  • Small Project Jobs Enhancements Rel. 9.0.3

2 2017 Epicor Software Corporation. All rights reserved.

    Small Project Jobs Enhancements

The following enhancements were made to the Small Project Jobs (SPJ) functionality in Sales Order Entry:

Note: These changes apply to the Web Order Entry and Bill Trust companion products as well.

Small Project Job Setup Control Maintenance Record Updates The following options have been added to the SPJ Setup control maintenance record:

Default Rebate Product - Select the product to use when the purchase order is created when processing the contract from the sales order. Prior to Release 9.0.3, the system used the setting in the Rebate Detail Setup Information control maintenance record. Default is blank.

Allow SPJ Editing When P/O is Paid or in a Closed Period - Lets you control if you want users to be able to edit SPJ orders when the purchase order has been paid or is in a closed period. The default is No.

Print Item Price Default (Release 9.0.3.11) - Set the default option for the new Print Item Price field on the Small Project Jobs window. For more information, see below.

Display Decimals at GP% (Release 9.0.3.11) - Indicate if you want the display the GP% column values as decimal values. The default is No.

Update Prices Immediately After Changing Total Cost (Release 9.0.3.11) - Indicate if you want the total contract price for a Small Project Job to change at the same time the cost changes. The default is No.

Multiple Purchase Order List In Release 9.0.3, the Small Project Job window now displays all associated purchase orders for viewing. When you adjust cost or price on an order that has already been paid, or is in a closed period, then the system automatically creates a purchase order for the new amount.

  • Rel. 9.0.3 Eclipse Release 9.0.3 Feature Summary

2017 Epicor Software Corporation. All rights reserved. 3

When you open the Small Project Job window, the system automatically selects the most recent purchase order.

Note: Purchase orders are always view-only when opening from SPJ window.

New Columns on the Small Project Jobs In Release 9.0.3, the Contract Price and Contract Cost columns have been added to the Small Project Jobs window to help users view the price and cost by contract. You can change these prices and costs, if needed, directly from these columns.

In addition a new, collapsible Contract Totals pane, gives you quick-entry access to the Price, Cost, and GP % values for the selected line item.

Print Item Prices In Release 9.0.3, the new Print Item Price field on the Small Project Jobs window lets you indicate if you want to print individual item prices on documents. Default Yes. Use the Print Item Price Default option in the Small Project Jobs control maintenance record to define the standard setting.

  • Small Project Jobs Enhancements Rel. 9.0.3

4 2017 Epicor Software Corporation. All rights reserved.

Important: This option only activates if all products on the order are linked to the same

contract and are in the same generation.

If this field is set to No, the prices of the items do no print on documents and only a subtotal displays on the order and the printed documents:

  • Rel. 9.0.3 Eclipse Release 9.0.3 Feature Summary

2017 Epicor Software Corporation. All rights reserved. 5

Contract Price and Cost Validation In Release 9.0.3.11, the Small Project Job price and cost entries are now validated to ensure that the contract cost does not fall below the contract price. This change includes validation in both the SPJ table entries and the side panel Totals pane.

Note: These validations work when using Web Order Entry and Bill Trust companion products.

Contract Price Updates In Release 9.0.3.11, the total contract price for a Small Project Job can change at the same time the cost changes, if the new Update Prices Immediately After Changing Total Cost option in the Small Project Jobs control maintenance record is set to Yes. Then, a change in the Total Price alters the Price column as well. By default, this option is set to No to ensure backward compatibility between releases.

For more information about Small Project Jobs, see Adding Small Project Jobs to Orders in the Sales Management online help documentation.

  • Product Cutting Enhancements Rel. 9.0.3

6 2017 Epicor Software Corporation. All rights reserved.

    Product Cutting Enhancements

Customer Request "I want to be able to stage my cut items just like my standard RF items."

"I need a way to cut wire ahead of time without changing the dates on my non-cut items."

Enhancement Description - Tote Staging In Release 9.0.3, a new Create Staged Tote option in the Settings pane of Cut Product Maintenance to indicate which branches need to use a separate step for staging totes. Without this option set to Yes, the system automatically validates against the setting in Zone Maintenance. Prior to thi change, when you staged a tote from the Cut Product Queue, the system would automatically move that item out of the Tote In Process Queue. Now, you can use RF packing from the Tote In Process Queue to include the tote when it has been advanced to Staging from the Cut Product Queue. The new tote shows as being staged and ready.

Enhancement Description - Cutting Ahead Additionally, the system now allows you to move cut items to a different generation, but maintain the same ship date for products that require extra time when cutting and adding pull heads. From the Cut Product Queue, you assign a cutter to a line item, the system pushes the non-cut product to another generation with the same ship date. When the cutting is complete, the order can be processed and shipped. So you can "cut ahead" for an order.

    Example 1:

Sales order line item: Red Wire 1 @ 5 ft and Blue Wire 1 @ 5 ft

In the Cut Queue, select to cut Red Wire.

The system moves only the Red Wire to a new generation and processes.

    Example 2:

  • Rel. 9.0.3 Eclipse Release 9.0.3 Feature Summary

2017 Epicor Software Corporation. All rights reserved. 7

Sales order line item: Red Wire, 2 @ 5 ft.

In Cut Queue, select to cut 1 of the 2 cuts.

The system moves only 1 of the cuts to a new generation and processes.

  • Tax Jurisdiction Code Update Rel. 9.0.3

8 2017 Epicor Software Corporation. All rights reserved.

    Tax Jurisdiction Code Update

Customer Request "Some states put a cap on the sales tax charged for an entire job, regardless if the job requires multiple sales orders and multiple generations and I can only split the tax at the order or line level. I want to set up a tax jurisdiction that would split my sales tax rates at the ship-to (job) level, so that my customer's job will only be charged for the actual sales tax due over the course of the job, in accordance with state law."

Enhancement Description In Release 9.0.3, the Tax Jurisdiction Code Maintenance window has been enhanced to include a new Ship-To option in the Max Taxable Per column.

If you select Ship-To, then Eclipse checks existing invoices with a previous date that share the same ship-to account and the same purchase order number. When the dollar amount of the ship-to orders exceed Maximum Taxable value, the full rate sales tax is only charged on the maximum taxable amount.

For example, with a maximum taxable amount of $1600 and two orders share same ship-to and PO#, then the system does the following:

    Order 1

    1 tool @ $1000 each = $1000

    full tax on $1000

reduced or no tax on $0

    Order 2

    3 widgets @ $2000 each = $6000

    full tax on $600

reduced or no tax on $5400

This Split Rates option is also available in National Sales Tax Database Maintenance.

    Outgoing 850 purchase orders.

    Incoming 855 purchase order acknowledgements.

In Release 9.0.3.11, the new Expire All Matrix Cells When EDI 845 Contracts Are Imported control maintenance record has been added to help you ensure that when you import contracts, the appropriate matrix cells expire.

Use the following options to best suit your company's requirements:

No - The system expires the last matrix created after creating the new matrix based on the new EDI 845. This is the default.

Yes - The system automatically expires all existing matrix values a day before new matrix created based on the imported EDI 845 effective date.

Effective - No existing matrix dates expire. For more information and specific examples, see the EDI control maintenance record details in the control maintenance record documentation.

    Job Management

Job Management is a companion product interface to Eclipse. Companion products are not included in the core functionality with Eclipse, but are available at an additional cost through your Eclipse Salesperson.

The following updates, improvements, and enhancements were added to Job Management in Release 9.0.3.

Job Management User Interface In Release 9.0.3, the new underlying code stream to better your Job Management experience. The web application is quicker and easier to use. In order to make the system more efficient, the user interface has been adjusted so a new look and feel will help you navigate. For the most part, the application has not changed in how it works, however, a few tools had to be modified when the new code was applied.

Important: If you have any Job Management pages bookmarked in your browser, you will need to update them. This means, any bookmarks ending in .seam need to be changed.

    Changes you should review:

Records Display - Tables display up to 21 records to display at a time.

Sorting and Filters - Continues to work as it did prior to this release.

Vendor Records - As soon as you add or remove vendor from a job it is saved. When you use the Delete selected vendor on the Summary bidding page, a message displays to alert you that the vendor deletion was saved or deleted from job.

Bill of Materials - The scrolling for numbering rows removed. Now use an entry field in the header of the BOM to indicate how many rows you want to add or change.

Row Number Selection - When adding rows to bills of materials or change orders, the system no longer provides a row counter to select the number of rows to enter. Instead, a free-form field is provided to enter the number of rows you want to add.

Alternate Address Removal Option In Release 9.0.3, you can now remove an alternate address, if needed, when awarding jobs to customers. You still use the Alternate Address option to create an alternate ship-to address and mark the address as

  • Job Management Rel. 9.0.3

16 2017 Epicor Software Corporation. All rights reserved.

the default, if needed, by selecting the Default check box. Once selected, this option changes to Remove Alternate Address so you can modify these addresses, as needed.

Change Order Duplicate Entry Warning In Release 9.0.3, the Job Management system now warns you if you enter a change order number that has already been used. You can still use the number, but users are alerted to avoid confusion or cross-numbering of jobs.

Change Order Highlighting In Release 9.0.3, cutting and pasting rows, the system no longer keeps the initial row highlighted. This change avoids confusion for the user and keeps the rows aligned.

COD Customer Awards In Release 9.0.3, a new error message has been added to the award process for cash-on-delivery (COD) customers. Jobs have never been able to be awarded to COD customers, but the system never alerted users. A new message now states that the job cannot be awarded because the customer is marked as a COD customer.

Column Functionality By default all columns display in a table, regardless of how you have it set up prior to upgrading. Due to how the system now works, you can add or remove columns in the new version of Job Management, but the feature has been moved to the bottom of each table. In addition, you can move columns and adjust the columns you use regularly to the viewable area and keep the ones you do not want to view regularly to the far right. A scroll bar has been added to the bottom of the table to help you navigate the columns more easily.

  • Rel. 9.0.3 Eclipse Release 9.0.3 Feature Summary

Entity ID Reference Added In Release 9.0.3, the Entity ID has been added to both the Customer and Vendor Information area on the Info/Settings tab for each job. This helps you better keep track of your customers and vendors as you are working the job and ensure that the correct entity is being applied to the job.

Import BOM Option for First Rows In Release 9.0.3, the import function for bills of materials has been enhanced to allow you to map the first row of your spreadsheet to options in the bill of materials. Set the Do Not Import First Row option to Yes, then click the new Use First Row for Mapping button. Job Management maps columns based on the values in the first row of the spreadsheet. By default the row headers are set to Do Not Import. You can change the mapping after using this feature. The spreadsheet column headers must match the headers generated from importing the BOM or match the options in the drop-down list for manually mapping the columns.

18 2017 Epicor Software Corporation. All rights reserved.

GL Sales Source Editing As of this release, you can now update the GL Sales Source from Job Management. The system uses the new sales source for all order going forward and pushes that change to Eclipse when new generations and orders are created.

After changing the sales source through Job Management, if you need to change sales sources on existing orders, you must change that through the Sales Order Header in Eclipse.

A salesperson can easily capture the order information and maintain bids for customers. This new application provides the ability to use the tablet's camera to scan showroom barcodes to add products to the bid in addition to traditional web style search methods, modify pricing, capture room tag details, print and e-mail the bid, and manage opportunities for follow-up without visits to the counter to check a price or find out specific information.

iBeacon Technology Use the Bluetooth iBeacon technology to manage your showroom displays and add your products quickly using your mobile device while working with your customer on the showroom floor.

Wireless Bid Creation Enter products using a web-style search or camera barcode scan to add to the showroom cart. This feature lets you create a bid and add items to the cart using wireless communication.

Cash or Account Customer You can capture contact details of a walk-in customer, or select a current Eclipse account which lets you handle any type of customer regardless if they have purchased from you before.

Product Categories Use Web Drill Down Maintenance to define product categories that can be browsed within the application. Navigate through product categories, review product details, and add items from the catalog to the cart. You must set up Web Drill Down categories for Showroom to access your product records.

    Chip & PIN Enhancements

Vantiv (formerly Element) Integrated Payments with Eclipse and Chip & PIN functionality is a companion product. Companion products are not included in the core functionality with Eclipse, but are available at an additional cost through your Eclipse Salesperson.

Important: The following improvements are listed in chronologically order by release.

Customer Request "I wish the install process was better and I could capture signatures for non-credit card devices."

"I wish the error messages were more clear so I could tell my customer what is going on."

Note: For more information about the Chip & PIN install and usage, see the online knowledge base articles within EpiCare from Eclipse Support at https://epicorcs.service-now.com/kb_view.do?sysparm_article=KB0036548 You must be logged in to EpiCare to view this article.

Installer Improvements In Release 9.0.3, the system now supports triPOS 5.12. The installer was updated to take advantage of new options. If you already have triPOS on your computer, you must stop the triPOS service. Then, you must uninstall the old version and install the newer triPOS application. Lastly, check your terminal ID setup in Solar. This process ensures the newest version of the triPOS system is running for Release 9.0.3. For complete instructions, see triPOS Eclipse Upgrade Procedure in the credit card processing online help documentation.

If you are running Ingenico Driver 2.20, we recommend uninstalling that version and installing the latest, version 2.6 or higher.

Important: For best performance, we recommend Eclipse Release 9.0.2.1.4 or higher. For users on Eclipse Release 9.0.1.1.8, you should contact Eclipse Support for additional configuration. This Eclipse Release does not have the check marks for Test Mode or EMV. You will need assistance setting these up manually.

Additionally, beginning in Release 9.0.2.1.4 the system accepts signatures for non-credit card devices, such as delivery signatures.

API Vantiv Logs In Release 9.0.03, the API Activity Logs window and its corresponding displayed error messages have been improved with more user-friendly language. These log files display information from the user's computer, such as log files or file date and time stamps, which can help when troubleshooting issues with PIN pad devices or Vantiv itself. Use the new Vantiv Logs option from the Options menu to display the error log for Vantiv transactions.

    Example 1:

  • Chip & PIN Enhancements Rel. 9.0.3

28 2017 Epicor Software Corporation. All rights reserved.

The messages to the user have also been enhanced to be more clear indicating that the errors are either with the PIN pad device, such as Customer removed card before transaction was complete or with the triPOS system itself, such as PIN pad device is not connected to the PC.

    Example 2:

You can e-mail these error logs to Eclipse Support or whoever is helping troubleshoot for a better look at the error messages. From the File menu, select Send E-Mail. The system automatically attaches the log and you can include a message, if needed, to alert the person to whom you are sending the message of additional information, such as the action being performed when the error occurred.

Note: This field activates only if the Manual Payments Allowed check box is selected.

Returns for Debit Sales In Release 9.0.3.3, while Vantiv still does not support returns for debit sales, the Eclipse message to the user has been improved to provide more information. Previously, the system displays an invalid transaction message. Now, the system returns the following: "An automated return payment cannot be processed against a debit sale. Please enter the card information or choose a saved card to process the refund."

User-Facing Credit Card Messages In Release 9.0.3.3, the system's messages regarding credit card transactions have been improved to be more user friendly and understandable. The card capture screen was modified reducing the size of the buttons for better visibility and testing was improved overall.

Saved Home Branch Value In Release 9.0.3.15, the system now stores the branch used when the credit card information is saved. This allows the system to compare the branch to the payment branch more easily and speeds up the process. If the branches do not match, a message alerts the user to either try a different payment type or add the branch to the triPOS list of branches.
