Helpful Info as You Prepare for the New ECDC Summer Program: Withdrawal/Schedule Reduction Deadlines - If you find you must withdraw or reduce your child’s enrollment schedule, please contact the ECDC office immediately (ECDC-ND: 574-631-3344, ECDC-SMC: 574-284-4693). Parents withdrawing or reducing an enrollment schedule after May 1, will be responsible and liable for the entire summer tuition whether or not the child attends the entire ECDC Summer Day Camp program, or until another child is enrolled to fill the vacated or reduced summer enrollment schedule. ECDC Family Handbook - Families should carefully read the Family Handbook of ECDC policies on our website in the parent portal (top right corner of the website). Income Documentation is due May 1st - Submit Your Income Documentation Form (for ECDC-ND enrollment only) to participate in the combined family income based tuition schedule program. A copy of your most recent signed Federal Income Tax Return and the Income Documentation Form (available in the enrollment packet or on the enrollment forms page of the ECDC website) must be submitted to ECDC-ND by May 1. Those who elect not to provide income information will be assessed the full tuition rate. Enrollment Forms due May 15th - The Enrollment Packet includes the forms necessary to be completed and returned by May 15 (May 1 for ECDC-ND Income Documentation). A child cannot begin the program unless all of the required forms have been completed and are on file in the ECDC office. Please note: All children new to ECDC are required to have a physical examination within the 12 months prior to their first day of enrollment. The physical form is available in the Enrollment Packet. Please mail or bring the required forms to ECDC no later than May 15.

New Child Visits - If your child is new to ECDC for the summer program, you are welcome to arrange a visit prior to when the summer begins by contacting – ECDC-SMC at 574-284-4693 or ECDC-ND at 574-631-3344. Parent Orientation - Parent Orientation meetings are scheduled for each new summer program - one at ECDC-SMC & one at ECDC-ND. Parents are welcome to attend either program site’s orientation regardless of where their child is enrolled. These meetings are designed for parents who are new to the ECDC Summer Program; however, returning families are also welcome to attend. The topics at each meeting will include the ECDC summer studies and investigations, daily schedules/routines, food program, summer activities, field trips and excursions, and more. These meetings are designed for adults (lap babies welcomed). The same agenda topics will be presented at each orientation meeting. Please visit the ECDC website’s Parent Portal (top right corner of website) for dates and to RSVP. If you are unable to attend, please review the ECDC Orientation for Families document (also in the Parent Portal). Family Open House - To acquaint both parents and children with our facility, teachers, equipment, and program, each ECDC program will have an OPEN HOUSE on the Friday afternoon prior to the first day of the Summer Program from 4:30 – 5:30 p.m. We hope to see you there! What to Bring to the Family Get-Acquainted Open House or On Child’s First Day

- Close-up photo of your child for her/his locker - Change of clothing for spills and accidents, will be stored in child’s locker - Swimsuit, towel and pair of water shoes - Paint smock (can be adult old shirt or plastic smock, optional) - Art Supplies: 1 set of crayons (jumbo for 2/3’s, 3’s & 3/4’s), 1 set of washable markers, 8 oz. bottle of school glue

(scissors for 6 - 10’s) - Children enrolled in the 5/6’s group & older groups need a backpack and water bottle each day - Preschool age children (2, 3 & 4 year olds) should bring a small (crib size) pillow and blanket if attending in the

afternoons. - Sunscreen (UVA/UVB, at least 15 SPF) Please put your child’s name on all clothing and art supplies.

Helpful Info & Tips for After the New ECDC Summer Program Begins: Daily Communication – Teachers send an email at the end of each day sharing the many activities that occurred during the course of the day including names of books read, songs sung, various small group and large group activities, and details about special visitors or field trips. Various announcements about ECDC activities and community activities are also shared. Like Us on Facebook – Visit the ECDC Facebook Page to see joyful photos of our children engaged in delightful activities! ECDC Website Calendar – The ECDC website calendar includes all of the events on the calendar included in the enrollment packet, as well as a variety of ECDC and community special events. Check back often - we are always adding new things.

Arrival & Departure - Please sign your child in upon arrival and out at departure. This is a licensing requirement as well as the method we use to account for children should there be an emergency and evacuation would be required. ECDC-ND opens daily at 6:30am & closes at 5:30pm. ECDC-SMC opens daily at 7:00am & closes at 5:30pm.

Morning Arrival Time: 6:30-9:00 at ECDC-ND & 7:00-9:00 at ECDC-SMC. We ask that all children be at camp by 9:00 a.m. Occasionally, in the older groups, excursions and activities will begin at 8:30 a.m.; you will receive prior notification if your child needs to arrive earlier than 9:00.

Morning Departure Time: 11:30-11:45. Children not staying for lunch must be picked up by 11:45 sharp. If a child is staying for lunch s/he should be picked up between 12:30-12:45, no later than12:45

Afternoon Arrival Time: 12:45pm-1:00pm. We ask that all children be at camp by 1:00. 11:45-12:00 is the arrival time for children enrolled for lunch and the afternoon program.

Afternoon Departure Time: 4:30-5:30, no later than 5:30. A $15.00 late fee, per each fifteen minutes, per child, is assessed to parents picking children up after ECDC closes. Many days the children will not be returning from excursions until 4:30. The Summer Excursion calendar will provide you with this information.

Summer Special Activities & Electronic Calendars - Special activities are evenly divided, as best they can be, across the various part time enrollment schedules. Children enrolled full time participate in all of the special activities. Children enrolled with part time schedules participate in a selection of special activities (e.g., TTH mornings or afternoons have approx. 1/5th of the special activities, MWF mornings or afternoons have approx. 3/10ths of the special activities, MWF all day schedules have approx. 3/5ths of the activities and TTH all day schedules have approx. 2/5ths of the activities). ECDC families will be able to access their child's calendar of special events/field trips via the “Classroom Resources” section of their classroom’s page on the ECDC website. Activities are scheduled in two week increments. When the next two weeks of special activities has been finalized, we let families know in the daily communication. Off-Site Activities/Field Trips – (4/5’s and older age groups) ECDC’s ability to schedule off-site special activities is determined by the sites we visit and their schedules to accommodate groups of children. The summer program also includes many special activities at ECDC, which are much easier for us to schedule (soccer, creative dramatics, music, and gardening). When unexpected changes occur, you will receive notification via email. Whenever possible, a cancelled special activity will be rescheduled. State licensing requires parents to sign permission in advance for each off-site field trip. Please be watchful throughout the summer for new field trip permission forms in a binder near the sign in and out sheets. REMIND -ECDC uses REMIND to communicate school emergency information to families via text. Should ECDC close due to an emergency (weather or facility emergency), we will inform families using REMIND. Emergency closure information is also emailed to families and posted on WNDU TV & radio and the ECDC Facebook page.

In order to sign up for ECDC-ND text notifications, all you need to do is text the phone number 81010 and in the text portion type in @ecdc-nd. In order to sign up for ECDC-SMC text notifications, all you need to do is text the phone number 81010 and in the text portion type in @ecdcsmc. After doing this, you will receive a message asking for your name. Please reply with your name. It may then ask if you are a teacher, parent, or student if you haven't used REMIND before. Please respond P for parent. At that point you should be all set to start receiving text messages from ECDC (Terri Kosik) using REMIND.

Special Diets Due to Allergies - Should your child have food allergies that require food limitations or substitutions for your child’s snacks or meals, please contact Kari Alford at ECDC-SMC: 574-284-4693 or Jennifer Wray at ECDC-ND: 574-631-3344.

Special Birthday Snacks - ECDC has a special list of items for families to select from for special birthday snacks. Rather than sending cake or cupcakes to ECDC, we encourage parents to select an item from the list we provide. Please see your child’s teacher for the list of approved special snacks or visit the food program page under the summer camp heading of our website. Selecting items from this list for special snacks is very helpful to our children with food allergies. Please remember that ECDC is a nut-free building and we ask that no nuts or nut products are brought into the building. All processed food items must also be commercially prepared and sealed (this is a state requirement). This doesn’t apply to fruits and vegetables. If you have any questions please speak with one of the lead teachers or a Program Director. Thank you!

Medication - Per licensing regulations, ECDC can only administer prescription medication or over the counter medication with a doctor’s order including your child’s name, dosage amount and administration time/frequency. All medicines must be signed in by the parent and left with the ECDC office staff. Any questions, please talk with the ECDC office staff and they will be happy to help you.

Tuition - You will receive the Summer tuition invoice during late May. Invoices will be for the entire summer’s tuition. Each invoice will also include a tuition form for you to complete and submit, sharing with ECDC how you plan to pay your tuition. Parents are responsible for the entire summer tuition whether or not the child attends the entire summer program (e.g., due to illness, family vacations, miscellaneous absences, etc.). Please visit the tuition page of the ECDC

website for information about tuition billing, payment options, student activity fees and current tuition rates. Because parent paid tuition is used for teacher and program staff payroll, it is necessary for families to remain current with tuition payments. Past due balances may result in disenrollment. Thank you for your cooperation with prompt tuition payments; it is truly appreciated. Extended Summer Program - An optional 1 week extended summer program (ESU) at ECDC-ND is available to all ECDC-SMC and ECDC-ND summer children. The ESU hours are 7:30 a.m. until 5:30 p.m. Registration for this one optional week at the end of the Summer Program is required and is on a first come first served basis; it is due before July 1st. The ESU program registration form is available in the summer enrollment packet and on the registration page of the ECDC website. Once registration is submitted, withdrawal from ESU is only available through July 1st. We will provide ESU enrollment confirmation to families mid-summer.

INCOME DOCUMENTATION FORM for ECDC-ND ONLY Early Childhood Development Center at the University of Notre Dame

Summer Due Date: May 1st School Year Due Date: June 1st

The income based tuition fee schedule at the Early Childhood Development Center at Notre Dame (ECDC-ND) is based upon current combined family gross income. To be considered for the income based tuition fee schedule program, a copy of your most recent signed Federal Income Tax Return and this form must be completed and submitted to ECDC-ND by May 1 for the summer program and June 1 for the school year program. If your most recent federal tax return does not reflect your current combined family income (larger or smaller), please provide an email or letter indicating the differences and 6 weeks of payroll summaries. If your family didn’t submit a federal tax return due to being a visiting professional, please provide your appointment letter that includes your salary. The income based tuition fee schedule is available to ND and SMC staff, students, administration and faculty. It is not available to ND and SMC Alumni(ae) and/or Holy Cross Order employees. Those who elect not to provide income information/most recent tax return will be assessed the full tuition rate. If your child is enrolled for both the summer and school year programs, only one submission of your Federal Income Tax Return with this form is required on or before May 1. Income based tuition eligibility is granted from the first day of the child’s enrollment in the summer program or the school year program, whichever occurs first, through the end of the school year. Tuition Payment Options for Summer 2019 and Extended SU 2019

Important - Please complete and submit the attached required form indicating your ECDC tuition payment plan, agreement, and statement format choice. Please keep this page for your reference, thank you.

Summer Tuition Payment Options: (6/10/19 – 8/9/19) Families will be invoiced in May for the 9-week Summer Program (SU).

1 payment – Remit the full summer tuition amount on the 1st day of the SU program (June 10th).

2 payments – Divide the total tuition amount in half remitting one half by the 1st day of the SU program (June 10th) and the second half by July 8th.

4 payments – Divide the total tuition amount into 4 equal amounts remitting as follows: June 10th, June 24th, July 8th & July 22nd.

9 weekly payments – Divide the total tuition amount into 9 equal payments remitting as follows: June 10th, 17th, 24th, July 1st, 8th, 15th, 22nd, 29th, and Aug 5th.

Please note – parents are not invoiced for July 4th when ECDC is closed.

Optional Extended Summer (ESU) Tuition Payment Options (8/12/19 - 8/16/19) Families will be invoiced in early August for the 1 week Extended Summer Program.

1 payment – For this 1 week program, the full ESU tuition amount is due on or before the 1st day of the ESU program (Aug 12, 2019).

Parent paid tuition is used for ECDC teacher and program staff payroll and other program expenses (food, health insurance, etc.). It is necessary for families to remain current with tuition payments. We understand that at times families experience unexpected financial challenges. Past due balances may result in disenrollment. Thank you for your cooperation with prompt tuition payments; it is truly appreciated.

ECDC GYMNASTICS FUN

The Gymnastics Bus will be at ECDC for summer class sessions. These classes will feature gymnastics, motor development, coordination and language building skills along with other developmental aspects. Classes are provided by ECDC as a part of the summer curriculum. Mrs. Jennifer and staff are ready for another great summer of gymnastics here at ECDC!

Registration forms are needed for each child (even if registered in the past).

Classes are provided for students as a part of ECDC’s summer curriculum.

No additional fees to parents for summer gymnastics.

Class sessions are held for thirty minutes each.

Class sessions will be split up by age groups and are taught age appropriate skills.

At the preschool level this potential is greatly reduced, but it is still there. Participants shall indemnify and hold harmless “Gymnasts in Motion” from any and all claims, demands, actions and causes of action whether groundless or not, in connection with any and all injuries, losses, damages or liability of any kind whatsoever arising, directly or indirectly, from participation in “Gymnasts in Motion” activities. The last day of the 2019 Summer Program at ECDC-ND and ECDC-SMC is Friday, August 9, 2019. The ECDC-SMC and ECDC-ND 2019-20 School Year begins on Monday, August 26, 2019. Although ECDC-SMC will not be in session, ECDC-ND will be open August 12 -16 with an Optional Extended Summer Program serving both ECDC-ND and ECDC-SMC children. If you would like to enroll your child in this five day optional program at ECDC-ND, please complete the form provided below and return to the ECDC-SMC or ECDC-ND office on or before July 1, 2019. Once you have submitted the registration form found below, you are responsible for payment of the entire five day extended summer program tuition (Aug. 12 - 16, 2019), whether or not your child attends the Extended Summer Program. Confirmation of enrollment will be provided in mid-July.
