Overview What is Onsite Track Easy? Leighton Broad is using Onsite Track Easy to manage national competencies and site access on the Elizabeth Quay Project. The system requires every person who works on the project to create a profile on Onsite Track Easy. Once a profile has been created an Elizabeth Quay access card is able to be issued to each person for use on site.

User Guide Registering Your Company

Go to https://secure.onsitetrackeasy.com.au/portal/leightonConstruction

Click on Register to first register the business name. (Individuals cannot register alone – it must be done through a company). You could also register with your own ABN number if you have this.

In some cases Leighton Broad may have already registered your company in Onsite Track Easy on your behalf. If this is the case you will not be required to register your company and can proceed to Login. When submitted the request to add your company will need to be approved by Leighton Broad. On approval the person entered as the User will be emailed the first set of login details for your company to access the Leighton Broad Onsite Track Easy Portal. They will also become the default approver for any future login requests.

Enter all of the required details for the company. The blue stars indicate mandatory fields.

Logging In

Once you register your company, you will be emailed your user log in details and password, and can then Login by going to https://secure.onsitetrackeasy.com.au/portal/leightonConstruction and clicking Login.

Submitting an Employee

Select Order Cards.

Click Search to bring up any potential employees that may already be linked to your company. If this search returns nothing, click Add Employee.

Login Screen Please be aware that the user name and password is CASE SENSITIVE so type it in exactly as it appears.

Select Add Employee to enter a new employee.

Enter all of the required details for the employee. The blue stars indicate mandatory fields. Select Save to continue with the submission.

Select Process beside the employee’s name to continue.

Select the Role/s that the employee will be completing. Click on the people icon to select and click apply to save. You can select multiple roles. Fill out the required contact and card delivery details. Press SAVE to continue.

Roles The employees role should align as closely as possible to the role specified on the Subcontractor Requisition Form submitted to your Leighton Broad Package Manager prior to entering your employees details into Onsite Track Easy. In some cases a new role may need to be created specifically for your employee to include the qualifications required. If you are not certain which role to select please contact Kirsten McCartney on [email protected] or 08 6436 6509.

Uploading Competencies You will be asked to upload a number of mandatory files depending on your selected work role/s. Each Role will also include some common competencies that are not required but your employee may hold. If you need to change/add/delete any of the work role/s you have chosen previously, please click on

the icon and to view the work roles icon in colour. Then click on the work roles icon and tick or untick as needed then click Apply.

Click Role Data Lookup to search for all available Roles and the competencies that are associated with that Role.

Select the position title from the Role drop down box and click Apply to view associated competencies.

Select Upload to attach a file to the competency.

Any upload that has a BLUE STAR is a mandatory upload and documentation will be required to proceed with the submission.

Once you have uploaded the required files please click on the ADD TO CART button to send to the checkout. The checkout is a ZERO cost checkout meaning you will not have to make any payment for your card. This process just finalises the process to send the data to Leighton Broad for processing.

Review your purchase and remove any employee cards that are not required at this time. Then Select Submit to finalise.

Select Review to continue.

Click Add to Cart.

Select the required file to upload.

Name the document appropriately (defaults to the file name)

Ensure the Issue and/or Expiry dates are entered.

Comments are optional Click Upload when complete

What happens next? Documentation is submitted through to the Leighton Broad team to process and approve or return the application. If returned, the person who submitted the request will receive an e-mail with an explanation of why the employees submission has been returned.

You will be able to return to the portal to amend and re-submit documentation for that employee. Any returned or incomplete applications can be easily accessed from your company’s portal home page by clicking on the person’s name.

When all documentation has been successfully verified and approved by Leighton Broad you will receive an Incumbent Notification Email (INE) to confirm the employee has been approved for site access.

Updating Card Data Once your employee has been fully approved for site access by Leighton Broad, you will then be able to access and update data for that employee using the Update Card Data option in your company portal.

Follow the steps in the same way the initial upload process was completed. You may need to add new roles to allow selection of new competencies, such as the VOC role to select and upload Leighton Broad Verification of Competencies.

Please click on the icon and to view the work roles icon in colour. Then click on the work roles icon and tick or untick as needed then click Apply. These steps will allow you to complete the below tasks:

Upload Leighton Broad Verification of Competencies (VOC). Upload additional training completed once on site. Update existing employee’s roles to upload non-mandatory documentation. Update expired competencies with new documentation.

Click Update Card Data to add or update new competencies for your employee.

Click Search to find the employee you wish to update.

Click the check box for one or more employees and then click the Update button.
