Holiday Entitlements Holiday entitlement for each employee can be monitored to calculate how much has been used and the amount they have remaining; reimbursing holiday entitlement when their work year is complete.

Calendars Calendars provide a clear snapshot of all planned and unplanned absences over a three year period, whilst also allowing users to share this information with pre-defined work groups.

Authorisation Process If required, multiple authorisers can be set for each employee to approve requested holiday or other planned absences.

Absence types There is no limit to the amount of absence types included within an e-days system.

Public Holidays Global organisations will experience varying public holidays within each work location they operate in.

Rotas e-days is able to replicate even the most complex work patterns for each individual within a business, irrespective of how work hours may change on a weekly basis.

Email Notifications e-days can be configured so that automatic emails are sent when changes have been made in the system and require attention.

Minimum Staff levels Minimum staffing levels can be used in e-days to prevent certain members of staff from taking planned absence at the same time.

Online forms To improve the overall efficiency of an employee returning to work after a period of illness, self-certified medical forms and return-to-work forms are integrated in each e-days system. This helps to document sickness absence effectively against each individual user in the e-days system by providing a record against each sickness instance.

Reporting Managers have the ability to use e-days to generate reports that can show how absence is affecting their organisation. Reports can display results on staff working patterns, entitlement records and Bradford factor results across locations, teams and departments.

Open-ended absences Sick leave can be logged as an ‘open-ended absence’ in e-days. Open-ended absences allows sickness to be logged as soon as an employee calls in sick. This can either be logged by the user themselves or by a manager, depending on the organisations set up of their e-days system.

Custom absence processes Custom forms can be built into each e-days system to accommodate for individual organisations absence processes. As well as incorporating online procedures such as self-certification and return-to-work forms; additional forms can also be included in any e-days system if required.

Bradford Factor tracking e-days incorporates real-time Bradford factor scoring to identify any problem absenteeism within an organisation. The Bradford factor applies a relative weighting to all of an individuals unplanned absences, and recognises that repeated short-term absences typically have a greater operational impact than long-term absences.

Overtime Depending on an organisations system set-up, e-days can be used to record any overtime hours that employees have worked. This can either be added to the system by managers or users based on each organisations requirements. Authorisation processes can be applied to overtime in order to alert managers when this has been booked by users. Overtime can be compensated though work payments or TOIL (Time off in Lieu).

TOIL Depending on whether this feature has been switched on, TOIL – or compensation leave - can be requested through e-days when any overtime has been worked. Organisations can decide whether TOIL should be a separate entitlement within e-days, or whether this time should be added to a user’s holiday allowance.

Outlook & Google Mail synchronisation e-days data can be easily synchronised with your organisations email system so that holiday and other absence information can be viewed within your email calendar.

Data import/export The e-days team will upload all initial employee data into the system during the set-up, following this, users can be easily imported and then exported from e-days into different file formats.

Administrator dashboard Admin users have access to their own personal dashboard that allows them to alter user settings at a global or individual level, as well as having access to employee absence records.

Notification triggers Notification triggers can be set in e-days to alert managers and/or HR when changes in e-days may require further attention from them.

Email customisation Automated e-days emails sent to staff when changes have been made - or an action is required - can include added personalisation.

Role Flexibility Role types are not limited to standard users, authorisers and administrators.

Bulk tools e-days has the ability to allow authorisers to enter multiple user data into the system at one time – or in ‘bulk’.

Corporate branding As well as including each organisations company logo and creating a customised URL, e-days can also be entirely customised to meet your brand guidelines.

SSO – Single Sign On e-days can minimise the need to log into several different systems by offering an SSO – Single Sign On - feature.
