I. Purpose In January 2018, the HRMS Business Warehouse / Business Intelligence (BW/BI) system will be replaced with a new enterprise reporting solution, Washington Workforce Analytics (WWA). Reports created by users using the Business Explorer Analyzer (BEx) will be lost once BW/BI is decommissioned. The purpose of this document is to help users document BEx Queries that need to be re-created in the new WWA ad hoc reporting solution.
II. Process
Define the Business Need • What is the purpose of the query? (i.e. What question are you trying to answer?) • How often is the query run? (i.e. daily, weekly, quarterly) • What time periods do you typically run the query for? (i.e. as of date, date ranges,
months, quarters, years, fiscal or calendar quarter/year) • Do multiple users within the agency need access to this query? • Is the query based on an existing portal report that was modified to meet your
agency specific need?
Document the Query Requirements and Restrictions 1. Open the report in the BEx Query Designer and click the “View Predefined SAP BW 3.x
View”. This will allow you to view all sections of the Query Designer.

2. Document the query properties by clicking Query Properties from the toolbar. Record screen prints for each Properties tab or document property values in the Query Property Values Template in Appendix A where necessary (see template for example).

3. Document the field properties for each field in the Default Values section of your query by clicking on the field to display the Properties pane. The Properties pane will display various formatting settings for that field. Document field property values in the Characteristic Restrictions and Default Values Template in Appendix A where necessary (see template for example).

4. Document any field restrictions (hard-coded filter value) or variables (field values you want to enter when running the query) for Default Value fields in the Restrictions/Variables column of the Characteristic Restrictions and Default Values Template in Appendix A (see template for example).
Note: Expand the field to view restrictions or variables by clicking . Variables are identified
by the symbol. Restrictions are identified by the symbol, followed by the restriction value.
5. Document fields in the Rows, Columns, and Free Characteristics sections using screen prints
or by adding to the Rows/Columns/Free Characteristics Template in Appendix A (see template for example).

7. Document Key Figure properties, restrictions, and formulas for fields in the Key Figures section using the Key Figure Restrictions and Key Figure Formulas Templates in Appendix A (see templates for examples).
a. Key Figure properties can be displayed by clicking on the field in the Key Figures section.
Note: Properties can be added to the “Other Properties” column of the respective Key Figure Restrictions or Key Figure Formulas Templates.

b. Key Figures and Key Figures with restrictions can be displayed by double-clicking on the field name.
c. Key Figures that are formulas (identified by the symbol) can be displayed by double-clicking on the field name.
Note: A Key Figure that is not restricted by another value will display the Key Figure only.

8. If applicable, document any query Conditions, by clicking on the Conditions icon on the toolbar and creating a screen print or by adding to the Query Conditions Template in Appendix A.
Double-click the Condition name to view and document the Condition properties:

9. Run your query and copy a sample of the default results:
