1. Introduction
This guide contains the preparation and application procedures for a student wishing to apply for a
doctoral degree at the Department of Quantum Matter, the Department of Molecular Biotechnology,
or the Department of Semiconductor Electronics and Integration Science in the Graduate School of
Advanced Sciences of Matter.
All students, including so-called “thesis doctorate or RONBUN HAKASE” applicants, shall create
their doctoral thesis in English,
Requirements in order to apply for degree conferment
Applicants must meet one of the following qualifications:
(1) Those who have been enrolled for three years or longer in the doctoral program at the Graduate
School of Advanced Sciences of Matter, have obtained the required program credits, have
received the required research instruction, and are expected to complete the doctoral program.
However, the enrollment period in the doctoral program may be one year or longer for those who
have been recognized by the dean after approved by the graduate school faculty council as
having produced excellent research results, or three years or longer including the period enrolled
in master’s program for those who have completed the master’s program after enrolling for
under two years.
(2) Those who have been enrolled for three years or longer in a graduate school doctoral program,
obtained the required program credits, and withdrew after receiving research instruction.
(3) The student has completed a graduate school master’s program, and has four years or more of
research experience.
(4) The student has graduated from university, and has six years or more of research experience.
(5) If none of the above stipulations applies to the student, then the student must be recognized by
the graduate school faculty council as having produced excellent research results.
<Note> (1) above is so-called, a “course doctorate or KATEI HAKASE”, while (2) to (5) are
referred to as “thesis doctorates or RONBUN HAKASE”.
(This guide should be used for those who are applying for a doctoral degree in the academic year
2021.)

2. Process of Applying for Degree Conferment ○A doctoral thesis must be created in English.
○Be sure to confirm with your academic advisor in advance the requirements for the
acceptance of a doctoral thesis
The preliminary review of a doctoral thesis is conducted by each department.
Applicants must make their doctoral theses on the premise of publishing the
thesis abstract and the entire thesis in the Hiroshima University Institutional
Repository. Applicants must make a presentation on the contents of their
theses in front of Department faculty including an anticipated main advisor
and a deputy advisor of a review committee. The presentation will be
followed by questions and answers.
After the preliminary review, a successful applicant must submit application
documents for a degree, two copies of temporarily-bound doctoral thesis
(refer to the section 6) and “Doctoral Dissertation Submission and Publication
Confirmation (Application Form)” to the AdSM Student Support Office.
Based on preliminary review reports from the dean of each department, the
Board of Representatives will discuss whether they accept the thesis or not. If
accepted, the Board will appoint a review committee. In case any
“unavoidable circumstances” are checked for main thesis in “Doctoral
Dissertation Submission and Publication Confirmation (Application Form)”,
they are also reviewed.
After acceptance of the thesis, the review committee must hold a thesis
defense after making a public announcement for at least seven days. In the
defense, the applicant will make a presentation on the contents of the thesis in
front of the audience including review committee members, academic staffs
and students. The presentation will be followed by questions and answers and
an oral examination on relevant subjects.
The Board of Representatives will discuss whether the applicant is eligible for
being granted a doctoral degree or not, based upon the review committee’s
reports of the thesis review and results of oral examination.
After approval, the applicant will be accorded a doctoral degree by the
president of Hiroshima University.
Those who are accorded a degree must immediately submit the softcopy
(PDF) of the entire thesis to the AdSM Student Support Office.
Those who checked the “unavoidable circumstances” in “Doctoral
Dissertation Submission and Publication Confirmation (Application Form)”
about main thesis (refer to the section 6, attachment) must submit the softcopy
(PDF) of the entire thesis and the “summary of the thesis content” to the
AdSM Student Support Office.
As soon as the unavoidable circumstances are resolved, immediately resubmit
“Doctoral Dissertation Submission and Publication Confirmation (Application
Form)” to the AdSM Student Support Office.

3. Procedure for Preliminary Review of Doctoral Thesis Prior to Acceptance
Students wishing to apply for degree conferment must first complete a preliminary
review, as described below, before making a formal application to the graduate school.
Therefore it is required that sufficient extra time be allowed in the schedule prior to the
formal application.
(1) A student wishing to present a doctoral thesis must first make a proposal to an
instructor (professor or associate professor) of a related area in the field of
specialization. If the instructor who receives this proposal determines that the
contents of the thesis are sufficient to merit presentation, then the instructor instructs
the student to prepare the thesis into the form and format required for the thesis to be
accepted. (For the required form and format, refer to Section 4 and Section 5.)
(2) The doctoral thesis and necessary documents shall be submitted together, through
the related professor, to the dean of the department of specialization where the
student wishes to present the thesis. A preliminary review must then be performed to
determine if the thesis can be accepted. The softcopy of the entire thesis is not
necessary to be submitted at the preliminary review stage; temporarily-bound copies
of the thesis shall be submitted.
(3) After receiving an explanation from the related instructor, the faculty council in the
field of specialization shall examine the submitted thesis to determine whether or
not it merits presentation as a doctoral thesis, and whether the thesis form and
attached documentation satisfies the requirements for the degree application based
on the “Doctoral Dissertation Submission and Publication Confirmation
(Application Form)”.
(4) If the submitted thesis does not satisfy the required conditions, the department dean
shall inform the applicant of this fact. In some cases the reason may be attached in
document form and returned together with the doctoral thesis and other attached
documentation.
(5) If the submitted thesis is determined to satisfy the required conditions, then the
department dean shall select thesis reviewer and examiner candidates, and shall
inform the student of the procedure for making a formal application to the graduate
school.

4. Type of Submitted Thesis
The type of the doctoral thesis shall be as described below.
• The main thesis shall be a newly-written thesis to apply for degree conferment.
• The primary portions of the main thesis must have been previously published as an original
thesis in a journal, or else must have been accepted for publication. (These publications are
referred to as “articles.”) In the latter case, documents must be attached which verify that the
thesis has been accepted for publication.
• The degree applicant must be the sole author of the main thesis.
• An article may be the product of joint authorship. In other words, an article may have been
produced by multiple authors, one of whom is the degree applicant. In principle, the same
thesis may not be used to apply for multiple degrees. If a jointly-authored article is used, then
written consent must be obtained from all authors, or from the representative head author, for
use of the article in the doctoral thesis.
• In addition to the main thesis and articles, thesis supplements may be attached which describes
the research results achieved by the degree applicant.
• The articles do not count as thesis supplements.
• The thesis supplements may be the product of joint authorship.
• The main thesis, articles, and thesis supplements together constitute the doctoral thesis. They
must be organized into one entire thesis after the addition of a table of contents which shows the
overall structure of the thesis. (At the stage of application for degree conferment, the
temporarily-bound copies of the thesis shall be submitted. After approval of the conferment of
the doctoral degree, the softcopy (PDF) shall be submitted. The softcopy (PDF) shall contain
the main thesis and the list pages of articles and thesis supplements only. The articles and thesis
supplements shall not be attached.)

5. Doctoral Thesis Format

6. Necessary Documents to Apply for Degree Conferment
After the preliminary review by the department determines that the submitted thesis meets all the
conditions required to be accepted, doctorate applicants must complete all the procedures below.

thesis in the Hiroshima University Institutional Repository and it
shall be signed and sealed by the applicant and main academic
advisor. (The articles and thesis supplements will not be published in
the Repository. Please confirm about the contents of the main thesis
only.)

9 Review Fee -
Thesis doctorate applicants are required to pay 57, 000 yen as review
fee. However, the review fee is not required for persons who have
completed the curriculum of the doctoral program at the Hiroshima
University graduate school and who withdrew from the school within
the previous 1 year.
Receive a bank slip at the AdSM Student Support Office and pay the
fee at a teller’s window of a bank. Do not use ATM. Transferring
charge shall also be paid by the applicant.
10 Certificates 1
Thesis doctorate applicants are required to submit the following
certificates according to their requirement in order to apply for degree
conferment (refer to page 1):
・Certificate which shows applicant’s completion of the curriculum of
the doctoral program and withdrawal *Requirement (2)
・Certification of Graduation (or Completion) from the last school

Based on Articles 8 and 9 of the Degree Regulations (Ordinance of the Ministry of Education, Culture,
Sports, Science and Technology No.9 of April 1, 1953) and on Articles 13 and 14 of the Hiroshima
University Degree Regulations (No.8 of April 1, 2004) those who will receive a doctoral degree from
Hiroshima University shall use the Hiroshima University Institutional Repository for the publication of
the abstract of the dissertation content, the summary of the results of the dissertation screening and the
entire dissertation.
When you submit a doctoral dissertation, please confirm the following requirements regarding

2.Items to verify concerning the application of dissertation
□ In cases of there being a coauthor, the coauthor has submitted the certificate of consent “I agree to declare this thesis as
your academic dissertation” to avoid submission of an academic dissertation with the same contents by the coauthor.
Alternatively, the dissertation is written by a single author.
□ The electronic data of the entire dissertation and the abstract of the dissertation content will be submitted. In cases of
unavoidable circumstances as described in the Hiroshima University Degree Regulations, article 14.2, the electronic data
of the summary of the dissertation content will also be submitted. The data file format of the doctoral dissertation is PDF
(PDF/A(ISO 19005 recommended).
3.Items to verify concerning publication in the Hiroshima University Institutional Repository <Note>
1. Hiroshima University conducts internet publication of the entire dissertation or its abstract in the Hiroshima University
Institutional Repository (hereinafter referred to as “Repository”). Note that by submitting this form “Doctoral Dissertation
Submission and Publication Confirmation (Application Form)”, you agree to matters concerning reproduction right and right of
public transmission, both of which are part of copyright.
2. By publishing the data in the Repository, we manifest that data replication (print or download etc.) is strictly limited to
purposes of investigative research, education, and study.
3. Note that the abstract of the dissertation content and the summary of the results of the dissertation screening will be published
in the Repository within 3 months after the day the degree is awarded and the entire dissertation or the summary of the

Make sure that the thesis titles in all documents are same as the ones written in the thesis index.
Submit them to the AdSM Student Support Office.

One of two sets of submitted documents shall be original. The other may be a copy. As for the
