FundingandFinancialSupport
TheDepartmentmayprovidefinancialsupporttograduatestudentsinavarietyofways,suchasGTA’s,RA’s,andscholarships.Pleasecontactyoursupervisororgroupcoordinatorforinformation.
AllstudentswhoreceivepayfromtheUniversitymustcompletethebankinginformationonBearTracks.GraduateTeachingAssistantship(GTA)GraduateTeachingAssistantsprovidesupporttotheundergraduateprogram.Thismaybeintheformofmarkingoritmayinvolveassistinginalaboratoryortutorial.StudentsinterestedinbeingaGraduateTeachingAssistantinparticularcoursesshouldinformtheirgroupcoordinator.GTA’sareassignedonaterm-by-termbasisandthenumberofhoursperweekrangesfrom4to12.Thisnumberapproximatelyreflectstheaveragetimecommitmentoftheassignmentandnotthepeaktimecommitmentinanyoneweek.Itshouldbepointedoutthatwhiletheacademictermisthirteenweekslong,astudentwithaGTAispaidforsixteenweeksofwork.
AutomaticDeductionofOutstandingFeesandTuition
TheUniversity’spayrollsystemautomaticallydeductsoutstandingtuitionandfeesfromthepaychecksofgraduateteachingandresearchassistantsonemonthafterthestartofFall,Winter,SpringandSummerterms.AnyFalltuitionowingasofOctober1willbedeductedfromthestudent’sOctober,NovemberandDecemberpaycheckinsixbi-monthlyinstallmentstoamaximumof80%ofyoursalary.Ifthereistuitionleftowingattheendoftheterm,FinancialServiceswillissueastatementlettingyouknowtheamountthatisdue.Similarly,anyWintertuitionowingasofFebruary1willbeautomaticallydeductedfromthestudent’sFebruary,MarchandAprilpaycheckinsixbi-monthlyinstallments.Also,studentswillhaveautomaticdeductionsfromtheirpaychecksinJune,JulyandAugust.Deductionsoccurtwiceamonth.Studentscannotexemptthemselvesfromthispayrolldeduction.Note:Theautomaticpayrolldeductionisonlytakenfromassistantshipfunding.Installmentsarenotwithdrawnfromanyscholarshipfundingstudentsmaybereceiving.

Thesis-BasedPrograms
Thesisregistrationisrestrictedtostudentsinthesis-basedgraduatedegreeprograms.Qualifying,Special,andVisitinggraduatestudentsmaynotregisterinThesis.
Thespecificthesisregistrationselectedbythestudentwilldependupontheamountoftimeduringtheterm(s)thatthestudentwilldevotetoworkonhis/herprogram.
Thesissectionsarescheduledaccordingtounitsofcourseweightequivalency.
StudentsshallconsultwiththeDepartmenttodeterminewhichoftheThesissectionsareappropriate.
ByregisteringintheappropriateThesisdesignation(alongwithanyothercourses),theregistrationstatusofthestudentiscalculatedautomatically.
Studentsinthesis-basedmastersanddoctoralprogramsmustregisterinThesisduringtheregistrationperiodinwhichthethesisandfinalprogramcompletiondocumentationissubmittedintheFacultyofGraduateStudiesandResearch.
PleasenotethatnewfeescheduleshavebeenimplementedforFall2011termorafter.Studentsshouldconsulttheuniversitywebsiteortheregistrarofficefortheappropriatefeeschedules.
DoctorofPhilosophy
Theminimumperiodofresidenceistwofull-timeacademictermsattheUniversityofAlberta.Thetwotermsneednotbeconsecutive.Thecourserequirementsfordoctoralprogramsaredifferentinthevariousdisciplines(SeeGroupCourseRequirements).However,allgraduatestudentsmustcompleteENGG600andtheUofAProfessionalDevelopmentRequirement.
ThisresidencyprovidesstudentswithsignificantcontactwiththeUniversityofAlbertathroughtimespentoncampusandthroughinteractionswithfacultymembersandothergraduatestudents.Iteducatesthestudenttobeanindependentresearcherandscholarinanacademicdiscipline,throughcoursework,seminarparticipation,teaching,facultyinteractionandfaculty-directedresearch.Alldoctoralcandidatesmustprepareanddefendathesisofhighcalibreonanapprovedtopic.

SupervisoronLeave Ifasupervisor’sleaveexceedstwomonths,theyarerequiredtomakeadequateprovisionforsupervisionoftheirgraduatestudentsduringtheirleave.TheymustsubmitawrittenstatementtotheDepartmentandtothestudent,describingarrangementsforsatisfactorysupervisionduringleave.
SupervisoryCommittee Formednolaterthantheendoffirstyear.TheDepartmentnominatesthesupervisorycommitteeonanApprovalofSupervisorandSupervisoryCommittee-DoctoralformtotheFGSR.
Meetswithstudentannuallytoreviewprogramandprogress,nolaterthanAugust31ofagivenyear.
CandidacyExamination Normallywithintwoyearsandnotlessthansixmonthspriortofinalexamination.TheDepartmentsetsthedatefortheexaminationandrecommendstheexaminingcommitteetotheFGSR.Allprogramrequirements,otherthanthethesis,mustbecompletedwithin36monthsofthecommencementofastudent’sprogram.
Four(4)weekspriortotheexamination,theDepartmentsubmitsaNoticeandApprovalofDoctoralCandidacyExaminingCommittee&ExaminationDateformtotheFGSR.
Afterasuccessfulexamination,theDepartmentsubmitsaReportofCompletionofCandidacyformtoFGSR.Ifnotsuccessful,theDepartmentrecommendsthebestcourseofactiontoFGSR.

FinalOralExamination Tobecompletedpriortosettingexaminationdatesandbeforethethesisissenttotheexternalexaminer.Allsupervisorycommitteemembersdeclareinwritingtothesupervisorthatthethesisisadequatetoproceedtothefinaloralexamination.
Threemonthspriortoexamination:supervisornominatesanexternalexaminerandproposesadatefortheexaminationandthecompositionoftherestoftheexaminingcommittee.
Twomonthspriortoexamination,theDepartmentnominatesanexternalexaminertotheFGSRandcompletesaRequesttoInviteExternalReaderorExaminerforFinalDoctoralOralExaminationform.TheDepartmentinvitestheexternalexaminer.
Fourweekspriortoexamination,theDepartmentmustensurethattheexternalexaminerreceivesthethesis.
Threeweekspriortoexamination,theDepartmentrecommendsexaminingcommitteememberstotheFGSRusingaNoticeandApprovalofDoctoralFinalOralExaminingCommittee&ExaminationDateform,notifiesexaminersofthedate,andsuppliesacopyofthethesistothem.
Shortlyaftertheexamination,theDepartmentadvisestheFGSRofthecommittee’sdecisiononaThesisApproval/ProgramCompletionform.
Withinsix(6)monthsofFinalOralexamination,thestudentmustsubmittheirthesisforreviewandapprovalbytheFGSR.

Aresearch-basedmaster’sdegreewithnoresidencyrequirement.
Requiresfromsixtoeightgraduatecourses,dependingontheresearcharea,completionofENGG600,theUofAProfessionalDevelopmentRequirement,andathesis.Thestudentmustdefendthethesisbeforeapanelofthreeormoreacademicstaffmembers,includingthethesissupervisor.
ThetimerequiredtocompletetheMScprogramwillvaryaccordingtotheprevioustrainingofthestudentandthenatureoftheresearchundertaken.However,twoyearsisnormallytheminimumtimerequired,withamaximumoffouryearstocompletetheprogram(fromthedateoffirstregistration).

TheDepartmentreceivesinformationfromthesupervisoraminimumof3.5to4weekspriortotheexam,recommendsexaminingcommitteememberstoFGSRusingaNoticeandApprovalofaMaster'sFinalOralExaminingCommittee&ExaminationDateform,notifiesexaminersofthedate,andsuppliesacopyofthethesistothem.
Immediatelyaftertheexamination,theDepartmentadvisestheFGSRoftheexaminingcommittee’sdecision,ontheThesisApproval/ProgramCompletionform.
Withinsix(6)monthsofexamination,thestudentmustsubmittheirthesisforreviewandapprovalbytheFacultyofGraduateStudiesandResearch.
Course-BasedProgram(s)
MasterofEngineering
MasterofEngineering(MEng)isanon-thesis,course-basedmaster’sdegreewithnoresidencyrequirement.TheMEngprogramcanbecompletedinaminimumofninemonths,uptothemaximumtimeoffouryearsfromthedateoffirstregistration.
RequirescompletionofeightgraduatecoursesandaResearchProject(900level).CompletionofENGG600,andtheUofAProfessionalDevelopmentrequirementisalsorequired.Theresearchprojectisthework-equivalentofonecourse(approximately160hoursofwork).Theresearchprojectisnotdefendedandneedsonlytheapprovalofthesupervisor.
StudentsintheMEngprogrammustregisterinaminimumof 3ofcourseworkorinMREG800MaintainingRegistrationforatleastonetermineachSeptembertoAugustperiodtokeeptheirprogramactive.
MEngstudentsmustmakearrangementswithaprofessorintheproposedprojectareatoactasasupervisorfortheirresearchproject.

MEngstudentsmustberegisteredinResearchProject(900-level)inthetermtheycompletetheirresearchproject.Itisthestudent’sresponsibilitytosubmittheirresearchprojectwellinadvanceoftheendofthetermtoensurethattheprojectsupervisorhasenoughtimetoevaluatethereport.ResearchProject(900-level)isrestrictedtostudentsincourse-basedmaster’sprograms.

Student
Graduatestudentsareultimatelyresponsibleforthecompletenessandaccuracyoftheirownprograms.
Studentsareadvisedto:
+ MaintainopencommunicationwiththeirsupervisorandGraduateCoordinatorconcerninganyproblemeitherrealorperceived.
+ Choose,withthesupervisor’sassistance,aresearchtopicthatissuitableandthatthesupervisoriscompetenttosupervise.
+ Beconsistentlywell-preparedformeetingswiththeirsupervisor.
+ Realizethatsupervisorshavedutiesandcommitmentswhichmaydelayshortnoticeappointmentsordelaythereturnofdraftresearchwork.
+ Beresponsibleforadjustmentsintheirregistration.
+ BeexpectedtoreadtheonlineCalendarandanyotherrelevantdocumentstobecomefamiliarwithallregulationsanddeadlinesrelatingtotheirprograms.
+ Consultwiththeirsupervisororwithadepartmentrepresentativewhentheyareindoubtabouttheregulationspertainingtotheirprogram.

+ Theadmissionofstudents;forthesettingofminimumentrancerequirementsandminimumacademicstandingrequirements,andforensuringthatthesearemet.
+ Approvingallchangestostudentsprogramsandtheappointmentofsupervisors,supervisorycommitteesandexaminingcommittees.
+ Submittingapprovalofchangesaffectingpolicy,generalanddegreeregulations,etc.,totheCounciloftheFacultyofGraduateStudiesandResearch.

Engineeringgraduatestudentsmustundertakeaminimumof8hoursofprofessionaldevelopmentoverthecourseoftheirdegreeasrequiredbytheFacultyofGraduateStudiesandResearch.Inaddition,asofFall2017,Engineeringwillrequiretraininginpreparationofastudent’sIndividualDevelopmentPlan(IDP)and4hoursofcareerdevelopmentrelatedworkshopsprovidedbytheFacultyofEngineering.

• Professionaldevelopmentcanprovideadditionaltraininginthestudent’sareaofstudyifnotavailableintheFacultyofEngineering’sprograms(e.g.,workshopsatconferences).
• Professionaldevelopmentcannotberelatedtothetraditionaltechnicalaspectsofengineeringdegrees(e.g.,learningsoftware,elementsofcoursesavailableinastudent’sprogram,trainingonequipmentavailableinasupervisororco-supervisor’slab).However,useofsoftwareinnon-traditionalorhigherlevelapplications,applicabletoallfields,canbeconsideredforprofessionaldevelopmentbutmustbepre-approved.
MandatoryprofessionaldevelopmentactivitiesAsofFall2017,eachgraduatestudentinanengineeringprogramwillberequiredtoregisterintwoeClasscourses,ENGG601and602.
ENGG601isafulldayoffering(tobetypicallyofferedonaweekend)consistingofinformationonprofessionaldevelopmentanddevelopmentofastudent’sIndividualDevelopmentPlan(IDP)inthemorning,andamandatory4-hourofworkshops,2hourseach,focusingonengineering-relevantcareerskillsintheafternoon.

ENGG602isasystemtotrackverifiableprofessionaldevelopmenthourstomeetFGSRrequirements.TheseincludeprofessionaldevelopmentofferedbyFGSR,conferenceworkshops,NAITcourses,etc.,asdescribedbelow.Records(e.g.,certificates,etc.)verifying8ormorehoursofprofessionaldevelopmentactivitiesmustbedocumentedinENGG602bythevariousdeadlines,asappropriate(programcompletionforM.Eng.students,defencedateforM.Sc.students,andwithinthreeyearsofthestartofprogramforPh.D.students).
