1 UPLOAD YOUR “NON FREE HOLD” PROPERTY INFORMATION DETAILS TO EJARI

This applies for “Non Free Hold” properties only.

You can upload your previously created tenancy contract as well regardless of the property hold

type.

Download and Save the template from Ejari main page.

Building, Unit, Villa or Tenancy Contract Template.

Open the template file. Fill your property information details in it. Save your changes.

If you don’t know “Owner No”, request it by sending an e-mail to [email protected] with the

Title Deed / Affection Plan attached.

Login to Ejari system.

Click on [UPLOAD] menu, and then click on Building, Unit, Villa or Tenancy Contract.

Click on [Browse] and select the template file from your local drive.

Click on [UPLOAD] button.

Ejari will validate your data and upload. A message will be presented in the white box below.

Make sure the upload process completed successfully!

If you receive an error message, open the template file, fix the problem, save your changes and

try to upload again.

Notes

- Uploaded properties take the “Info Updated” status.

- Uploaded tenancy contracts take the “active” status and the system will deduct the tenancy

contract registration fee for each uploaded contract from your Ejari account balance.

- Tenancy contract registration fee is 160 AED at the time of creating this document.

1 SEND A SCANNED COPY OF THE TITLE DEED OF YOUR “FREE HOLD” PROPERTY.

This applies for “Free Hold” properties.

Follow the instructions below based on your user type.

Owners (Landlords) & Owner Companies can search for their properties directly without the

need to complete this process.

Owner Representatives must create a ‘Represent New Owner/Property’ request. This can be

completed from Ejari online.

Click on [Registration Request] menu, and then click on Represent New Owner or Represent

New Properties.

Fill the required information/fields and click on [Send Request].

Management Companies must request for IM (Initially Managed) by sending an e-mail to

[email protected] and attach a scanned copy of the property Title Deed. RERA will give you an

access to this property in Ejari system in 2 working days.

2 UPDATE PROPERTY INFORMATION.

Search for your properties in Ejari system and update the information by completing the

following steps. Update the information of the properties which you are managing only.

Click on [Search Property] menu, and then click on search Building, Unit or Villa.

Enter your search criteria and then click [Search].

Click on the building name or unit number.

Fill in the compulsory fields that marked with red asterisk (*).

Click on “FACILITIES” tab and select the facilities available in your property. This step is optional.

Click on “DEWA” tab, type a number in “Dewa account no:” field and click on [ADD] button.

Click on “OWNER” tab and select the primary owner if you have joint ownership.

Click on [Save] button to complete the property update process.

Note: your updated properties take the “Info Updated” status.

3 REQUEST FOR RENT APPROVAL.

Click on [Search Property] and then click on Search Building, Unit or Villa.

Enter your search criteria and then click [Search].

Select the property you want to request the Rent Approval for.

Click on [Get Rent Approval] button.

Ejari will show you a message “Please enter full details before you request rent approval” if you

missed some compulsory field while updating the property information, please double check

your property information in this case. If you request the approval for a building please double

check all the units’ information under that building as well.

Submit your request by clicking on [Submit and Print] button. THIS STEP IS A MUST.

Note: After completing this step, Ejari gives your property “Pending” status.

If RERA approves your request/property, Ejari gives your property “Approved” status.

Otherwise your property will take “Rejected” status.

4 CREATE MANAGEMENT CONTRACT (FOR PROPERTY MANAGEMENT COMPANIES ONLY).

Click on [Management Contract] Menu and then click on [Create Contract].

Click on [Add Property].

Search for the property you want to create management contract for, select and click on [ADD].

Repeat the same in order to add more property to the same contract.

Click on [Next].

Enter the contact details, and then click on [Next].

Select the contractual responsibilities as agreed and click on [Next].

Enter the contract Terms and Conditions in both English and Arabic, and then click on [Next].

Click on [Finish].

Ejari will create the contract and show you a unique contract number.

Send the contract number to RERA by e-mail to get it approved.

Note: After completing this step successfully, Ejari replace the IM status with M.

HOW TO ADD MY TERMS & CONDITIONS TO EJARI SYSTEM

1. Click on [Settings Screens] and then click on [Add New Templates].

2. Enter the template name in English and Arabic, and click on [Save].

3. Click on [External Tenancy Contract Terms] menu, and then click on [Add New Tenancy

Contract Terms] button.

4. Enter the term in both English and Arabic, select Active Term check box and then select the

group you want this term to be part of.

5. Click on [Save].

5 CREATE TENANCY CONTRACT.

Click on [Tenancy Contract] menu, and then click on [Create Contract].

Click on [Add Property].

Enter your search criteria and click on [Search].

From the search result at the bottom of the page, select the property and click on [ADD].

Repeat the same in order to add more property to the same contract.

Click on [Next].

Add the Tenant by clicking on [Add New Tenant] button.

Enter the tenant personal data and click on [Save].

Click on [Add Existing Tenant] if the tenant has been added to the system before.

- If the Tenant is a person, select his/her nationality, passport number and click on [Search].

- If the Tenant is a company, enter the trade license number and click on [Search].

Select the Tenant by clicking on the check box and then click on [Add].

Click on [Next].

Enter User Contract Reference No. This step is optional.

Select Apply for DED License and enter the DED Initial Approval. This step is applicable only if the

contract will be used to issue a trade license at DED.

Specify the Contract Start Date and End Date.

Specify whether you want Ejari to calculate the Contract Value Per Entire Period or Per Year.

- If you select ‘Entire Period’, then enter the Contract Value.

- If you select ’Year’, then enter Contract Value for each year separately.

Select Discount Type (Fixed Value or Percentage) and enter Discount Value accordingly. This

step is optional.

Click on [Calculate Total].

The Annual Rent, Actual Annual Rent, Contract Value, Actual Contract Value and the Housing

Fee will be automatically calculated. Housing Fee is 5% of the contract value.

Enter No of Payments and enter Security Deposit.

At the bottom of the page, enter the payment details by specifying the Payment Type (Cheque

or Cash), Amount, Cheque No, Due Date, Bank Name, and click on [Add] button.

- You are allowed to add only one cash installment and it should be added as the first.

- This step is optional.

Click on [Next].

If you rent out more than one unit or villa in the same contract, this page appears and is

required.

- Specify whether you want Ejari to split the rent amount of the selected units/villas per

category or per unit.

- Enter the Annual Rent Amount in the table and click on [Calculate Total].

Note: Calculate Total shows the Housing Fee in the corresponding field.

Total summation of Annual Rent Amount of all the units/villas must equal the Contract

Annual Rent Amount.

Click on [Next].

Select the terms template from the template list and then select terms to be added to your

contract by clicking on the corresponding check box.

Enter your contract extra Terms & Conditions -if any- and click on [Add] button.

Click on [Next].

Select any Terms & Conditions you find applicable for you and then click on [Finish].

Ejari creates the tenancy contract and generates a unique contract number.

Click on [Print] to print the contract and get it signed by both parties.

6 REGISTER TENANCY CONTRACT.

Click on [Tenancy Contract] and then click on [Search Contract].

Enter the Contract No. to be registered and click on [Search].

Select the contract and click on [Register] or [Activate].

Click on [Save].

Click on [Print Receipt] to print the Payment Receipt.

Search for the contract again, select and click on [Print Registration Certificate] button.

Note: Three documents must be given to the Tenant.

1. Tenancy Contract.

2. Payment Receipt.

3. Registration Certificate.

160 AED will be deducted from your Ejari Account Balance as Contract Registration Fee. A

sufficient amount must be in your Ejari Account Balance. Top up your account at Dubai

Bank/DLD branch, by depositing an amount in “Ejari Account” and kindly make sure to deliver

the deposit receipt to RERA, or top up online from [User Management] menu and then click on

[Account Balance].
