A number of events, facilities and functions are jointly and successfully hosted by these 3 municipalities and the collaboration and teamwork demonstrated this year once again showcases the hard work and commitment of our communities’ workers and volunteers.

CHEF DE MISSION
Zone Chefs are Alberta Sport Recreation Parks and Wildlife Foundation staff who works in partnership with volunteers and Provincial Sport Associations in each of the eight zones to coordinate their respective zone team. During the Games, the Chef de Missions will assist the athletes, coaches and chaperones in all aspects of the Games. Your Zone Chef is your contact at the Games!
Athletes, Coaches or Chaperones should contact their Chef de Mission in the event of:
∞ Changes at on-site registration (including changes with accommodations)
∞ Sport protests
∞ Late arrival at registration
∞ Illness/injury causing withdrawal from competition of an athlete, coach or chaperone
∞ Personal interest story on a particular athlete, team or coach
∞ Change in return transportation

ALBERTA GAMES CODE OF CONDUCT
The Code of Conduct identifies the standard of behavior which is required of all participants while traveling to, participating at, and returning from the Alberta Winter Games.
All Athletes, Coaches, and Chaperones shall:
1. Represent your zone as Good Will Ambassadors, with dignity, personal integrity and within the spirit of good sportsmanship at all times both in and out of competition.
2. Show respect for :
∞ The members of your own team and of the entire contingent representing your zone.
∞ The members of all teams competing from other zones
∞ The rules and standards set down by the Provincial Sport Association, the host community and the Mission Staff.
∞ The technical officials’ decisions
∞ The people of the Host Community-including staff, volunteers, spectators, local businesses, sponsors, etc.
3. Abide by the Accommodation Policy, which stipulates that all athletes, coaches and chaperones shall:
∞ Reside in their assigned Games accommodation
∞ Abide by the 11:00pm curfew through the entire Games
4. Attend the Opening Ceremony for the Games, wearing the provided zone hoodie. Your zone identification attire should be worn during medal presentations and throughout the Games as much as possible.
5. No alcohol or illegal drug substance shall be consumed by Alberta Games Athletes, Coaches or Chaperones.
6. No tobacco, alcohol or illegal drug substance may be brought into or consumed in any Athletes’ Village, Games venue, or Games vehicle.
In addition, all Coaches and Chaperones shall:
7. Set a positive example for their athletes by compliance with all policies, rules, and standards of conduct.
8. Act in the best interest of the athlete, avoiding all unsafe and unacceptable circumstances, and seeking advice of appropriate medical personnel before deciding if an injured athlete is to resume competition.
9. Supervise and be responsible for the conduct of their athletes at all times during the Games.

DISCIPLINE POLICY/PROCEDURES
1. Any and all violations of the Code of Conduct will be brought to the attention of the Mission staff and the respective Chef de Mission.
2. If necessary, the disciplinary committee will be notified and a hearing will be held with the individual (and coach if applicable) to determine suitable disciplinary action. The discipline committee consists of the following:
∞ Alberta Sport Recreation Parks and Wildlife Foundation (ASRPWF) representative.
∞ Zone Chef de Mission
∞ Chairperson of the Games Society or designate
∞ Provincial Sport Association representative
3. Discipline may range from partial to full suspension of Games privileges, including removal from competition, to complete expulsion from the Games, with the return of the offender at their own expense.
4. Individuals responsible for willful damage will make full restitution to the host community Games Society.
5. If any situation should arise which requires police intervention, the RCMP will take appropriate action to resolve the situation.
6. Additional disciplinary actions may be sanctioned by the Provincial Sport Association and the ASRPWF regarding involvement in future Alberta or Canada Games or provincial competitions.
7. In any situation involving the disciplinary committee, a letter will be sent to the Provincial Sport Association and, if applicable, to the parents of the participant involved.

All athletes, coaches, and chaperones participating in the Games must register in person at the TransAlta Tri Leisure Centre. Anyone not completing the registration process will not participate in the 2012 Winter Games.
Participants arriving by motor coach will be transported directly to registration upon arrival in Spruce Grove.
Games Ambassadors will be greeting all participants at the doors and will be roaming the facility to provide any help you may need to ensure that you get registered. Please ask if you need help!!
At the time of registration, each participant will receive an Accreditation Tag that identifies who you are and where you need to be. You must wear this Accreditation Tag at all times to gain access to your accommodations, the Food Centre, your sport venue and to all cultural and special events.
At any time during the Games should you lose your Accreditation Tag, immediately notify your coach who will notify your assigned Chef de Mission. All Tags must be replaced! Replacements will be done at the Mission Office through your assigned Chef de Mission.
Once you are registered and have picked up your participant bag you will go to your Athletes’ Village via the transportation you arrived with.
Any late registrations must be pre-approved by your Zone Chef de Mission.
Idling IncentiveIdling your vehicle for more than 10 seconds uses more fuel than restarting it, so if you are going to be stopped for more than 10 seconds (except in traffic) turn off your engine. We encourage everyone involved with the Alberta Winter Games to turn off their engine when stopped for more than 10 seconds.
Traffic TurtleJackrabbit starts, rapid acceleration and aggressive driving can use up to 40% more fuel than someone driving conservatively.We encourage everyone involved with the Alberta Winter Games to take is slow and steady when it comes to driving and acceleration.

Sports Equipment:
During registration, cargo vans will be designated by sport for equipment transportation. These cargo vans will be parked on the west parking lot of the TransAlta Tri Leisure Center. Equipment will be transported to either the Village, storage or sport venue as required:
Sport EquipmentAlpine Skiing Equipment loaded into
cargo van and stored off site. Waxing/tuning of equipment available at Village on Friday and Saturday evening.
Archery, Fencing, Freestyle Skiing, and Snowboarding Equipment to remain on external bus or private vehicle and taken directly to Village for storage. Ski/Board waxing available at Village on Thursday, Friday and Saturday evenings.
Biathalon Skis loaded into cargo van for storage off site. Rifles loaded into separate cargo van and stored at sport venue. Waxing of equipment available at Village on Friday and Saturday evening.
Cross Country Skiing, Hockey (female) Equipment loaded into cargo van for transport to sport venue. Ski waxing will be done at sport venue.
Curling Brooms may be transported with athletes on both external and internal transportation.
Hockey (male) For Thursday games, equipment will be transported to sport venue with athletes. Following games, equipment will be loaded into cargo van for delivery to main sport venue.
Ringette Equipment brought directly into sport venue by athletes (TransAlta TLC – Registration Centre) and placed into assigned dressing rooms
All remaining sports Sport bags will be transported with ath-letes to and from village - sport venue

ATHLETES’ VILLAGERegulations
∞ All athletes must stay in their assigned Village site. All coaches and chaperones must sleep in the Athlete Villages with their team and are responsible for the actions of their athletes.
∞ Local schools will be used as male or female Villages
∞ Access is restricted to those registered and identified for the entry to the Village sites. Those with access will be identified by the appropriate coding on their accreditation tag.
∞ Entrance and exit of Village residents is only through the designated doors.
∞ No visitors are allowed in the rooms.
∞ Curfew for athletes, coaches and chaperones is 11:00pm.
∞ Lights out at 11:30pm.
∞ Food and beverages are allowed only in designated areas.
∞ Food and beverages are not allowed in the sleeping rooms
∞ No alcoholic beverages, illegal drugs, or smoking is permitted.
∞ Village supervisors and other security will be on duty 24 hours a day to ensure a safe village and to answer questions.
∞ Damage to facilities will be charged to the people responsible.
∞ Access to the Villages during the day is restricted. A coach or chaperone must accompany athletes who wish to return during the day.

Lounges: Each Village will have a designated Athlete and Coaches lounge for eating, relaxing, watching movies and playing games. Please check with your Village Supervisors to confirm hours of operation.
Showers: Please see Athletes’ Village Site chart for more information.
Telephones: Incoming emergency calls should be directed to the coach or chaperone through the Mission Office or the 24 hour Communications Centre.
Storage Facilities: Certain Villages will have a special area designated for the storage of equipment.
Message Board: A message board will be located at each Village’s main desk to be used for incoming messages.
Lost and Found: Lost and Found areas will be located at each Athletes’ Village site and sport venue. If you find an article, please turn it in to a member of the Security team or a Village Supervisor. All articles in the Lost and Found will be brought to the Food Centre on Sunday, February 12.
Weigh-Ins: Boxing, Judo and Wrestling athletes require weigh-ins for their competition and will take place in the Athlete Villages sites.

Boxed Lunches – Healthy lunch supplied by the local one and only – McDonalds
Boxed lunches will be delivered to all sport venues on Friday and Saturday. On Sunday, specific sports competing late will receive box lunches. Coaches and/or chaperones are required to pick up the box lunches at a designated location at their sport venue and sign off for them. Times will vary depending on competition schedules.
Athletes competing at outdoor venues (alpine, biathlon, cross country, freestyle, and snowboard) will be provided a hot soup along with their boxed lunches. Dietary Needs: Special dietary needs are to be identified prior to coming to the Games. These needs are to be submitted to the Alberta Sports Recreation Parks and Wildlife Foundation prior to the Games as part of their registration. Vegetarian menu options will be available. Anyone needing special meal plans will be served at marked stations in the Food Centre. Procedures to Request Extended Meal Hours: This will be considered due to delays in sporting events. Please call the Food Center at least (1) hour prior to the closing of the center. This must come from the Sport Chair or Winter Games staff. Number of meals required must be provided at this point and arrangements will be made to accommodate athletes.
Hydration: Athletes will have water and beverages provided at the Food Center. Water bottles will be available for pickup at the Food Centre in the morning only. We also encourage athletes to fill their personal water bottles before leaving their villages in the morning.

TRANSPORTATION
External (zone) Transportation On Thursday, February 9, participants will arrive in Spruce Grove via the External Bus System from various locations within the eight zones of the province. Local athletes (those residing less than 100km from host community, will arrive in their own vehicles). Buses/personal vehicles will arrive at the Registration Centre at the TransAlta Tri Leisure Centre between 12:00pm – 4:00pm. Following registration, all athletes, coaches and chaperones will be taken to their Athletes’ Village on the transportation they arrived on. Games Ambassadors will be available at the registration centre to answer any questions.
External Transportation provided by National Motorcoach
Internal Transportation – Thursday, February 9 All athletes, coaches, chaperones and Technical Officials with Games accreditation tags are given access to internal transportation.
There will be 2 loops operating through Spruce Grove, 2 loops through Stony Plain and a shuttle service from the Heritage Park Pavilion (Food Centre) to the TransAlta Tri Leisure Center (TLC) to transport between the two communities.
Participants may access the Spruce Grove internal bus loops beginning at 3:00pm from their assigned Village. Stony Plain internal bus loops will begin at 3:30pm.
Participants staying in Spruce Grove will be unable to return to their villages following dinner.
All participants must depart for the Opening Ceremony from the Food Centre, no later than 6:00pm. Please ensure to bring all your outdoor clothing for the Opening Ceremony - (toque, mitts, boots, jacket, zone hoodie)!
Food Centre to Opening Ceremony shuttles will be available at 5:00pm, 5:30pm and 6:00pm.
Following the Opening Ceremony, coaches/officials will be bused to the Sport Technical Meeting and athletes/chaperones will be transported back to their villages.

SPORT TECHNICAL MEETINGS Immediately following Opening Ceremony for all Head Coaches
The Sport Meeting for Head Coaches and head Technical Officials will be held immediately after the Opening Ceremony on Thursday, February 9, 2012. Bus shuttle service will be provided from the Opening Ceremony to and from Living Waters Christian Academy School. Please look for the “Sport Technical Meeting” shuttle as soon as you depart from the Opening Ceremony site. Following the meeting, coaches will be returned to their Athletes’ Villages while Technical Officials will be returned back to the Ramada Hotel.
***It is mandatory that at least one coach from each team attends this meeting***

CLOSING AWARDS PRESENTATION / DEPARTURES
Heritage Park Pavilion (Food Centre) - Stony Plain, AB Sunday, February 12, 2012
2:00pm
Athletes must depart their Villages no later than 11:00am on Sunday, and make their way to the Food Centre for breakfast/brunch. Athletes competing on Sunday will vacate their village, store their luggage at the Food Centre and return back before 2:00pm.
Upon arrival at the Food Centre, athletes are asked to place their luggage and sport equipment into awaiting external buses or private vehicles. In the case where departing transportation has not yet arrived, luggage will be stored at the Food Cen-tre. All luggage/sport equipment must be loaded into departing vehicles prior to 2:00pm.
Three awards will be presented during the Closing Awards Presentation:
Alberta Cup
The Alberta Cup is awarded to the Zone achieving the most medal points for the sports competition in the Games.
Minister’s Cup
The Minister’s Cup will be award to the Zone showing the greatest improvement from the last Alberta Winter Games.
Spirit of Sport Award
The Spirit of Sport Award will be presented to the Zone that best demonstrates the spirit of fair play, sportsmanship, team spirit and cooperation on and off the field. The following groups will receive ballots to vote: Head Coach of every zone for each sport; each official in each sport; each host community sport chairperson; each Athlete Village Mayor; each member of the Mission Staff.
Immediately following the awards, external buses will depart.
Departures by Private Vehicles: Athletes departing in private vehicles may load their luggage either at the Village (at time of check out) or at the Food Centre departure location. Designated ‘Parent Parking Area’ will be provided at the Food Centre.
Please wear your zone accreditation and hoodie.

MEDICAL SERVICES
All sport venues will be staffed with medical personnel during the hours of competition. All medical volunteers will be wearing easily identifiable red medical arm bands. The Polyclinic is the hub of Medical Services during the Games. Medical personnel will be on-call outside of polyclinic hours.

Please call the Polyclinic at 780-968-3241 to book an appointment. Drop in services cannot be guaranteed. Transportation to Polyclinic for scheduled appointments by internal bus loop. Please see bus schedule for more information.
In addition to the Polyclinic, pre-competition taping will be provided at the Food Centre from 6:00am – 9:00am, Friday through Sunday. Please bring your own tape.
Athletes should be accompanied by an adult to be treated at the polyclinic or the local hospitals. Please ensure that all medical information is included on your registration form, including parent/guardian signature. This information will be available to medical personnel at the Games Polyclinic and will be available through the medical personnel at the sport venue site. It is important that if an athlete has a medical condition, allergy or special medical needs, that they emphasize this when going through the registration process so that their forms can be identified for further examination. All medical incident forms will be kept confidential.
LOST AND FOUND Each venues will store found articles. On the last day, they will be collected and transported to the Food Centre. Items unclaimed after the athletes’ departure will be brought to the Games Office and held for 30 days. All items remaining after March 12 will be either discarded/donated or turned over to the local RCMP (high value items only).

SUSTAINABILITY OPPORTUNITIES FOR PARTICIPANTS
The 2012 Alberta Winter Games is the first of its kind to incorporate sustainability as one of its major objectives. As participants are such an integral part of the Games, we are asking you make sustainable actions part of what you do too. Here are some ideas:
∞ Turn off lights when leaving a room
∞ Take shorter showers and turn off taps when not in use
∞ Car-pool to events
∞ Minimize the use of paper towels
∞ Use the recycling bins provided
∞ Put food scraps into compost collection containers
∞ Use refillable water containers
∞ Return your lanyards for reuse at the end of the Games
∞ Visit the Sustainability Centre at the TransAlta Tri Leisure Centre to learn more about the sustainable actions implemented at the 2012 Games and what you can do too!
ATCO Gas Torch Relay
The 2012 Alberta Winter Games continues a proud tradition with the running of the ATCO Gas Torch Relay on Wednesday, February 8th. The Torch Relay will run through the communities of Spruce Grove and Stony Plain, with a final mini-cauldron lighting in Parkland County.
The torch flame embodies the spirit of competition and camaraderie as the athletes strive to fulfill their hopes and dreams throughout the days of the Games.
The official torch lighting for the Games will take place during the Opening Ceremony on February 9th. Congratulations to the ATCO Gas Torch Relay participants for their part in carrying out the spirit of the Games!
