Job Title: Apprentice - Office Assistant Job Family: Strategy & Influencing Reports to: Campaigns Support Officer and Policy Development Manager Management of: None This role will support the campaigns and policy team with a number of administrative functions. The Office Assistant will provide a high quality customer centred service with an efficient, positive and helpful approach. The key functions of the role are as follows:
1. To provide a support to the Head of Policy and Public Affairs and the Head of Campaigns
KPI’s:
Managing the diaries of Head of Policy and Public Affairs and Head of Campaigns.
Co-ordinating meetings and booking rooms, refreshments, travel and hotel bookings
To provide general admin support
Manage the teams’ concur expenses system
2. To support the Campaigns Manager and Campaigns Officers with public
campaigning events; to support the Public Affairs Team
KPI’s:
Assisting with sending out invites and tracking RSVPs for events
Liaise with external partners as requested and required
Co-ordinating meetings and booking rooms, refreshments, travel and hotel bookings
Attend events and greet attendees at the events with a professional approach, liaising with relevant staff promptly and ensuring that the visitors are signed in, made comfortable and know where they need to be
Printing and copying materials, helping to put together posters
Act as a spokesperson for Mencap as and when required
Support the policy and public affairs team as and when required
3. General Admin tasks as and when required both for the campaigns and the policy team
KPI’s:
Updating Campaigns & Activism team listings on the intranet and audit of campaigns and policy presence on the intranet
Organising publications and archive
Dealing with IT and phone issues for team members
Accurate duplicating or scanning of documents, as required.
Organise monthly manager’s meetings
