Best practices and recommendations to ensure a successful migration

Aer revolutionizing the way more than 150,000 customers around the world execute their sales and marketing processes, the world’s leading customer relationship management (CRM) platform has reinvented itself with the introduction of the Lightning User Experience®.

The new interface is Salesforce’s push to make information more readily available to the people who need it most (your salespeople), when they need it most (immediately). Yet, despite a revamped interface and better, more configurable dashboards, the transition has been met with a mix of excitement and consternation among Salesforce® administrators and other organizational leaders. The biggest concerns are regarding migration readiness, unsupported objects, and migration how-to best practices. To address some of the top concerns, this guide will provide the essential information you need to make a strategic and seamless transition, while ensuring you deliver greater eiciency and profitability to your business.

Why Lightning?Selling is the lifeblood of every company and CRM systems play an essential role in organizing all the information necessary to execute eective sales processes, providing specific customer insights, buying patterns and behaviors, to more eectively target the right accounts. Unfortunately, as the amount of data and number of data sources continue to grow, sales reps are spending increasingly more time on data entry and less on time selling.

In fact, it’s estimated that the average sales professional spends up to four hours per week just updating information in Salesforce--up to 60 records each day--but less than 40% of those updates actually make it into the CRM1. It’s not hard to imagine how time spent away from core selling activities can lead to missed opportunities and lost revenues or how unrecorded activities can create organization-wide disconnects that result in failed sales strategies. With more than 65% of companies citing sales productivity as their biggest business challenge, Salesforce Lightning is an attempt to improve the CRM landscape, delivering a new experience with more intuitive operations. However, many of the same challenges that users faced in Classic are still present in Lightning—especially for those who manage large amounts of data.

Migration challenges and limitations Upgrading CRM soware is supposed to bring new features that make the lives of everyone in sales and sales operations easier. But change is rarely simple or easy and upgrading to Lightning from Salesforce Classic® comes with its own set of challenges. For starters, even understanding how ready your organization is for the transition can be a monumental task, as Lightning Readiness Reports® can easily reach hundreds of pages. Most Salesforce admins don’t have the time, inclination, or perhaps the expertise to si through lengthy reports and understand every aspect well enough to determine exactly how ready their team is to make the move. Beyond assessing readiness, one of the biggest obstacles you’ll face in the migration is that Lightning doesn’t yet support some of the more popular features or capabilities in Classic. For example, key processes like team selling and Person Accounts are not supported, and support for existing customizations like VisualForce® pages and Javascript buttons have integration considerations in Lightning. Another limitation is that many features in Salesforce Classic console apps aren’t available in Lightning console apps, like keyboard shortcuts, macros, and Live Agent®. Given these limitations, moving to Lightning typically takes one of two paths: converting existing VisualForce (VF) pages and other objects with Lightning Design System (LDS) or re-creating new Lightning components and VF pages from scratch. Of course, neither is an appealing option and enterprising Salesforce admins are eagerly searching for a better way. However, despite these challenges and limitations, there are still many advantages to gain from migrating to Lightning, which is why we believe approaching the migration with the right plan and tools will help you reach your business goals.

Best practices to consider as part of your migration plan Making Lightning dreams Lightning realityThe transition to Salesforce Lightning Experience is inevitable; users are clamoring for a better user experience, the Salesforce ecosystem is prioritizing new development against it, and the general evolution of soware is nearly unstoppable. Even with all the reasons and stats that might compel companies to take the plunge into a Lightning migration, getting organizational buy-in is oen the last (and oen greatest) obstacle. Seamlessly transitioning away from the familiar Classic experience to Lightning costs time, money, and requires a concerted eort across your organization. To maximize results and accelerate your transition, we recommend following these five best practices:

As with any migration, proper planning and foresight will be fundamental to your success and in order to build a business case. Create a transition plan that clearly defines: the specific business outcomes you want to achieve, the multiple phases of your roll out, and deliverable timelines.

Use the business case to gain support from a company leader who will share in the responsibility of the project, support the project team with resources and visibility, and defend against organizational interference that can slow or stymie the initiative.

Mass Update Accounts clean-up (change ownership on 20

accounts with related objects)

Be sure to speak in their language, business not technology terms, such as benefits, business outcomes, and ROI. For example, is your team missing out on sales because of incomplete data or time consuming ineicient user experiences? The example below is an ROI example of the time our customers can expect to save. It’s up to each sales team to translate these productivity gains into yearly opportunity costs to their organization. What would you do if your team suddenly had more time on their hands, perhaps, sell more?

Cost of Missed Sales vs. Productivity Gains

We all get by with a little help from our friends. Compile a list of prospective consulting partners, making sure to pick reputable and truly innovative companies. Obviously, you’ll want to seek out companies with track records of success and working with well-known brands. But you should also aim to find vendors whose industry knowledge is expansive and whose technical capabilities are flexible enough to support the unique demands your migration imposes.

PARTNER WITH A MIGRATION EXPERT

Identify every user group that will be aected by the migration, how they will be aected, and prioritize their move based on your desired business outcomes. Knowing this upfront, will help pre-empt potential objections that drive down support and adoption. Since Lightning can be turned on for specific profiles instead of requiring a universal launch, you might consider starting with user groups that will benefit the most from a move to Lightning or groups that oer the lowest risk of being adversely aected, should there be any hiccups along the way.

People think the only way to migrate to Lightning is to convert or completely re-create custom objects and workflows. However, Lightning migrations can be more easily handled with powerful, intuitive technologies that enable you to maintain your workflow processes while saving you time, and costly implementations.

How GridBuddy can help you transition with less disruptions Using an industry proven technology, like GridBuddy, provides solutions to overcome some of the features gaps between Salesforce Classic and Lightning, which will help you transition sooner—and with fewer challenges—than your competitors and provide you with greater mobility, flexibility, and productivity by:

Create grids to edit related objects from Classic or the AppExchange in Lightning AppBuilder®. Select tools featuring drag-and-drop operations and one-click configurations to arrange components onto the single-view page and assign components to previously designed grids for maximum eiciency and minimal eort.

Creating single page user experiences to improve visibility, navigation, and productivity

Although the user experience is significantly improved in the Lightning Experience, users who need to manage large amounts of data still face many of the same challenges. Bulk editing queues of information which makes up the daily work of many users, is still not supported across record types and is limited to a number of fields and field types. Furthermore, there is still no easy way for users to manage data across multiple objects, such as managing Opportunities with Products. Lastly, Lightning no longer supports the ability to open multiple browser tabs, which many users had previously used a workaround to manage multiple records at once. GridBuddy addresses all three issues by providing an editable, multi-object view that allows users to edit everything they need to get their work in one place—even across Record types.

Providing essential functionality not natively available in Lightning

Preserve custom buttons, links, and actions by transforming OnClick Javascript components into a managed custom code component without relying on the Ajax toolkit. Button actions and logic are executed via the grid, retaining the familiar user experience and process outcomes and reducing a user’s learning curve.

Reusing custom Javascript and legacy components

Turn Lightning on for specific user groups at specific times. With GridBuddy you not only save time and resources while developing Lightning components, but it also allows you to keep both Classic and Lightning running simultaneously for a methodical, deliberate transition at your own pace, while giving users a familiar grid experience on both sides.

Not all features of lookup filters are supported in Lightning. For example, lookup text that you configure in setup will not show up when you search for it in the lookup field in Lightning. With GridBuddy this is not an issue because lookup filters are supported.
