EDUCATION SUCCESS STORY Arts, Architecture and Design Campus of the University of Guadalajara Gives ShoreTel an A+ for Communications CHALLENGE: Arts, Architecture and Design Campus (CUAAD) of the University of Guadalajara is divided in three locations throughout the metropolitan area of Guadalajara city. The main challenge was to replace a legacy phone system with a system that would grow and accommodate modern IP features, and interconnect the three locations at an affordable cost. SOLUTION: A ShoreTel IP Phone System with 60 ShoreTel IP Phones, with plans for an additional 150; 2 ShoreTel 220 E1 Voice Switches; 1 ShoreTel 24A Voice Switch. The ShoreTel system also integrates 90 analog phones. BENEFITS: A competitive purchase cost put the system clearly within the public university’s budgetary reach, offering more features for less money. Low licensing and maintenance costs add up to a significantly lower TCO. A rich feature set enables new efficiencies across the university’s many administrative and educational operations. The system’s scalability supports the university’s growing role in shaping Mexico’s future. It also enables the University to build new academic partnerships and establish links with local communities and institutions, which in turn enhances the university’s international profile. Piensa y Trabaja is the university’s motto and it means “Think and Work.” This is what the Arts, Architecture and Design Campus (CUAAD) knew it would have to do as the enormous school faced the problem with their legacy Alcatel PBX system that was fast being outpaced by growing national and international Founded in 1792, the University of Guadalajara is the second oldest and largest public University in Mexico. Since 1994 it has consisted of a broad network of 14 university campuses and high schools located throughout the state of Jalisco, Mexico. Its work in the fields of science, the humanities and technology greatly contributes to solve some of the more problematic aspects of growth in this region.

    ShoreTel Goes to the Head of the Class with More Features and Lower TCO

    Initially,theCUAADthoughttherightsolutionwastokeeptheAlcatelPBXbecausetheinfrastructurewasalreadyinplace,andthereforewouldsavecosts.However,themoretheITstafflearnedaboutIPphonesystems,thecleareritbecamethatmaintainingthelegacysystemhadahighpricetagwhenitcametoscalabilityandstaffproductivity.

    “OurAlcatelsystemwouldhaverequiredaheftyinvestment,eventogetbasicfeaturessuchasvoicemailandconferencing,”saidCarlosAlbertoFrancoReboreda,theCUAAD’sTechnologyEducationCoordinator.“ShoreTelofferedthesefeaturesplusmanymoreatanaffordableprice.ItwassimplymuchmorecosteffectivetoswitchtoShoreTel.”

    Mr.ReboredacalledinShoreTelresellerandpartnerInitel,sincetheyalreadyhadanestablishedrelationship.AftercomparingseveralsystemsfromtraditionalandIPPBXsuppliers,ShoreTelclearlystoodoutasthebestsolution.

    Inadditiontodeliveringthefeaturestheuniversityneeded,ShoreTelhandlestheintegrationoflegacyequipmentintoasleeker,newtechnologypicture.“WelikedthewidevarietyoffeaturesonShoreTel,includingthebuilt-inconferencingfacilities,andShoreTelCallManagerformanagingcalls,”Mr.Reboredasaid.“ShoreTelCallManagerletsusredirectcalls,reassignextensionstootherphones,andforwardofficeextensionstomobilephones.Andit’seasyforanyonetodothis.Itseemedfarfromeasywithothervendors’systems.”

    A Phone System That Doesn’t Assign A Lot Of Homework

    WithShoreTel’shelp,theCUAADdesignedathree-stageimplementationplan,startingwithcutoveroftheprimarymaincampusbuildingtothenewShoreTelsystem.Otherlocationswillfollowandtheuniversityisalreadyimplementingnewextensions,andplanstoincreasethenumberofextensionsinnewbuildings.

    Currently,theCUAADuses90analogphones,alongwith60ShoreTelIPPhones.“ShoreTelallowedustointegrateourlegacyAlcatelsystem,sowecouldmigratetothenewShoreTelsystemastimeandbudgetspermit,”Mr.Reboredaexplained.“Itwasrelativelysimpletosetupthebasicintegration.WecaneasilytransferandpickupcallsbetweenourAlcatelandShoreTelsystems.Infact,wecandoalmosteverythingbetweenthetwosystems.”

    ShoreTeltrainedtheuniversity’sfour-personITsupportteamwhointurn,createdanin-houseclassfortheuniversity’sresearchersandadministrativestaff.TheITteamwasextremelyimpressedathoweasyitistoinstall,configureandmaintaintheShoreTelsystem.“Thecostofmaintenanceandthetotalcostofownershipwerebigfactorsinourdecision,”Mr.Reboredasaid.“Becausethesystemissoflexibleandallowsustohandleroutinechangesinternally,ShoreTeloffersthemostcost-effectivesolution.”

    ShoreTel’sConvergedConferencingisanotherfeaturethat’simportantinthecollaborativesettingofauniversity.“It’sveryeasytousethesix-wayconferencefeaturetosetupconferencesonthefly,”Mr.Reboredaadded.
