Setting Up Day Rotations in Future Scheduling
Do you need to set up a campus for a 2‐day, 3‐day, 6‐day rotation etc.? This session will provide an overview of how to set up day rotations and how to record the rotations accurately in the Class Meet records in the Course Master.

• The Day Rotation identifies whether a class meets every day or only certain days.
• The days a campus has chosen to have their classes meet is set up through their Day Rotation.

• Skyward offers many Day Rotation configurations that allow campuses flexibility in creating their master schedules.
• For instance, a class can meet every day, every other day, every third day or a combination of days.

• FBISD uses Day Rotations in scheduling our ancillary classes for our elementary campuses.
• Prior to working in Future Scheduling, campuses are asked to evaluate their current schedule.

The initial step in creating a new Rotation schedule begins by selecting the following menu path:(PS\WS\ES\CF\EY)• Product Setup• Student Management• Entity • Configuration• Entity Year Setup
Double Click on Entity Year Set up to access the campus to update.

• When the screen expands, select View All School Years.
• Select and expand School Year (look for next year school year)

• Select Edit Maximum Values.
• Select the Day Type Option you want to use, the number of Days in Rotation and the Day Label you wish to display. (Day Label will not be available if the Day Type is Weekdays.)

After selecting the Day Type, Days in Rotation and Day Label (if available), select Save.
The WARNING! for all the other areas to be updated will appear.Follow the menu paths provided to update the new rotation for:• Day Patterns• Scheduling Period Times• Mass Change Course Master

Select Add Enter the Day Pattern Select Save
To create new Day Patterns select menu path:PS\SM\OF\FS\BC\PS\CO\DP

Select Edit for each scheduling period.

To update Scheduling Period Time records, the menu path is: SM\OF\FS\BC\PS\CO\SP

Select Add to create a new template.
To mass update day patterns on all existing Class‐Meet records, the Mass Change Course Master Fields utility needs to be run. The utility can be found here: SM\OF\FS\BC\PS\UT\MC.

For Districts that have used a campus calendar without a day rotation to clone to their other campuses, the Run the Assign Calendar Day Numbers Utility will need to be run.The utility can be found:OF\AT\PS\CO\CC• Office• Attendance• Setup• Codes• Calendar Codes

• Setting Up Day Rotations in Future Scheduling Select Edit next to Funding Periods
to verify the Funding periods are correct.
Select the Utilities option next to Calendar Days.
Select Assign Day Numbers

should be Alternate Day Numbers for Day Rotation)
Start With Day Number (hint: should be the day number of the first day of school)
Select OK to run the utility

Once the Day Rotation has been created in the Entity Year Setup, the Master Schedule Builder can create the meets in Future Scheduling / Course Master.Prior to entering the meet details in Skyward a matrix can be created to determine which day(s) in a rotation a class will meet.This will make it easier to identify the days to be checked in the Meet Pattern fields.

After a Section is created, the Meet Pattern is entered in the Edit Class Meet screen.
Select Save and Add Meet. In the Meet screen check the boxes in the Meet Pattern field based on the periods and day of the rotation or the day of the week a class will meet.

Sample 1, this Kindergarten Library class will go to Library every 4th day.Hint: In sample 1, the Day Type = Day Rotation, Days in Rotation = 4 and Day Label = Numeric.

Sample 2, this Kindergarten Art class will meet every Wednesday.Hint: In Sample 2 the Day Type = Weekdays, Days in Rotation = 0 and Day label = MTWRF
