TERMS OF REFERENCE
Food ingredients Europe 2017 Design, construction and maintenance of the Brasil Pavilion
Introduction
1. The Ministry of Agriculture, Livestock
and Food Supply (MAPA) and the
Ministry of Foreign Affairs (MRE)
regularly participate in major
international trade fairs aiming to
promote the Brazilian food industry
and to offer a showcase for national
producers and food companies.
Therefore, MAPA and MRE are
organizing the BRASIL Pavilion at Food
ingredients Europe 2017 to be held in
Frankfurt, Germany, from 28th to 30th
November 2017 and are thus placing
this bidding.
2. The Consulate-General of Brazil in
Frankfurt will hold the bidding,
observing its regular criteria in
selecting suppliers.
Scope
3. Design of the BRASIL Pavilion for the
Food ingredients Europe 2017.
4. Construction and decoration of the
BRASIL Pavilion at Food ingredients
Europe 2017 on a turn-key basis. It
includes, but is not limited to:
a) Construction of structural elements;
b) Construction of facilities (e.g.
electricity wiring work, water and gas
plumbing work);
c) Contracting of electricity, water and
gas supply;
d) Fulfilling the demands of the Food
ingredients Europe 2017 organizers,
regarding the setting up of the BRASIL
Pavilion (e.g. applications for floor
work, ceiling, electricity, permission to
use fire, etc.);
e) Printing and placement of signage
and other graphics;
f) Installation of equipment and
appliances;
g) Provision of furniture.
5. Maintenance and cleaning of the
BRASIL Pavilion during Pavilion at Food
ingredients Europe 2017.
Design Guidelines
6. The BRASIL Pavilion at Food
ingredients Europe 2017 will be located
at Hall 11 - Stand Number 11.1B38
of the Messe Frankfurt Exhibition
GmbH (Annex 1). The area of the
Pavilion is 64 m² (8m x 8m).
7. The BRASIL Pavilion should
comprise the following spaces/uses
(Annex 2):
a) Information Desk;
b) 06 Individual Company Booths;
c) Storage and Kitchen;
d) Lounge;
e) Conference Room.
8. Bidders are requested to further
develop the initial conceptual scheme,
while observing the following design
goals:
a) Explore the maximum height
allowed by Pavilion at Food ingredients
Europe 2017 regulations;
b) Give visibility to the BRASIL Pavilion
at Food ingredients Europe 2017;
c) Convey a character of lightness,
tidiness and warmth to the BRASIL
Pavilion;
d) Give preference to economical
construction choices.
9. We stress that the above
requirements might be subjected to
adjustments depending on the final list
of enrolled exhibitor companies.
Specifications
10. Information Desk (Annex 1).
a) 01 rectangle counter with lockable
space for storage underneath;
b) 02 stools;
c) 01 waste basket;
d) 02 electric sockets with 02 outlet
multiple strip with universal adapters;
e) 01 table flag of Brazil, height of
30cm (Annex 8);
f) Full wall graphics applied to back
wall and counter.
11. Individual Company Booths (06
in total)
a) 01 counter with a top glass display
with internal lighting and lockable
space for storage underneath (Annex
5);
b) 01 round standard table with 4
chairs. The tables must have a
maximum diameter of 80 cm;
c) 01 brochure holder;
d) 01 waste basket;
e) 01 electric sockets with 01 outlet
multiple strip with universal adapters;
f) 01 table flag of Brazil, height of
30cm (Annex 8);
g) Wooden slat panels to separate one
booth from its neighbour and the
lounge area (Annexes 2 and 6);
(j) Company logo applied to the
counter front side.
11.1 No additional furniture items
should be provided to exhibiting
companies without previous
authorization by the Pavilion
Organizers.
12. Storage and kitchen (Annex 2).
a) 01 lockable door;
b) wire shelves as many as possible;
c) Water sink for general kitchen use;
d) 01 Microwave oven;
e) 01 Coffee machine;
f) 01 blender;
g) 01 Electric Cooktop with 02 burners;
h) Supply of Brazilian coffee, sugar and
sweetener for 3 days (approx. 100
cups per day);
i) 01 chest fridge (approx. 250l);
j) Ice supply for 3 days;
k) 01 potable water dispenser with
disposable plastic cups (supply of
water and cups for 3 days);
l) Basic kitchenware (pans, cutting
board, knifes, scissors, spoons etc );
m) Dish washing supplies (detergent,
sponges, steel wool, brushes etc.)
n) 01 large lidded waste bin;
o) 05 extra electric sockets;
p) Full wall graphics applied to outer
walls.
13. Lounge (Annex 02)
a) 02 Billsta Bar table;
b) 08 stools;
c) 02 table flags of Brazil, height of
30cm (Annex 8).
14. Conference Room (Annex 7)
a) 01 conference table with 06 chairs;
b) 01 waste basket;
c) 01 table flag of Brazil, height of
30cm (Annex 8).
d) 01 electric sockets with 01 outlet
multiple strip with universal adapters;
e) 03 glass walls with a lockable glass
door and a ceiling (Annex 7);
f) Full wall graphics applied to back
wall.
15. Pavilion Header (Annex 4)
a) The builder is expected to propose
the most suitable structural solution
for the Pavilion header (supporting
columns or hanging frame);
b) In case the builder proposes a
columns supported header it must be
assured that no columns will be located
outside the alignment of a partition
wall, in order to avoid all interference
with the Pavilion free spaces;
c) The header must be fully coated with
graphics in all free sides. Artwork will
be provided by the Pavilion Organizers.
16. Backwall.
a) Explore the maximum height
allowed by Pavilion at Food ingredients
Europe 2017 regulations;
b) Full wall graphics applied on it.
17. Lightning.
a) The Pavilion lighting design must
give preference to the use of LED
lights;
b) The quantity, wattage and
positioning of the lights must provide
proper lighting of the exhibitor areas as
well as highlight displays and graphics;
c) The lighting design must provide a
balance of warm and cool lights in
order to deliver visual comfort and
ambiance.
18. Electrical equipment and
electricity.
a) The electricity consumption of the
BRASIL Pavilion should be included in
the bidder price estimation;
19. The Pavilion Organizers will
provide the artwork for signage and
graphics. That artwork will be based on
the final approved pavilion design and
will follow the measures informed by
the building company for each graphic.
19.1 The bidder should be able to use
and print graphics in high-resolution
PDF files (300 dpi) that will be sent by
the Pavilion Organizers proportionally
reduced in 10%.
20. Opening ceremony.
The BRASIL Pavilion will be officially
open by representatives of MAPA and
MRE on the first day of the show, at
11h00. For this short ceremony, the
builder should provide:
a) audio equipment with powered 01
speaker system and 01 wireless
microphone;
b) an inaugural plate with 0,75m x
0,90m (crafted in plywood and with the
art similar to the one at Annex 09) and
a black veil to cover it.
21. Other requirements.
a) The Pavilion must be built on a
raised wooden floor platform with
ramp trims for visitor with special
needs;
b) All plumbing and wiring must be
concealed;
c) Bidders should give consideration to
proposing the use of wood surfaces in
the design of the Pavilion;
d) Garbage plastic bags (supply for 3
days);
e) It should be stressed that the above
requirements might be subjected to
adjustments depending on the final list
of enrolled exhibitor companies.
Construction Deadline
22. Deadline for construction
delivery is the 27th of November, 12:00
(noon). By that time the BRASIL
Pavilion should be ready for delivery to
the exhibiting companies.
Compliance
22. The selected company will
ensure by all means that the design,
construction and maintenance of the
BRASIL Pavilion at Food ingredients
Europe 2017 comply with the
regulations issued by the Organisers as
well as any relevant legislation and
applicable standards.
Proposal submission
23. The submitted bidding proposal
should clearly specify the prices of all
the structural elements separately
(building materials, walls/partitions,
floor, hanging signage, graphics, etc).
24. The submitted bidding proposal
should also clearly specify the prices of
all the objects used in the information
desk, booths and kitchen spaces
separately (desks, water sink, stools,
conference table, bar fridges, coffee
machine, etc).
25. If a modular stand system is to
be employed, it should be also
specified in the bidding design.
26. The submitted proposals should
include at least:
a) Floor plan with dimensions;
b) Floor plan with 2D and 3D
perspectives;
c) Elevation drawings with
dimensions;
d) Rendered views;
e) Graphic’s measurements.
27. Bidders should render the
Brasil Pavilion Project until 18th
October 2017.
