SITUATION

P’kolino,adesigncompanywhichfocusesonsmartplayproductsforchildren,neededasolutiontomanageitsentireproductvaluechain—fromtrackingcustomerleads,toimportingproducts,tomanagingcustomerorders.

ButQuickBooks,theaccountingsoftwareithadbeenrelyingonforseveralyears,couldnotmatchP’kolino’srateofexpansion.Asbusinessgrew,theinconveniencespiledup.

SinceQuickBookswasinstalledoneveryindividualmachine,itmeantthateverytimetherewasasoftwareupdate,eachmachineneededtobeupdatedseparately.

“Wehadmultiplesoftwareapplicationskeepingtrackofdifferentthings.ItwashardtomaintainallthatfromanITperspective.Itwasverycomplex,”saysPardo.

Whenordersstartedfloodinginforchildren’sgiftsovertheChristmasandholidayseason,thegapsinQuickBooks’capabilitiescrackedwideopen.“Wealmostcollapsed,”saysPardo.“Theamountofworkwehadtodowasincredibleandwethoughtwewouldhavetohiremorepeoplethefollowingyeartocopewithorders.”

SOLUTION

ThingschangedwhenP’kolinoswitchedfromQuickBookstoAcumaticainmid-2012.

“Wewerelookingforacentralizedapplicationthatdidn’trequireclientsoftwareorspecificsoftwareinstalledoneachmachine,”saysPardo.“WefoundoutthatAcumaticawasaweb-basedapplicationrunningononeserver,whichsuitedourneeds.”

BENEFITS

ThebenefitsofswitchingfromQuickBookstoAcumaticawerequicklyapparent.

InChristmas2012,theteamwasnotonlyabletocopewithordersbutwerecomfortablyprocessingdoublethenumberoforders.

“Wedoubledthecapacityofourteamwithoutaddingheadcount,”saysPardo.“Atthispointintime,Ibelievewehaveevenmoreroomforgrowth.Weestimate

thatonceourcustomizationsareallimplemented,ourteamwillbecapableofprocessingthreetimestheorderstheydotoday.It’sbeenagreatimprovement.”

P’kolinosaves$80,000ayearbynothavingtohirethethreeorfouradditionalworkerstheywouldhaveneededbeforeAcumatica,mainlythroughtheautomationofsalesorders.

Acumaticaiseasilyintegratedwiththird-partysoftware,meaningthatP’kolino’sworkerswhopreviouslyhadtolaborovermanuallykeyingininformationfromonesystemtoanotherwouldsavevaluabletime.

Forinstance,P’kolinostaffusedtohavetocombthroughtheirthird-partywarehouseprovider’sdatabasetore-enterallthetransactionsintotheirownsystem.WithAcumatica,informationisautomaticallysynchronizedbetweenP’kolinoandthewarehouse.

“Youcanimaginethebigsavingsintermsoftime,”saysPardo.“Wealsoreducederrorsby75%,justbyintegratingthosetwoapplications.”

P’kolinoworkedcloselywithAcumaticapartner,Orlando-basedITconsultingfirmProgressiveSystemSolutions,tocomeupwithcustomizationswhichbestsuittheirneeds.

Anotherinstanceofatime-savingcustomizationwaswhentheP’kolinowebsitewasintegratedwithitssalesplatform.Inthepast,whenonlineorderswerereceived,staffhadtore-entertheentireorderintotheP’kolinosalesplatformbecausethewebsiteisrunbyathirdparty.Now,theinformationisdownloadedautomatically.

“Fromthe4minutesitcouldhavetakentotypeinaneworderbefore,itnowtakeslessthan30secondsfororderstobedownloaded.Onceagain,wealsodramaticallyreducetheamountoferrorswhichcouldhavecomeinfromkeyinginthewrongproductcodeorzipcode,”says
