5 via the transaction /PBS/PBS (or ZPBS in 3.1). All programs described in this manual and the user transactions are contained in the menu. From release 4.6 the navigation has completely changed due to the implementation of the SAP Easy Access technique. This has also its effects on the transactions in the environment of the ViewPoint Modules.

The delivery of the ViewPoint CHR Module contains range menus /PBS/PBS (main menu of the ViewPoint modules), and /PBS/CHRS_ADK (area menu for long term documents), /PBS/CHR_PAC (area menu for payroll accounting Germany) and /PBS/CHR_PAC_US (area menu for payroll accounting USA). From these menus, you have to now generate activity groups (4.6 B) respectively roles (from 4.6 C) which then can be integrated into the user master. You can also create an activity group/role directly from the Easy Access menu, as shown in Figure 1-1, “Create activity group/role.”

You are free to choose the name of the activity group/role; the name can also be within the ViewPoint naming area. A ViewPoint range menu is then transferred by pressing the function key 'Transfer menus from range menus' by indicating the corresponding ViewPoint menu name. During the transfer, the system query for the resolution of the range menu is to be answered with 'yes'.

The activity group/role created this way can now be integrated into the corresponding user master.



We recommend to allocate global activity group/role /PBS/PBS to the administrators and the special function menus CHRS_ADK, /PBS/CHR_PAC, respectively. /PBS/CHR_PAC_US to the final users, as shown in Figure 1-2, “Reference of activity group/role in user master.”

Basic information on the ViewPoint CHR ModuleThe administrative task is to construct and activate the ViewPoint archive and, in case of problems, to analyze the archive with the tools you receive together with the software.

The basis for constructing and using the ViewPoint CHR Module always is a successful data archiving with SAP means and the access to the archive file created this way. From 4.0B, this access can also be realized with "Archive Link" via an optical archive system. In any case, the status of the archive file must be qualified with "Accessible".

The ViewPoint CHR Module uses the archiving runs of the archiving objects:

� PA_LDOCHR Long term documents

� PA_CALCHR Payroll accounting results

The SAP archiving program for the HR long term documents is carried out with transaction SARA. Regarding the archiving of the payroll accounting results you have to use transaction PU22 (creation and administration of an archiving group). Later on you will be linked to transaction SARA. In this manual, we do not describe the standard archiving.

You can determine the status of the archive files for the different archiving runs via transaction SARA, a shown in Figure 1-2, ”Reference of activity group/role in user master,” on page 1-5.



To achieve correct display of documents and to realize the reporting via the ViewPoint Module, the deletion run of the SAP archiving must have been successful, as shown in Figure 1-3, “Status of archiving file.”

Via the ViewPoint load programs /PBS/CHRSLDR3_ADK resp. /PBS/CHRPAC_LDR3 the created SAP archiving runs are read and written into the file system of the ViewPoint CHR Module (see installation manual). During this process, secondary indices are created in the file system to guarantee efficient access.

If a ViewPoint archive already exists, the load program adds the new data from the SAP archive to this already existing archive, as shown in Figure 1-4, “Construction of the ViewPoint CHR Module long term documents.”

Figure 1-5, “Construction of the ViewPoint CHR Module payroll accounting results,” shows how to create a new ViewPoint archive for payroll accounting results (archiving object PA_CALC). Here, the data from the chosen SAP archive files will be merged to the existing ViewPoint archive (see Diagram 5). This procedure is in contrast to the creation of the ViewPoint archives for long term documents (archiving object PA_LDOC)

Having constructed the ViewPoint archive, this must still be activated in the R/3 system. For this purpose, please run ABAP /PBS/CHRSFILE_ADK resp. /PBS/CHRPAC_FILE.

Now, the documents can be displayed from the ViewPoint Module.

Chapter 2, “CHR Module Archiving,” describes the programs for the construction and the activation of the ViewPoint CHR Module.

As already mentioned several times the ViewPoint CHR Module is currently divided into 2 areas, the long term documents (also called info-type change documents) and the payroll accounting results.

For the evaluation of the long term documents a country independent evaluation exists i.e. in all countries the same report is used. In the contrary, this independence does not exist for evaluation reports from payroll accounting. In this case different reports exist for different countries on the SAP side. For example, the report ‚wage type statement' (RPCLGA00) is used in Germany but not in the USA. There the report ‚wage type statement' (RPCLGA09) is used. One reason is, for example, the existence of different laws and judicial determinations. For the ViewPoint administration programs for example, for the load program (/PBS/CHRPAC_LDR3) and the activation program (/PBS/CHRPAC_FILE) no proper versions exist. In the load program there is the parameter ‚country' with which you can determine which ViewPoint archiving runs are offered for loading.

Procedure for long term documentsFor the archiving of HR long term documents, at first, the SAP archiving tool is used to remove the data from the R/3 database. The tool is called via the transaction SARA. The date of change and the type of data (employee data and/or applicant data) will be used to define the selection criteria for an archiving run. The archiving is object-oriented. PA_LDOC is the archiving object for the material master data. The archived data is transferred by the SAP archiving program into sequential files outside the database, as shown in Figure 2-1, “Transaction SARA for archiving object PA_LDOC.”

The reorganized data can no longer be displayed with the standard transactions and can only be evaluated sequentially with the logical databases. You can use the ViewPoint analysis tool to see to which extent the load is taken from the R/3 database.

The created SAP archives can be transferred with the ViewPoint load program /PBS/CHRSLDR3_ADK into the ViewPoint CHR Module. This means that the data of the cluster "LA" resp. "LB"(= Long term documents for employee resp. applicant) of DB table PCL4 will be processed. The load program reads the SAP archive files, summarizes the documents in a table, creates secondary indices and stores this data in compressed form on magnetic disks outside the database. After the archive construction the management table /PBS/ARCH_IDX must be filled.



The archived material master data is now available for processing in the online operation and can be evaluated in a comfortable way with the ViewPoint report /PBS/RPUAUD00_ADK, as shown in Figure 2-2, “Detailed overview of a SAP archiving run.”

As far as the functions are concerned, the ViewPoint transactions are analogue to the SAP transactions, however, they can read and display the resident data in the R/3 database and the archived data from the ViewPoint Module.

As the data stored in the ViewPoint Module is not changed anymore, a regular data backup of the archive is not necessary. The SAP archive file created during the next reorganization of the database can be added to the existing ViewPoint Module with the help of the load program /PBS/CHRPAC_LDR3.

Load program for long term documents

The ViewPoint CHR Module offers the possibility to keep long term documents, also called info-type change documents from the R/3 in the online operation. For this purpose, use the load program /PBS/CHRSLDR3_ADK to construct from the SAP archive files the ViewPoint CHR Module. The selection screen of the load program /PBS/CHRSLDR3_ADK with its delimitations is shown in Figure 2-3, “Selection screen of the load program /PBS/CHRSLDR3_ADK.”

Select manually If this parameter is selected by pressing the button "SAP Archives" the SAP archive files which are presently available are selected.

Select automatically If this parameter is selected all available SAP archive files which have been created after the indicated date are processed automatically.

Process all newdocuments

If this option is qualified the SAP archive files selected manually or automatically are completely processed.

Process sequentialnumber interval: from

1 to 999999999

This option allows to process the same selection, be it automatic or manual, in several runs. The number indicated here has no relation to the long term document to be processed. All documents of the selected SAP archive file are "counted up".



Note: The ViewPoint CHR Module must be constructed for each client.

First load procedure (initial construction)

If all necessary information in the selection screen of the load report /PBS/CHRSLDR3_ADK was entered, the selection screen can be defined as selection variant for the initial construction of the ViewPoint Module and the report can be started as background process.

Note: A data backup of the created files after each construction of the ViewPoint Module is recommended; however, due to the restart function of the load program it is not necessary.

After each run of the load program a statistic is displayed which can be as follows.

This statistic, in addition, can be stored in the ViewPoint Module and viewed later with the program /PBS/CHRSSCA2_ADK, as shown in Figure 2-4, “Selection statistic program /PBS/CHRSLDR3_ADK.”

Index activation for long term documents

Having constructed the ViewPoint Module with the load program /PBS/CHRSLDR3_ADK the management table /PBS/ARCH_IDX is to be loaded into the SAP R/3 system. In this table, the current directory tree of the ViewPoint CHR Module is defined. For the update of the management table in question the report /PBS/CHRSFILE_ADK is used. This request screen is shown in Figure 2-5, “Request screen of the program /PBS/CHRSFILE_ADK.”

By selecting the parameter "automatically all" all runs carried out until now will be activated. By selecting the parameter "automatically last" the stock created by the last load run will be activated, as shown in Figure 2-6, “The cluster information is loaded into the database.”

Further load procedures

After the first load procedure, a ViewPoint Module already exists from the last run. If now the next SAP archive for long term documents is to be loaded as well, this is carried out as described before (initial construction). The load program is again to be started as batch process. A new ViewPoint archive is constructed in addition to the already existing ViewPoint Modules.

Note: If the load process is cancelled with message ABAP/4 run time error

SYSTEM_NO_MORE_PAGING or EXTRACT_NO_MORE_PAGING

the reason is the insufficient size of the SAP paging.

Solution:

1 - Via transaction SM04, Branch Memory, a overview of the allocation of the roll and paging area by the active users and their transactions is displayed. Please try to clarify if not this current program but another program may need a lot of storage capacity. You can also use the transaction ST02 to view the capacity of the memories.

2 - Use transaction RZ10 respectively ST02 to check in the current authority profile the parameters ’rdisp/ROLL_MAXFS’ and ’rdisp/PG_MAXFS’. The values stored there indicate the current block sizes for the roll or paging area (1=Block = 8 Kilobyte, 1 Kilobyte = 1024 Bytes).

3 - Compare on the part of the system the biggest of the common partition for the roll and paging area with the values from transaction DB11. If the converted values do not correspond with the size of the partition, the parameters ’rdisp/ROLL_MAXFS’ and ’rdisp/PG_MAXFS’ have to be adjusted to the provided partition.

4 - Restart your system again.

If the parameter was changed the run has to be repeated after the data backup of the ViewPoint Module was reloaded.

In addition, we should like to draw your attention to SAP Note No. 14779 which provides more information regarding the above error.

Deletion of ViewPoint archive runs

The ViewPoint archive indices of the ViewPoint CHR Module created with the load program /PBS/CHRSLDR3_ADK can, if necessary, can be deleted again. The program /PBS/CHRSDELR_ADK removes the entries of the ViewPoint archive indices from the data base tables ADMI_RUN and ADMI_FILES. Furthermore, the created file where the ViewPoint archive indices are stored is physically deleted from the magnetic disk.

Analogue to the starting of the load program /PBS/CHRSLDR3_ADK you can start the program for the deletion of the ViewPoint indices either from the menu ViewPoint >



CHRS_ADK > Menu Points Archive > Utilities > Report for the Deletion of CHR/CHD Archives, or from the ABAP Workbench, ABAP-Editor (SE38) via the program name /PBS/CHRSDELR_ADK.

The ViewPoint archiving run to be deleted is selected from an archiving run list (multiple selection possible). The result of the deletion process is then displayed, as shown in Figure 2-7, “The cluster information was loaded into the database.”

Procedure for payroll accounting resultsFor the archiving of payroll accounting results a so-called archiving group must be created in contrast to the archiving of long term documents. For this purpose the transaction PU22 is used. After a personnel number has been assigned to this group a test run is carried out as well as a run which prepares the data for archiving. Then the real archiving is carried out via transaction SARA. The archiving is object-orientated. PA_CALC is the archiving object for the HR payroll accounting results. The archived data is stored in sequential files outside the database, as shown in Figure 2-8, “Transaction PU22 for archiving object PA_CALC.”

The reorganized data can no longer be displayed with the standard transactions and can only be evaluated sequentially with the logical databases. You can use the ViewPoint analysis tool to see to which extent the load is taken from the R/3 database.

The created SAP archives can be transferred with the ViewPoint load program /PBS/CHRPAC_LDR3 into the ViewPoint CHR Module. In this way the data from the "clusters" "CU" respectively "CA" (=



cluster directories of the resident and archived payroll results) and "RD" respectively "RU" (= payroll results for Germany respectively USA) of the database table PCL2 are processed. The load program reads the SAP archive files, summarizes the documents in a table, creates secondary indices and stores this data in compressed form on magnetic disks outside the database. After the archive construction the management table /PBS/CHRPAC_FILE must be filled.

The archived payroll accounting results are now available for processing in the online operation and can be evaluated in a comfortable way with the ViewPoint transactions, as shown in Figure 2-9, “Detailed overview of a SAP archiving run.”

As far as the functions are concerned, the ViewPoint transactions are analogue to the SAP transactions, however, they can read and display the resident data in the R/3 database and the archived data from the ViewPoint Module.

Load program for payroll accounting results

The ViewPoint CHR Module offers the possibility to keep R/3 payroll accounting results available in the online operation. For this purpose, use the load program /PBS/CHRPAC_LDR3 to construct the ViewPoint CHR Module from the SAP archive files. The load program selection screen /PBS/CHRPAC_LDR3, with its delimitations is shown in Figure 2-10, “Selection screen of the load program /PBS/CHRPAC_LDR3.”

Select manually If this parameter is selected by pressing the button "SAP Archives" the SAP archive files which are presently available are selected.

Select automatically If this parameter is selected automatically all available SAP archive files which have been created after the indicated date are processed.

Selection of archivefiles for country

This selection criteria is mandatory. You have to enter a country so that only the SAP archiving runs (more precisely the payroll



accounting results) which belong to this country will appear on the selective list.

All new documentsprocessed

If this option is qualified the SAP archive files selected manually or automatically are completely processed.

Load only interval:from 1 to 999999999

This option allows to process the same selection, be it automatic or manual, in several runs. The number indicated here has no relation to any payroll accounting result to be processed. All documents of the selected SAP archive file are "counted up".

Create managementindices

By selecting this option the newly created ViewPoint Module is activated immediately after the load program (program /PBS/CHRPAC_FILE) is started. The separate activation of the ViewPoint Module can be left out.

Delete previous run By checking this option the load program will automatically delete the old stock after a successful load run. For testing reasons using the program /PBS/CHRPAC_FILE allows you to switch between the different versions (stocks) in which the ViewPoint CHR Module is built.

Note: The ViewPoint CHR Module must be constructed for each client.

First load procedure (initial construction)

If all necessary information in the selection screen of the load report /PBS/CHRPAC_LDR3 was entered, the selection screen can be defined as selection variant for the initial construction of the ViewPoint Module and the report can be started as background process.

Note: A data backup of the created files after each construction of the ViewPoint Module is recommended; however, due to the restart function of the load program it is not necessary.

After each run of the load program a statistic is displayed which can be as follows.

This statistic, in addition, can be stored in the ViewPoint Module and viewed later with the program /PBS/ CHRPAC_SCAN, as shown in Figure 2-11, “Selection statistic of the program /PBS/CHRPAC_LDR3.”

Index activation for payroll accounting results

Having constructed the ViewPoint Module with the load program /PBS/CHRPAC_LDR3 the management table /PBS/CHRPAC_FILE is to be loaded into the SAP R/3 system. In this table, the current directory tree of the ViewPoint CHR Module is defined. For the update of the management table in question the report /PBS/CHRPAC_FILE is used, whose request screen is shown in Figure 2-12, “Request screen of the program /PBS/CHRPAC_FILE.”

By selecting the option "Use last run" the stock created by the last load run will be activated. Using the option "Select run manually" an older stock can be activated if one has been kept by the load program. "Delete indices" means that the ViewPoint archive add on CHR is deactivated, as shown in Figure 2-13, “The cluster information is loaded into the database.”

Further load procedures (merge runs)

After the first load procedure, a ViewPoint Module already exists from the last run. If now the next SAP archive for payroll accounting results is to be loaded as well, this is carried out as described before (initial construction). The load program is again to be started as batch process. A new PBS archive is constructed from the existing ViewPoint Module and the new data. Archive files which are no longer needed can be deleted by the option "Afterwards delete old stock" of the program /PBS/CHRPAC_LDR3.



After a merge run the selection statistic could be as shown in Figure 2-14, “Selection statistic of program /PBS/CHRPAC_LDR3.”.

Note: If the load process is cancelled with message ABAP/4 run time error

SYSTEM_NO_MORE_PAGING or EXTRACT_NO_MORE_PAGING

the reason is the insufficient size of the SAP paging.

Solution:

1 - Via transaction SM04, Branch -> Memory a overview of the allocation of the roll and paging area by the active users and their transactions is displayed. Please try to clarify if not the current program but another program may need a lot of storage capacity. You can also use the transaction ST02 to view the capacity of the memories.

2 - Use transaction RZ10 respectively ST02 to check in the current authority profile the parameters ’rdisp/ROLL_MAXFS’ and ’rdisp/PG_MAXFS’. The values stored there indicate the current block sizes for the roll or paging area (1=Block = 8 Kilobyte, 1 Kilobyte = 1024 Bytes).

3 - Compare on the part of the system the biggest of the common partition for the roll and paging area with the values from transaction DB11. If the converted values do not correspond with the size of the partition, the parameters ’rdisp/ROLL_MAXFS’ and ’rdisp/PG_MAXFS’ have to be adjusted to the provided partition.

4 - Please start your system again.

If the parameter was changed the run has to be repeated after the data backup of the ViewPoint Module was reloaded.

In addition, we should like to draw your attention to SAP Note No. 14779 which provides more information regarding the above error.



Archive utilitiesFor the management of the ViewPoint CHR Module the utilities listed in Table 2-1, “Archive utilities of the ViewPoint CHR Module,” in form of ABAP/4 programs are available.

The personnel number index shows the entries of the secondary index "PERNR" of the ViewPoint CHR Module. In this index the content of field RELID which names the country from which the payroll accounting results derived followed by the personnel number has highest priority, as shown in Figure 2-15, “Delimitations of report /PBS/CHRPAC_SCAN.”

After the start of the report via PF8 an overview of the clusters available for this index is displayed. During the selection "Run table/Protocol Tables" a list of the runs which have been carried out is displayed on the screen.
